Key Responsibilities and Accountabilities

Executive Support to CEO:

• Assemble and prepare papers, being the main point of conduct for CEO key meetings.
• Coordinate, attend, take minutes, and track actions for the Organisational Leadership Team.
• Manage diary, project manage and carry out administration for the CEO.
• Coordinate, attend, take minutes, and track actions for the CEO.
• Follow up on actions from meetings on behalf of the CEO and Chair of EFH, ensuring timely completion.
• Draft correspondence, manage communications, and liaise with key stakeholders including government departments, Patrons’ offices, and external partners, ensuring appropriate professionalism.

Governance Liaison:

• Act as the primary liaison between the CEO and the Group Head of Governance, ensuring all governance-related matters are effectively managed by having weekly check ins with both the Chief Executive and Group Head of Governance, and keeping the Director of People, Culture & Governance informed about pertinent matters.
• Coordinate the preparation and distribution of governance papers and briefing documents for the CEO.
• Ensure timely submission of board and committee papers, ensuring accuracy and completeness.
• Support the CEO in governance-related activities, including regulatory compliance and strategic planning discussions.
• Work closely with the CEO, Director of Finance and Operations, and Property Consultant on property-related matters.
• Act as secretariat for relevant property committees including meeting scheduling, minute taking and tracking actions.

Business Support:

• Lead the induction of new Business Support team members, ensuring consistency in approach.
• Hold regular meetings with the Business Support team, inviting feedback and implementing improvements.
• Lead meetings with Business Support staff to share best practices and resolve operational challenges.
• Foster a positive and collaborative team environment.
• Lead and support the Business Support team, providing a backup service to teams across the organisation, ensuring tasks are carried out in a timely manner. Where there is insufficient capacity within the Business Support Team, this may mean sourcing a temp or outside agency.

Person Specification:

Essential Criteria:

• Significant experience in a high-level Executive Assistant or Business Support Management role.

Introduction

Herts Welcomes Refugees is at a transitional stage of its development, moving from a charity 
managed entirely by volunteers to one in which a small team of paid staff at its core facilitate and 
support the trustees to guide the work of the 170 or so volunteers. The staff team currently 
comprises a Volunteer Coordinator an IT Support Assistant and soon we will also be recruiting an 
Administrative Assistant. The Director will also work collaboratively with the (volunteer) 
Management Committee, the volunteer teams delivering services across the county and those 
volunteers providing support in key areas such as evaluation media and safeguarding.

Having come through a period of rapid development in the last four years, we now need to 
consolidate our knowledge and experience and further professionalise how we operate to ensure 
the sustainability and further development of the charity. Whilst committed to remaining a 
volunteer led charity, we need an energetic and experienced Director to support the trustees in
achieving our objectives and take the charity into the next phase of its development.

This brand-new senior role, which is being created as part of a new three-year funding programme by the
National Lottery Community Fund, is key to the next stage of our development. The postholder 
will need to be flexible in working with the Trustees, existing staff team and volunteers to help 
steer the charity through this transition. 

Main purposes of the job: 
1. To work with the trustees and volunteers in developing, supporting and facilitating the work of 
the charity and its volunteers to increase the efficiency, effectiveness, quality and consistency of 
the services provided to refugees and asylum seekers.
2. To be responsible for the day-to-day management and administration of HWR in line with the 
organisation’s policies and in compliance with all applicable law and regulation and to manage the 
staff team to increase the efficiency of the administration of the charity.
3. To support the trustees in achieving HWR’s vision, mission and charitable objects and strategic 
objectives and ensure the sustainability of the charity
 

Major duties and responsibilities:
1. Working with trustees, staff and volunteers
1.1 To manage the staff team to ensure that individual volunteers and area teams are supported 
and enabled to offer effective services across the county. This will involve regular travel across Hertfordshire.
1.2 To work with the management group to ensure its effective organisation.
1.3 To ensure that HWR's values, vision, mission are promoted and practised throughout the 
organisation. 
1.4 To establish and maintain an effective system for the recruitment, management, training, 
support and development of volunteers and staff.
1.6 To support the organisation to ensure the inclusion and voice of service users throughout the 
organisation.
1.7 To ensure that structures and systems are in place to comply with law and regulation and to 
implement the charity’s policies.
1.8 To report to the trustees on the progress of the organisation and on other matters relevant to 
the discharge of the trustees’ responsibilities. 
1.9 To formulate proposals for submission to, and approval by, the trustees. 
1.10 Working with the trustees, to ensure that the organisation discharges its constitutional and 
legal obligations and that the necessary resources are provided and proper standards maintained
for the protection of people and the organisation's assets.

2. Fundraising, Financial and Risk 
2.1 To support the trustees in relation to HWR’s income generation activities in line with the 
organisation's priorities.
2.2 Together with the trustees to consider development of other income streams, including 
corporate fundraising and legacies.
2.3 To work with the Treasurer to help develop and monitor the budget. 
2.4 To oversee HWR’s outsourced payroll administration 
2.5 To support the trustees with identifying and managing risk.

3. Knowledge and Information Management
3.1 To develop and implement robust mechanisms for the monitoring, reporting and evaluation of 
HWR’s work, and the impact and outcomes of its services.
3.2 To work with trustees and staff and volunteers to ensure the efficient operation of the charity 
through the development of IT infrastructure, and efficient and effective delivery of services and 
back-office administration. 
3.3 To work with trustees and staff and volunteers to ensure compliance with all regulation and 
good practice in relation to data confidentiality, security, safeguarding and GDPR.

4. General Tasks
4.1 Share with other staff responsibility for providing office cover, including answering the 
telephone and website enquiries, keeping records and statistics and self-servicing your own 
administration. 
4.2 Carry out such other duties and responsibilities as may reasonably be required by the trustees, 
commensurate with the objectives and level of responsibilities held by the post.

About the Role

This exciting Fundraising and Engagement Manager role will work with The Income Generation Manager, The Fundraising and Communications Team and the Senior Leadership teams to ensure that the delivery of Mind BLMK’s current and future offer of fundraising and engagement are effectively planned, developed, and implemented. As the Fundraising and Engagement Manager you will be responsible for supporting the growth of unrestricted income across individual and major donor as well as managing our corporate, and community fundraising.

In this role you will be responsible for ensuring the efficiency of fundraising and engagement activities incorporating culture for sustainability and growth for the organisation. You will create and deliver inspiring campaigns, optimise donor journeys, and ensure excellent supporter stewardship. The role includes responsibility for team leadership, with a focus on generating new income streams and maintaining compliance. You will have strong communication and data skills in helping drive the charity’s positive impact for Mind BLMK’s businesses and communities.

As the Fundraising and Engagement Manager you will support, develop and direct colleagues within the fundraising and engagement team leading on a range of activities and ensure that fundraising ideas and events are high profile and will generate funds. You will be able to reach fundraising targets and have a proven track record of tools used in fundraising such as Just Giving, legacy, Charity of the Year, media campaign and fundraising, face to face, corporate and strategic fundraising experience is also needed.

You will be proactive, work well on own and in team and have experience in delivering presentations and key messages to a range of audiences.

The role includes peer relationships internally within TAWS but to also hold relationships with Sport England, place-based strategic partners (Birmingham City Council , Sport Birmingham) and IWG World Conference on Women & Sport attendees In Unity, United by 2022 Legacy Charity and Saheli Hub . With the aspiration of the role aligning to the IWG Women and Sport programme, IWG World Conference on Women & Sport and European Athletic Championships hosted by Birmingham 2026.

In this role of Woman and Girls Lead you will be pivotal in ensuring that the organisation’s contractual obligations and goals are achieved by collaborating with communities and partner organisations in the design and delivery of interventions. You will build connections and co-produce with local communities and key partners , creating activities based on identified need to increase opportunities that are more social, suitable, self-affirming and safe for women and girls. The Southeast and East Asian Centre CIC (SEEAC) is a non-profit organisation registered as a community interest company that provides community-based support to members of the East and Southeast Asian (ESEA) communities, especially those underrepresented and marginalised migrants and refugees in the UK. Our website. This is a part-time role to lead SEEAC’s engagement with the East and Southeast Asian Communities. The Community Engagement Officer is responsible for reaching out, building and maintaining a solid network with community members, identifying and understanding communities’ needs, liaising and coordinating with other stakeholders who can provide relevant support and assistance, and supporting the development of communication materials for the communities. The post holder will work closely with members of the SEEAC staff team, volunteers and partners in organising and promoting community activities and disseminating information to the community members and relevant stakeholders.

You must be able to communicate fluently in English and, preferably with a command of at least one of ESEA languages. You will report to the Programme Manager and collaborate with all members of the staff. At times, you will liaise and collaborate with SEEAC’s stakeholders, such as volunteers and partner organisations, to design and convene activities that effectively support communities’ needs.

Flexible homework is offered in a hybrid setting, with in-person work based at the SEEAC office in East London. To create a better collaboration with other staff members and communities, SEEAC, however, require all staff members to work in the office or on-site occasionally as required. Depending on activities and event planned, the post requires occasional work in the evening and during weekends within contracted hours. Opportunities for skills development training are offered. This is a 12-month fixedterm contract, on a part-time of 3 or 2-days/week part-time (0.6 or 0.4 FTE) basis, for a January 2026 start. SEEAC’s full-time is 5 days per week (35hrs per week). The Refugee Welcome Officer is an exciting and unique role, supporting groups across the county who engage with the Social Justice Network to take part in the Afghan Welcome Project. You will assist with group formation, volunteer recruitment, training and provide ongoing mentoring to ensure their success.

As Refugee Welcome Officer you will work closely with the groups, local authorities, the Home Office, the Ministry of Housing, Communities and Local Government and other key stakeholders to source suitable housing, matching families to accommodation whilst ensuring compliance.

You will build and maintain effective relationships with local agencies, councils, community groups and other sponsors to facilitate resettlement and share best practices, as well as taking the lead for coordinating recruitment and training and support for volunteers.
