As a Ubele Programme Assistant, you will be a member of the Community Wealth Building hub supporting our Programme Manager with the Agbero2100 London programme by overseeing administrative tasks, communicating with our partners ensuring resource availability for the project team from project inception to completion.

Main duties & Responsibilities

• To act as the first point of contact for the Agbero2100 London programme, responding to and redirecting enquiries as appropriate.
• To co-ordinate the work and meetings of programme stakeholders and partners, including minute taking. 
• To ensure effective and ongoing communications with key stakeholders, maintaining their interest throughout the programme.
• To gather partner agreements, consultancy agreements, contracts and purchase orders, working closely with our finance hub to issue invoices and chase outstanding payments.
• Coordinate the programme information with stakeholders. 
• To manage programme information ensuring all data is stored and shared securely. 
• To organise events and seminars, and to draw together the contributions and outcomes from these events.  Providing support where appropriate.
• To contribute to the coordination of events with the support of Comms including maintaining positive relationships with Comms.
• To support the programme manager in efficiently collecting, relevant data to inform decision-making and enhance project outcomes.
• The Programme Assistant will utilize appropriate tools and techniques to collate data from various project stakeholders, teams, and relevant sources.  Establish a structured approach to capture both qualitative and quantitative data to assess project progress and performance under the instruction of the Programme Manager or Hub Lead.
• Support the Programme Manager in preparing regular and ad-hoc reports. 
• Support the Programme Manager to maintain accurate and comprehensive documentation of data collection methods, analysis techniques, and results for project audit and future reference. 
• Adhere to relevant industry standards, legal requirements, and organizational policies related to data privacy, confidentiality, and security.Handle sensitive project data with the utmost integrity and take necessary precautions to prevent unauthorized access or disclosure.

About the team

We have been successfully running the first ever national Peer Support Service for kinship carers in England for over two years since January 2022. We have created 145 peer support groups and supported and trained kinship carers to create and lead their groups in a way which meets their needs.

With a new contract from the Department for Education, we’re now entering a new phase of our service with a focus on:

• creating 90 new sustainable peer support groups in areas of most need over 21 months;
• sustaining and developing the current 145 existing groups, and;
• providing support and help to build a sustainable and welcoming community for all peer support groups across England. 

About the role

The type of person we’re looking for:

This is a new a role and a new structure for the team. You will need to be a strong, boundaried manager and leader. You will understand the power of building relationship-focussed peer support groups and the importance of in person local community engagement and outreach.

The team you lead will focus on community outreach and relationship building to develop new groups and new support group leaders through to independence. By independence, we mean that the groups will function successfully without a staff member present.

We want groups to feel a sense of community and belonging through all support and services we offer at Kinship, so your team will be the local contact.  They are expected to be out and about in communities.

Your team will need to build resilience through in person outreach, support, training and connection to ensure groups are able to function independently before moving to new ‘hub’ team who will provide centralised support and community building.

Your team will also reach out to existing groups (providing a face of the service and a relationship with it), ensuring they have the resources they need and support to sustain their group and then transition to the ‘hub’ team. This will include in person visits.

Purpose of the role:

The role of Programme Lead is to oversee and take accountability for the development and creation of new sustainable kinship peer support groups across England in priority areas as part of a new hub and spoke delivery model. In this context, your team is the ‘spoke’ of the service, delivering local outreach, online groups (where appropriate) and relationship building with kinship carers.

Managing a national team of seven staff (two direct line reports), you will provide firm leadership, ensuring targets and funder SLAs are met consistently and the service is delivered to a high quality.  You will provide monthly reports, ensuring delivery is on track and most importantly that kinship carers have an excellent and positive experience.

Key responsibilities include:

• Deliver sustainable peer support groups for kinship carers.

• Ensure policies and systems to deliver new groups and move others to sustainability, are followed and updated with user needs at the heart.

• Champion and innovate the peer support service blueprint.

• Line manage and supervise two Senior Peer Support Officers.

• As a deputy safeguarding lead at Kinship, you will work closely with other colleagues to identify areas of training for the organisation and identify improvements in delivery or processes.

Essential requirements include:

• Substantial experience in delivering a high-profile national service or programme. This includes overseeing delivery, operational planning, monitoring, budgeting, managing delivery and meeting KPIs.

• Significant experience of leading the development and delivery of peer support and community development services.

• Significant experience of managing volunteer recruitment and retention.

• Significant experience of change management and driving high performance.

Walking and working alongside our partners, you will strengthen, develop, and manage relationships with a varied portfolio of local partner organisations, churches, and local stakeholders to deliver high-impact programmes to benefit communities in need of assistance - helping them to realise their God-given potential.  Sharing their compassion for Christ, you will work strategically with Partners to support their proposal development and delivery of high-impact, locally-owned projects.  You will be responsible for grant management, ensuring organisational governance and controls provide accountability both locally and internationally, including safeguarding practise.

We are looking for someone to join us in strengthening relationships with our broad base of local Christian partner organisations carrying out Gospel inspired work in the region.  Who can bring experience of managing, monitoring and evaluation of locally-owned programmes, to support the development of high-impact projects.  Has an understanding and awareness of the context, dynamics, and challenges of working in the Middle East. Alongside the skills and ability to identify compelling messages from partnership communications to gain support, through prayer, donations and support for our advocacy work. 

Suitable candidates will be:

• Educated to degree level equivalent.
• Highly collaborative, team player prepared to contribute to the overall success of the organisation.
• Inspired by the witness of Christians in the Middle East and passionate about changing the lives of people living in grinding poverty, injustice, disability, trauma and displacement caused by conflict, and other challenges.
• Willing to carry out overseas travel to the region 3-4 times a year.
• Have a sympathy with Embrace’s Christian inspired values, vision and ready with compassion and commitment to serve and work to support Embrace’s Christian mission.
• Advanced or intermediate Arabic would be advantageous.
• Because of the essential Christian context of the role, it is subject to an occupational requirement under the Equality Act that the post-holder be a practising Christian.

The Catalyst Collective is an innovative and rapidly growing non-profit organisation. Since our pilot programme launched in January 2021, we have expanded significantly. As we enter our fourth year of operation, we are seeking an organised and proactive Programme Manager to play a pivotal role in driving our growth and ensuring the successful delivery of our mentoring programmes.

The Programme Manager will work closely with the Programme Director to lead and manage key components of our mentoring programme. This includes building strong relationships with mentors, mentees, and partner schools, as well as coordinating training, enrichment activities, and programme delivery. The ideal candidate will have excellent organisational skills, a passion for empowering young Black women, and the ability to foster a supportive and inclusive environment.

Key Responsibilities: 

Mentee Recruitment and Induction

• Work closely with partner schools to finalise mentee cohorts.
• Visit schools to deliver induction sessions familiarising mentees with the programme.
• Lead mentor-matching sessions with support from Mentoring Coordinators.

Mentor Training and Onboarding

• Develop and deliver training sessions for mentors.
• Collaborate with the Recruitment Coordinator to ensure a diverse mentor pool.
• Support mentors to maximise the impact of their relationships.

Mentor Coordination

• Support a cohort of up to 30 mentoring pairs.
• Conduct monthly check-ins with each mentor.
• Facilitate mid and end-of-year reviews for mentoring pairs.

Enrichment Delivery and Planning

• Plan and deliver enrichment activities like career trips and work experience days.
• Evaluate the impact of enrichment activities and gather feedback.
• Collaborate with partners and vendors for enrichment events.

School Liaison

• Serve as the primary contact for partner schools.
• Regularly update schools on programme developments and mentee progress.

Safeguarding

• Act as a point of contact for safeguarding matters.
• Maintain accurate safeguarding records and ensure confidentiality.

Communications

• Produce a monthly mentor newsletter.
• Contribute to social media content.

Reporting

• Support the Programme Director in preparing updates for the Advisory Board and funders.
• Produce the End-of-year report showcasing the programme’s achievements.

Administration

• Review and approve in-person mentoring meeting requests.
• Conduct risk assessments.

Staff Management

• Line manage Mentoring Coordinators and the Programme Assistant.
• Provide task management to other team members as required.

Person Specification:

Essential Experience and Skills

• Proven experience in programme management, education, charity work, or volunteering.
• Strong interpersonal skills with the ability to build relationships with diverse stakeholders, including young people, schools, and professionals.
• Excellent communication skills, both written and verbal, with the ability to present to groups.
• Strong organisational skills with the ability to multitask and manage competing priorities.
• Proficiency in IT tools and platforms, including Google Workspace, Zoom, and project management software.

Essential Knowledge

• Understanding of mentoring or coaching practices, especially for young people.
• Knowledge of safeguarding practices and procedures.
• Awareness of issues facing young Black women in education and employment.

Essential Personal Attributes

• Passionate about tackling educational and employment disadvantage.
• Organised, proactive, and able to work independently.
• Effective time management skills.

Other Requirements

• A clean enhanced DBS check (The Catalyst will carry this out).
