I. Position Summary:
The Programmes Coordinator provides extensive support to the Chief Programmes Officer (CPO) and the wider Programmes Department. Key responsibilities include providing support to the CPO with scheduling, travel, expense reports, as well as administering critical aspects of Malala Fund’s Programmes Department, project managing special initiatives, facilitating departmental coordination (including meeting management), providing logistical support for physical and virtual meetings with grantees and programme participants and corresponding with internal and external parties.
Excellent communication skills, time and priority management, strong attention to detail and discretion are essential for this role.
II. Responsibilities:
Executive Support

Plans and coordinates diary scheduling for the Chief Programmes Officer (CPO).

Compiles and helps prepare pre-read documents, interview briefs and trip information to ensure the CPO is well prepared for all meetings and events.

Manages critical deadlines and special projects for the CPO to ensure smooth implementation.

Supports other members of the department’s Senior Leadership Team with logistical support for special projects.

Provides logistical support for travel, including booking air travel, hotels, visas and preparing expense reports.

Performs other administrative functions as necessary to best facilitate the CPO’s ability to effectively lead the Programmes Department and support Malala Fund’s Executive Leadership Team.
Departmental Administration and Coordination

Manages the Programmes team’s meeting schedule and agenda, takes notes, tracks departmental decisions and action items and prioritises conflicting needs to follow projects through to successful completion. Works cross-departmentally to ensure coordination across projects.

Builds, maintains and manages excellent relationships with all members of the Programmes and Executive Leadership Team, grantees and other stakeholders.

Leads on logistics for group events and supports the Programmes Team in trip scheduling and event logistics, including booking travel and securing visas.

Coordinate and administer all departmental contracts, invoices, translations and consultant recruitment.

Ensures key Programmes contacts are captured and recorded in a Salesforce database.

Compiles Programmes data as written summaries for internal and external stakeholders.

Helps facilitate onboarding of new Programmes Team staff members.

ABOUT THE ROLE
Amnesty Tech is looking for a part-time assistant starting immediately on a consultancy basis until the end of 2021. The post-holder will be remotely based.
JOB PURPOSE
Ensure that resources are used and accounted for effectively, Programme activities are well planned and reported on, and communication and cross Programme work is effective. Coordinate the planning, reporting and budgeting for Amnesty Tech. Provide administrative and program support to Amnesty tech and its Director and Deputy Directors, and implement and coordinate the Programme's administrative and communications systems to contribute to the smooth running of the Programme.
MAIN RESPONSIBILITIES
- Assist in the development and operation of Amnesty Tech, including by: arranging meetings; supporting project management; preparation and support of missions, including supporting security preparation, booking flights and accommodations as needed, and preparing expense claims; and other tasks as needed.
- Train and support new staff on various admin processes to ensure that all staff complete administrative responsibilities in a timely and accurate fashion.
- Maintain a detailed understanding of IS financial procedures; deal with expense reports and process payments and invoices; assist with the preparation of project budgets and forecasts; monitor restricted funds; obtain and review regular reports on expenditure and other agreed management information from the Finance Programme.
- Assist in drafting narrative donor reports for restricted funding grants and developing an information management system or systems for tracking funding proposals and reporting requirements.
- Prepare draft contracts for consultancies, track deadlines for consultants' outputs, liaise with consultants as required to ensure that external partners are clear on their terms of work, and coordinate the work of consultants and volunteers. Liaise with the Procurement team and the Accounts Payable team to make sure that crisis consultants have signed contracts and their payments are processed on time.
- Organise and coordinate travel for the Amnesty Tech Director and Deputy Directors and provide support to the Amnesty Tech colleagues for travel for urgent deployments or when on mission, and Programme Organise and coordinate internal and external meetings and associated logistics, (including for example agenda and document distribution, booking rooms, minute taking) to ensure that meetings run smoothly.
- Coordinate and support Amnesty Tech planning, reporting and reviews so that records are maintained and senior team members can report accurately on the performance of the Programme.
- Propose, organise and maintain filing and administrative systems for Amnesty Tech, maintain and update the Amnesty Tech project sites. Establish and maintain accurate record keeping, retrieval systems and other administrative processes to support the efficient operation of the Programme. Support the use of new systems such as SharePoint, OneDrive etc.
SKILLS AND EXPERIENCE
- Ability to communicate clearly, concisely and diplomatically in English, other languages such as French and Arabic are an asset

For Baby’s Sake Programme Officer
This post is recruiting to the established London Three Boroughs team and will be based at Queen’s Park Children Centre, but will be home-based during COVID-19 restrictions This role is responsible for the establishment, development and maintenance of the team’s administration and case management systems and the collection, collation and input of data for the For Baby’s Sake London and CONNECT teams.

For Baby’s Sake is an innovative, therapeutic, trauma-informed programme working with all family members supporting a recovery framework to overcome the devastating effects of domestic abuse, acknowledge and explore unresolved and often complex childhood trauma and change harmful patterns of behaviour to develop a home environment where children can flourish.
There must be a current pregnancy to harness change motivations, a desire on behalf of both parents to co-parent their unborn baby, although they do not have to be in a relationship, and we work with the families until the baby reaches the age of two.
The programme is delivered through area-based teams, including one covering the three London boroughs of Westminster, Kensington & Chelsea and Hammersmith & Fulham. This year a new For Baby’s Sake CONNECT team will work remotely serving families in various locations.

Unlocked Graduates is an award-winning charity which exists to break cycles of reoffending by developing outstanding individuals to lead rehabilitation in prisons and throughout society.
At the core of our mission is a leadership development programme that brings top graduates into prisons to work as frontline prison officers for two years. This programme includes mentoring, work placements in partner organisations and a fully funded master’s degree. All of which they take part in while taking on the full duties of a frontline prison officer.
The project grew out of a recommendation in the Coates’ Review of prison education. Programme participants are selected through a rigorous and competitive recruitment process which is raising the profile of the prison officer role. Last year the scheme was ranked 36th in the Times Top 100 Graduate Employers list.
We were initially incubated by Catch22, a charity and social business. As of November 2020, we are now an independent registered charity and have ambitious targets for the next 12 months. The role

Sightsavers is excited to be recruiting a Programme Officer to manage the daily activities and execution of Sightsavers Senegal Country Office health programmes in collaboration with eye health project partners.
As the Programme Officer you will support partners and stakeholders by managing all aspects of the project cycle, including planning, implementation and monitoring & evaluation. You will work with partners to ensure that all documentation and reports are made available in a timely and accessible way and identify needs to technical support.
You will work to achieve the organisation’s strategic priorities of the prevention of avoidable blindness through both service delivery and advocacy work, assist partners in the preparation of budgets, monitor expenditure of project financial resources, lead in certain programmatic areas within the Country programme team, and ensure that the fund-raising and communication department in the UK receive appropriate materials and information as required especially if restricted funding that supports projects may have special reporting requirements.
As the successful candidate you will have a degree (or equivalent) in Medicine, Development Studies, Public Health, eye health, or other relevant field and possess extensive experience of implementing programmes in developing country contexts, including experience of the health / eye health sector, ideally within an NGO. You will have a background in all aspects of project management within community development programmes, have previously worked with national governments and international institutions, and hold experience of designing/managing eye health or health systems strengthening programmes at district, national or international levels.

The team of Programme Officers – International (POIs) liaise with and provide administrative support and guidance to British embassies and high commissions (referred to as ‘Posts’) on various aspects of the Chevening scheme. POIs are the designated Secretariat contact point for a portfolio of Posts within a specific region or regions, typically covering 15-30 countries. POIs build, maintain and improve relationships with Posts, developing knowledge and understanding of the local context, which in turn delivers high quality support to overseas Posts.
POIs agree annual programme, marketing and alumni plans with each Post, support marketing of the scheme, and monitor and respond to enquiries from potential applicants. They play a role in the annual scholarship selection process, including reading committees and lead on the administration of sifting and long-listing of applications in the UK. POIs work closely with Posts to guide them through short-listing, interview and budgeting stages, and support with local partnership development and alumni engagement in collaboration with the relevant areas of the Secretariat.

The Role
As Programme Support Officer, you will work closely to support the Head of Programme Support to ensure internal capacities, competencies and resources are in place for the effective delivery of Sanctuary’s expanding global portfolio.

About the Trust
The Sigrid Rausing Trust is a grant-making foundation based in London. Founded in 1995, its purpose is to promote the values and principles of human rights, equality and the rule of law, and to preserve nature from further degradation.
In pursuit of these goals, the Trust has given away approximately £397 million to organisations all over the world. Its current annual budget is approximately £47 million. The Trust is led by nine Trustees and currently employs 25 staff.
Purpose of the role
To advise the Trustees of the Sigrid Rausing Trust on their human rights grantmaking. One of the Programme Officer will support the Trust’s Defending Civic Space programme, and the other the Trust’s newly revised programme on Strengthening the Human Rights Field. Each of these programmes currently has a grant-making budget of approximately £6 million per year.
The Defending Civic Space programme seeks to advance the freedoms of association, assembly and expression, with a particular focus on environments where public engagement in civic life is limited by state and non-state actors in its focus regions. Some of our grantees undertake advocacy and litigation, whilst others provide training, protection and support for human rights defenders and journalists at risk.
In the Strengthening the Human Rights Field programme the Trust supports groups playing a foundational or potentially foundational role in the human rights field in our focus regions. We are particularly interested in organisations that collaborate widely, take innovative approaches to human rights work, and bring renewal to the field. We also support a number of regional and global groups that aim to build the capacity, technical expertise and sustainability of national organisations.
The Programme Officers may also support one of our other human rights programmes, depending on organisational needs and individual experience.
Relationships and reporting lines
Each Programme Officer will report to a Programme Manager for human rights, and will work closely with other members of the programmes team, as well as the Executive and Deputy Executive Directors on matters of strategy. Additional key relationships include interaction with Trustees, as well as collaboration with the Trust’s other programme officers and operations staff.

Main duties and responsibilities
The post holder will be expected to manage all stages of the grant making process, from invitation to application, award and reporting.
Programme Officer Duties:
• Making a contribution to the strategic direction of the programme;
• Liaising with staff and Trustees on the overall approach to the portfolios they work on;
• Identifying potential grant applicants by researching organisations in fields of interest to the Trust, networking and attending relevant events;
• Providing expertise on the issues covered in the programmes they work on;
• Reviewing submitted applications, interviewing potential grantees, undertaking due diligence and preparing analytical reports and recommendations to the Trustees;
• Reviewing reports submitted by grantees, evaluating and reporting on the impact of grants and signing off on grant payments;

QUALIFICATIONS AND EXPERIENCE:
Education:

Job Specifics
1. Strategy, Planning and Financial Management:
- Deliver the ‘Muslim Hand’s Programme Strategy 2020-2022’ by supporting international offices to ensure the delivery of programmes is in line with the organisation’s strategic aims.
- Plan and review the progress of programme strategy and financial management at regular intervals (monthly, quarterly and annually).
- Ensure all international offices are working in-line with the programme strategy to achieve the organisations agreed long-term goals.
- Support international offices to develop and implement the programme annual budget to ensure it is in line with the organisation’s financial procedures to deliver projects.
- To support international offices financial transactions to and by MH partners in accordance with MOU and programme funding agreement.

2. Support to Senior Management:
- Support international country office senior management in producing programme strategic plans, budgets and new policies for the future of Muslim Hands.
- Support International Offices in presenting programmatic feedback and financial reports to CEO, Senior Management and Board of Trustees on a monthly, quarterly and annual basis.
- Advise international country office senior management on the future projects and the viability of obtaining funds to support project initiatives.

3. Programme Management:
- Provide direction to the international country offices programmes team with guidance and support to ensure the effectiveness and positive impact of the programmes implemented, including resources, feedback and additional training when required.

- Review and assist the development of partner organizations by providing training, resources and feedback.

4. Humanitarian Response:
- Assist international offices in Developing and implementing a strategy to deliver rapid emergency responses during any disasters and human crisis.

5. Programme Monitoring, Evaluation and Learning (MEAL):
- Assist in developing a regular process of monitoring and data collection of all Muslim Hand programmes.
- Ensure effective regular monitoring of international programs to evaluate the impact and direction of the programmes.
- Ensure after adequate assessment made by MEAL recommendations are implemented to improve delivery of programs.
- Share recommendations based upon MEAL with all Muslim Hands donors and stakeholders.
6. Staff Management:
- Ensure International office’s Programme staff are trained and follow all policies and procedures.
- Undertake any reasonable responsibilities as required by line manager and adhere to all Muslim Hands Policy.
