Main responsibilities
As a Programme Executive, you will be integral to the running of the Yes Futures programmes and a vital link between the Yes Futures head office and our schools.
The role of the Programme Executive is to oversee and manage the programmes within a region of schools, which usually includes a mixture of primary and secondary schools. You will be joining an already strong and supportive team of four Programme Executives working across our four regions (the South East quarter of the UK).
Programme delivery
- Responsible for the care and wellbeing of all students in your schools on the programme;
- Communicating with parents where necessary during the programme, by letter, email and telephone;
- Planning and delivering whole-group workshops for students;
- Planning and delivering information and celebration events for students and parents;
- Delivering coaching sessions to students where required;
- Developing business and charity partnerships for day trips;
- Planning and delivering the day trips included in the programme;
- Supporting the planning and delivery of the Into the Wild residentials;
- Implementing discipline procedures, including reporting serious discipline issues to Head of Programmes;
- Implementing all necessary Health and Safety and Child Protection procedures, including recording and reporting any incidents to the Head of Programmes;
- Ongoing communication with the school and Yes Futures head office regarding student engagement and progress.
Organisation and administration
- School onboarding, including ensuring that dates are planned, students are recruited and parental agreements are returned;
- Planning and organising the logistical elements of the programme (timetables, activities, sessions plans etc) through liaising with Yes Futures head office, school staff, businesses, charitable organisations and the rest of the Coaching team;
- Creation of Risk Assessments, parent letters and programme-related documents for schools;
- Sourcing materials needed for programme sessions, including lunches for trips;
- Assisting with finance and petty cash where required.
Management of volunteer Yes Futures Coaches
- Managing and developing the skills of your Coaching teams (approximately 2-4 adults per cohort);
- Ongoing communication with your Coaching teams, to foster their enthusiasm and commitment;
- Supporting Coach recruitment for future programmes;
- Supporting the planning and delivery of training for Coaches;
- Maintaining accurate and secure records of Coaches’ personal information, absences, sickness and other relevant information.
Evaluation and reporting
- Facilitating the pre-, mid- and end of programme evaluations;
- Oversight and input of key student monitoring data and impact data;
- Debriefing and ongoing feedback collection from schools and Coaches;
- Ensure all work is carried out in an effective and timely manner to support continued high standards of the Yes Futures programmes.
Programme Executives will also be given the opportunity to support with other Head Office functions, including but not limited to:
- Assisting the Chief Executive with strategic planning;
- Supporting the marketing of Yes Futures to new schools and customers;
- Developing our fundraising strategy through bid writing and other fundraising tasks;
- Establishing relationships with key partner organisations;
- Strengthening our programme design and theory of change;
- Planning our future Ambassador offer and other pilot programmes;
- General programme-related tasks.
In addition, as part of our focus on employee development, you will be able to dedicate time to individual personal development opportunities and gain further professional growth through leading working groups in strategic areas in which you are interested.

Partners will work collaboratively with each other and with a team at the Health Foundation to deliver data-driven insights on shared problems facing the health and care system. The Senior Data Manager will work collaboratively with colleagues to support an ambitious programme of data analytics, data curation and standardization, and data linkage.

Our 10-year strategy articulates an ambition to grow our funding, with a significant increase in funding from statutory and institutional donors (including research funders), as well as from trusts and foundations, corporates and major donors.
The postholder will take responsibility for supporting high quality project development and management of KGHP grants. This includes supporting proposal development for new grants and reporting to donors on existing grants; leading the diversification of our portfolio of donors by developing donor engagement strategies; identifying new funding opportunities; liaising with colleagues across the partnerships and with the KCL Fundraising team; encouraging learning among colleagues to ensure that we capitalise on funding opportunities. Your role
The Programme Finance Advisor is the primary focal point for Country Offices for issues related to accountancy, finance, and grant management. You ensure internal policies and regulations are well understood and applied in Country offices. Through your support, capacity of Country finance teams is strengthened. You ensure the timely and appropriate reporting of in country trends, financial and grants, to your counterparts in Programmes and for monthly reporting.
Your responsibilities
• Review and validate the monthly financial reporting package from country offices, (balance sheet reconciliations, cost allocation to Restricted and Unrestricted grants, intercompany transactions, FX Revaluation, completeness of the submission), provide feedback on necessary corrections and ensure these are actioned by the country finance team.
• Verify accuracy and correctness of country monthly cash requests, collect the required validation to allow London finance team and Head of Finance to process the payment.
• Review the monthly BVA from the country teams, together with the Programme team in London, looking at variances, burn rate, and project cash flow, identifying and advising the Country team on actions to be taken.
• Analyse and consolidate country finances and grant management each month, and present to the SMT, highlighting delays, risks and advise on appropriate action to be taken.
• Inform the Programme and Funding teams and the Finance Manager and Country Director on donor financial requirements at any stage of grant management, from proposal to final reporting.
• Revise grant financial reports, sign off intermediate reports and submit the final financial report to the Programme Finance Manager for sign off.
• Review budgets for new proposals, ensuring appropriateness of cost recovery, coherence with log frame, respect of specific donor requirement and WCUK internal parameters for Budgeting. Provide necessary feedback and request corrections to the Country Team, ensuring they are properly addressed. Prepare the Budget summary including potential risks, to the Programme Finance Manager for action and sign off.
• Collaborate with country directors and country finance mangers on the development of the annual country budget, and ensure guidelines and priorities set by SMT are addressed. Ensure the coherency, the accuracy and correctness of the Annual budget calculation, prepare the summary and highlights for the Programme Finance Manager’s final revision before consolidation.
• Induct new country finance team members, and provide day to day coaching, technical support and trouble shooting in the use of the WCUK financial system, tools, procedure and policies.
• Ensure that country teams adhere to organisational financial policies & procedures by sharing best practice, raising breaches of policy with senior colleagues when appropriate, and highlighting needs for improvement.

Your new role
The purpose of this role is to provide programme support to the 2020 programme in Corporate Learning, providing workstream and project leaders with day-to-day administrative and operational support in order to achieve project success in line with defined objectives and timescales.
- Providing administrative support to the workstream and project leaders on a day-to-day basis, ensuring that activities between and within workstreams / projects are coordinated effectively and that projects adopt common templates and project management standards
- Maintaining project plans and the overall programme plan so that progress is tracked and implications of any deviation from plan can be identified
- Maintaining RAID log for the programme and ensuring risks and issues are escalated appropriately
- Coordinating project and workstream reporting, both to the Leadership Team within Corporate Learning and the overall 2020 change programme
- Maintaining a library of programme information, so that key workstream and project documents are easily accessible and kept up to date
- Keeping all members of the team up to date with relevant project information
- Scheduling and organising meetings/events, setting up agendas and maintaining action logs
- Creating presentations, summaries and support materials to ensure understanding of programme activities and progress both within the programme team and in the wider cluster
What you'll need to succeed
- Proven ability in programme coordination, particularly in coordinating cross-functional programmes and virtual teams
- Working knowledge of project management processes and approaches
- Excellent organizational and time management skills

- Able quickly to establish effective working relationships with colleagues at different levels in the organisation, including those based in different countries
- Strong verbal and written communication skills
- Experienced in using MS Project to create and monitor programme plans, and in using SharePoint and MS Teams as collaboration tools

- Experience working in a complex, "matrix" environment

Working together with regional Service Delivery Managers, the post holder will have responsibility to ensure that through training and support, volunteers can deliver Whizz-Kidz events and services, making them more sustainable in the future. Recruitment, induction and support for volunteers will be a key aspect of the role, alongside developing appropriate training together with regional colleagues. Regional colleagues will conduct the majority of volunteer interviews and training in their regions.
To be successful, you will be educated to degree level or possess a relevant qualification or have appropriate experience in a directly related post. The ability to multi-task, work calmly under pressure and meet tight deadlines is also essential as is experience of coordinating volunteers in a variety of settings.

This position is a key role within the team in supporting the programme manager and the programme board, in collaboration with the project managers and other team members, to implement and maintain governance of projects within the programme.
