Job description

We are looking for a flexible and organised person to lead on the management of Zero Carbon Guildford’s premises, events and systems. We want someone who is comfortable working with staff and volunteers, a good communicator and an excellent systems and facilities manager. This is a hands-on and varied role, ideal for someone who wants to help our charity bring its values of collaboration, inclusivity, accessibility, and sustainability to life in our culture and everyday practices. 

Zero Carbon Guildford is a Surrey-based charity tackling environmental challenges with practical, local solutions that make a real difference. From supporting energy efficiency in homes to monitoring water quality and reducing food waste, we’re helping to make Guildford and Surrey greener, healthier, and fairer places to live.

Since the charity was established in 2020, Zero Carbon Guildford has had three different premises, creating a physical community hub adapted to each space. It is likely that we will move again in the coming months/years and the person in this role will be critical to supporting how and when the charity moves, and how we adapt to the opportunities provided by new spaces.

This role is funded as part of a grant to Zero Carbon Guildford from the National Lottery Community Fund.

About the Role

  • Contract: permanent.

  • Hours: 28 hours per week, core hours Tues-Fri 10-4, with some evening and weekend work required.

  • Salary: £25,242.40 per year (pro rata, equivalent to £31,553 FTE)

  • Location: ZERO, Riverside Business Centre, Walnut Tree Close, Guildford, GU1 4UG, primarily on-site during core hours, flexibility to work from home at other times. Potential for location to change during the course of the contract (very likely within central Guildford).

  • Start date: as soon as possible

Job description

The Operations Coordinator is one of four core staff team members at Zero Carbon Guildford (ZCG), and leads on facilities and event management, organisational processes, and reporting. In the event of a premises move, they will also lead the charity through the physical move. This is a critical role to the smooth running of the charity, helping create and communicate systems that staff and volunteers use to deliver our objectives more efficiently and effectively.

Responsibilities

Building and facilities management:

  • Maintaining the effective operation and presentation of the charity’s premises in support of our goals. This includes ensuring building compliance, upkeep and maintenance, and ensuring volunteers have appropriate training and guidance to use the space. 

  • In the event of moving premises, manage both contractual arrangements and the physical moving process.

Support ZCG’s strategy to establish a more permanent physical space, by engaging with new developments in Guildford and council officers.

Events management:

  • Manage events and room booking system, track sign up numbers, and ensure events are managed well by staff and volunteers.

  • Support volunteers and staff to curate events programme, and ensure online events listings are effective, good quality and up to date. 

KPI tracking and reporting against strategy and grant requirements:

  • Maintaining an efficient KPI tracking and reporting system, including for ZCG’s own environmental KPIs, working with relevant staff and volunteers to keep records up to date. 

  • Pulling together reports against KPIs for grants, annual reports and monthly Trustee / Ops updates. 

Supporting tracking of grant spending and funding pots available for operations.

IT / technical support and system administration (emails, Google Drives, Slack, volunteer management, CRM and other systems needed for projects).

Sit on the Operations Panel and contribute to activities (group of staff, volunteers and Trustees with responsibility for day-to-day operations). 

Any other responsibilities as agreed with ZCG staff team and Trustees. 

Person specification

  • Well-organised person comfortable with data and able to lead process / project / operations management to support Zero Carbon Guildford’s goals and values.

  • Motivation and passion to support the goals, values and activities of the charity through carrying out this role, acting as part of a close working team of staff and volunteers.

  • Good communication skills, both verbal and written.

  • Experience of or compatible skills for buildings/facilities management (eg some or all of maintenance, risk management, health and safety, working with contractors, DIY skills).

  • Good aptitude for IT systems and ability to administer key systems (Google Drive, Slack, CRM systems, Wix or similar).

  • Adaptability to changing circumstances (eg changing funding landscape, changing needs for the role, moving premises). 

  • Experience working effectively with teams of volunteers and/or staff.

  • Ability to monitor and report on KPIs both internally and externally (eg to charity Trustees or to funders).

  • Commitment to Zero Carbon Guildford’s objectives and values.
