Job Title: Homeownership Assistant
Salary: up to £15,070; depending on experience (up to £25,116 FTE)
Hours: Part Time (21 hours to be worked over 3 days between 9-5)
Location: Remote working with attendance at the Little Canfield or Hampton Wick office as required

About the role
The Homeownership Assistant will provide essential administrative and operational support to the Homeownership team, helping to ensure efficient and effective service delivery to leaseholders, shared owners, and freeholders.
The postholder will be responsible for managing key processes and correspondence related to leasehold, shared ownership and freehold management, as well as income collection, and customer engagement. This role is pivotal in helping Hastoe meet its commitments to residents and maintain positive relationships.
Duties will include:
- Provide comprehensive administrative support for homeownership services, including managing documentation, coordinating with stakeholders, maintaining accurate records, handling customer queries, and assisting in policy development.
- Handle service charge-related queries and collaborate with finance teams to prepare accurate service charge estimates and actuals.
- Manage the recovery of rent, service charges, and arrears from leaseholders and shared owners, including setting up payment plans, handling legal action when necessary, and providing regular debt reporting.
- Support legal and complex homeownership matters by processing legal notices, assisting with consultations and disputes, maintaining accurate records, and staying informed on relevant housing legislation.
- Deliver high-quality customer service by effectively handling queries, attending resident meetings, and collaborating with internal teams to ensure a smooth and responsive experience for homeowners.
- Support with Section 20 consultations for major works, ensuring adherence to legal frameworks.

About you
You will need to have proven experience in housing management administration, particularly in working with leaseholders and shared ownership leases. The role requires excellent written and verbal communication skills, a strong commitment to delivering high standards, and the ability to stay well organised, meet tight deadlines, and effectively juggle multiple tasks at once.
You will also need:
- A minimum of GCSEs (or equivalent) in English and Mathematics.
- Problem-solving skills and a proactive approach to resolving issues.
- The ability to work independently and as part of a team.
- To be flexible and adaptable to change, with a willingness to learn and develop in the role.
- Where this isn’t already held, to be willing to study for a professional qualification in housing, property management, or a related field (e.g., CIH membership).

Key Responsibilities
- Manage a caseload of specific, residuary, and reversionary legacies across the UK.
- Ensure Marie Curie receives its full legal entitlement, in line with Wills and settlements.
- Handle correspondence efficiently, updating records on our FirstClass 4 database and meeting internal service standards.
- Act as the lead charity where appropriate and liaise with co-beneficiaries.
- Monitor and progress open cases to ensure timely completion.

OPERATIONS MANAGER - ROLE RESPONSIBILITIES
The Operations Manager is a key support for the church’s leadership and heads the staff team providing management over key operational and missional areas of the church’s activities.
This leadership role supports the ethos and ministries of the church and its mission to be a church for the community - discovering Jesus, sharing God’s love, and caring for those in need.
A vital aim for our church’s work in the local community is that our staff relationships, our Venue ministry, our Christian hospitality and how we use and share our building should all reflect God’s character - showing compassion, generosity, and kindness.
The role has a lot of different components, so we’re looking for someone who sees all aspects of this job as an expression of the church’s mission to proclaim the Good News and will facilitate and serve the congregation, the staff and the volunteer teams as they creatively explore ways to express our Christian ethos through the life and ministries of the church. This therefore requires that they are someone who has a mature Christian faith.
They will need to be a “servant“ leader who is mentally agile, energetic, able to schedule and prioritise, a good delegator, a team player, a quick learner and capable of taking initiatives, with a healthy understanding of self-care - we’re not looking for a “hero”, but someone who can work sustainability.
Leadership:
- Work closely with the church leadership team to support the trustees, staff and congregation in the development of church vision, ethos, mission and ministries.

Building Management:

- Coordinate with the Estate Manager to develop long-term maintenance plans for the common parts areas of the building.
- Provide the Trustees with regular building management reports.
Compliance and Legal Administration:
Provide effective management, administration, organisation, and compliance with UK laws, for:
- The maintenance of a safe and healthy working environment.
- Safeguarding, equality and inclusion.
- HR matters including safe recruitment, induction, training and employee development.
- GDPR
- Matters relating to Westbourne Grove CIO charity’s Trust Deeds, Constitution and Church Rules, and leasehold responsibilities.
- Requirements as a registered charity (CIO) including timely submission of reports to the Charity Commission.
- Develop and implement policies, risk assessments and safe working procedures and keep them regularly updated and reviewed. Ensure policies and safe working practices are adhered to.
- Provide adequate information, training and supervision to ensure employees and volunteers are competent to do their work.
- Lead in communications with the freeholder, the management company, the estate manager, and church tenants. Oversee any necessary legal input for decision-making and work closely with the WGC Trustees, and external organisations on decisions relating to the common parts of the building.
- Keep administrative records. Provide reports for the Trustees.
Administrative Services and Support:
- Provide administrative support for the Ministers. Develop and maintain administrative, organisational, communications systems and record keeping procedures for the church’s general administration. Maintain membership and constitutional records.
- Administrate the church's IT infrastructure, broadband, phone systems, and utilities accounts and ensure they meet the operational needs of the building and its ministries.
- Assist the Venue Manager to develop and maintain suitable and effective systems, strategy, pricing, communications, contract management, staffing and customer relations.
- Develop the church’s visibility and profile in the community using the church’s website, social media, ArtSpace, and missional displays and exhibitions, ensuring these align with the church’s ethos and mission.
Financial Oversight:
- Oversee provision of financial management information to Leadership team and Trustees, including budgeting, salaries, financial reports, end-of-year statements. Support them in developing financial strategies and policies.
- Oversee the accurate functioning of church financial systems, controls and procedures. Monitor and administrate reserves and investments.
- Ensure WGC's financial practices comply with UK charity regulations. Assist with the filing of the accounts and annual report to the Charity Commission.
Provide financial oversight, management, and support for:
- Venue ministry finances, pricing and strategy
- Finance Administration - ensure all financial records, payroll, pension administration, invoices, and reports are accurate and timely. Authorise payments.
- Manage the buildings budget including liaising with the Estate Manager regarding common parts expenditure.
- Financial interactions with lease and licence holders including new leases, rent reviews, break clauses and lease renewals, insurance contributions.

Staff work closely with Slough Community Mental Health Team (SCMHT) we also have a designated Occupational Therapist working along side supporting staff. Customers also attend Hope College which is facilitated via Slough Mental Health Team as part of their recovery process needed in preparation into independent living.
This is a great opportunity for any support worker to gain exceptional experience within the mental health field, based on the solid working relationship with (SCMHT) We have since implemented training directly from SCMHT to support staff with understanding Mental Health diagnosis and Managing Crisis with our customers in-house.
What you'll do:
- Undertake key-working responsibilities for a caseload assigned by the Team Leader/ Manager
- Undertake initial and continuous assessment of needs and potential risks and agree levels of support and actions
- Create support/action plans for providing appropriate services based on the assessment and reflecting the services and resources available
- Support customers to undertake all domestic tasks wherever possible, including practical assistance where they have not yet developed the skills, to ensure customers enjoy a high quality of accommodation
- Develop and maintain links with all key agencies and service providers in the local community
- Empower customers to ensure they receive the service and benefits they are entitled to
- Undertake all administrative work and keep accurate and comprehensive tenant/customer records to professional standards
- Encourage and enable tenants to pay their rent and to ensure that rent accounts are managed effectively in conjunction with the Housing Management team
- Ensure that referrals are chased proactively so that properties which can be used to house those in need are filled as efficiently as possible
- Adhere to Look Ahead's Policies and Procedures
- Engage in learning and development activity to increase knowledge and skills
- Undertake any other duties consistent with the grade and nature of the post as may be reasonably assigned

provides 24 hour supported accommodation housing up to 34 young people aged 16-25 who have multiple and complex needs, including many who are unaccompanied asylum-seeking young people. We adopt a trauma informed and psychologically informed approach to supporting our residents to help them build essential life skills, identify their goals and work towards aspirations so that they can move on to enjoy fully independent futures. We have a dedicated team of Support Workers, Night Workers and additional Bank Workers who provide support, guidance, and signposting around areas such as housing, budgeting, living skills, jobs and relationship building. Situated in the centre of Guildford, the service has strong links with and contributes to the local community.
We are looking for a Housing Night Worker to join our Guildford Foyer team. Main areas of responsibilities are:
Safety and security
- Provide a friendly and professional front-of-house welcome to residents, visitors and staff, and ensure the building is safe, secure quiet and welcoming
- Maximise the wellbeing of residents and visitors by ensuring adherence to health and safety protocols and house rules, all within the terms of tenancy agreements
- Assess and monitor the risks presented by residents to ensure they can keep themselves safe and, where possible, continue their development
- Record all incidents and accidents and share appropriately with the wider team, your manager and, if necessary, the central safeguarding team
Engagement with residents
- Welcome residents home and provide informal and responsive support so they can articulate their aspirations and ambitions and acquire the skills they need to live independent and fulfilling lives
- Ensure resident’s views, aspirations, concerns, and ideas are sought so they can play an active role in influencing the services they receive
- Proactively promote the services on offer and ensure residents are encouraged to engage with those services
- Contribute to, or support, evening groupwork activities so that residents can access tailored solutions that meet their needs, wishes and aspirations
Administration and housekeeping
- Undertake tasks as directed, including but not limited to: inputting data, assessments, reviews, case notes onto our client database and entering new residents details/closing ex-resident records
- Completing health and safety/compliance checks, and recording estate inspectors and room checks
- Adding maintenance requests to our property services system
General
- Work as part of a team, on a rota four on four off shift pattern, alongside another Housing Night Worker, ensuring young people at the service have non-judgemental, objective at night, along with taking responsibility for personal safety during periods of lone working
- Contribute to a great working environment, with a calm, yet assertive manner, being able to handle potentially difficult situations
- Participate in relevant continuing professional development and utilise Reflective Practice Supervision as part of leading psychologically informed practice

Experience and knowledge
- Experience of working in a customer facing environment, remaining calm and solution-focused when dealing with challenging behaviour
- Basic understanding of the support needs of young people and/or adults at risks
- Understanding of the impact of trauma on others, and the ability to work with a strengths-based approach with people who may be in distress
- Demonstrated confidence and competence in recording notes/actions in service log, incident forms and Health and Safety check lists
- Basic knowledge of good safeguarding procedures in relation to young people and/or vulnerable adults, and the ability to maintain professional boundaries (training provided)
Skills and abilities
- Ability to communicate clearly both verbally and in writing for appropriate record keeping (vital for handover to colleagues working day shifts)
- Good interpersonal skills and ability to build and maintain strong relationships
- Ability to work lone work, work autonomously, and use own initiative, as well as being part of a team
- IT skills, including proficiency in MS Office 365 package, as well as healthy and safety and client management systems (training on YMCA DLG systems provided)
- Ability to de-escalate volatile situations and manage challenging behaviour appropriately
