About the role

As the Area Service Manager, you will be accountable for ensuring our contracts with partners and/or commissioners deliver to the highest standards, in a way that creates maximum impact.

Across Yorkshire, you will lead on the delivery of our coaching and behaviour change programmes alongside managing our expanding housing portfolio and housing support services. You will take responsibility for growing the business across Yorkshire with existing partners, other organisations and via Local Authority contracts.

As a member of the national Joint Leadership Team (JLT), you will help to shape and develop our services and products, ensuring that the EF’s growth remains rooted in our organisational values of respect, accountability, and integrity.

Our current contracts cover Leeds, Kirklees, and York, and you will be required to work across varying sites. You will directly manage a team of Service Managers and Team Leaders and be responsible for a growing staff team of over 25 individuals.

As a Support worker with The Hope Foundation, your primary responsibility will be providing ongoing support to our tenants and service users, while working with them through support plans and growth plans, towards independent living. 

The post-holder will: 

1. Provide support to tenants in line with project aims and goals, including but not limited to providing mentoring, advice, support plans, employment training, property searches, admin support and assistance with tenancy sustainability.

2. Work collaboratively with other projects of The Hope Foundation to achieve organisational goals. 

3. Oversee project volunteers, manage rotas, and provide project updates to partners. 

4. Assist with project and organisational administration. 

5. Work collaboratively with partner organisations to source additional support options, training opportunities, and tenant referrals. 

6. Be a port of call for tenants regarding property maintenance queries and issues. 

7. Provide support to clients accessing other charity services for support and advice. 

8. Treat clients with the respect they deserve and support all people without judgement or discrimination.

Duties and Responsibilities

(1) Client Support  

• Working with tenants through their individual development plans. 

• Provide encouragement, advice, and support to tenants. 

• Assist tenants with housing benefit applications, job searches and training.

• Liaise with agencies on behalf of tenants.

• Assist tenants with tenancy maintenance and basic life skills support. 

• Work with individuals seeking support through The Community Hope Project.

(2) Property Maintenance  

• Organise maintenance work within The Hope Foundation properties.

• Provide tenants with assistance in operating equipment and information regarding Health and Safety.

• Report any property or furniture damage/issues. 

(3) Administration  

• Keep tenant development plans, pen portraits, logs, and personal information up to date.

• Provide general admin support to organisation

Property & Facilities Manager

We are seeking a Property & Facilities Manager who will be responsible for managing the day to day running of the properties of Richmond Team Ministry and their facilities. The properties include three churches, their associated church halls, vicarages, Parish Office and investment properties.

We are looking for someone with property and facilities management experience including managing small building projects and related finance and budgeting.  S/he needs to be able to work collaboratively as part of a small team and have the ability to take the initiative and develop the role while supporting the ethos of the Richmond Team Ministry.

The Club Manager will lead and oversee all aspects of running the Club, including its small team of staff, volunteers, an annual turnover of about £350,000 and assets which include built property (HQ).  They will champion and drive forward the Club’s vision and goals. There will be emphasis on strong leadership to manage and support staff, volunteers and trustees; ensuring the highest standard of services to members; planning and reporting on the annual programme of Club-wide events and developing future priorities.

KEY OBJECTIVES:

• To provide strong leadership and management in relation to staff and the provision of all aspects of the Club's delivery of services and support to its members, in line with its status and responsibilities as a SCIO.
• To liaise and work closely with the SOC’s Council and committees in their work, regularly reporting to and advising Council and Management Committee.

MAIN WORK AREAS

• Work with the Office Manager to ensure compliance with all necessary measures for the maintenance and management of Waterston House and its users. 
• Ensure appropriate insurance cover for all relevant Club needs, including property, people, events and activities.
• Oversee the staff role in contributing to preparation and monitoring of our annual budget, reporting regularly to relevant committees.
• Oversee and support as appropriate all Club publications and media activities, including its website, Scottish Birds, newsletters and other communications.
• Ensure that statutory Data Protection requirements and obligations are met.
• Ensure that the Club’s IT infrastructure is adequate, robust and up to date. 
• Explore additional avenues for Club funding, make recommendations to the Club office bearers and Council.

Job Purpose - Facilities Manager - Projects 

The role holder will report directly to the Head of Estates whilst working closely with the Facilities Manager and the wider team, as well as operational colleagues.

The role holder will be responsible for the delivery of specific ad hoc estates projects, whilst also providing support to the wider Estates team in the delivery of business-as-usual activity to ensure the development of an estate that delivers outstanding outcomes for the people we support, ensuring the portfolio is managed safely, cost effectively and in accordance with statutory and regulatory requirements.

This role requires an individual with strong project management capability within an estate’s environment, with a demonstrable track record of delivery of projects on time, to Budget and to the requisite level of quality.

Reporting directly to the Head of Estates, the role holder will: 

• Lead the estates input in the expansion of the existing property footprint.
• Onboard new additions to the estate’s property portfolio efficiently and effectively.
• Work collaboratively with operational colleagues ensuring “best outcomes” are delivered for the people we support in the development and maintenance of the estate.
• Support the wider estates team in the delivery of business-as-usual activities.
• Be visible and on site to ensure the smooth running of projects and the timely resolution of issues. 

Dimensions

Whilst the role currently has no direct reports assigned, the level of project activity and the consequential resource requirements will determine any additional staffing needs. The nature of individual projects will determine this although it is anticipated that project spend will be circa £0.5m+ per annum.

Principal Accountabilities

Estates and Facilities Management 

• Responsibility: Act as the senior estates and facilities professional on project work assigned. 

• Project Plans: Ensure there is a clear and documented estates plan for each project assigned and lead the implementation of these plans to ensure best possible outcomes for the people we support. In the planning and delivery of projects, the role holder must ensure that due consideration is given to operational requirements. 

• Project Performance: Ensure a robust contract performance management framework is in place for each project. 

• Regulatory: Ensure all project work is undertaken in accordance with applicable regulatory and statutory requirements. 

• Resource Management: Manage and co-ordinate both AFG staff and external contractors in the delivery of projects. Where required mitigating actions/plans may need to be taken to ensure that projects are delivered to requirements. 

• Onboarding: With support from the Head of Estates, lead the estates input re. property acquisition (both support with the identification of appropriate property and subsequent due diligence). 

• Expansion: With support from the Head of Estates, lead the estates input re. the expansion of existing estates footprint. 

• Business Cases: Prepare business cases, feasibility studies for consideration by the Head of Estates and onwards by the Executive/Director team. 

• Business as Usual Estates Activity: The role holder will be required to work alongside the Estates Manager and the wider estates team in the delivery of business-as-usual estates activity (including site visits, contract monitoring meetings, supervision of reactive repairs etc.), where project requirements mean the role holder has capacity to undertake this work. 

Financial Management

• Financial Performance: Manage project related budgets, ensuring projects are delivered to Budget, to the requisite quality and to time. 

• Procurement: Work closely with the Procurement team to source potential suppliers for services and ensure those services are sourced on a “Value for money” (VFM) basis, and in accordance with the terms of the Scheme of Reservation and Delegation. 

• Tenders: Working closely with the Procurement function of the Charity, take the estates lead in tender activity where assigned, ensuring that activity is undertaken in accordance with the Scheme of Reservation and Delegation.

This role is home based, with occasional travel within the north west of England required. This role is Band II as per our structure

Main Responsibilities:

•  To provide facilities management to all YMCAES sites across East Surrey. This includes 5 housing schemes and one sports and community centre all owned by the YMCAES together with six family and youth centres that the YMCA lease from local authorities. 
• u  To manage a team of three maintenance technicians (full and part  time), and facilities administration assistant and to be responsible for their training and professional development 

• u  To be the Health and Safety Officer for YMCAES to ensure that the organisation complies with all current legislation and to encourage good practice throughout the YMCAES. 

• To be responsible for ensuring all risk assessments are up to date and accurate:
•   to carry out regular building risk assessments
•  where necessary support and advise staff in completion of risk assessments
•  to ensure fire risk assessments are carried out in accordance with legislation and good practice
•  To be responsible for the maintenance of YMCA buildings and sites. Including preparation of cyclical maintenance plans and to arrange and supervise necessary major works to be scheduled and safely carried out in accordance with the project plans. 
• To be responsible for managing the online maintenance system (Pyramid) ensuring accurate recording and reporting of:
• daily reactive maintenance tasks
• planned and cyclical maintenance tasks
•  all regulatory building compliance requirements.
•  To manage YMCAES building contracts and to comply with the Accepting Contracts and Procurement policies and procedures. 
• To be responsible for the compilation and upkeep of the preferred provider list of contractors.
• To put in place and manage a call out system for managers to respond to any emergencies relating to buildings.
•  To be responsible for all ground maintenance including management of a ground maintenance worker and/or external contracts. 
• u  To maintain the fleet of vehicles owned by YMCAES, including insurance, tax, MOT, fuel and maintenance.
•  To support HOCS for responsibility of all insurances required by the YMCAES. Ensuring compliance with legislation and efficiencies and effectiveness of all policies. Also, to ensure that necessary inspections and certification of lifts and other equipment are carried out as per requirements of insurers and current legislation.
• To provide the CEO and Head of Housing with advice and guidance around technical and regulatory requirements on YMCA property developments and acquisitions of new buildings.

 To work with the HOCS to prepare a budget for central costs (buildings and vehicles) and to manage this budget through the year. 

To prepare and present a report to the quarterly Governance and Risk Committee which has a remit for overseeing the organisational risk management framework, incident reporting and regulatory compliance. 

•  Any other duties are required to be performed within the grade and renumeration of the role.

DESCRIPTION

Job Purpose:To manage the facilities and services that support the core functions of YMCA East Surrey (YMCAES), including maintenance across multiple sites.

Our Housing Services teams work hard to ensure we can provide safe, comfortable, and sustainable homes which give people the opportunity to rebuild their lives.

In the role of Asset Investment Manager, you will support the improvement of data management systems and processes, provide accurate data and analysis reports, and prepare budgets ensuring statutory and regulatory requirements are met. This role also offers the opportunity to play a key role in developing and implementing parts of our Asset Management Strategy, overseeing development and ongoing maintenance of:

• Planned maintenance programmes, including reporting on performance management.
• Stock condition surveys which inform our approach to asset management and evidence compliance.
• Programmes of work to deliver St Mungo’s Environmental Sustainability Strategy.

In this role you will be required to work flexibly for at least 2 days per week from our Central Office in Tower Hill, London. This allows for in person collaboration, team building, line management and other relationship building opportunities. You will join a small team of housekeepers working mainly at our Community/Justice/ Counselling services. Well-managed spaces make our buildings great places to be ensuring they are efficient, secure and pleasant environments. You will work with the Soft Facilitates Manager to carry out planned cleaning duties from a schedule of works. You will also need to build in capacity for reactive cleaning as required. 

A key part of the role will be to work with project managers and the Soft Facilities Manager to ensure solid housekeeping provision. You will ensure the efforts of you provide a high level of cleanliness, and cleaning complies with health and safety standards too.

You will have a usual place of work at either Katherine Price Hughes House, Highbury or Wincott Street, Lambeth as we have two Housekeeping roles available, but be required to work flexibly across the property portfolio if business needs demand this. You will facilitate end of licence/tenancy cleaning preparing these spaces for new residents, or you could be asked to provide cleans between room hire in our counselling and our community spaces. Role: Centre Manager

Salary: £32,000

Hours of work: 37.5 hours per week

Scope and Purpose:

As Centre Manager, you will be responsible for the property, grounds and vehicles and manage the on-site facilities team and volunteers, leading them to support & deliver an exceptional Go Beyond experience for children who come on our Breaks. These are residential breaks for small groups of children aged 8-13, who stay with us Monday to Friday during most weeks throughout the year. Delivery of the breaks will be managed by the Team Leader and their team.

You will ensure the centre is operated and maintained in accordance with all relevant legislation, making sure we are safe, secure, and compliant. We have ambitions to develop our site and you will help us with continual improvement and improving our environmental and sustainability practices.

The role includes the facilities management of the centre to facilitate delivery of daily operations, including children’s activities. We aim to maximise the use of the centre and generate income. Your role will be pivotal in raising our profile in the local community, encouraging people to use our centre, supporting potential events, third-party use of our facilities and including the small, self-contained cottage which we let.

You will lead the local team including; Team Leaders, Maintenance, Housekeeping and Centre Cook along with volunteers (including groups of corporate volunteers who help us with on-site tasks). Ensuring not only the buildings, grounds and on-site activity areas are always at their best and ready to be enjoyed but ensuring the centre is kept clean and welcoming for our visitors and that our children and receive a healthy, nutritious meal during their stay. As a charity, we need to make sure this is all kept within budget.

You will need to be financially astute with a keen eye for detail and have practical and working knowledge of general building and estate management, HACCP, COSHH, Legionella, Asbestos, Fire Safety, Risk Assessment and Waste & contractor Management.

You will have a sound knowledge of Safeguarding and understand the importance of how activities can develop curiosity, confidence, resilience and communication skills in children and young people.

Operations:

• Responsible for assessing risks, ensuring Health & Safety compliance, asset management, planning, and delivering action plans and regularly reviewing these.

• Manage and liaise with customers and agents for lettings (Farmhouse and Cottage) providing assistance as required.

Breaks:

• Accountable for the safety and welfare of the staff, children and young people

• Produce centre based quarterly reports for SLT regarding H&S, Incidents and accidents, Centre and Land development projects including those completed by Corporate Volunteers
