This is a permanent, remote working role with a salary of £29,757 per annum, pro rata. We welcome applications for 40 hours full time or 32 hours (0.8 full time equivalent) including breaks. Your responsibilities will include recording transactions, processing invoices, expense claims and grants, administering the charity’s bank accounts, payroll, and audits.

Job purpose

This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. You’ll also provide diary management support to the Chief Executive and carry out a varied range of administrative tasks – from arranging team meetings to organising the charity’s award and grant-giving programmes.

Responsibilities

Governance and executive support

• Provide administrative support to the Chief Executive Officer, including proof reading and formatting documents, diary management, coordinating meetings and production of agendas and minutes
• Take minutes for trustee board and committee meetings, and any other meetings as requested by the Chief Executive Officer
• Organise in-person and virtual trustees meeting as well as other governance meetings as required
• Work with the trustees, Chief Executive Officer, RCVS finance team and legal advisors, ensuring legal returns and RCVS Knowledge governing documents are in order and submitted in good time to Companies House and the Charity Commission
• Maintain declaration of interest documentation and ensure that governance and compliance-related records are up-to-date
• Own the charity’s policy register, ensuring all policies are reviewed regularly and are up to date
• Carry out finance administration for the Senior Team as required, including purchasing items, collating receipts, assigning budget codes, and processing expense claims for trustees
• Provide administrative support around donations and gifts-in-will
• Manage the diary of the Chief Executive Officer, including arranging travel and accommodation when necessary

Project support

• Organise RCVS Knowledge awards (Plowright Prize, Quality Improvement Awards, Antimicrobial Stewardship Awards, etc.), including liaising with award panels, processing applications, and administration around the review and identification of award winners
• Arrange associated meetings and events for the awards

General administration

• Act as the first point of contact for RCVS Knowledge, monitoring generic inboxes and taking phone calls as required
• Manage the administrative functions of the office, for example arranging guest access for visitors when required and administering and dealing with room bookings
• Maintain and develop administrative systems, such as record management and document control
• Update records on our customer relationship management (CRM) system
• Organise and schedule meetings and awaydays, including setting the agenda and taking minutes
• Support the recruitment of new staff, including training and induction
• Provide administrative and project support to the wider RCVS Knowledge team as required

Skills, knowledge and experience

Required

• Relevant experience in an administration or governance support role
• Excellent written communication skills, with experience of writing committee meeting minutes and preparing meeting papers

The role

This important role sits within our Supply Chain and Logistics team, responsible for processing offers of surplus food from our food partners into our network of Regional Centres and the wider community. This role is essential in ensuring that the food we are offered reaches the thousands of charities and community groups we support across the UK.

The role is a combination of customer service provision and supply chain coordination with a strong data focus. You will analyse varied datasets to decide how food is distributed across our Network to ensure optimal and sustainable distribution. You will also be responsible for continuing and championing the high levels of customer service we provide to the food industry and our network of Regional Centres.

You will work closely with FareShare’s food suppliers, transport partners, and our Regional Centres to identify and overcome operational challenges to distribution. The successful candidate will also work closely with our Food Commercial team to ensure our food partners receive excellent operational support and customer service. We are continually evolving our processes and you will work within a culture of continuous improvement to improve operations within the team.

Main areas of responsibility

Food Industry Customer Service

• Deliver excellent customer service, ensuring offers are responded to and processed within agreed service level requirements
• Work closely with the Food Commercial Managers, providing feedback and reporting on service issues and attending meetings and site visits as appropriate
• Assist Food Team with insight and feedback from food businesses, capturing key account information in our CRM system

 Regional Centre allocation

• Adhere to the requirements of the Network Service Level Agreement
• Work with the Supply Chain and Logistics Manager to match food supplied to Regional Centre needs, always working to maximise surplus redistribution and minimise waste 
• Ensure that offers are allocated in an efficient and timely manner according to network needs and agreed priorities to maximise social impact of surplus food
• Using our CRM system, maintain timely records of accounts, allocations, offers and case management
• Maintain high standards of customer service to the Network and Operations teams and develop respectful and effective working relationships with the Regional Centres.

• Work with hauliers to plan transport requirements and ensure that we are able to meet network demand
• Work with Regional Centres to coordinate and plan routes for internal FareShare logistics
• Reactively solve transport issues throughout the working day

Data and Analysis

• Use FareShare PowerBI reports to ensure optimal product allocation within contract requirements
• Specify, build, monitor and analyse Salesforce reports to increase efficiency of allocation
• Use dashboards to monitor network issues
• Lead regional network agreement service level review meetings
• Report on data integrity issues to the Network Analyst

Team coordination and representation

About the role  
As Crisis’ Media and Artist Liaison Officer, you will play a key role in securing impactful media coverage that inspires the public and politicians to join our fight to end homelessness by raising awareness of our influencing campaigns and fundraising events. You will help to build Crisis’ profile by bringing to life our work, demonstrating how we end people’s homelessness for good through education, training and support with housing, employment, and health. You’ll also identify, build and nurture relationships with artists and influencers to secure their support for Crisis and our work, whether that be political campaigning, fundraising or our commercial and retail offering. 

Your role will be creative and varied. You’ll work with our frontline staff to identify people facing homelessness who want to share their stories and empower them to do so. You’ll help create hard-hitting news stories and media hooks that engages our audiences and raises awareness of Crisis’ work. You’ll also work with our Artist Liaison Manager to utilise our high-profile supporters and ambassadors to inspire and raise awareness of our cause with key audiences and develop creative and engaging ways to amplify our media campaigns on social media. You will also help make the most of reactive opportunities that come through to our press office and help build strong relationships with key journalists.   

Location: Based in London office (Working from home is an option in line with Crisis’ Hybrid Working policy with a minimum of two days a week working in the office)

About the Youth Endowment Fund

The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children becoming involved in violence. We do this by funding great initiatives, leading cutting-edge research and working for change - scaling up and spreading the practices that make a difference. 

The Chief Operating Officer (COO) has a critical role in ensuring we succeed in this work. You have a key leadership role in overseeing the overall health of the Fund in partnership with the Executive Director. The role oversees our finances, people management and – for the right candidate –much of our grant-making and project management. 

Key responsibilities 

You’ll lead on key organisational governance processes and ensure the Fund makes wise decisions, by:  

• Being a leading member of our Directors’ team, overseeing all elements of the Fund’s work.

• Ensuring that the Fund operates as efficiently and effectively as possible by prioritising the right activities and matching resources to deliver on our mission.

• Ensuring we have the right long, medium and short-term financial plans in place and that we maintain close control over our financial decisions and spend. 

• Informing our Board and our Risk and Audit Committee on our financial performance and risk.

• Ensuring the Fund’s investments are well managed through supporting the Endowment Investment Committee (this does not require investment experience). 

• Managing our Grants and Evaluation Committee (this decides which evaluations we should fund) and ensuring it operates effectively. 

• Ensuring that any ambiguities in the organisation are identified and removed. 

You make sure that the Fund has the people, tools and resources in place to excel. This will require us to:  

• Hire, develop and inspire the very best people: Managing our Head of People, you will ensure that we hire the best possible staff, compensate them appropriately, provide necessary and effective training, maintain a strong focus on staff well-being, manage and develop staff effectively and address poor performance when required. 

• Provide staff with the tools they need to perform: Managing our Head of Grant Operations, you will ensure that we have the tools we need to deliver, including management information, databases, systems and processes and office facilities. 

• Track performance: Track performance against our goals efficiently and effectively, championing a system of accountability and action to review, identify and empower the right people to act on delivering according to the plan. 

Working with colleagues, you’ll ensure we award grants, manage grantees and oversee evaluations efficiently and effectively. This will require us to: 

• Make excellent decisions about our grants: Working with – and potentially managing1 - the Assistant Director for Programmes, Impact and Partnerships, you will help to ensure that our processes for assessing funding applications achieve our organisational priorities for evidence generation. This requires you to understand what partners are trying to do, whether it’s likely to work, whether it will help us build an accessible and trusted body of knowledge, and whether we can build on it to make long-term change happen. 

• Evaluate our programmes: Working with - and potentially managing - the Assistant Director of Evaluation, you will help to ensure that we select and partner with high-quality evaluators to understand how well different activities work.

• Ensuring the team maintains effective monitoring processes: Working with your team, you will develop the necessary skills, processes and decision-making processes to identify when things aren’t going to plan and respond accordingly.

• Build strong relationships with your external partners: You and your team will build strong, trusting relationships with the projects the YEF funds and the evaluators that we work with. Your team will be known for being attentive yet assertive and measured and efficient in the reporting information we expect. You will become well connected in the sectors that we are working in.

• Identify opportunities to scale up projects: You will be proactive in identifying projects that would benefit from capacity development support or that may be ready to scale up their work, collaborating with Impetus to deliver on this.

Person specification 

• You are excellent at leading on finance in an organisation: You find it easy and straightforward to develop and oversee, large organisational budgets and ensure timely preparation of management accounts. You’re excellent at financial forecasting and understand how to make judgements and recommendations based on future scenario planning. You have experience reporting to Boards on financial performance and health, and leading on organisational external audits.

• You are strategic about finance: You’ve got real skill in distilling complex financial information into simple, easy to understand reports and presentations that enable good decision-making. You see your knowledge of finance as a way to serve Director-level colleagues with overall decision-making. You also understand how to navigate competing priorities and how to calculate and articulate risk and reward, knowing few decisions are straightforward.

• You get teams to use data well: You understand that accurate data and excellent management information tools enable good decision-making. You understand how management information databases (like Salesforce) work and would be able to maintain and build a culture of recording data and maintaining data quality within big teams. Ideally, you have experience working directly with Salesforce.

The LSO Development department is looking for a knowledgeable and self-motivated individual to join our team as Trusts & Foundations Officer at an exciting time in the LSO’s history. Reporting to the Trusts & Foundations Manager, the role will primarily work within the Trusts and Foundations team to establish and maintain relationships with grant-giving bodies to help meet and grow income targets. These grants support a range of LSO activities, including projects within our pioneering learning and engagement programme, LSO Discovery; our exciting artistic season at the Barbican Centre; international tours; new commissions for the LSO and recordings produced by our record label LSO Live.
 

About you

Experience in fundraising from trusts, foundations and other grant-giving bodies is essential for this role, alongside strong communication skills, high attention to detail and a passion for creating concise and compelling written copy.  An interest in orchestral/classical music is desirable.

The Trusts & Foundations Officer will also support the wider fundraising of the Department, helping to steward current and potential supporters at concerts, special events, and LSO Discovery projects taking place across east London.

This is an exciting opportunity for a Volunteer Development Officer (Early Help Outreach) to be involved in supporting and developing the volunteer aspects of the Befriending project in the Westminster area and to ensure that the organisation reaches and supports as many families as possible, primarily those aged 0-16 years and referred by the Westminster Early Help service as step down families. In addition, you will support the Outreach team supporting families of those aged 0-5 years.

The post holder will be responsible for supporting the Team Leader on all aspects of volunteer recruitment, such as ensuring there is a continual bank of active volunteers, publicising vacancies and organising and conducting interviews. You will also be responsible for supporting the delivery of volunteer training and providing one to one support and group supervision as appropriate. In addition, the role will include matching of volunteers to families, assessing the needs of families, supporting with home visits, keeping accurate records and completing reports. The post holder will also support holiday activities with wider teams and outreach support.

You will need to have experience of volunteer recruitment and training as well as experience of managing volunteers. The successful candidate will have knowledge of the role of volunteers in community projects. We are looking for someone with experience of family support work and of effectively managing safeguarding issues. Comprehensive knowledge of local agencies, networks, and partnerships within the area of family support is required.

You are required to have excellent communication skills, both written and oral to enable volunteers, service users and partner organisations to be kept well informed about the project and to resolve any issues in the delivery of the project.
