We are looking for a Legacy and Administration Manager to join our Finance and Operations team on a part-time basis (2 days per week). This role will report to the Director of Finance and Operations.
Job Purpose
Legacies are one of the most vital sources of income for Operation Smile UK, helping us continue our work supporting patients with cleft around the world. We’re now looking for a Legacy Administration Manager to join our dedicated team and ensure that every gift left to the charity is managed with care, professionalism, and in line with the wishes of our supporters.
Key Responsibilities
- Manage a portfolio of residuary, specific, and reversionary legacy cases from initiation to completion, optimising income while upholding all legal, ethical, and organisational standards.
- Communicate with empathy and professionalism with executors, solicitors, and beneficiaries’ families, including handling enquiries and confirming receipt of legacy notifications.
- Review estate documentation and valuations, determine the charity’s entitlement, and verify that all due funds are correctly received.
- Ensure that all relevant charity tax reliefs are properly applied for, including Inheritance Tax, Capital Gains Tax appropriations, and Income Tax (form R185).
- Maintain accurate and up-to-date records of all legacy income and correspondence within OSUK’s CRM system and Finance Tracker.
- Track the status of ongoing cases, pursue outstanding actions, and take prompt steps to address issues or disputes as they arise.
- Collaborate closely with internal teams—such as Finance, Supporter Care, and Partnerships—to promote strong stewardship and compliance.
- Refer or escalate complex or high-impact matters to the Director of Finance and Senior Finance Manager when necessary.
- Contribute to team meetings, process improvements, and the development of best practice.
Person Specification
· Strong interpersonal skills with the ability to build positive relationships and communicate clearly and sensitively, both in writing and verbally.
· Proven experience in legacy administration within the charity sector or in probate and estate law.
· Highly organised, with the capability to prioritise and manage a diverse caseload effectively.
· Exceptional attention to detail, ensuring accuracy in financial transactions, documentation, and data entry.
· Skilled in interpreting wills, estate accounts, and related legal documents.
· Competent in reviewing estate accounts to verify the correct application of Inheritance Tax (IHT) and Capital Gains Tax (CGT) and to ensure estates are properly finalised.
· Proficient user of Microsoft Office and customer relationship management (CRM) systems.
· Review estate accounts, including the allocation of Capital Gains Tax (CGT) and Inheritance Tax (IHT), to confirm estates are correctly administered.
· Certificate in Charity Legacy Administration (ILM) or legal/paralegal qualification.

PURPOSE OF THE JOB
Reporting to the Membership Manager, the Corporate Membership Officer – Commercial Relationships and Fulfilment will:
- Manage and grow relationships with corporate and university members.
- Drive new partnerships, membership sales, and sponsorship opportunities, with clear revenue targets, while maintaining strong long-term relationships with existing members.
- Identify and convert opportunities that enhance IWA’s profile and support membership growth.
This is a dynamic role for a confident, articulate account manager who thrives on building relationships. The successful candidate will combine strong customer service skills with proven B2B sales and account management experience, excellent time-management/organisation, cultural awareness and sensitivity when working across regions, and excellent communication abilities.
MAIN DUTIES AND RESPONSIBILITIES
Account Management
- Act as the dedicated account manager for IWA’s portfolio of over 400 corporate and university members.
- Deliver expert advice, support, and engagement to maximise member value.
- Manage the end-to-end membership cycle (prospecting → onboarding → renewal), ensuring timely renewals and accurate CRM record-keeping.
Business Development
- Drive growth by identifying and securing new members, sponsors, and revenue opportunities.
- Own and report on a personal sales pipeline; meet or exceed agreed sales/retention targets.
- Upsell and cross-sell relevant services to both new and existing members.
- Promote IWA by developing a network of influential contacts within political, economic, social, and water sector communities.
Collaboration & Support
- Work closely with internal stakeholders including membership engagement, marketing, and IT teams to deliver the corporate membership strategy.
- Manage member queries and administrative processes, including billing and invoicing coordination, in line with the company’s SLA guidelines.
- Ensure a seamless client journey from prospecting to onboarding and retention.
- Represent IWA at events (where required), both within the UK and internationally, to promote membership and build commercial relationships.

REQUIRED SKILLS, QUALIFICATIONS & EXPERIENCE
Skills & Knowledge
The ideal candidate will:
- Be a persuasive communicator with excellent written, verbal, and presentation skills.
- Have proven success in B2B new-business sales (meeting or exceeding targets) and account retention.
- Be an experienced account manager, confident in engaging senior business leaders.
- Demonstrate the ability to research, identify, and approach decision-makers independently.
- Bring marketing skills, with experience using diverse channels to attract and retain members.
- Have professional CRM experience (required), ideally with Salesforce (strongly preferred).
- Possess strong organisational skills, able to manage multiple priorities while maintaining accuracy.

- Show creativity and analytical ability in problem-solving, with a practical, solutions-focused approach.
- Ideally, have experience within a membership body, or charity organisation.
- Proficiency in additional languages beyond English would be an asset.
Qualifications
- Minimum of a Bachelor’s degree in relevant areas (e.g., Business Administration, Marketing, Economics, International Relations).
- A Master’s degree in a similar area would be plus.
- Formal training and certification in sales and account management (preferably Salesforce Administrator) would be a strong benefit.
Experience Required
- 3+ years’ work experience in sales and account management.
- Experience working in membership associations and/or international organisations would be a strong benefit.

This is an exciting opportunity to join the Office of Development and Alumni Relations team at the University of Southampton, creating and delivering a range of strategic communications for our alumni and supporter community.
You’ll be responsible for planning and delivering a whole plethora of communication tools to support our fundraising and engagement, with a particular focus on our upcoming Campaign for Southampton. We are looking for an experienced communications professional to support us with creating engaging communications. You will be responsible for activities such as:
- Developing compelling propositions
- Delivering the communications to support major gift prospect fundraising events, from creating invitations and shaping the themes, through to developing event materials and briefing speakers
- Creating and editing a wide range of communications pieces for our major gift prospect audience, from written case studies through to web content and video

Main purpose of the role
As our Fundraising Manager, you will be responsible for the development and delivery of our fundraising strategy, working closely with the Executive Director, the Finance Team, the Insight Fundraising Officer and the Trust and Foundations consultants. The Fundraising Manager will develop existing income streams and strengthen stakeholder and supporter engagement. As Fundraising Manager, you’ll work closely with other global team members to review and implement our fundraising strategy in line with our strategic goals.
Main Responsibilities:
- Play a leading role in the development and delivery of ICC’s fundraising strategy and the success of direct marketing, telemarketing and online campaigns to generate cash, regular giving and Gift Aid.
- Plan, research and implement all aspects of direct marketing aimed at acquiring and retaining new and existing supporters.
- Establish a robust donor stewardship strategy, building strong relationships with existing and potential donors and increasing donor retention and engagement
- Lead on the cultivation and stewardship of partnerships with churches.
- To manage the direction and relationship with our Trust and Foundation consultants by collaborating in the research, writing and submitting targeted Trust applications and report on grants awarded.
- Work with the team to support the legacy giving strategy, to maximise long-term income.
- To have oversight of the in-house CRM database (Microsoft D365). Work with the team to develop competency in the effective use of our CRM database as part of our donor stewardship and reporting structure.
- To assist and promote ICCs presence at fundraising and other events.
- Manage the ongoing development and implementation of a regular giving strategy and donor care to reduce attrition rates.
- Regularly monitor and evaluate direct marketing campaigns, Trust fundraising, recurring giving and legacy fundraising, provide results and feed the learning back into the organisation.
- To keep abreast of key issues and best practices within the direct marketing/fundraising sector.
- Ensure fundraising practices comply with GDPR, the Data Protection Act and the Code of Fundraising Practice.
- Undertake additional duties as requested.
- Line manage the Insight Fundraising Officer and lead our Trusts and Foundations partner.
Fundraising Campaigns and Events
- Plan, coordinate, and manage our annual fundraising event.

About You

About the Role
In this role you will form a vital part of our High Value Partnerships team; achieving or exceeding agreed income targets through tailored and compelling fundraising proposals to existing and new funders; and matching donor interests with Help for Heroes’ programmes.
You will deliver excellent stewardship managing a portfolio of high value donors, delivering against donor objectives, and seeking opportunities to develop and broaden support. Whilst also contributing to the wider Trusts and Foundations, and Partnerships strategies, including taking on management of special projects as and when required.
