Retail operations manager jobs

We are looking for an experienced charity finance professional who can play this key role in our UK finance team. MRG is a complex organisation with four offices, many projects and funders, and staff around the world.

Working with three UK finance colleagues, and those in our offices in Hungary and Uganda, the Finance Officer will process and record all our financial transactions (expenditure, sales and grant income) and assist in statutory reporting and year end audit preparation.

Here is a more detailed list of the tasks in finance control, reporting, payroll and bank liaison:

• Assist in preparing budgets
• Assist in regular cashflow forecasting and planning.
• Post transactions to Sage / Enterpryze
• Monitor MRG’s suppliers and other creditors and arranging payments
• Process documentation for MRG’s sales, donor and other income, including coding transactions.
• Bank cheques and cash received 
• Raise invoices for MRG sales debtors, and for reimbursement of MRG staff costs by outside agencies
• Raise overseas payments to MRG’s partners and overseas consultants, following the finance procedures
• Order foreign cash and travellers’ cheques from MRG’s bank and forex services for staff cash advances,
• Arrange to get cash advances to staff, and for receipt of refunds of unspent cash advance balances.
• Reconcile major supplier accounts including air travel and travel insurance suppliers
• Reconcile bank statements to cashbooks, Sales and Purchase Ledger control accounts and the suspense account.
• Produce Budget versus Actual reports for the core departments, and identification of major variances, in consultation with budget holders.
• Reconcile payroll control accounts each month
• Process annual cost of living and increment increases to staff salary approved by the Finance and Operations Committee and the Leadership Team, and provide information on increases to staff
• Process payroll documentation for joiners and leavers and manage pension scheme joiners
• Compile and submit quarterly VAT returns and reconcile the VAT control accounts
• Liaise with the bank over relevant issues, including queries on transactions and updates of bank signatories

The person

We are looking for someone with:

• a minimum of four years finance experience, including two years experience of either management accounts report preparation, or preparation of statutory financial or equivalent experience of accounts analysis and reporting
• experience of using accounts software (e.g. SAGE, QuickBooks, Sun, Enterpryze, etc)
• experience of preparing statutory financial accounts
• experience of charity finances involving many projects co-funded by several donors
• experience of preparing annual accounts for audit under SORP accounting standards
• experience of other accounting functions including purchase ledger and sales ledger
• a high level of numeracy and attention to detail
• advanced level of competence in Excel
• the ability to prioritise work, meet deadlines and combine responding to urgent requests with longer terms tasks and activities
• the ability to stay calm under pressure and to assess and absorb information quickly
• good communication skills, including good written and spoken English
• the ability to maintain confidentiality, including following guidance on digital security and data protection
• the ability and willingness to be self-servicing within the organisation

Zoe's Place Baby Hospice was founded in Liverpool in 1995 as the first hospice in the UK specifically providing for the needs of babies and younger children. Our team of specialist nurses and healthcare assistants are supported by a wide range of other healthcare professionals to provide respite care, therapies and bereavement care to babies and children with life-limiting and life-threatening conditions, and their families.

In late 2024 the people of Liverpool, the North West, and even further afield helped us to raise more than £7,000,000 to secure the future of our hospice, and to build a state-of-the-art new facility in West Derby.

As work begins on our new hospice facility, our dedicated team continues to deliver specialised care from our existing site, and our team of fundraising, marketing, finance, compliance and administration professionals work hard to keep the charity operating smoothly.

This is a rare opportunity to join our dynamic and successful team as the head of our Income Generation and Marketing function. This role enhances the previous role of Head of Fundraising to be responsible for the overall income generation for the hospice, and the key role for the Head of Income Generation is to maintain a sustainable level of fundraising by increasing the income from paid placements through our relationships with Health Trusts and Councils in Merseyside and Cheshire in particular.

We are looking for someone with proven senior-level experience in income generation within the charity, health or care sector, and with a track record of growing income through commissioning or fundraising. You will need to be a strategic thinker with the confidence and compassion needed to build productive relationships and to manage our passionate and hard working team.

Essential Criteria

• Proven experience in supplier, account, or partnership management.

Key Responsibilities:
Supporting Gift-in-Kind Efforts

• Work closely with the Wishgranting Partnerships Manager to identify and secure new Gift-in-Kind partners. This involves helping to target potential suppliers that align with the Wishgranting team’s needs, preparing pitch materials, and participating in negotiations.
• Assist in articulating the benefits of Gift-in-Kind contributions to potential partners, demonstrating how such partnerships can help fulfil the organisation’s mission to grant impactful wishes while offering value to the supplier.
• Collaborate on creating tailored proposals that showcase how partnerships can reduce wish costs, strengthen community impact, and support organisational growth.
• Work closely with the Wishgranters to ensure Gift-in-Kind is utilised against wishes, and ensure the correct quality control measures and supporter stewardship journeys are followed to deliver a consistent and sector-leading supporter experience.
• Support the Wishgranting Partnerships Manager to develop the GIK solicitation processes
• Develop and report on a pipeline of GIK supporters, ensuring that retention rates, supporter experience and journeys, including reward and recognition, are aligned with goals.
• Along with the Wishgranting Partnerships Manager, work collaboratively across the organisation to ensure non-wish related Gift In Kind opportunities are maximised, and that cross-organisational future opportunities are identified

Supplier Account Management

• Maintain regular communication with Wishgranting suppliers to ensure alignment with the organisation’s needs, address any issues, and provide updates on mutual goals and expectations.
• Oversee the onboarding process for new suppliers, ensuring they are integrated smoothly into the organisation’s operations and fully understand the mission, values, and expectations.
• Develop and execute stewardship plans that keep suppliers engaged and motivated, show appreciation for their contributions, and foster long-term loyalty.
• Act as a primary point of contact for resolving any issues or disputes with suppliers, ensuring conflicts are handled professionally and in a way that maintains positive relationships.
• Ensure suppliers adhere to all contractual obligations, quality standards, and timelines. Regularly review contracts and processes to ensure they are up-to-date and reflect the Wishgranting team’s needs.
• Work with suppliers to develop efficient and effective Wishgranting processes.
• Create guidelines for the Wishgranting team, including creating Form Assembly forms and Wishgranting email templates.
• Regularly review and update the Wishgranting manual guidance and Wishing Well for each wish type.
• Deliver training and provide updates to the Wishgranters on new supplier processes.
• Place purchase orders with Wishgranting suppliers, track progress and expedite deliveries.
• Liaise with Wishgranters, suppliers and Wish Families to organise the delivery of items/services, as required.
• Support with post-wish financial administration and processes, including raising invoice requests, chasing outstanding payments, coding as required, and creating thank you letters and receipts.

Tech and Process Optimisation

• Utilise and optimise technology platforms to manage supplier accounts and the GIK inventory, streamline processes, and ensure that all data related to supplier performance, contracts, and contributions is organised and accessible.
• Work with the Wishgranting Team Manager to continuously seek opportunities to automate routine tasks related to supplier management, such as invoicing, stewardship, or managing contracts, to improve efficiency and accuracy.
• Implement and manage tools that facilitate better communication and collaboration between suppliers and the Wishgranting team, ensuring a seamless flow of information and reducing the likelihood of errors or delays.

About the Role

Rotherham Hospice is seeking a reliable and customer-focused Delivery Driver to join our Retail Team.

The Delivery Driver plays a vital role in supporting our retail stores by collecting donated items from the community and delivering purchased goods to customers.

Additionally, the Delivery Driver may be responsible for transporting items between our retail stores and the Retail Hub for processing.

The successful candidate will demonstrate excellent customer service skills and a commitment to upholding the hospice's values while representing the organisation in the community.

Key Responsibilities

Collection and Delivery:

• Collect donated items from various locations within the community, including private residences, businesses, and donation drop-off points.
• Safely load and transport donated items to the Retail Hub for processing, ensuring the integrity and quality of the items during transit.
• Deliver purchased goods from retail stores to customers' homes or designated delivery locations, providing prompt and courteous service.

Inter-Store Transport:

• Transport donated items, merchandise, and supplies between our retail stores as needed to support inventory management and store operations.
• Ensure accurate and timely delivery of items between stores, following established routes and schedules to optimise efficiency.

Vehicle Maintenance and Safety:

• Conduct pre-trip vehicle inspections to ensure the safe and efficient operation of delivery vehicles, reporting any maintenance issues or concerns to the Head of Facilities.
• Adhere to all traffic laws, regulations, and safety protocols while driving and operating delivery vehicles, prioritising the safety of oneself and others

Customer Service:
