Job description

We are looking for someone to join the Human Resources team at this well loved and respected local charity which provides high quality palliative care and support to people with life-limiting illnesses, and those close to them, in Exeter, mid and east Devon.  Our HR Administrator and PA to the Director will join us on a full time, permanent basis working 37.5 hours per week. In return you will receive a competitive salary from £21,089 per annum. Reporting to the HR Business Partner, our HR Administrator and PA will support the delivery of an effective, timely and professional HR service across Hospiscare, as well as providing high level administrative support and personal assistance to the Director of Workforce Development

Responsibilities of the HR Administrator and PA to the Director will include:

- Support the Recruitment Co-ordinator in the provision to line managers and team leaders of a dedicated, efficient and timely recruitment service that ensures legal compliance and fulfils Hospiscare’s needs in terms of the attraction, recruitment, employment and retention of a high calibre workforce.

- Provide relevant information to the Finance team to ensure payroll is up to date and accurate.

- Support the Workforce Information Systems Administrator with adding data to the HRIS to ensure it is accurate, completed and recorded in line with agreed protocols. 

- Monitor and maintain Disclosure and Barring Service (DBS) clearance, Nursing and Midwifery Council (NMC) registration, driving licence and Occupational Health checks to ensure organisational and legal requirements are met. 

- Provide high level secretarial and administrative assistance and fulfil the role of personal assistant, including diary management and co-ordinating appointments, making travel arrangements, planning itineraries and organising accommodation as required, to enable the Director to function effectively.

- Plan and co-ordinate People and Estates Committee meetings to inform Trustees and ensure appropriate actions can be taken to meet organisational and legal requirements.

Skills and characteristics required to become our HR Administrator and PA to the Director:

- Experience of HR administration processes, preferably with a Level 3 CIPD qualification or working towards one

- Experience of diary and email management and taking minutes at a senior level

- Crucial to performing the role is awareness of current employment legislation and good practice in Human Resource Management, and of General Data Protection Regulation requirements

- Knowledge of, or previous involvement with, procedures for recruitment, attendance management and disciplinary meetings would be advantageous, as would an understanding of HR Information Systems and payroll administration.

- The successful applicant will be a skilled communicator with great planning and organising abilities who responds positively to changing priorities and remains calm under pressure
