ROLE OVERVIEW
Working closely in a small and dedicated team, this is a critical position that will use proven administration skills to support our brilliant women’s charity. While you’ll report directly to the Head of Operations and People, you will work closely with and enjoy relationships with our wider small team.
Location: You have the option to work from home 1 day a week and for 2 days a week either at our LOVELY SHED co-working space or at venues in London for our core programmes with women
Salary: £15,600 for 3 days a week (FTE £26,000) plus a 5.25% staff pension subject to employee contribution of 1.75%
Hours: Normal working hours are 9.30am-5.30pm
Holiday: 15 days per annum (FTE 25 days)
Contract: 6 months (3 months probation)
KEY TASKS AND RESPONSIBILITIES
- Manage CEO’s and Head of Operations and People diaries
- Provide support relating to the successful operation of the team and office including sorting and dealing with correspondence, filing, photocopying
- Order stationary and other office supplies as required
- Work with our lovely accountant to log incoming and outgoing charity expenses through QuickBooks
- Organise and maintain filing systems e.g. dropbox
- Resolving queries promptly and appropriately, liaising as necessary
- Provide ad hoc administration support as required
- Provide logistical support at Friday workshops for women
PERSON SPECIFICATION
You will be someone who LOVES to do lists and actioning them, is a naturally organised and process driven person who enjoys ensuring the smooth running of an office environment.

The Sentencing Academy is a research and engagement charitable organisation dedicated to developing understanding of sentencing in England and Wales and informing public debate. The position:
The primary focus of the position is to support the operational side of the organisation and the Managing Director. You’ll need to be good at multitasking and highly collaborative.

Hours:
This is a part time position of 28 hours per week over 5 days (or some of these days) with the working pattern to be agreed with the successful candidate.
From 1st July 2024 we are piloting a four day working week across the whole of the UK organisation. This pilot is planned to run for 12 months, at which point a decision will be made by our Board of Trustees as to whether this will become permanent. Success of the trial relies on the organisation being able to achieve the same or improved level of impact in four working days as five, with staff experiencing either the same or improved levels of wellbeing.
During the four day week pilot, working hours for this position will be reduced proportionately to 22.5 hours per week, spanning Monday to Thursday (or some of these days), with no reduction in salary. This will be a temporary change to the contractual terms with the successful candidate. The appointed person must be prepared to increase their working hours to 28 hours per week if a return to a five-day working week is decided.

About the role
We have an exciting opportunity for a Human Resources Administrator to join our team on a 6-month fixed term contract for maternity cover. You will:
· Undertake relevant administration on the HR Information system, iTrent
· Note take at Employee Relations, wellbeing and ill-health capability meetings
· Ensure onboarding process are completed and risk assessments are updated where necessary
· Monitor sickness absence and highlighting concerns with HRBP’s
· Supporting with recruitment of colleagues utilising our applicant tracking system, Networx
· Processing Occupational Health referrals
· Participate in specific HR projects as required
· Create and maintain electronic employee files
· Undertake any other reasonable duty as requested
About you
We are seeking applicants with at least 2 years of experience of HR and/or payroll, strong IT skills, and desirably with experience of using iTrent and CIPD Level 3. You should have strong customer service skills, be an excellent communicator, both verbal and written, and have an understanding of the employee lifecycle and production and analysis of metrics.
As this is a 6-month fixed term contract you should be able to demonstrate that you are a self-starter, confident working on your own initiative and manage a workload with multiple and, sometimes, conflicting demands.

The role
We’re seeking a well-organised coordinator to join our growing support services team and help us reach more people living with secondary (metastatic) breast cancer. You will coordinate the successful delivery of face to face and online services providing information and emotional support in England.
You’ll work as part of a team based across the UK and arrange delivery of services in England, playing a key role in increasing our reach and uptake.
You’ll liaise with venues, expert speakers and support our team of dedicated qualified sessional therapists, as well as providing technical support for the running of monthly online services. And you’ll build productive relationships with healthcare professionals and other stakeholders to promote our services and increase their reach and uptake.
About you
We’re looking for someone with experience of developing and delivering information and support services, preferably in a health or charity environment. You’ll understand the challenges for people living with illness or complex health or social needs and be keen to use your excellent organisation and time management skills to juggle a busy workload. You’ll enjoy working collaboratively and managing relationships with a range of stakeholders. A great team player, you’ll be flexible and able to travel and work outside normal office hours, including regular overnight stays. Above all, you’ll relish the opportunity to deliver our ambition to provide support for anyone living with secondary breast cancer who needs us, by making our services more widely available and accessible.

About the team
Sitting under our Finance Team, we work collaboratively to help safeguard our resources across Shelter to ensure the organisation is financially stable. Our finance teams all work together to help support Shelter’s aim to achieve a home for everyone.
This Accounts Payable team plays a crucial role within Finance – working to pay suppliers in a timely manner allowing Shelter to continue it’s vital work. We also lead on controls to help ensure that donors’ money is being spent in the best way we can. You’ll be working in a tight-knit team alongside two Accounts Payable Coordinators, an Accounts Payable Manager, a Head of Financial Control and Operations – all of which fall under our Assistant Director of Finance.
About the role
Your role will involve ensuring all invoices are properly posted to Shelter’s finance system, as well as matching to correct purchase orders within required timescales. You’ll also be processing our staff expenses as well as credit card expenses to ensure that we pay these within our agreed timescales.
Part of your day-to-day tasks will also involve being the key point of contact through our Accounts Payable Inbox – and at times we’ll rely on you to provide training to Shelter colleagues on our purchase-to-pay cycle as well as providing guidance for raising purchase requisition requests. You’ll be an integral part of our team to ensure our operations run smoothly helping us to deliver within our deadlines.

About you

Administration Officer – England South
We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function in the South of England to a high-quality standard.
What you will do:
· Coordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered
· Create resource pack for colleagues delivering training courses and workshops.
· Help to facilitate training delivery nationally, responding to email and telephone enquiries, ensuring preparation, materials, resources, venues, for all events are in place when required.
· Help to plan, contribute to and attend PAPYRUS conferences, workshops and events as required.
· Collate evaluations and feedback from training and project work.
· Act as a first point of contact, including enquiries which may be complex in nature; assessing the nature and urgency of the correspondence and responding or referring to colleagues as appropriate
· Record all enquiries and contacts using the CRM database and ensure that the database is maintained and accurate at all times.

To be successful in this role you will have:
· Demonstrable experience in an office administrator role or equivalent
· A good working knowledge of Microsoft packages (e.g., Word, Excel, Access, PowerPoint) and hands on IT experience of database packages including electronic filing systems and online platforms
· Ability to work effectively with internal and external stakeholders.
· Ability to resolve issues and identify solutions, seeking support and guidance where required
Salary: £21,189 per annum (NALC Scale SCP 4) progressing by increments to £21,968 per annum (NALC Scale SCP 6) As this is a London-based role, the post-holder will receive an additional Cost of Living Allowance which is £5,000 per annum.
