Working Well Trust is a mental health and employment charity in London.  All of our projects share the aim of improving the lives of people with mental health support needs, learning disabilities and/or complex issues through training and employment. This role will be working across two teams who work with clients who have mental health support needs, wanting to gain paid employment.

We are recruiting an Administrator for a new primary care Individual Placement and Support (IPS) employment service in the London Borough of Enfield. 

The Administrator will play a key role in the teams, supporting the team of employment workers as well as working alongside the Team Leads to ensure that records are kept up to date and data is easily accessible for reporting.

Experience of working in an employment team is not essential but you must be highly organised, have a problem-solving attitude and be willing to work with the other teams’ Administrators to develop joint systems and processes.

Good organisation skills are essential for this role, in addition to at least intermediate level knowledge and skills of office software including Outlook, Excel, Word and Power Bi. The successful candidate will need be able to communicate with a wide range of people.

We’re looking for a Gift Processing Administrator, to play a key role in the smooth processing of all donations received at our London office.

What does this role do?
As Gift Processing Administrator, you’ll:

• process all incoming donations, from uploading data to the supporter database and sending thank you letters, to assisting charity shops with the administration of Gift Aid,
• work closely with Gift Processing Officers on more complex work, such as problem payments or refunds,
• accurately capture supporter consent preferences, ensuring data is entered correctly and in line with regulatory requirements,
• support the Supporter Stewardship team with emails during busy periods.

This role is being offered as a fixed term, family cover contract until December 2026. Interviews for this role are provisionally scheduled for Friday 21st November 2025, and will take place on Teams.

To be successful in this role, you’ll need some administrative experience, with excellent IT skills and the ability to prioritise your workload and follow procedures effectively. Strong attention to detail is essential for this role, as accuracy and data integrity is critical. Role Description

Office Administration: 

• Work with the SLT to implement and maintain core policies and procedures. 

• Ensure compliance with health and safety regulations, including risk assessments, audits, certifications, and training (fire drills, first aid, evacuation procedures). 

• Liaise with tenants and landlords to uphold appropriate processes and procedures. 

• Manage data processing, GDPR compliance, and act as the organisation’s Data Protection Officer.

Facility Management:

We're looking for a IT Service Desk Administrator to join our Technology Team. In this role, you'll provide vital administrative support for our technology service desk, working closely with the Technology Support team to ensure a high level of service. You'll handle everything from issuing equipment to new starters and providing basic IT support to ensuring our meeting rooms are running smoothly. Hertfordshire Mind Network’s (HMN) Complex Needs and Community Services have rapidly expanded. The Mental Health Administrator will be a key member of the Complex Needs and Community services, providing effective administrative support to the team, ensuring accurate and effective policies, communication and procedures are in place.

Key responsibilities

• To support the Complex Needs and Community teams to process referrals and make 72-hour initial referral phone calls
• To be the first point of contact for HMN callers via telephone, email and in person – providing high quality service to every person

We are looking for an enthusiastic and driven individual who is keen to develop their HR career in the charity sector to join our HR Team. You will play a vital role in supporting the close-knit HR function by carrying out a range of generalist HR administrative duties, keeping our HR systems and records up to date, assisting with the day-to-day support throughout the employee life cycle and providing trusted HR support to staff and managers.

You may have some experience of HR administration (perhaps as part of a wider administrative role) and feel ready to move into a role with more responsibility. This is not essential – we are looking for skills, aptitude and potential. You will be provided with a thorough in-house training programme, and we’ll also provide you with support to complete the CIPD Level 3 qualification upon successful completion of your probationary period.

Eligibility for the role

In order to be eligible for the role, applicants must be able to demonstrate throughout their application that they have:

Temporary Donation Processing Assistant Location: London (1 day per week in central office)
Rate: £14.49 per hour

We are recruiting on behalf of a UK-based charity for a temporary Donation Processing Assistant to support their donation administration processes.

This role will primarily focus on managing donation cancellations and amendments, ensuring all changes are recorded accurately and efficiently. You will also support wider donation processing and administration to maintain accurate records and a seamless supporter experience.

Key Responsibilities

• Process donation cancellations and amendments accurately and within agreed timescales.
• Support the processing of Direct Debit and Recurring Card Payments, including data entry and imports into the CRM system.

Provide administrative and coordination support to the Family Wellbeing Service that support families across Surrey with wellbeing and mental health literacy as well as specific EBSNA and ND support. Work proactively, use their own initiative and work unsupported to achieve tasks. The administrator will provide administrative support to a service that is currently in development, with plans to grow over 4 years, with 8 practitioners as well as liaise with partner agencies and stakeholders to ensure the smooth running of this service

Responsibilities

• Using a variety of software packages, such as Microsoft Office suite, mail chimp, poll daddy and Survey Monkey
• Answering telephone and email queries from partner organisations, external agencies and parents/carers
• Contacting families via the telephone and email, that are referred to Eikon Family Wellbeing Service
• Production and creation of letters, correspondence, leaflets, newsletters and supporting the production of website content
• General administration work including filing, archiving, retrieving information and documents
• Provide, record and report the appropriate data to ensure support programmes can be accurately monitored and evaluated
• Set up and maintain excel spreadsheet that tracks and monitors status of all cases referred to the service
• Support the Service Delivery Manager in the maintenance and monitoring of the service tracker
• Create and maintain processes for receiving service feedback and monitoring and reporting service impact data
• Be responsible for entering Direct Referrals and Mindworks referrals on to organisation database along with any corresponding case allocation administration
• On-boarding of new referrals ensuring are contacted within the agreed contract guidelines.  Once initial calls are completed, to ensure these are moved to the correct service pathway
• Monitor the return of consent and registration forms
• Carry out administrative tasks associated with follow-up on all missed sessions, cancellations, queries and case closures
• Create, maintain and monitor a booking system for individual, group and online sessions and all corresponding tasks e.g. room booking, calendar updates and sending meeting links/information to recipients
• Create and support the monitoring of wait lists for the various services and subsequent case allocation to practitioners
• Carry out ‘check in’ communications with families on our waiting list and escalate any new concerns to appropriate staff
• Record all communications with families and professionals related to specific cases on Evide
• Create, maintain and monitor attendance lists for any groups
• Ensure all data and information is uploaded onto all relevant databases
• To organise the administration of all group work delivered by the Family Wellbeing team, in both schools and community settings
• To support Service Delivery Manager with the review of wait list and active cases with practitioners to ensure all sessions and meetings have been planned in and appropriate actions taken and recorded
• To support the Service Delivery Manager in identifying where administrative improvements and efficiencies can be made
• Support the Family Wellbeing team with administration relating to their work with CYPF record keeping
• Monitoring general phone calls and email enquiries, ensuring these get forward to the correct recipient
