Population Matters has reached an exciting point in its development and is looking for a part-time Supporter Services and Fundraising Database Coordinator to help with the smooth running of our growing organisation. This is a varied and interesting role in a small and friendly team, where everyone’s contribution matters. Reporting to the Head of Supporter Services, you will be responsible for maintaining accurate and up-to-date records in CiviCRM, our open source donor management system, to support Population Matter’s Fundraising Strategy, our stakeholder engagement activities and the donor journey.
About You
Population Matters works as a virtual team with no central office, so this role is home-based, with occasional (expenses paid) travel to London. You will be a self-starter - being able to work on your own initiative and virtually is a key part of this role. You will have previous experience of working with donor management/customer relationship databases and be able to work accurately to deadlines with minimal supervision. You will also be able to provide sound advice and reporting to senior management and staff, build effective working relationships with a range of stakeholders and be able to maintain confidentiality at all times.

Alongside this you’ll be issuing refunds and raising invoices, a sound understanding of basic financial systems would beneficial.
This role also works very closely with the Practical Support manager where you’ll be managing numerous enquiries. This would involve desk research, developing template responses for frequently asked questions and responding to enquiries via email and phone. You will also support the Practical Support Manager with the integration of Trusted Charity into NCVO’s broader practical support offer.
You’ll be liaising with both internal and external audiences ensuring we provide excellent customer service and responding to their varied needs. Your time management and organisational skills will be second to none with an eye for detail and the ambition to improve systems, work efficiently and meet agreed deadlines.

The Social Interest Group (SIG) is a leading UK based charity, providing bespoke person centred social and health care solutions. Utilising strength-based models of working, we specialise in rehabilitation and supporting people who have complex needs, empowering them to achieve their full potential. We deliver social and health care services through our subsidiary charities SIG Penrose, SIG Equinox and SIG Investments.
Project CATE (Community Action to Thrive & Enable) is a 12-month pilot service to provide a specialist outreach service in Bedfordshire to work with wider partners as part of the Conditional Caution Pathway. Its purpose is to help bridge the current gap in providing much needed access into current provisions and enabling engagement for a complex and extremely hard to reach group of vulnerable women and ensuring they remain engaged.
During this 12-month fixed term contract, the Specialist Women’s Support Coordinator (SWSC) will receive referrals from You Turn Futures and wider partners, to offer additional trauma-informed wraparound support coordination and all the expertise and specialist knowledge of SIG Penrose in supporting vulnerable women who:
- have a history of drug and/or alcohol misuse
- a history of offending or who are at risk of offending
- are at risk more widely from exploitation
Working with the Service Manager and Senior Management Team, you will support the implementation of this new pilot service, identifying potential issues and proposing solutions. You will adopt a strength-based, non-judgmental approach with the clients you support, whilst also being vigilant on identifying and managing risks, including safeguarding of vulnerable adults and children.
To be successful in this role, you will have proven experience of working with women in a residential or outreach setting and/or with women with multiple and complex needs. You will be passionate and motivated to help vulnerable people make positive and lasting changes to their lives and a belief that everyone can turn their life around regardless of past or present circumstances.
Key Responsibilities:
- Provide support to ensure that the pilot service is delivered in line with contractual requirements, and all contractual and legislative requirements are being met.
- Ensure that all Service Users have appropriate recovery and support plans completed in a timely fashion and are monitored and reviewed at regular intervals or as required
- Have a proactive approach to rehabilitation, resettlement, recovery and safeguarding practice and ensure the methodology of Psychologically Informed Environments is adhered to and implemented across the service.
- Support and encourage Service User Involvement and Engagement locally and at the wider organisational level initiatives.
- Provide support in the planning and maintaining the Service’s budget and report on budget variances including the use of service user’s engagement budget, and collection of outstanding invoices.
- Support the Service Manager in building and maintaining close links and good relationships with local community groups and representatives ensuring that the local partners have a good understanding of the purpose and working of the scheme.

Cromwell Road is a 54-bed hostel for adult men who are street homeless or at risk of becoming homeless. As a medium-high level service addressing a range of complex needs - including substance misuse and mental health - it supports customers with issues such as life skills, health, training and employment, developing their ability to maintain tenancy and live independently in the community. The hostel is staffed 24/7 and works in partnership with on-site alcohol and drug services.

You will work closely with the team leader, Contract Manager to ensure that the service delivers on all targets, both financial and those around the quality of the service.
Key Responsibilities:
- Lead and motivate team in maintenance of a positive local culture within CR service
- Deliver effective support & needs assessment of move-on plan and support the team to implement RBKC move-on protocol in the service.
- Responsible for managing external relationship of service with move-on officers at RBKC working in partnership to achieve the objective set in throughput contractual obligation.
- Ensure that all referrals in the service are prioritised following our local policy and procedures to fill the voids and reduce waiting times.
- Lead on weekly updates and support management to ensure frontline desk staffs are supported to carry out their roles effectively.
- Participate in and monitor the initial and continuous assessment of needs and ensure that support planning is carried out in line with assessed needs of the customer
- Carry out other administrative tasks as relevant to the service and directed by the Contract/Heads of Operations
- Lead on move-on viewing, support customers to attend viewing and tenancy sustainment for 1 month after move to set up their bills etc.
- Lead on activities in the service that improve independent living, support activity groups in the service, cooking group, art group, etc.
- Ensure Look Ahead Health and Safety policies are adhered to at all times and to uphold all health and safety responsibilities within relevant policies and local protocols
- Adhere to all the policies and procedures of Look Ahead Care, Support & Housing plus those specific to the project including any statutory requirements

YCF is a membership organisation and crucial to the success of the role will be the ability to support members with achieving their fundraising objectives.
The main area of responsibility is to work with YCF members on a one to one basis but will include supporting and promoting the development of larger partnership bids as and when required.
- Relationship management – You will foster and maintain good relationships with our members with a focus on developing an excellent understanding of their outputs, outcomes and fundraising objectives. This will include 1-2-1 interactions with current and prospective members, organising virtual meetups, and supporting the Chief Operating Officer with hosting member’s events.
- Training and development – Support members with accessing relevant training to improve their fundraising skills and capability. Support members with developing/enhancing their strategy by organising appropriate training to strengthen member’s knowledge and understanding of developing their organisation’s aims and objectives, vision and mission statement and theory of change
- Identifying opportunities – Further develop the YCF members database to include member’s strategic and fundraising objectives, so that this information can be used to identify and promote suitable funding opportunities
- Prospecting – Undertake prospect research into potential new funders & members from the wide range of trusts and foundations using internet, online databases, and other sources, prioritising as appropriate. To ensure ethical, best practice and compliant fundraising activities; stay up to speed with best practice within fundraising and the charity sector; identify areas of compliance, new areas of opportunity and innovation within the sector
- Supporting the development of bids – You will work alongside members to collate content for bids helping them to identify key information and structure responses in a clear and compelling way
- Measuring data - Use Salesforce to diligently record accurate data on members engagement, bid support, submission, and outcomes. This data will be included in YCF performance reports and annual review. Ensure that all data is gathered, held, and used in-line with relevant data protection regulations.
- Work alongside the Chief Operating Officer to communicate opportunities to members using YCF website, newsletter, social media and other sources of communication
- Work with the Chief Executive Officer to promote and support new partnership bids in line with YCF objectives and values
