Job Description – Projects Assistant
Salary: £25,000 per annum
Contract: Permanent
Reports to: Projects & Research Manager
Hours: Full time (40 hours per week including one hour lunch break each day)
Start date: 1st June 2024 approx
Location: Home-based (travel costs paid for meetings)
Annual leave: 27 days FTE per annum plus Bank holidays (22 days FTE per annum whilst the 4 day week is in place)
Please note that at Waterwise we work a Four Day Week, under voluntary agreements which all staff members sign. This means that you will be contracted and paid as full-time but you will sign a voluntary agreement stating that you commit to employing efficiency tools both individual and team-wide to deliver and be paid for 5 days work within four normal 9 to 5 days - the office is closed on Fridays. Training will be provided and you will be expected to continue to refresh your training and to keep up use of the efficiency tools. Annual leave is also pro rata’d. Projects Assistant role description
The role involves identifying relevant project and research opportunities; assisting with developing winning bids and delivering successful projects. Examples of recent projects include developing a water scarcity index for BSi and creating an evaluation framework for water saving campaigns. You will report to a Projects Manager and be joining a small but growing sub-team winning and delivering water efficiency research projects. For example, part of your role will be to support the delivery of an existing Ofwat Innovation Funded Water Literacy project which is developing a new training and accreditation offering on water.
Key responsibilities in the role include:

Working with others to identify opportunities for Waterwise to undertake relevant research project work

Supporting the drafting of bids and proposals

Getting involved in the delivery of a range of water efficiency projects often from project inception to dissemination of the findings

Working with the wider team to develop and deliver water efficiency training

Working with the wider team to assist in the development of content for social media, blogs, trade media and press

Your role
As Assistant Shop Manager at Scope's Torquay shop, you’ll work alongside the Shop Manager, and use your creativity and flair to flourish in our retail environment. You will be able to use your creativity and flair to flourish in our retail environment. Our retail roles are full of variety, and every day is different! One day you might be be generating and processing stock and designing an eye-catching window display. The next day you might be recruiting and training our wonderful volunteers. Every day there will be a different challenge that you’ll find extremely rewarding. You may also deputise and be responsible for running the shop when the shop manager is absent. A great attitude and willingness to learn are just as important as relevant experience.
About you
You’ll be a dedicated team player with a strong work ethic and committed to providing excellent customer service. You do not need specific retail experience. But we do ask that you are business minded and have worked in a fast paced, service environment where you put the customer’s needs first. Role purpose:
The role of the People Assistant will be to provide administrative support to the People Team. You will contribute to the efficient running of the department and assist in the delivery of a supportive, employee-oriented organisational culture that emphasises quality, continuous improvement, and high performance.
This is a busy generalist HR role and will give you a broad experience to many different elements of HR practice including recruitment, onboarding and induction, metrics and analytics, EDI, safeguarding, and wellbeing, within the humanitarian sector.
Who are we looking for?
We are seeking a motivated and enthusiastic individual who is looking to start or develop their HR career. You will be a people person, committed to delivering excellent customer service who is able to work and communicate well with different individuals and teams, both internal and external to ShelterBox.
As the first point of contact for the HR Team the ability to manage different tasks and priorities simultaneously and have excellent attention to detail will be key.
This role will help generate and collate monthly and quarterly people metrics so excellent IT skills (particularly Microsoft Office and database reporting) are essential. As a member of the HR Team, you will be handling a wide range of data, including sensitive and personal information, as such you will work with discretion and adhere to confidentiality.
Achievement of, or study toward, your CIPD Level 3 is preferable but is not essential. Knowledge of basic employment law and HR practices would be advantageous for the role.
Main role and responsibilities
This role will primarily provide administrative support for the day-to-day running of the HR Team as well as supporting ongoing strategic work projects of the People Team. This role will also help support the diary management for the Director of People.

We currently have an exciting opportunity for an enthusiastic individual to join our team as a Neutering Finance Assistant. You will join us working 35 hours per week, on a 6 month fixed-term contract. You will be based at our National Cat Centre in Chelwood Gate, East Sussex with the opportunity to work from home a few days a week. One of the Charity's main objectives is to support neutering. In 2020 we helped 109,000 cats with vouchers for neutering. The neutering finance team record accurate information through our neutering schemes that supports the wider Cats Protection aims and objectives. They develop good working relationships with Veterinary practices and payments are made on a timely basis. They are a team of six, working closely together to help and support each other and the wider Finance department.
Responsibilities of our Neutering Finance Assistant:
As a Neutering Finance Assistant, you will work accurately and diligently processing neutering vouchers and related invoices on a daily basis, checking data entered and responding to vets in relation to query files. Accuracy and attention to detail are essential for this role. You will assist in the checking of neutering statements, ensuring payments have been processed and vet payment details are up to date. You will handle appropriately all telephone, email and written enquiries regarding Neutering Vouchers from other departments, vets and branches, interrogating the system to answer queries and producing reports for vets. Developing knowledge on voucher campaigns, cat neutering and the aims and objectives of Cats Protection to support vets and branches.
What we’re looking for in our Neutering Finance Assistant:
- Strong knowledge and experience of working within an office environment – ideally within a finance team
- Ability to process data accurately and quickly – a keen eye for detail is a must
- Experience of using Microsoft Excel & Outlook to an intermediate level, this is essential as the role is heavily data entry based
- Experience of working in an accounts receivable or accounts payable department – desirable
- Experience of using accounting software/systems or a similar type of database desirable but not essential
- Experience of developing good customer service

The planetary science education assistant will support the work of the wider UKSA project team and Education department to engage and educate new audiences about planetary geoscience and help to reverse the decline in university students taking on geoscience degrees. The assistant may also help to maintain day-to-day activities of the Education department, such as keeping in touch with school contacts, monitoring communication channels, and maintaining educational resources.
Responsibilities
- Lead on the investigation of current educational resources focused on planetary geoscience & space exploration, reporting gaps at different levels across the different subject areas where required. Identify opportunities for new, curriculum-linked resource provision.
- Work alongside the UKSA project team to interrogate the range of career opportunities available within planetary geoscience and space exploration, at various levels.
- Lead on the development of educational & careers resources focused on planetary geoscience and space exploration, supported by the wider USKA project team.
- This will include tactile handling boxes with meteorites, analogue materials, and 3D printed asteroid models and impact craters, as well as paper-based and digital resources.
- Provide administration for the UKSA project team, preparing meeting agendas and taking minutes, along with quarterly reporting on progress against agreed objectives.
- Work with the UKSA project team and external stakeholders to manage relationships and deliver collaborative projects where required.

Providing administrative assistance to all members of the Space service and Community Team.

At Community Impact Bucks, we are passionate about helping people to get involved and make a difference in their communities.

We support hundreds of communities and causes across Buckinghamshire by helping charities and voluntary groups to be the best they can be – perhaps by helping them find funding, run their organisation or find volunteers.

By helping local residents to find volunteering roles, we support people who want to give back to their communities while at the same time help local charities to find the volunteers they may need to support vital services.

And through our community services, we help to build strong, resilient communities and directly help people – the elderly, vulnerable and socially isolated – where we see an unmet need.
About you
Enthusiastic, committed and customer focused; you will be an experienced administrator with a flexible approach, and relish variety in your work.
You will like connecting with different people whether that be individuals, volunteers or those working with charities and community groups. As one our first points of contact for Community Impact Bucks you will be able to demonstrate a respectful, inclusive and non-judgmental approach.
Key responsibilities
Key tasks include:

Provide administrative support across digital platforms to the VCSE and Community Development team.

Provide first point of contact for enquiries and referrals to our projects and services, including the Volunteer Matching Service, Transport Hub and our Handy Helper Service.

Recording and collating monitoring information – using SurveyMonkey and other tools.

Providing comprehensive support with our database (Salesforce).

Creating/editing reports, presentations, online forms, leaflets, newsletters and other materials.
Key requirements

Experience of administrative support and customer service
-
A multi-tasker who is able to prioritise tasks, plan ahead, be resourceful and use own initiative.

Able to communicate effectively and with people from a variety of backgrounds in writing and face to face.
-
Respectful of confidentiality, with a high level of emotional intelligence.
-
Excellent attention to detail and accuracy.
-
Competent user of Microsoft Office Word, Excel, PowerPoint, Teams, and Outlook.
-
Knowledge of software such as SharePoint, Eventbrite, Survey Monkey, Zoom and Slido or have a willingness to learn.

Confident working with data and creating spreadsheets and graphs.
-
Able to work outside normal office hours on occasion.
