Reports to: Senior Programme Support Manager

Salary Banding: A1 – A3 (£23,924 - £25,010)

The Programme Support Assistant will be based in the Programme Support Team in London and will provide the highest standards of administrative support to a team of Programme Officers. We are looking for a responsible and professional individual to perform a variety of administrative and clerical tasks. Duties of the Programme Support Assistant will include providing support to our manager and officers, assisting in daily needs of the programme support team and responding to the needs of Internews’ project teams.

The role will report to the Senior Programme Support Manager and will work in close collaboration with the team of Programe Officers, Country offices, and other HQ departments as required. S/he will contribute to the improvement of Internews systems. S/he will contribute to the overall operations effectiveness. The role may involve travel to the projects’ locations from time to time.

Administrative duties:

· Book travel with Internews’ travel provider, coordinate approvals, submit payment requests;

· Plan and schedule meetings, presentations, and other office related events as required by the Programme Support Team;

· Monitor and maintain assets inventories for projects as required by Programme Officers;

· Participate in calls with project directors and Programme Officers when required;

· Provide administrative support to the Programme Support Team when required, such as filing, typing, copying, binding, scanning, and other clerical duties.

Financial duties:

· Check and submit for payments staff’s and consultants’ expense reimbursement claims;

· Check invoices for services from Internews’s suppliers, provide coding and solicit approvals;

· Prepare, submit and follow-up on payment requests from field offices, sub-grantees and suppliers. Liaise with colleagues at finance should there be issues with payments;

· File and archive project documentation at the HQ;

· Monitor balances on teams’ cash accounts (B4B), and process top-ups;

· Other duties as required by the Programme Support Team.


Qualifications, Experience and Personal attributes

At least one year of experience in the capacity of an administrative assistant or similar - Essential

Experience working in the non-for-profit sector, either at HQ or in a field office - Desirable

Understanding project management cycle in the non-for-profit context - Desirable

Have the technological skills necessary to perform data entry, manage team calendars, and create documents in MS Office (Excel, Word, PowerPoint, Outlook) - Essential

Effective communicator: Ability to handle incoming correspondence from field offices, suppliers, or partners in a timely and professional manner. Have a friendly and positive attitude when interacting with customers, guests, and other employees. - Essential

Organisational skills: experience in organising team schedules, events, and files with a system that makes sense for everyone. - Essential

Time Management: have good time management. Ability to accurately plan your tasks and the time they will take. - Essential

Attention to detail: Ability to handle sensitive client or partner communications. Need to be detail-oriented to catch potential typos and grammatical or arithmetical errors in payment requests, inventories, travel bookings, etc. - Essential

Problem solver: Have to be able to handle difficult situations. Solving minor problems without taking them to line-manager. - Essential

Can do attitude - Essential

Other languages are always an advantage at Internews - Desirable
