2. Purpose of the Role
We are looking for a full time (37.5hrs per week) Executive and Office Assistant to support the Finance and Resources team at Chance to Shine. The Finance and Resources team provide day to day support to all departments in the charity and trading subsidiary, Chance to Shine Enterprises Ltd, around finance, office, governance, HR and general administration. The role is expected to be largely in person in our central London office.
3. Key Responsibilities
The Executive and Office Assistant’s responsibilities are in three areas:
Office Administration:
· Act as ‘front of house’ for visitors and guests and be first point of contact for telephone enquiries and ensure the office space is fully operational.
· Monitor the charity inbox and respond to general enquiries.
· Oversee and monitor the Office and Administration budget.
· Liaise with the office landlord, regarding the general office space, car-parking, meeting rooms and staff access.
· Help manage offsite storage space.
· Administer IT support processes, first point of contact for IT support issues and managing IT supplier contracts; and administering staff IT requirements.
· Maintain up to date shared document area on sharepoint.
· Act as Health and Safety Officer responsible for all Health and Safety matters, and attend training as necessary.
Executive Support
· Support the CEO and Senior Management Team (SMT) on organising and following up internal meetings, Board meetings and company wide initiatives.
· Provide governance support to the CEO, Director of Finance and Resources and Trustees.
· Take the minutes/key actions of Board and Committee meetings.
· Support on the onboarding and induction of new Trustees.
· Maintain Trustees’ register of interest.
· Deliver ad hoc administrative support for the CEO and Finance & Resources Department.
· Ad hoc support at Chance to Shine events, such as fundraisers, media events and competitions.
HR Support
· Administrative support to the HR Manager for HR processes, including drafting letters, maintaining employee records and recruitment processes.
· Support the induction of new employees to CTS.
· Support the HR Manager with administering staff benefits, organisational training and annual appraisal process.

These are generally young people from lower socio-economic backgrounds who move into highly competitive universities, courses and careers. The alumni community has grown rapidly over the past 3 years and now expects around 6-7000 new alumni to join each September. Engagement covers supporting their transition to university and into the workplace through communications, events and programmes. It also spans alumni volunteering, our Alumni Leadership Board, and working with our Development team towards alumni giving.
The role is dynamic and diverse, requiring you to be able to think strategically whilst devising and delivering on operational delivery plans, and we are looking for a confident and experienced team leader during a period of maternity leave.
This role is part of the Programmes Leadership Team and will work closely with the Director of Programmes, Head of Employability Programmes and Head of University Access & Digital on shaping the strategic direction of the team and its programmatic work. Main duties

Person Specification

Terms of Appointment

- Contract: 13-month Fixed-term Maternity cover contract starting November 2025. Our ideal dates are from 1 November 2025 – 30 November 2026, however we can be flexible if needed for the right candidate.

The Role
Work with the Head of Mass Fundraising to develop the community and events portfolio, including the development of new products.
Identify and cultivate relationships in the local community to generate new income from audiences including schools, community groups, local corporates, and mid-high value individual fundraisers.
Line manage, motivate and develop the Mass Fundraising Officer.
Continually develop community and events supporter journeys to give our fundraisers a memorable and meaningful experience and encourage repeat fundraising.
The Candidate
Strong experience in delivering and growing income from community and/or challenge events programmes, including supporting in memory fundraisers.
Experience leading individuals and/or teams, motivating them to achieve goals and perform at their best.
Experience delivering outstanding supporter care and building excellent relationships with supporters to maximise giving.
Experience creating and/or delivering successful annual mass fundraising products.

Job Purpose
To manage and develop the home from hospital settle service in the hospitals that you are responsible for, to support timely and successful patient discharges from hospital and prevent re-admissions. You will work in collaboration with hospital teams and community teams to lead and manage your team to support the smooth transition from hospital to home for service users. The service works with people for time limited support (usually up to 6 weeks) to adjust and settle back in their homes, and to prevent readmission into hospital.
Key Tasks
- Work in partnership with the hospitals and other health and social care professionals to coordinate safe and timely discharges for referred clients. This involves attending meetings with hospital personnel including Discharge Co-ordinators and Ward Managers to discuss discharges and plan who and how individuals will be supported as appropriate.
- Manage a team working across two hospitals and ensuring the service is available between the contracted hours.
- Work collaboratively with other agencies providing support services.
- Conduct initial assessments of people referred to the services as necessary.
- Plan and develop person centred interventions to provide short term support for people after hospital discharge.
- Work with GPs as appropriate in identifying and supporting patients to reduce unnecessary hospital admissions.
- Work with people with a range of needs, dealing with issues ranging from social isolation and keeping people engaged in their community, to preventing unnecessary admission to hospital.
- Support the hospitals with delayed transfer of care (DTOC).
- Coordinate and monitor the caseload of referrals allocated to team members to ensure a fair and manageable distribution of work.
