Administration and Systems Manager 

£35k p.a. 

Location: initially remote working but to be hybrid based in W/NW/SW London.

We are looking for an experienced Administration and Systems Manager to join our enthusiastic and friendly Operations team. Help Counselling is a small Mental Health charity providing one-to-one counselling, both in person and online to adults over 18.  We are also a well-established clinical training placement provider for trainee counsellors and psychotherapists studying with prestigious training organisations in London.

About Help

Help Counselling is well-established Mental Health Charity with a heritage of over 50 years. We provide training placements for clinical supervisors, counsellors and psychotherapists who need to gain clinical experience to qualify (or further qualify) and be registered with one of the industry professional bodies such as, BACP or UKCP. For ethical reasons, the work trainee counsellors / psychotherapists do is unpaid, i.e., they must volunteer their time.

This volunteer model enables Help to fulfil its charitable aim of providing low-cost counselling services. It can take between 3-5 years to qualify, and our training placements are for minimum of 12 months meaning we can also provide clients with long-term help. Having consistence and continuity plays a pivotal role in building a safe, therapeutic, and trusting alliance between the counsellor and client. 

The blend of low-cost and long-term talking therapy is much needed in a time of increasing demand for mental health support and increasing complexity of presenting issues.

About the job

The purpose of this role is to manage the daily administrative operations and a small administration team of 2 people. The objective being to ensure that we meet our monthly targets, are compliant with the requirements of BACP, run efficiently and deal with exceptions in a timely, ethical, and effective manner.

Currently our client volumes are between 250-350, we have approximately 90 counsellors and clinical team of approximately 20. 

We operate a number of cloud-based IT systems and have outsourced HR and Finance functions.

Key responsibilities

Team management
Directing the team to make sure work is scheduled, fully completed and managed efficiently.

Line managing and coaching team members to achieve their objectives and develop their skills, confidence and abilities. 
Systems management.

Managing the impacts and interactions between processes and systems which can be complex and far reaching. 

Monitoring and ensuring all systems used are accurate and up to date, performing, interpreting and following up on system audits.  
Information review, reporting and continuous improvement.

Create, review and report on operational data and use this information to solve potential problems or strengthen business performance. 

Evaluate processes and policies, look for and make improvements as necessary. Ensure that processes and policies are easy to understand and up to date. 

Stakeholder management

Provide a point of escalation and decision-making for queries arising from clients, counsellors, supervisors, training organisations and other stakeholders.

Quality of service 

Ensure all queries and contacts are dealt with professionally, accurately and promptly. 

Manage all aspects of the administrative tasks and process required.

The Candidate

Education & experience: 5-6 years’ administrative, operations, customer service and supervisory experience, ideally within the charity or not-for-profit sector.  

Skills:

· Ability to analyse information and develop practical solutions.
Planning, critical thinking, problem solving, and task and time management skills.

· Interpersonal, line management, coaching, and verbal and written communication skills.

· Technical expert on MS Office suite and hands-on experience of CRM and / or clinical management system.

· Knowledge / experience of JotForm (Powerforms or equivalent), Stripe and DocuSign will be advantageous.

The Role

This role will be responsible for researching and applying to small Trusts and managing an existing portfolio (up to 10K) alongside supporting larger grant applications where required. You will create and maintain a prospect list, apply for relevant opportunities and effectively steward existing funders, preparing reports and updates ensuring they meet donor guidelines. Furthermore you will support the migration of our CRM from Raisers Edge to Microsoft Dynamics.

The person

You will have Trust fundraising experience with excellent research and writing skills with ability to identify new Trusts to apply to, prepare accurate and compelling donor reports and case studies and be confident in approaching donors and promoting the work of Whizz-Kidz.  You will have strong donor stewardship skills with ability to tailor approaches to the needs of the donor. You will also have strong time management skills with ability to manage and prioritise your workload and ideally experience of using a CRM for Trust Fundraising.

About us at the NCT

A lot of people know NCT for our antenatal classes, and we want to continue to support as many parents and families as we can to access evidence-based information. But we are also much more than this. We are a charity that campaigns on the issues that matter to parents. We run breastfeeding and infant feeding support, provided by specialist counsellors. We run thousands of free community activities and events across the UK, led by our fantastic volunteers and peers. And we support women and families facing specific challenges, such as social isolation, feeding difficulties or poor mental health.

Our Hackney Parent Support project is commissioned by Hackney Council, to offer infant feeding support across the region in both community and hospital settings and parenting courses for families throughout the Hackney region. The support is delivered by staff and volunteer peer supporters.

We are seeking a capable NCT Perinatal Service Delivery Manager who is passionate about supporting parents and infant feeding to lead on this project.  This role is home-based but will include travel across the Hackney region (expenses will be reimbursed).

About the role

You will be responsible for managing the parent support project in its entirety across the region. Some of the key responsibilities of the role include:

• Leading on perinatal peer support across the region.
• Managing the project staff team.
• Having a good working knowledge and understanding of the local demographics in the Hackney area and ensuring all services are accessible and inclusive.
• Engaging with communities through networking with other local organisations.
• Report progress on project status, timelines and delivery against key performance indicators.
• Participate in local perinatal networking/task and finish projects, so that the programme is an integral part of the local perinatal and infant feeding provision landscape, and is able to advocate for and chaperone perinatal service users at a strategic level, raising the profile of NCT’s perinatal offer locally and nationally.

You must have good communication skills and be able to build relationships and create a rapport with a wide range of people easily. This is a large project and covers multiple locations so you must be able to confidently prioritise your own work, be highly organised and able to work independently.

Being able to make decisions and respond appropriately to our commissioners, staff, peer supporters and parents and other external stakeholders is essential, alongside good IT skills– including Outlook, Word and Excel – and you must have good attention to detail.
 
It is essential for this post that you undertake the training to become an NCT Breastfeeding Peer Supporter. This requires breastfeeding experience of at least 3 months. The training can be undertaken within your working hours. There will also be training on the EPEC (Empowering Parents, Empowering Communities course) provided by South London and Maudsley NHS Foundation Trust.

The role is 28-35 hours per week which will be predominantly Monday to Friday within the working day, however, will include occasional evening and weekends. This is a home-based role, however travel across Hackney will be required.

Women’s Aid is the national charity working to end domestic abuse against women and children. Purpose of the Project Manager role:   

As Project Manager, the successful candidate will play an integral role in working across the organisation to ensure that sound project management principles are being used in all aspects of our work. You will support the Head of Strategic Programmes to effectively schedule and monitor the projects, programmes and core business activity across the organisation, in line with our key strategic goals.

• Full scale project management of key strategic projects across a project’s full life cycle, to deliver within scope, on time, on budget, and within quality commitments. • Assessing and recommending to the senior leadership team the viability and suitability of new proposed projects. 

• Continually ensuring project specific risks are identified, assessed and mitigated, and escalating to senior managers as appropriate.

• Monitoring and managing interdependencies between projects across the organisation, and ensuring that projects are delivered in line with Women’s Aid’s strategic objectives. 

• Building professional and functional working relationships with key stakeholders, across all levels, to ensure optimum information flow and understanding of key business areas.

What we are looking for in our Project Manager: 

Essential: 

• Substantial (5+ years) proven experience in project planning and execution, monitoring and reporting, and achievement of objectives. 

• Experience managing large (£50k+) and complex (e.g. cross-cutting multiple teams/functions) budgets. 

• Ability to work at pace and deliver to deadlines, prioritising work depending on organisational need.

• Ability to interpret top-line briefs and turn these into practical action.

• Ability to identify and manage project-based risks and issues, identify key decision points and define options for decision-makers. 

• Ability to work on own initiative to meet objectives in a complex, changing environment 

• Excellent verbal and written communication skills, including facilitation and presenting to a wide range of audiences 

• Knowledge of a variety of project management principles and frameworks.

• The Major Giving Manager role is part of an ambitious and forward-thinking Fundraising & Communications team and you will play a major role in shaping and developing our Major Giving programme.

About You

About You

As our Philanthropy Manager (Trusts) you will play a pivotal role in cultivating, nurturing, and growing relationships with Trusts and Foundations. This role involves working collaboratively across Save the Children teams to develop compelling proposals, secure support, and create sustainable partnerships.

You will also be responsible for independently providing expert stewardship and management of a portfolio of donors as well as actively driving new business creating and securing partnerships that create lasting impact for children.

In this role, you will:

• Independently managing a portfolio of existing and new donors through a variety of personalised and creative approaches ensuring excellent stewardship and translating into increased income for Save the Children 
• Actively driving new business, working closely with key members of Save the Children's programming teams, the Trusts & Foundations Lead and other colleagues to identify and assess new prospects and to identify the most appropriate and impactful proposition to secure partnerships that create impact for children. 
• Developing networks amongst donors and prospects to promote Save the Children's work and grow opportunities for philanthropic gifts. 
• Working cross-departmentally to produce high quality written proposals, bids, concept notes and applications for donors.
• Working in collaboration with other colleagues to identify, design and execute new engagement events, opportunities, and products for potential and existing donors.

To be successful, it is important that you have:

• Experience of working in a fundraising environment or similar experience where comparable skills can be used to work with potential high-level funders and supporters.
• Excellent interpersonal skills with an ability to build relationships with, engage and influence a wide range of donors, and stakeholders (internal and external)
• Independent worker with the ability to plan, prioritise and manage a varied workload to meet deadlines, and pro-actively identify and pursue new opportunities.
• Project or partnership management skills including reporting, budgeting, meeting deadlines and working across multiple teams. 
• Problem solving skills and a flexible, creative and positive approach.

This permanent role pays a salary of £35,000 to £40,000 depending on experience. This is a hybrid role in London.

The Trusts Fundraising Manager will be proactive in identifying and developing new and existing relationships with trusts, foundations and statutory bodies in order to generate income and work within the fundraising team to reach agreed income targets.  You will develop and manage a realistic weighted pipeline of trusts and foundations income including the development of new multi-year and growth fund opportunities.

The ideal candidate will have good knowledge of Trusts & Foundations funding, timescales and reporting requirements. You will have demonstrable experience of securing multi-year funding at the six-figure level.
