Fundraising Assistant

Contract: Permanent, part-time (21 hours per week)

Salary: £25,000 - £27,000 pro rata (commensurate with experience)

Location: Battersea, London.

This is a part-time post, 21 hours per week to be worked on Monday, Tuesday and Wednesday. Hybrid working available, with a requirement to be in the Battersea office 1 to 2 days per week.

BookTrust is the UK's largest children's reading charity. Working as a member of the Mass Engagement team, you will be part of the team tasked with growing individual giving income.  We are increasing the range of new donor audiences, expanding the range of fundraising channels and developing new fundraising products.

We are looking for an organised and motivated individual, who has excellent communication skills, an eye for detail and the ability to build relationships with people by email, on the telephone and in person.

You’ll be responsible for responding to fundraising enquiries across multiple channels including phone, email, and print, thanking supporters, collating campaign results and providing an exceptional experience to our supporters. You will ensure that all donor details are accurate and kept up to date on our CRM (Microsoft Dynamics).

Purpose of the role:

Croydon Health & Wellbeing Space (CHWS) is an exciting and dynamic service, run in partnership with Mind in Croydon and Croydon BME Forum and commissioned by South London and Maudsley Mental Health Service (SLaM). The CHWS opened in 2022 with the aim of providing advice, information, and specialist support to Croydon residents with mental health concerns, who drop-in, or have been referred to the via the local Integrated Care Network Plus multi-disciplinary clinical and community mental health support teams.

The Advice Worker will be part of a friendly team, including support workers, crisis workers and clinical mental health professionals and function as the first point of access for visitors to the CHWS. Following an initial conversation to ascertain the clients’ needs, the Advice Worker will provide information and advice, as well as signposting and referrals to specialist services, such as the Mental Health Personal Independence Co-ordinators, Social Prescribers and Community Link Workers, in addition to the wider voluntary and statutory services in the borough. The role will be fast paced and vary each day offering a fantastic opportunity for the postholder to develop their knowledge and skills and make a difference to the users of this service.

Job purpose

This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. You’ll also provide diary management support to the Chief Executive and carry out a varied range of administrative tasks – from arranging team meetings to organising the charity’s award and grant-giving programmes.

Responsibilities

Governance and executive support

• Provide administrative support to the Chief Executive Officer, including proof reading and formatting documents, diary management, coordinating meetings and production of agendas and minutes
• Take minutes for trustee board and committee meetings, and any other meetings as requested by the Chief Executive Officer
• Organise in-person and virtual trustees meeting as well as other governance meetings as required
• Work with the trustees, Chief Executive Officer, RCVS finance team and legal advisors, ensuring legal returns and RCVS Knowledge governing documents are in order and submitted in good time to Companies House and the Charity Commission
• Maintain declaration of interest documentation and ensure that governance and compliance-related records are up-to-date
• Own the charity’s policy register, ensuring all policies are reviewed regularly and are up to date
• Carry out finance administration for the Senior Team as required, including purchasing items, collating receipts, assigning budget codes, and processing expense claims for trustees
• Provide administrative support around donations and gifts-in-will

Project support

• Organise RCVS Knowledge awards (Plowright Prize, Quality Improvement Awards, Antimicrobial Stewardship Awards, etc.), including liaising with award panels, processing applications, and administration around the review and identification of award winners

General administration

• Act as the first point of contact for RCVS Knowledge, monitoring generic inboxes and taking phone calls as required

About the role

As Facilities & Governance Coordinator you will act as a first point of contact in our London office, and work in collaboration with the Governance team across their full range of activities, and consult regularly with the rest of the organisation, Trustees and Members. You will be responsible for coordinating meetings and services across the Institute and providing effective and efficient administrative support across the team.

Key responsibilities will include:

• Providing a professional and welcoming service to all internal and external visitors to the office.
• Managing all office signage (to include door and reception screens), ensuring these are accurate and up to date at all times.
• Managing diaries for all office meeting rooms, co-ordinating necessary arrangements for internal and external meetings, to ensure efficient and appropriate use of the meeting space available in line with office guidelines.
• Maintaining day-to-day contact with Building Management, reporting any issues as required and overseeing their resolution.
• Providing ongoing day-to-day management of all office suppliers and service contracts, including but not limited to preferred suppliers for facilities maintenance. Ensuring strong relationships are maintained and the performance of all suppliers is to an acceptable level, escalating issues where appropriate.
• Provide administration support for the Governance team including but not limited to making and communicating all necessary travel and accommodations arrangements, preparing meeting packs and dissemination as required and supporting all meeting set-up requirements e.g. technology, room set up and refreshments.
• Acting as the main point of contact for CMYA applicants once in the judging process, coordinating their application from entry through to completion of the interview process, ensuring a consistent, high-quality experience is delivered throughout.
• Being a first aider and fire Marshall for the Office.
• Taking day-to-day responsibility for the health and safety procedures for the London office.

The ideal candidate will have/ be:

• Excellent communication skills
• Strong organisation skills with the ability to remain calm under pressure, manage a busy workload and prioritise accordingly.

I am excited to be working with a fantastic support charity in search of an Office Assistant. This is a London based temporary opportunity for around two months.  As Office Assistant you will play a key role within the Facilities team assisting the Facilities Manager.

Main duties:

Responsible for the front desk and reception areas, ensuring all employees and guests receive a warm welcome at the London office.

Work efficiently in responding to all external enquiries into the general email address and via the telephone so that the charity can respond to all queries in a timely manner.

Responsible for coordinating all meeting room bookings and ensuring all spaces are appropriately set up for each meeting.  Respond to all office facilities queries and travel requests in a timely and proactive manner.

Assist the Facilities Manager in providing a safe working environment for all employees, visitors and guests.

Act as the first point of call within the Facilities team to escalate any interruption to services to the Facilities Manager and service supplier where appropriate.

• Develop, implement and maintain a new brand for Parentkind
• Create best-in-class design of print and digital assets, including magazines, guides, videos, website, campaign and social media assets
• Collaborate with internal and external stakeholders providing creative and innovative design support for Parentkind projects 

Duties and key responsibilities:

Under the guidance of the Lead Designer at Parentkind

1.Design:

• Champion the Parentkind brand across all designed assets and activities to ensure brand integrity and consistency
• Design assets which will include but are not limited to; print and digital magazines, guides, social assets, email designs, web assets, video content and PowerPoint templates
• Contribute creatively to large campaigns and activities ensuring that we are delivering best in-class and impactful design, that effectively represents and promotes our vision
• Conduct thorough quality checks on deliverables to ensure accuracy

2.Project management:

• Lead on the delivery of design activity such as guides, social and email campaigns, ensuring that design work is delivered to time and allows for revisions, sign-off and launch deadlines
• Manage multiple projects simultaneously and prioritise effectively
• Assist in managing and organising design assets, including image libraries, templates and project files

3.Collaboration:

• Work with the lead designer at Parentkind to support on projects, refine design outputs and deliver work within the Parentkind brand and to deadlines
• Work collaboratively with internal and external stakeholders to ensure that design work meets the objectives of the relevant projects and is done so within the Parentkind brand

4.Continuous learning:

• Work with others across the organisation as well as independently to understand our key audiences so that the work delivered is audience-focussed
• Stay informed of the latest design trends, technologies and best practises so that Parentkind’s work is forward-thinking and impactful
