Key Responsibilities

• Delivering a seamless onboarding experience, handling queries and providing a warm welcome to new volunteers.
• Supporting and training colleagues on volunteering systems and processes.
• Managing our safeguarding and DBS processes for volunteers to keep young people safe.
• Using our Volunteer Management System (Assemble), ensuring communications are logged and accurate reports are available for monitoring and KPIs.
• Creating and maintaining clear documentation, process and guidance documents so colleagues and volunteers have everything they need at their fingertips.
• Recognising volunteer contributions by coordinating our volunteer rewards and recognition activities.
• Writing inspiring news articles and email communications updates on our Volunteering platform.
• Championing the volunteer journey and actively contributing to team goals that ensure volunteers have a positive and consistent experience.

A few practical things:

• This role is hybrid, involving a mixture of working from home and from our Central London office.
• There will be some limited additional requirements to travel for meetings and occasional expectations to work outside of office hours, such as our annual in person Staff Conference and quarterly evening ‘get togethers’ online with volunteers.
• This role is the equivalent of 3 days per week, however we are flexible to accommodate the regular working hours that work for you, between 9am-5.30pm Monday to Friday.
• Giving our volunteers the best possible experience involves really understanding what they do- so you will be actively encouraged to get stuck in and ‘volunteer’ yourself within our programmes and alongside our volunteers.

Our charity

ACCT UK is a national youth charity dedicated to improving the life chances of young people. The Combined Cadet Force Association (CCFA) is a charity dedicated to the promotion of the ideals and activities of the Combined Cadet Force in schools. This post will work across Wales as part of the Cruse Bereavement Support Cymru team and will work alongside four other regional administrators to ensure the smooth running of administration across Wales for adults.This post will be responsible for communicating with bereaved clients and volunteers and carrying out assessments and speaking to bereaved clients each day. We are looking for someone with empathy, experience in therapeutic work, exceptional client service as well as the character and strength to work within the field of bereavement. This role will require travel for meetings in North Wales.

Introduction to Croydon Refugee Day Centre

The Croydon Refugee Day Centre (CRDC) is a small, primarily volunteer-led organisation, with a 4-person staff team and 70 dedicated volunteers.

Our mission is to work together with asylum seekers, refugees and other stakeholders to create a welcoming, responsive & sustainable community at Croydon Refugee Day Centre, where people seeking sanctuary are respected as equals, can regain some control of their lives and build towards a future in the UK.Bottom of Form  Last year, we supported over 1600 people.

Over the past few years, the number of asylum seekers and refugees in Croydon has increased dramatically, and CRDC is increasing its services and staffing to meet the new level of need.

Job Role

Title: Administrator

Contract: One year fixed -term contract (role may be extended dependent on funding)

Salary: £29,680 FTE (pro rata to 3 days/22.5 hours per week - £17,808 absolute salary)

Reporting to: Operational and Volunteer Coordinator

Place of Work: Croydon Refugee Day Centre, West Croydon Baptist Church, Whitehorse Road, Croydon, CR0                                              2JH, with some home-working. Pattern & place of work to be agreed with Line Manager.

 Purpose: To provide high quality administrative support to the Croydon Refugee Day Centre.

Job Description

As Administrator for the Croydon Refugee Day Centre, you will be a crucial part of our small staff team, working across, maintaining and developing all our administrative systems. Your core responsibilities will be as follows:

• To manage the central administrative systems, processes and procedures of CRDC across different platforms, including Google Drive and Microsoft Teams, plus subscriptions to other services (e.g. web hosting)
• To manage our CRM Access Database of community members, including weekly data entry and management of accompanying paper records; plus annual updates and assisting with extraction of statistics for grant reports and trustee meetings.
• To manage administrative tasks and improve and develop administrative systems associated with our 70-strong volunteer team, including initial recruitment and onboarding of volunteers, DBS checks and references, weekly rotas etc.
• To develop and manage a database of (potential) in kind and financial donors and/or newsletter subscribers and to communicate externally with community donors, including writing thank you letters.
• To ensure that record keeping across the organisation is performed in line with our GDPR and confidentiality responsibilities.
• To support the Coordinators and Manager in managing Hardship Funds, including regular purchasing of necessary hardship supplies, such as toiletries, underwear etc.
• To manage purchasing of office and other supplies and equipment as necessary.
• To manage day-to-day administrative tasks, including but not limited to: monitoring and replying to external email queries; preparation of documents and letters for other staff members; weekly updates of website and facebook page.
• To assist Manager wih financial systems and bookkeeping, including working with Xero.
• To assist Manager with preparation of documents for trustee meetings, prepare draft minutes and act as Secretary at meetings.
• To oversee and train volunteers involved in administrative tasks.

We are looking for a highly organised and proactive Administrator to support the smooth running of our Programmes and Operations. This role is essential in ensuring that our logistics, partnerships, and communications run efficiently, allowing us to reach and support more young people. You will work closely with suppliers, referrers, and our internal team to coordinate key aspects of our programmes.

RESPONSIBILITIES

Programme & Operations Support

• Support the coordination of OSH’s residentials, events, and programmes, ensuring logistics run smoothly.

• Arrange bookings (e.g. facilitators, venues, catering, transport) to ensure contracts and payments are managed efficiently.

• Assist in staff recruitment and volunteer management with recruitment, interview scheduling, onboarding, inductions, organising meetings and receiving feedback.

• Manage resources in our lock up (based in Hornsey)

Administrative & Organisational Support

• Maintain accurate records, databases, and documentation to ensure compliance and efficiency.

• Handle general inquiries via email and phone, acting as a key point of contact for external stakeholders.

• Support the team with minute-taking in meetings.

Partnerships & Referrals

• Communicate with referrers (such as youth groups, schools, social workers, and community organisations) to ensure young people are referred and engaged in our programmes.

• Support with phoning participants and referrers to support them to complete sign up forms where necessary

• Track and monitor referral processes, ensuring smooth communication and follow-ups with referrers to maximise participation at our events

• Maintain good relationships with external partners such as venues, facilitators, transport companies and other organisations we work with. 

Finance & Compliance Support

• Assist with financial administration, such as processing invoices, logging donations, and tracking expenses.

• Ensure OSH meets data protection and safeguarding requirements, keeping records up to date.

Other duties

• Getting involved in OSH events in the evenings and at weekends, including residentials. These are overnight trips from 2 to 5 nights

• Other duties as may be required from time to time

IDEAL EXPERIENCE

• Strong organisational and administrative skills, with the ability to manage multiple tasks.

• Experience in the charity, youth, or refugee/migrant sector.

• Excellent communication skills, both written and verbal.

• Confident in communicating with external partners, suppliers, and stakeholders.

• Proactive, with the ability to take initiative and problem-solve.

• Strong attention to detail and accuracy in maintaining records.

• IT proficient, including experience with email, spreadsheets, and document management.

• Knowledge of financial administration (e.g. processing invoices).

• Understanding of and commitment to data protection principles and maintaining confidentiality. 

• Ability to speak in other languages relevant to our community, including Arabic, Pashto, Farsi, Tigrinya, Amharic, and Oromo.

This role is based from our Blackpool Office, working 20 hours per week (exact hours and days can be flexible but will be between 9-5pm Monday - Friday) You will be eligible to apply for Hybrid working (up to 2 days per week from home) after successful completion of your probation.

We are looking for an experienced administrator who will support the team and coordinate the Domestic Abuse Perpetrator Panel.

To be successful in this role you will need:

• Experience of working in an administrative role and undertaking a variety of administrative duties including minute taking and preparing papers for meetings.
• Excellent IT skills and conversant with all packages in the standard Microsoft Office suite and case management systems/databases
• Excellent customer service skills with the ability to communicate sensitively and effectively both verbally and in writing with a wide range of individuals and audiences
• Understanding of the principles of confidentiality and record keeping in accordance with GDPR legislation
• Ideally you will also have an understanding of domestic abuse and risk management and an interest in this area of work.

Role summary

The Hardman Trust supports people on long prison sentences to take their next steps in life. As the Programmes and office administrator your role is to help make this a reality through the day-to-day support of our work. You’ll help to ensure our programmes run smoothly, and that our employees have the administrative support they need to provide a quality service to people accessing our products and programmes.

Your role will primarily involve office tasks (post, inboxes, phone calls), as well as providing administration support with our core programmes grants, penfriends and London Support programme. This role is our only office-based role and you will share an office and oversee our office volunteers who are there 3-4 days a week. You will work closely with the broader remote team via online communications. This role may evolve over time, to reflect the changing needs of the charity,

With an enthusiasm for our mission, you will be well-organised, motivated and eager to support those we are here to serve. As the first point of contact for anyone calling or emailing the charity, you will be a responsive problem-solver with great communication skills.

Tasks & responsibilities

1. Office administration

• Oversee the post coming into the office and ensure it is responded to in a reasonable timescale, or forwarded to the relevant staff member. This will be post for our penfriends programme and post for the charity generally.  This may involve printing and scanning documents and registering and banking cheques at a nearby bank.

• Oversee the generic inbox for the charity, responding to queries about our work across all workstreams and forwarding these to the relevant staff member as required.

• Take responsibility for incoming telephone calls to the organisation, responding and taking messages as appropriate.

• Ensure the website is kept up to date with current charity information.

• Complete Safeguarding and Data Protection training to ensure prisoner phone calls, emails, letters and grant applications are dealt with sensitively, safely and appropriately.

• Be the employee office based presence, overseeing and supporting our volunteers with their tasks as required. 

• Support the finance director with any required adhoc tasks eg - phone contracts

2. Grant administration

• Work with the Programme and Volunteer Coordinator to ensure that clear and accurate records are kept on our Salesforce database, concerning our grant programmes:

  • Upload grant applications to the salesforce database

  • Update service user records when a grant decision is made

  • Ensure accurate record keeping regarding types of grants made, and amounts issued, to enable the Programme Coordinator to run reports.

  • Chase people who have been awarded grants but have not claimed them yet

• Send letters to people who have been issued grants and those who have been turned down.

3. Programme administration

• Provide administrative support across all programmes to ensure the staff team have the support required to offer a quality service to people accessing our service. Our current programmes include the London Support Programme and our Penfriends programme. This could include:

• Sending welcome and information letters/ emails to prisoners that may be eligible for our programmes

• Supporting with data entry by transferring handwritten sign-up forms and casenotes into Salesforce.

• Purchasing items required for programme delivery, or for grant applicants. 

• Ensuring letters are sent between penfriends and volunteers. Reviewing these in line with our safety standards and flagging any queries with the programme coordinator.

• Supporting with the recruitment, onboarding and training of programme volunteers (e.g. booking training, tracking volunteer applications, updating the database).

4. Other

• Support with managing the office move

• Support with data collection, record keeping and reporting, as required by the Head of Service Delivery.

• Support with the planning, coordination and administrative tasks for organisational events, such as fundraising events, celebration events and volunteer training sessions.

• To support the wider team, providing holiday cover as required.

• Put the service user at the heart of what you do, act with the interests of our beneficiaries in mind.

• Work in line with the Hardman Trust’s values, actively contributing to a culture of learning, reflection, team work and development, ensuring quality in your work.

• Participate in regular one-to-ones, contributing to the identification of objectives and professional development goals.

Person Specification

• Experience of working in an administrative office based role and feels comfortable taking phone calls, responding to emails and letters, using databases (Salesforce).

• A motivated problem-solver with a common sense can-do attitude who relishes communicating across a range of people and projects

Home-Start Epsom, Ewell and Banstead is a voluntary organisation committed to promoting the welfare of families and children.  Staff and Volunteers offer regular support including emotional and practical help to families in their own homes and specialist projects within the community.

We are recruiting for a part-time Administrator/ Finance Assistant who will work with the Manager and a small team to ensure the organised and efficient operation of the charity. You will need excellent administrative, organisational, IT and finance skills to provide administrative and financial support for all aspects of Home-Start’s work.  Experience of running payroll and using online accounting/payroll software would be beneficial.  Ideally suited to an excellent administrator who can develop into the finance role.  Training will be provided.

A good standard of education (GCSE, and relevant administration/ finance qualifications and/or experience), together with sensitivity and excellent communication skills are essential. You should understand and be committed to the role of the voluntary sector, be able to work in a small team, and demonstrate the ability of taking initiative.  An enhanced disclosure check will be required.
