Events Planner

Role Summary.

We are seeking a detail-oriented and proactive Events Planner to help design and plan meaningful in-person events for the Roots community. Events are a critical part of the Roots experience, particularly for our online programmes where in-person connection plays an important role in building belonging, trust and commitment to the Roots mission. In this role, you will support the planning of internal and external events alongside an Events Delivery Coordinator to ensure the event vision is executed. This is an exciting opportunity to shape the Roots experience for our attendees.

Key tasks

• Coordinate event logistics including venues, timings, catering, equipment, materials, registration and attendee flow.

• Help develop event concepts, formats and experiences that strengthen community, connection and engagement with the Roots mission.

• Create and maintain detailed event plans, timelines, checklists and task trackers to ensure all elements are prepared ahead of time.

• Engage with attendees at the event and volunteers to foster a welcoming and beneficial environment.

• Attend team meetings to discuss event progress, updates, and strategies.

• Take ownership of agreed tasks and deadlines, communicating proactively with the Events Lead when support or decisions are required.

• Provide post-event feedback and suggestions for improvement to help improve Events’ processes.
