Principal Duties and Responsibilities

- Work closely with the Admin and Premises Manager to ensure data collection systems and the Charity Log database function efficiently, are accurate, and are up to date.
- Support the finance function with administrative tasks as necessary.

About the role
We currently have 80 staff members using Salesforce daily. This role provides technical expertise to the CRM users and wider charity, while also carrying out vital audits, project support and administrative duties.
The role of Junior Salesforce Administrator works together with the rest of the team, managed by the Database Manager, to ensure users and projects are supported efficiently and that our Salesforce instance is effectively maintained and maximised.
Key Responsibilities
- Responding to support tickets from internal stakeholders, performing analysis, information gathering, troubleshooting, and escalating while communicating through our support tickets system.
- Monitoring on-going processes and correcting/escalating any issues that occur.
- Managing data and keeping records accurate, up to date and consistent. Performing audits to identify irregularities across the system.
- Building Salesforce reports and dashboards for internal stakeholders.
- Create, edit, and maintain Salesforce list views, objects, fields, record types, page layouts, and users.
- Deliver and support with training and development of all users including their initial induction, as well as follow up training sessions and clinics.
- Assist with testing new enhancements and add-ons from Salesforce releases and custom internal enhancements.
- Create technical and functional documentation.
- Creating and connecting Form Assembly forms.
- Additional ad hoc tasks relating to the data management requirements of the platform.
- Comply with any monitoring, evaluation and reporting requirements as part of Kinship’s internal processes, as well as any donor or local authority funding requirements for the services being delivered, including producing quarterly performance reports for local authorities, and other funders and stakeholders as required.
- Proactively use data and insight to develop our programmes and sharing with colleagues to contribute to changing the system for kinship carers.
Essential criteria
- Experience of Salesforce Administration and the Nonprofit Success Pack
- Salesforce administration certificate ADM201
- A strong commitment to ensuring outcomes and impacts of services are evidenced through high quality data collection.
- The ability to work discreetly and effectively with confidential information; ensuring GDPR principles are observed throughout.

- Lived experience of kinship care.

We are looking for a Project Administrator to support the delivery of our Horizon Plan – a collection of projects at the heart of Westway Trust’s new strategic vision. You will provide essential administrative support across a range of projects – from local economic development to archiving initiatives, working alongside senior managers and community members.

Key responsibilities of the role include but are not limited to:
- Support up to five projects of different scales and size, all of them important to the Westway Trust.
- You will work with at least 3 different more senior managers who will be briefed about the range of your projects. You will be expected to use excellent time management to accommodate the peaks and troughs of the range of projects and manage the expectations of the project leaders.
- One of your projects will be the secretarial function of the Safer Neighbourhood Board working with the Chair. This will involve taking minutes, arranging meetings, distributing papers for the meetings, booking spaces and circulating actions and diary arrangements for the participants.
- You will support a new Economic Development Project and an Archiving project, both for at least one day a week. These projects will be newly designed and you will be part of this working with the project managers and community members. This will involved taking meeting notes; circulating information; collecting and processing data and processes relating to payments of project related invoices; liaising on all aspects of project administration, scheduling and reporting.
- You will nurture positive relationships and information flow within the project groups.
- You are a key member of the project delivery team and will be expected to demonstrate the Trusts Values and to work positively in accordance with the Trust’s Equal Opportunities, Safeguarding, Health, and Safety Policies.

- Support with recruitment and selection as required. This includes placing adverts, scheduling interviews, requesting references, coordinating induction plans etc.
- Coordinate all documentations for recruits. This includes preparing offer letters and employment contracts, new starter documents.
Volunteer coordination
- Liaise with the Volunteer Lead to process volunteer applications.
- Liaise with the Volunteer Lead to process work experience applications.
These includes Microsoft forms, reference checks and entering data on Chairty Log.
Diversity and Inclusion
- Conduct diversity monitoring for all recruitment applications.
Compliance and Training
- Process and monitor DBS for staff and volunteers.
- Upload new starters on our learning managing system for mandatory training.
- Coordinate and provide administrative support in the delivery of internal and external staff training including, recording attendance, booking external speakers / trainers.
HR Administration
- Process starters, leavers and changes on HR Information System (Staffology).
- Monitor the HR and recruitment mailbox, responding to queries and signposting emails to HR Manager.
- Respond to reference requests.
- In the absence of HR Manager: Conduct HR induction for newly recruited staff. Provide up to date payroll information to the Finance team and submit monthly pensions payment.

We work with over 200 qualified teachers to provide academic, subject specialised and individual tutoring and mentoring for children of all ages. Role Overview:

Job purpose
The Operations and Office Administrator will provide wide-ranging administrative & operational support to ensure an efficient office environment, contributing directly to the delivery of the international Missionary Society of St Columban’s mission priorities.
Key Responsibilities
Office Operations: Ensure the smooth running of the office through the management and coordination of IT systems, office supplies, post, telephone/internet, document filing and retention, and oversight of maintenance and improvements to equipment and the working environment.
PA & Administration: Provide IT and administration support to the Regional Director, the Fundraising and Operations Manager, Regional Council, the Board of Trustees, Mission Appeals Team and the community living at St Columban’s House; including minute-taking, arranging meetings, drafting and sending correspondence, database administration, preparation of reports, and booking travel and appointments.
Venue Hire & Events Administration: Coordinate room and grounds hire at St Columban’s – handling enquiries and bookings, diary management, health & safety compliance, preparing the venue, maintaining and improving the facilities, advertising – and assist with the planning and administration of events organised by the Charity.
Reception: Host visitors and handle enquiries by telephone and email; including deliveries/collections, maintenance and supplier visits, and members of the public contacting the office to donate, request a Mass, update their record details, meet with a priest, or for any other reason.
Health & Safety Administration: Manage the online system for health & safety, coordinate the review and update of risk assessments for the office, house and grounds, organise training and briefings, monitor and re-stock first aid supplies, act as a health & safety marshal and organise staff appointed as first aiders and fire marshals.
Principal Tasks
Under the supervision and management of the Fundraising and Operations Manager, you will:
Office Operations
- Champion Microsoft 365 and provide support and guidance to staff in how to make best use of its capabilities.
- Oversee the performance and maintenance of our IT server and network, maintain regular contact with our IT services provider to ensure all issues are resolved.
- Maintain, service and replace office equipment and furniture as required, including IT and telephone systems.
- Monitor and order stock of office supplies, including stationery, cleaning and sanitary products.
- Oversight of office cleaning arrangements.
- Organise and promote recycling to staff for equipment and supplies no longer required.
- Oversee and develop systems for document filing and storage.
- Arrange for confidential disposal of documents in accord with the Charity’s retention policy.

- Keep a complete record of all bookings, related documents and correspondence in our CRM database.

- Process payments/donations made for the hire/use of the facilities.

Reception

- Maintain and update BrightSafe, our health & safety planning and records management tool.
- Maintain regular contact with Peninsula, our Health & Safety service provider
- Review and update risk assessments for the office and conference room areas.
- Prompt and assist those responsible to review and update all other risk assessments.
- Ensure actions identified following a review are completed and updated in BrightSafe.
- Check and restock First Aid kits.
- Recruit and organise a team of first aiders and fire marshals.
- Provide and monitor accident books for the whole site and keep a central record of accidents reported.
- Arrange training for staff and volunteers in liaison with their line managers.
