You will support the whole organisation with a range of administrative tasks which will include:
· Completing minutes for key meetings.
· Processing of Expenses on behalf of the Senior Leadership Team.
· Arranging room bookings both internally and externally.
· Support with co-ordinating organisation wide meetings i.e., monthly staff meetings, away days, including booking venues and arranging catering.
· Supporting with governance committee cycles, preparing documents and reports as required.
· Support with the administration of our grants programme, including preparing and issues letter to grant applicants as instructed, updating and maintaining grant budget spreadsheets.
· Inputting data into relevant systems accurately and in a timely manner
· Dealing with enquiries from patients, donors, supporters, service providers and volunteers as required in a timely and effective manner.
· Provide general administrative support to the wider team as required.
· Taking donations in any of the Weston Park Cancer Charity locations
You will work on time limited ad hoc projects, which could include:
· Creating and implementing new processes, including building templates / documentation / matrixes.
· The build-up to / during and/ or after a campaign / or event.
Cover Support
You will provide cover on the front of desks of both our sites: Cancer Support Centre, Northumberland Road and our Charity Hub, Whitham Road which will include:
· Meeting and greeting visitors including supporters and patients and acting as their first point of contact for any queries.
· Dealing with telephone, email and postal enquiries across the organisation
· During cover period, you may be required to open and close the patient spaces, as part of a wider team rota.
· Booking in and logging patients onto the relevant records and databases to provide accurate data.
· Sending appointment reminder calls/texts/letters to clients as required
· Co-ordinating the Transport service, including supporting and co-ordinating the volunteer drivers.
· Managing the consumables within this patient space and ordering replacement stock as and when required.

The Facilities & Events Assistant will be the first port of call for enquiries, and will provide excellent customer service and front desk support to our customers. You’ll be responsible for organising the staff and volunteer rota, and ensuring that all the logistics are in place for a smooth customer experience.
You’ll be involved in donation processing, and maintaining records in our supporter database. The role will also have the opportunity for involvement in high profile events such as the Field of Remembrance and VIP/Royal visits.

Duties and key responsibilities:
Office Maintenance
- Oversee the general maintenance of the office.
- Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
- Ensure the office and meeting rooms are well-maintained.
- Manage Sarcoma UK storage, ensuring it is fit for purpose.
- Liaise with office contractors and service providers to ensure the office runs efficiently.
- Assist with office refurbishments, expansions, and relocations.
Administration
- Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
- Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
- Managing deliveries to the office and organising couriers.
- Organise travel and accommodation bookings across the whole charity including fundraising events.
- Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
- Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
- Provide meeting room management, including bookings and catering.
- Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.
Health & Safety
- Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
- Regular health and safety inspections of the office and workstations.
- Carry out regular DSE tests
- Arranging regular PAT tests
- Cary out fire risk assessments (training will be provided)
- First aid assistance and maintain the first aid supplies (training will be provided)

Other
- Support the operations team when required, this will include finance, database, and HR functions.

The Role:
As a PR & Communications Assistant, you will collaborate closely with Media Managers and Communications Officers to monitor and evaluate media coverage, maintain filing systems, manage relationships with media monitoring companies, and handle media enquiries with professionalism and efficiency. This role offers a unique blend of administrative responsibilities and opportunities to support the production of press releases, website content, and internal communications.
Main responsibilities:
- Provide administrative support for the PR & Communications team, including managing online filing systems and processing invoices.
- Act as the initial point of contact for media enquiries and internal/external stakeholders.
- Generate media coverage evaluation reports and monitor coverage for reputational risk.
- Compile and distribute a weekly email alert for senior staff.
- Create cross-platform content for both external and internal channels.

Essential requirements:

We are seeking a Fundraising Assistant at York Minster Fund for an initial fixed term contract of 12 months, commencing summer 2024. This part time, flexible role will support our team in administrative and fundraising tasks across a range of exciting activities and events, helping to raise funds for the Minster’s ongoing work.
Our ideal candidate will be a positive, enthusiastic and confident communicator across different groups of people and keen to gain experience across projects and events. We are looking for someone with some demonstrable customer service/administrative/business experience and sound IT skills; as well as an enquiring mindset with a willingness to learn about the fascinating world of philanthropy, fundraising and conservation.
York Minster Fund is the lead fundraising partner for York Minster. We are an independent organisation, with a separate board of Trustees, who work closely with colleagues across the Cathedral to secure income for a number of much needed projects and programmes of work. Established in 1967, as an emergency response to an urgent restoration project, we secure funds from charitable foundations, major and corporate donors, legacy donors, individuals and events.
Our funds provide much needed income for a wide range of projects, including the fabric and repair of the iconic Minster itself, the training of apprentices in traditional heritage crafts and strategic initiatives such as the realisation of the Minster's new international Centre of Excellence for Heritage Skills and Estate Management.
In the last year we have built on existing strong fundraising relationships and techniques to explore new ways of engaging donors and digital audiences and this is an exciting time to join the Fund as we move forward on a number of major projects. As part of our small but highly experienced team, no two days are the same and the role could see you supporting with many different projects and tasks including donor events administration and delivery, correspondence and research.
There is some flexibility for home working, but we do need regular office attendance for this role in York.

Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. There is now a requirement to ensure that the Finance and Resources team has the right skill set and capacity to provide the support needed by the charity in an efficient and proactive way.
The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. This is a key role which is instrumental in bringing the HR and organisational administration functions together at an operational level.
Reporting primarily to the Director of Finance and Resources and assisted by an external HR and Employment Law support service, this role will provide advice, guidance and support to all line managers in HR related matters whilst building and nurturing relationships with key stakeholders throughout all levels of the organisation. This will include support to ensure the efficient and effective management, monitoring and reporting of people metrics, from recruitment, development, retention through to attrition and at all stages of the employee life cycle.
The role will also provide crucial executive support to the CEO and SLT of three Directors, to ensure the smooth operation of their responsibilities and co-ordinating efforts of various parties to ensure completion of key tasks and actions.

About you:
You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support. You will have a demonstrable understanding of employment law and the practical application of this, with experience of implementing HR administration and operational best practice for example, in the areas of recruitment, capability and performance management. You will help lead in creating an atmosphere of trust and an enabling environment where staff can contribute their best and develop their potential, which is critical for Day One as a young organisation.
You will have significant experience of providing proactive and responsive administrative assistance to senior staff and demonstrable experience of developing and managing effective administrative systems. Additionally, the ability to build and maintain trusted relationships through professional engagement and communication skills, both written and spoken, that are effective, empathetic and adaptable to different situations are key to this role.
You will be highly organised and responsive to others in a way that is both timely and professional with well-developed time management skills to manage competing priorities, ensure follow up of actions and meet deadlines whilst working under pressure. A high level of accuracy and attention to detail is critical to this role, whilst maintaining strict confidentiality.
