You will be responsible for coordinating the internal operations of the organisation including contract management, ICT, office and HR support. This role will also be responsible for travel logistics, event administration, contractual, grant and financial administration and internal office systems. Key responsibilities:
Execute financial administration tasks to time (25%):

Organising and providing meeting support (15%):

Organise meetings and international workshops in the UK and in overseas locations within an agreed budget. This includes the planning and coordination of logistics, such as participants registrations, venue selection, travel arrangement, accommodation and catering, as well as the circulation of meeting documents and invitations, and the processing of travel expenses and invoices.

Coordinate the invitation and submission of grant proposals.

Prepare draft grant agreements based on approved applications.

Review quarterly financial reports submitted by partners in receipt of grant funding highlighting any areas of concern and improvement.

Carry out internal financial audits of partners in receipt of grant funding highlighting any areas of concern and improvement in how the funding is managed.
Coordinating the administration and monitoring of consultancy contracts (25%).

Support the recruitment, negotiations and management of consultants and advisors including coordination with the client.

Prepare draft consultancy contracts based the agreed scope of work and conditions.

Coordinate and monitor consultants’ timesheets to capture time billed against the days allocated in the contracts and approval process.
Execute office administrative tasks to time (20%)

Coordinate, relay internal emails to staff, reserve equipment and venues for presentations and in-person staff meetings, maintain office calendars and send out meeting reminders.

Provide administrative assistance to colleagues when necessary.

Coordinate ICT issues with the service provider.

Day-to-day management of staff recruitment including placing of advertisements and arrangements for shortlisting/interviewing.

Experience

Key Tasks

We are seeking a new Finance and Administration Officer following the upcoming retirement of a long-serving team member. A key member of the SLA central office team, the Finance and Administration Officer plays a vital role in ensuring smooth financial operations and providing essential administrative support for our membership. In addition to administration support, this role is responsible for maintaining accurate financial records, book-keeping and effective day-to-day financial operations, producing financial reports using XERO and our CRM.
You will be experienced in financial and administration operations of a charity or similar , with an AAT qualification or matching worked experience. Familiarity with XERO will be an advantage. You will be able to bring understanding of cashflow and financial analysis of figure, working with accountants as required.
You will also have excellent customer service skills and be able to work effectively with all stakeholders from our members, to funders to suppliers. You will be determined and have an excellent eye for financial and administrative detail. Your duties will include general administration and:
Financial operations and record-keeping
- Manage day-to-day financial transactions and maintain accurate records of all SLA accounts and petty cash; book-keeping
- Process and record all incoming payments, including foreign cheques (into bank account)
- Monitor cashflow and expenditure, keeping track of spending
- Pay invoices upon approval and ensure timely monthly payments (e.g. pensions, HMRC)
- Handle creditor and supplier communications and resolve related issues
- Monitor and follow up on overdue payments with a focus on membership payments
Invoicing and income tracking
- Issue and track membership and subscriber invoices and reminders
- Keep office team informed of payment statuses
- Prepare sales, cost, and profit reports for SLA publications
- Conduct annual publications stock take
Payroll and reporting
- Liaise with the accountant on salary payments; process salary BACS payments
- Support year-end financial reporting by providing necessary documentation to accountants

Event financial administration
- Manage financial aspects of SLA events, particularly the annual conference (e.g., exhibitors, sponsors, and delegates)

Key Responsibilities
- Executive & Administrative Support: Manage the CEO’s diary, organise travel, prepare agendas, take minutes, maintain records, and support recruitment processes.

Job Title: Executive Administrator
Location: Central Office which is based around a 10 minute walk from Highbury and Islington Station. Hybrid working available, approximately 2 - 3 days per week in the office including every Tuesday. Additional office, service, and away days would be required for attendance.
Salary:
Shift Pattern: 37.5 hours per week Monday to Friday 09:00 - 17:00. At times you may be required to work outside these hours, including for out of hours board meetings in the evenings, and other meetings which may be after hours.
About the role
We're looking for an Executive Administrator to join our central office team, reporting to the Director of Finance and Resource. In this role, you will play a pivotal role in providing high-level administrative and governance support to various leaders within the organisation, including the Senior Leadership Team (SLT), The Board, and CEO.
In this role, you will ensure the smooth operation of coordinating meetings, managing governance processes, and supporting strategic initiatives. You will facilitate board and SLT meetings, including scheduling, preparing agendas, taking formal minutes, and ensuring a timely follow-up on actions, whilst overseeing compliance with health and safety regulations, supporting the organisation's environmental strategy.
You will further line manage a small team of 2 Administrative Support Officers who support with the day to day administration and management of our central office.
About you
This role is ideal for someone who is organised, with attention to detail and the ability to manage multiple priorities in a fast paced organisation. You will be a proactive problem solver with excellent communication skills, both verbally and written. You will be able to organise and manage events and away days, as well as manage our booking systems and general running. You will have proven minute taking experience, able to write minutes for meetings in an organised manner, and manage our shared online platforms for ease of access, and usability. You will have:
- Experience in high level administration duties, ideally within a similar role, supporting senior leadership teams and boards with all areas of administration
- Previous experience taking minutes in meetings
- IT Proficiency: Knowledge, skills, and ability to learn and manage online systems, particularly Microsoft programs, able to book and manage meetings using outlook and teams
- Excellent numeracy and financial skills, with the ability to deliver best practice in financial management and produce accurate and timely financial information
- Ability to write reports, manage data, and oversee audit processes to a professional, high business standard
- Ability to work with confidential information in a timely secure manner
- Analytical skills, with the ability to find, absorb, and summarise complex information
- Attention to detail and quality, able to verify and proofread documents
- Time and workload management: Ability to work to tight deadlines with competing priorities

Finance (~80% of role)

Carry out weekly bank reconciliations using Xero.

Maintaining records of expenditure, processing monthly expenses, paying invoices.

Prepare HMRC Gift Aid claims and maintain records of Gift Aid donations and payments.

Assist with annual external financial audits.

Import bank transactions onto CRM database and ensure donations are assigned to correct conservation projects.

Assist in the preparation of monthly and annual management accounts and annual budgets.
Administration (~20% of role)

Maintain all accounts on UK portals (Benevity, Charities Aid Foundation, etc) and process, track and reconcile all portal donations, soft crediting these where necessary.

Suggest changes or improvements to both financial and administrative processes (including automations) to increase accuracy, efficiency and potential cost reductions, then implement where agreed.

Support with HR administration - keeping personnel and Trustee files up to date, keeping records of sickness, holidays and other absences, drafting new policies.

Working Arrangements and Travel Requirements
Rainforest Trust UK staff work remotely and the successful candidate will be expected to work primarily from home with an excellent internet connection. They may be based anywhere in the UK but will be expected to travel to work from a shared team space in London 1 day per month.
