Events coordinator

Job Purpose: To support the CHS Alliance secretariat to ensure it delivers professional external events that meet the needs of our key audiences and advance our strategic goals, on time and within budget. Primary focus of this role will be the coordination and logistical management of the General Assembly in December 2024.

Background: The Events Coordinator role sits within the Network Engagement and Communications department and works closely with staff across the CHS Alliance, including those working on CHS outreach, HR/Governance and the Executive Director, on events organisation and delivery.

Main Responsibilities:

Event coordination

1. Coordinate the team and workplan to support smooth and timely delivery of key CHS Alliance events, with particular focus on the General Assembly (GA) taking place in Bangkok 5-6 December 2024.

2. Prepare and attend event working group meetings (e.g. set agenda, organise doodle polls, book conference rooms, take notes, etc.) 

3. Overseeing and updating the event workplan (e.g. gannt chart), flagging upcoming milestones and deadlines to event lead

Event logistics

4. Assist in identifying service providers by providing quotes and completing any other tasks requested by the line manager or event lead.

5. Procure supplies for event and ensure all material needed on site is prepared and up to date.

6. Follow up with the venues; liaise with the venue prior to, during and after the events.

7. Assist with all logistical aspects linked to catering, refreshments, room equipment (incl. audio visual), stationery, signs and identification (badges, etc.), and trip booking (hotels, flights, visa) where required, etc.

Communications & IT

8. Set up events on relevant platform (e.g. Zoom, CHS Alliance website)

9. Prepare and update registrations and participants’ lists

10.  Draft and send communication materials to participants, using software like Mailmerge or Mailchimp

11.  Assist with speaker outreach and briefings as appropriate.

12.  Manage the Alliance’s Zoom account as an administrator

Reporting and monitoring

13.  Monitor and report on project progress and related expenses according to the CHS Alliance financial policy and procedures.

14.  Manage and maintain an external events calendar for the CHS Alliance, to assist staff with horizon scanning and scheduling.

15.  Carry out any other relevant activities as required.

BACKGROUND 

The Helen Bamber Foundation is a human rights organisation with an international reputation for providing medical consultation, therapeutic care, legal protection, and practical support to survivors of trafficking and torture.  We are a team of therapists, doctors, lawyers, caseworkers and administrators who help men, women and children recover from the emotional and physical damage they have suffered because of torture, human trafficking, or other forms of cruelty.

OVERVIEW OF THE ROLE 

As  Psychotherapist within the Helen Bamber Foundation, you will work alongside our current Senior Psychotherapist and be responsible for supporting the Head of Therapies and the Team Manager in providing a comprehensive range of therapeutic interventions to clients of the Helen Bamber Foundation.

In addition to providing psychotherapy, stabilization, psychoeducation, and trauma focused therapy, this role will include delivery of psychological assessments for both medico-legal and clinical purposes, as well as delivery of clinical supervision to staff from non-clinical backgrounds who nonetheless have significant client contact, and supervision of assistant psychologists. As you develop in the role you will also have opportunities to contribute to the on-going development of the service and at times, the role may include input into policy, research and fundraising and delivery of consultancy and training. 

We are looking for someone who is committed to working therapeutically with individuals who have experienced human rights abuses and who have developed trauma spectrum disorders as a result. The successful applicant will ideally have proven experience in working therapeutically with this client group, have a passion for human rights work beyond the individual client work, and a desire to contribute to effecting change at a policy level.  This role requires the ability to be with the complex and sometimes harrowing details of a client’s experience, and to react and respond creatively and appropriately to their needs.Additionally, you will be knowledgeable and experienced in consultation and assessment including risk management, and have competence, or a commitment to receiving training, in at least one model of trauma therapy such as NET or EMDR.

JUSTICE is at the forefront of work promoting access to a fair criminal justice system for all. The successful candidate will be building on our recent work on racial injustice in the youth criminal justice system and post-conviction decision making, including the parole system and administrative decision-making in prisons, as well as our cross-cutting workstream on the state of the rule of law in the UK. They will also be scoping and setting up a new criminal justice project relating to fraud.

• To establish and maintain a communications strategy and plan for Chambers, utilising the latest in digital communication methods.

Person Specification

The individual will have:

Project development
Work with partners and volunteers to enable two or more rural  Sanctuary Breaks per month (events, day trips or residential visits) 
Develop a system of evaluation to demonstrate the impact of the services that the charity is providing, with particular reference to mental health and wellbeing. 
Maintain and further develop partnerships with refugee sector agencies in the target areas, 
Network with local individuals and community groups and create partnerships as needed to promote a welcome for people seeking sanctuary in the area
Recruit and support volunteers to deliver the service
Lead on publicity and communications to promote the service, including regular newsletter and social media posts 
Develop ideas for and support cultural and fundraising events

Administrative tasks
Maintain the calendar of events and bookings and work with HHR CIC to coordinate bookings of the house between Sanctuary Breaks and trading income activities
Manage day to day finances and provide information as required to the Treasurer
Create and maintain a register of refugee sector organisations requesting sanctuary breaks, allocating bookings, supplying and handling relevant paperwork 

Job:  £25k pro rata,  18 hours per week (initially fixed-term 12 month contract)

Hours: 18 per week, including occasional evening or weekend work

Location: flexible, at least one day per week in Amberley, Glos

We are seeking a Finance Officer with a keen eye for detail, and an aptitude for learning new skills, to take on purchase ledger and payroll administration duties in our Finance Department.   You will have either begun on the path of attaining a financial qualification or had some experience in a similar role.  The successful candidate will be responsible for the accurate and timely processing of all purchases, payments and returns, including supplier invoices, staff payments (salaries, expenses and advances), project and contractor payments and credit card transactions.  Responsible for project reporting against budget.

Key responsibilities (full responsibilities listed in the application pack):

• Ownership of the purchase ledger system, administering the entire process of invoice receiving, checking, coding, distributing for approval, posting to the accounts software (currently Sage), setting up domestic and international payments for authorisation, and electronic filing of documents.
• Administering all credit card returns including distribution of statements to colleagues, checking and coding returns, collating documents, submitting for line-manager approval, posting to Sage and following up on outstanding items.
• Administering staff and contractors expense claims, advances, returns and funds transfer requests, including checking and coding, submitting for budget-holder approval, arranging payment both domestic and international, and electronic filing of documents.
• Recording project expenditure against budget and drafting project financial returns to meet funder deadlines.

• Either started on a financial qualification or have had experience in a similar role
• Exposure to SAGE Line50 or other accounting package.
• Confident using Microsoft Outlook, Excel and Word.
• Previous experience of using accounting software.

Medical Aid for Palestinians (MAP) is a leading UK charity dedicated to improving the health and dignity of Palestinians affected by conflict, occupation, and displacement. The ideal candidate will have responsibilities that include monitoring compliance with MAP’s financial and procurement policies, developing strong cash and treasury management policies, and managing financial accounting systems. Duties and key responsibilities 

Leadership, Collaboration & Line Management 

• Support the Director of Operations through preparation for and reporting to governance meetings. 

• Participate actively as a member of the Leadership Team. 

• Provide leadership, direction, training, and motivation as appropriate to the UK Finance Manager, and the overseas Finance Managers in conjunction with overseas Directors. 

Finance Policy & Process Management 

• Be responsible for monitoring compliance with MAP’s financial and procurement policies and review and update these policies on a regular basis. 

• Develop and implement strong cash and treasury management policies and procedures. 

• Manage and develop all financial accounting systems in consultation with the Head of Reporting to ensure they are fit for purpose. 

• Help to ensure value for money and the effective use of funds across the organisation. 

Compliance & Regulatory Reporting 

• Manage the ongoing relationships with the external auditors. 

• Ensure the timely and accurate preparation of the annual statutory accounts for the annual audit and implement recommendations from the auditors and/or Board. 

• Monitor institutional income and related contracts and ensure that all restricted income, including Zakat, is properly accounted for. 

• Ensure the financial management of MAP is compliant with relevant accounting, legal, HMRC and tax requirements, including VAT and corporation tax, and that the correct returns are made. 

• Submit the necessary returns and maintain our records with the Charity Commission and Companies House on a timely basis.

Cashflow & Bank Account Management 

• Manage the ongoing relationships with MAP’s banks in the UK. 

• Maintain UK bank accounts and ensure financial governance is in place for overseas bank accounts.

• Ensure bank mandates and online banking operations are reviewed and updated on time. 

• Monitor and manage the organisation's cash flow to ensure there are sufficient currency funds to meet operational needs. 

• Review fund and payment  requests from overseas offices and that planned activities are within budget. 

• Release all payments from UK bank accounts, including UK payroll. 

Financial Controls 

• Implement appropriate internal controls, policies, and procedures to protect against fraud and misappropriation. 

• Oversee and manage all payroll budgets and forecasts. 

• Oversee the payroll functions, ensuring adequate internal controls and approvals are in place and adhered to, and all statutory requirements are met. 

• Ensure regular reconciliations are made between the accounting system and the CRM. 

• Oversee legacy administration liaising with the Legacy Advisor. 

Risk Management 

• Risk management – manage strategic and operational financial risks working with the Head of Internal Audit & Compliance.

• Maintain insurance policies across all MAP offices to ensure appropriate and adequate risk mitigation and meet statutory requirements. 

Person Specification 

Experience 

• Extensive experience in a finance leadership role within a complex charitable organisation, working internationally. 

• Experience of UK charity finance practice and governance - UK Charities SORP FRS 102. 

• Excellent technical knowledge and skills in accountancy principles, governance, and standards, including preparation of statutory accounts. 

• Successful track record of managing financial systems, and cashflow. 

• Experience of working in a multi-currency organisation. 

• Ability to contribute to the management of in-country finance colleagues, while not taking direct line-management responsibility for them. 

Skills and abilities

As an Immigration Lawyer/ Immigration Caseworker Supervisor in the UK Legal Team, you will run a caseload of complex family reunion entry clearance applications and appeals, you will also supervise cases of colleagues and pro bono solicitors and volunteers, if appropriate. You will be supported by colleagues in the UK Legal team and work in close collaboration with colleagues in SPI France and Greece as well as with professionals in relevant external organisations.

You will be determined and committed to delivery high quality legal casework supporting asylum seeking children to reunite with family members in the UK. You will be attentive to detail, flexible, efficient and able to work independently and under supervision as part of a small and dynamic team. You will be eager to contribute to the overall missions and values of Safe Passage International and to work collaboratively with other teams in this international and multi-disciplinary organisation.

You will have experience of working with the Charity Commission and as a Data Protection Officer. Additionally, your ability to analyse and interpret complex data and present written and verbal information in a clear and concise manner is an essential aspect of this role.

You must be able to advise Boards and Executives comprehensively and succinctly on corporate governance matters and excel at building and maintaining effective working relationships with colleagues across all levels of an organisation and key external stakeholders (e.g. regulators and external advisors). Experience of having worked for an international NGO or comparable organisation is ideal not essential.
