We are seeking a Facilities & Events Assistant to help ensure the smooth running of our events and facilities hire at our historic Richmond site. It’s an exciting time to join the team, as we continue to further develop our visitor experience and facilities hire offer.

The Facilities & Events Assistant will be the first port of call for enquiries, and will provide excellent customer service and front desk support to our customers. You’ll be responsible for organising the staff and volunteer rota, and ensuring that all the logistics are in place for a smooth customer experience.

You’ll be involved in donation processing, and maintaining records in our supporter database. The role will also have the opportunity for involvement in high profile events such as the Field of Remembrance and VIP/Royal visits.

This position is ideally suited to someone who thrives on a high degree of autonomy, enjoys a varied role with the opportunity to think creatively to solve challenges, and can flex their pinpoint attention to detail in our events and facilities hire operations.

Founded in 1922, the charity moved to Richmond in 1926, along with many wounded, injured and sick veterans of the First World War. They were employed to produce Remembrance wreaths and products for the Royal Family and The Royal British Legion, and this work continues at the factory today.

The Role

To be shortlisted for this post, you must have:

• Liase with the Access Marketing team to support their own comms 

• Ensure financial accounts are accurate and complete

• Draft Offer letters for the successful applicants 

• Recruit, Manage and Appraise the Admin and Grant Assistant

• Attend trustees, volunteers and applications meetings

Skills and Experience Required

The Weir Link – a small and vibrant charity and community centre in SW12 (Clapham Park/Balham), are recruiting a Facilities and Bookings Co-ordinator to join their team.  This would be an excellent opportunity for an experienced administrator, looking for flexible, part time work, while making a tangible difference to their local community.  

Working in close collaboration with other members of the team, some examples of the role responsibilities include:

Facilities co-ordinator

- Liaise with cleaning, maintenance and building safety contractors to ensure the Centre is kept in a safe and orderly condition for all our users

- Organise regular testing of building safety systems, including the fire alarm system and fire drills

- General housekeeping duties, including managing utility companies, logging meter readings and ensuring records are kept updated

- Ensure the overall appearance of The Weir Link, both inside and outside, is in keeping with our vision to be a welcoming centre for everyone in our community

Bookings co-ordinator

- Manage our growing number of bookings and activities, both those at The Weir Link and other venues we may work with, from responding to enquiries in a timely manner, checking and updating The Weir Link diary, sending booking forms and invoices, checking payments and responding to feedback

- Manage attendance levels and data collection for those attending all The Weir Link’s activities

- Assist with the marketing and publicity of the activities and room(s) available by helping to produce content for our social media platforms (Twitter, Instagram and Facebook), and updating our website

Person specification

We are looking for a motivated, organised and reliable individual with a “hands on” approach to these responsibilities, and other activities when required.  The successful candidate will be flexible, resourceful, efficient and committed to contributing in a meaningful way to our local community. 

Some experience which would set you up for success in this role, could include a background in managing facilities or venue organisation and/ or some finance or  marketing administration experience. 

Key skills required:

- Competent using the Microsoft Office suite – particularly Word and Excel

- Competent and experienced using Google software, specifically Google Calendar and Google Forms

- Confident communicating clearly and effectively by email

- Experienced with standard office practices, including printing and scanning documents

- Some professional experience in (or interest in developing skills in) the use of social media platforms and digital content and website (CMS) management (including producing and editing images, writing captions and scheduling posts using social media management tools like Hootsuite and updating our website using Squarespace) would be preferred.

We are able to offer a flexible working pattern, which would comprise of 12-15 hours per week across three days a week. This would ideally be a Monday and then two further consecutive days, however this can be discussed for the right candidate. The hours can be between 9.30 and 4pm every day, with the possibility of hybrid working (combining office-based and remote working) during the school holidays.

This role would suit a parent or carer who would like their hours to work around the school day and have flexibility during school holidays. 

Ideally the person would also be a local resident who is prepared to build on our links with other community organisations that are local to The Weir Link.

We are recruiting for a Fundraising Compliance Manager looking to make a difference in how we fundraise and support our fundraising charities: Guy’s & St Thomas’ Charity, Evelina London Children’s Charity and Guy’s Cancer Charity.

The successful candidate will need to be a detail orientated, solution focused, project manager with expert knowledge in fundraising and data protection regulations. We are looking for someone to lead and maintain a culture of compliance across all elements of fundraising and supporter engagement in this stand alone role.

As our Fundraising Compliance Manager, you will be the focal point for compliance, providing guidance and advice to colleagues ensuring that we have sufficient controls and processes in place across all areas of fundraising. In addition, you will provide comprehensive front line and administrative support, to facilitate best practice across Fundraising/Charity regulation and the General Data Protection Regulation and help embed this in our ways of working. You will produce and deliver training and supporting documents to upskill staff and to ensure consistency across the team, as well as identifying areas for improvement and development. You will keep your knowledge up-to-date and will be confident in communicating with staff at all levels and with varying levels of understanding; in an engaging and accessible manner.

Excellent organisation and project management skills will be required to ensure that projects and the day-to-day delivery and reporting of compliance is on track.

Key Responsibilities

Overarching responsibilities

• To oversee and be the main port of call for all compliance, data protection and gift administration queries in respect of fundraising.
• To develop and maintain robust operational frameworks, processes, systems and governance structures for compliance and gift administration that instil confidence and assurance in our fundraising operations and our ability to fulfil our contractual obligations as data processors and controllers.
• To provide guidance to fundraising colleagues and other stakeholders on compliance and data protection queries.
• To develop and maintain a culture of compliance across the Foundation through developing and delivering training and producing guidelines and departmental policies.
• To conduct periodic reviews or audits (to include external suppliers) to ensure that compliance procedures are followed and fit for purpose.

Gift Administration and Implementation

• Support our fundraising colleagues to maximise their income and engage with supporters in a compliant way
• Triage and respond to gift administration and compliance queries and requests within defined service level times
• Produce and keep updated, relevant guidance, tools and resources for colleagues across the fundraising function
• Develop new strategies to provide the best support for our fundraisers and work to build new and lasting relationships with key stakeholders
• Advise senior stakeholders on the benefits and risks of our activities and advise on the best course of action
• Working with the legal team, develop and maintain the appropriate gift agreements and similar documents, supporter communications and online pages, and support fundraising colleagues and supporters to complete the appropriate paperwork ·
• Manage the Fundraising Support email address/enquiry channels
• Ensure policies around philanthropy and gift management are up to date and disseminated appropriately across the Foundation.

Fundraising compliance and data protection

• To evaluate and apply the Data Protection principles to variable and challenging scenarios, supporting colleagues to find solutions to their problems within the limits of the law.
• Ensuring we are aware of and reacting to any fundraising and data protection regulations changes. Regulations include GDPR/UK Data Protection Act 2021, Fundraising Regulator's Code of Fundraising Practice, Charity Commission guidelines, BACS, and PCI DSS Compliance. HMRC Gift aid guidelines.
• Recognise that a change in procedure or legislation external to the Foundation has implications and who needs to be notified of the changes.
• Produce and continually monitor our operational policies; modelling best practices against the Fundraising Regulator's Code of Fundraising Practice
• Responsible for reviewing all fundraising contracts and third-party agreements for data capture to ensure they are in line with all compliance regulations, ensuring our supporter data is adequately protected, any new fundraising processes and procedures are compliant, and fulfilling the operational commitments associated. Suggest and negotiate amendments, and if the necessary compliance clauses cannot be met then decline authorisation to work with that third party.
• Assess data risks and complete Data Protection Impact Assessments where required, being prepared to work with colleagues to pull together the relevant information and present to the data protection lead for sign off. ·

Leadership

• Where necessary, be prepared to make pragmatic decisions on where we should be focusing resources.
• To develop a programme of training and guidelines to cover complicated rules and processes in a concise and accessible manner. To identify and address where the knowledge gaps exist.

Inter Mediate (IM) is a unique and discreet London-based peacemaking organisation established in 2011 to support behind-the-scenes peace negotiations in some of the world’s most challenging conflicts. This role offers an exciting opportunity to join the senior management team of a small high-impact organisation working at the leading edge of international peacemaking.

Reporting to the Deputy CEO and working closely with the CEO and the Financial Director, the Operations Manager will lead Inter Mediate’s institutional, Human Resources and project-support systems to keep the organisation running smoothly and ensure we are equipped to deliver the best results.

A successful candidate will be a motivated self-starter with senior management experience in operations, preferably for a non-profit organisation. You will be familiar with the fast and sometimes unpredictable pace of an international operating environment, and confident in handling challenges as they arise. You will be comfortable working collaboratively within a small team and engaging credibly with a wide range of people from senior government officials to project interlocutors in the field.

Key Responsibilities

A) Governance and Institutional Compliance (with the Deputy CEO and senior management)

• Lead the development and implementation of IM’s operational planning, in coordination with the CEO, Deputy CEO, Finance Director, staff, Trustees and supporters.
• Ensure that Inter Mediate complies with its charitable and legal obligations.
• Prepare, attend and minute Trustee and Committee meetings.
• Develop and implement quality improvement process for institutional policies and project delivery to keep Inter Mediate ethical, efficient and delivering value for money.
• Source, manage and review all professional services and suppliers engaged by Inter Mediate including banking, legal advice, accounting and auditing.

B) Human Resources and Office Operations

• Oversee Inter Mediate’s recruitment process and work with the Deputy CEO to ensure that we have fair procedures for benefits, training, probation, diversity and inclusion, gender pay gap, safeguarding, grievance and disciplinary matters.
• Oversee the contracting and on-boarding for new staff, consultants and trustees.

D) Financial Management (with the Finance Director)

• Work closely with the Finance Director to ensure that operational and financial planning processes and decisions are mutually informed and fully aligned.
• Strategise with the Finance Director and Deputy CEO to ensure all wings of the organisation work together to advance the best interest of the institution, its staff, projects and donors.

Experience, qualifications and skills:

• At least 8 years experience leading charity operations at a senior level spanning institutional compliance, Human Resources, IT, security and project support services, ideally in the non-profit sector.
• Track record of excellent business decisions for institutions under UK charity law operating in an international, multi-donor environment.
• Extensive experience of supporting Boards and Board committees at a senior level in a non-profit context.
• Some knowledge of project support mechanisms required for smooth delivery of peacebuilding, humanitarian, human rights or political projects in high-risk environments.

• Evidence of ability to both lead and service a complex network of external relationships.

• Graduate with a relevant degree and, preferably with relevant post graduate qualifications or relevant experience.

Working at Inter Mediate

As the Scheme Manager you will be working in one of the residential housing schemes based in East London, managing repairs, designing social activities and engaging with residents. You will also be assisting in regulatory and compliance work, reviewing processes and suggesting improvements.

Key responsibilities include:

• All areas of resident management including welcoming new residents, completing inductions to ensure they understand the facilities available and understand the scheme processes, completing daily welfare checks and reporting concerns relating to safeguarding.
• Delivering a holistic sheltered housing service to every resident, helping them maintain their tenancy, access housing services, and sign posting to other service providers.

• The management of site contractors for the services requested e.g. gardening, window cleaning, cleaning and maintenance.

• Overall responsibility for the health and safety of the Scheme, ensuring fire alarm testing, emergency lighting testing and complete all fire testing logs. Ensuring health and safety procedures and policies are adhered to across the scheme and paperwork and training are compliant.

The successful candidate will have demonstrable experience in managing a residential scheme, working with older people and knowledge of related services and benefits, with a strong understanding of housing legislation and the regulatory framework within housing. Experience of managing health and safety and any safeguarding issues and concerns within a residential scheme, is also key.
