The District Administrator is the first port of call in the District office and acts as an essential point of contact for all 19 Circuits and their Churches within the District.

The District Administrator will work collaboratively with the Senior District Administrator and be proactive with good organisational skills.

The role will provide administration support in a number of areas to support the Senior District Administrator, with emails, setting up meetings, maintaining records and databases.

Main Responsibilities

• Responsible for incoming emails, telephone calls and meeting and greeting visitors.
• Accurate and effective use of information management systems including general office filing, electronic file management, scanning, archiving, databases, other electronic records, spreadsheets and hard copy paper records, regularly updating as required.
• Write and distribute email, correspondence memos, letters, and forms.
• Assist with maintaining and updating the District Directory and databases.
• Assist with the administration for representative and presbyteral synod.
• Managing and ordering office supplies and research new deals and suppliers
• Maintaining office equipment, i.e. photocopiers and printers for smooth office functionality
• Communicate meetings and agendas to attendees. Take minutes when required and arrange lunches and refreshments.
• Assist with the management of the District Zoom accounts.
• Any other duties and responsibilities identified by the Chair and the Senior District Administrator as are within the capabilities and level of responsibility of the role in order to meet the needs of the District.

We are looking for seven new members to join our Professional Conduct Committee and Health Committee: the positions are for three osteopaths and four non-osteopaths (lay positions). This is an opportunity to become part of a fair decision-making process for a modern, inclusive and innovative healthcare regulator.

The Professional Conduct Committee hears and adjudicates concerns raised against osteopaths which have been referred to it by the Investigating Committee. These relate to professional misconduct, incompetence or where an osteopath is convicted of a criminal offence. Professional Conduct Committee members also sit on the Health Committee, which considers cases where an osteopath’s health may impair their ability to practise.

You will be expected to commit no more than 20 days a year (often a few days at a time) depending on caseload, plus some extra time, for example for mandatory training, reading and appraisals. The daily attendance fee is £330 (with a further payment of £50 per day for lay members when they are sitting as a Panel Chair). We pay reasonable travel and subsistence expenses. Appointment starts on 1 April 2025 (initially for up to four years).

About the role  

Smart Works is volunteer-powered and exists to empower all women who need help getting into work. The Head of Smart Works Scotland must build strong working relationships with the staff team and Board of Trustees, foster excellent collaborations with a variety of stakeholders and have significant experience across multiple fundraising streams.

Personal Specification 

Essential Criteria

• Outstanding interpersonal and team management / leadership skills.
• Significant experience of generating income from a variety of sources, including Events, Trusts, Foundations, Community and Corporate sponsorship.
• Demonstrable experience of securing new business and onboarding new partnerships. 
• Experience of managing four figure+ partnerships across the following activities: employee fundraising, sponsorship, commercial or grants.
• A strong networker, with relationship management experience across seniority levels and sectors. 
• Strong presentation skills, with prior experience delivering engaging sessions to large audiences. 
• Experience of balancing changing priorities and responding to delivery needs.

 MAIN DUTIES AND RESPONSIBILITIES

• Provide effective leadership, supervision and management to the staff and volunteer team, ensuring that appropriate targets are set and delivered.
• Negotiate, prepare and develop applications and contracts to enable the development of agreed projects and work programmes.
• Explore and appraise potential new initiatives for the CVS, providing detailed recommendations to the Board of Trustees/Directors.
• In conjunction with the Board of Trustees/Directors plan, develop, implement and monitor strategies to ensure the current and future viability of the CVS.
• Maintain and develop new and existing relationships with stakeholders from all sectors, providing leadership and direction.
• Provide effective, inclusive representation of the High Peak VCS in a wide range of forums.
• Carry out work in accordance with all external regulations and CVS policies and procedures, developing new ones where necessary.
• Work in collaboration with the Board of Trustees to ensure the organisation meets its legal obligations, operates within its charitable objects and has good management of its financial and staffing resources.
• Report to the Board of Trustees on internal and external developments.
• Ensure that the organisation has the appropriate management systems and structures in place to carry out its work effectively and safely.
• Contribute to writing grant applications for future projects and core work. Undertake training and development as required.

WHO WE ARE AND WHAT WE DO?

We are the UK’s student mental health charity. We challenge the higher education sector, health sector, and government to work with students when making decisions that impact them, and make them accountable for prioritising student mental health. In collaboration with students, we show sector professionals what effective student mental health looks like, and bridge the gap between students and the communities around them to ensure their voices are always heard. 

By creating and curating resources, stories and tools, we empower students to build their own mental health toolkit to support themselves and their peers through university life and beyond. We want to empower and inspire students to use their voice to share their stories and advocate for themselves. 

ROLE PURPOSE

As our Executive Assistant (Maternity Cover, 0.8 FTE, Fixed term for 12 months), you will play a crucial role in developing and supporting our charity and strengthening our administration and governance. You will be providing flexible assistance primarily to our CEO, in the planning and delivery of their workload. You will also provide administrative support to the Senior Leadership Team, Trustee Board and other structured groups which shape the charity’s strategy and activities, for example our Clinical Advisory Group.  As such, you will have the opportunity to work with the entire Student Minds team and a variety of stakeholders across the health and higher education sectors.

Key responsibilities:

Chief Executive Officer assistance

• Email and calendar management: helping to prioritise demands, responding to correspondence on behalf of the CEO and following up with contacts post-meetings.
• Arrange meetings and itineraries and coordinate travel as required.
• Stakeholder management support: utilising CRM to maintain updated databases for organisational contacts; support with the completion of contracts and registering purchase orders with suppliers,where the CEO is the lead contact.

Meeting management

• Plan and coordinate relevant meetings to ensure they are purposeful and relevant. These will include Board meetings, Senior Leadership Team Meetings, Leadership Group meetings and any other general committee meetings.
• Provide logistical and administrative support for all meetings, arranging suitable meeting premises or software, preparing and circulating agendas and meeting papers in consultation with the relevant participants (e.g. Chair of the Board, CEO and Senior Leadership Team).
• Coordinate catering requirements and liaise with the finance team to make purchases.
• Take high-quality and accurate meeting minutes and circulate them for appropriate approval and sign-off.
• Ensure prompt follow-up with agreed action points and follow through with ongoing delivery of commitments.

Governance support

• Provide administrative support where applicable to meet the charity’s requirements with
• Companies House and the Charity Commission.
• Support with Trustee recruitment, induction and training.
• Support the charity’s continuous improvement and compliance using tools such as the Governance
• Code.

Senior Leadership Team coordination

• Support with coordinating multi-stakeholder meetings, and liaising with internal and external stakeholders.
• Support members of the Senior Leadership Team or their guests with the use of our core systems and software (Google Workspace, Google Meet, Slack, Mural, Zoom).
• Process any travel expenses for the Senior Leadership Team.
• Manage charity records: provide historical reference by supporting procedures for the retention and disposal of records.
• Welcome guests and provide tours of facilities or support guests to use online meeting software where required.

Other duties

• Such other duties as may be reasonably prescribed by the organisation, appropriate to the grade and responsibilities of this post.
• Provide cover for other team members as necessary to ensure seamless operations and support across the organisation.
• Work to agreed charity and personal targets.
• Attend regular team meetings with Student Minds colleagues.
• Ensure compliance with Student Minds’ internal procedures and all external legal requirements.
• Ensure equality and inclusion responsibilities for your area of work.
• Undertake training and attend conferences as appropriate.
• Engage with and provide feedback on projects and strategic reports developed by other members of the team.
• Work flexibly and undertake tasks to support Student Minds colleagues as required.

We are seeking an experienced and influential leader to join us as our new Chief Executive Officer. You will provide leadership of the organisation and be the lead advocate for the charity with the government, the media, senior stakeholders, supporters and other external partners. You will also oversee key partnerships, most notably with University College London (UCL).

Working closely with the Board of Trustees, the Chief Executive Officer will develop the organisation’s long-term strategy, budget and business plan to secure organisational sustainability and compliance.

The role requires someone with visionary leadership who can demonstrate their commitment to shaping and nurturing a collaborative and open-minded culture. We’re known for the quality of our research and education & training provisions.

Candidates should have significant leadership experience in children and young people’s mental health, and a solid grasp of research in the field of child and adolescent mental health.
