Main Purpose of the Role:
To ensure the charity operates within a robust governance framework and maintains high standards of compliance, risk management, and operational efficiency. This role will lead on policy development, governance reporting, administration progression and process improvement to support strategic objectives and regulatory requirements.
Key Responsibilities
- Governance and Compliance
- Maintain and update governance policies and registers, and development of Standard Operating Procedures.
- Act as the primary liaison for Board governance matters, including preparing Board papers, ensuring timely reporting and minuting.
- Monitor compliance with charity law, GDPR, and other regulatory requirements.
- Coordinate annual policy reviews and ensure staff adherence.
- Risk and Audit
- Maintain and update the organisational risk register for quarterly Board review.
- Support internal audits and external compliance checks.
- Develop and implement risk mitigation strategies.
- Operational Efficiency
- Review and streamline operational processes to improve efficiency, including IT and telephony, authorisations, filing and recruitment.
- Support budget monitoring and reporting in collaboration with Finance.
- Oversee contract management and supplier compliance.
- Reporting and Data
- Prepare governance and operational reports for the CEO and Board.
- Ensure accurate documentation and record-keeping for governance purposes.

What we expect from you
Working alongside the Head of Operations, CEO and department heads, your responsibilities will cover Shift.ms and its wholly owned subsidiary, realworld ms ltd, as follows:
Financial management

Be the primary point of contact for our Treasurer, Accountant and External Auditor;

Review and constantly improve processes and internal controls for finance;

Lead the development of annual budgets and shorter/longer term forecasts as needed;

Manage accounting, budget and cash flow, and working with the CEO, develop cost reduction strategies as needed;

Prepare monthly management accounts incorporating variance analysis of budgets vs. actuals and headline narrative;

Manage monthly payroll with an external payroll provider;
-
Draft consolidated statutory accounts for audit and lead the coordination of year-end audit;

Prepare quarterly VAT returns for the Group and be the main point of contact for HMRC;
-
Make recommendations for corporate gift aid donations based on performance and future forecasts for the subsidiary;
-
Present finance updates in-person at quarterly board meetings normally held in London;
-
Manage and lead FinCom meetings, typically held quarterly;
-
Attend the trustee annual away weekend.
Bookkeeping

Lead the financial operations of the charity including recording transactions onto the finance system (Quickbooks), managing cashflow, invoicing, accounts payable/receivable, processing of purchase invoices and supplier payments;

Complete month end reconciliations as part of the preparation of monthly management accounts;

Track, calculate and process intercompany recharges to ensure costs sit within the correct entity;
-
Track and ensure correct treatment and reporting of restricted/unrestricted funds;

Process employee, volunteer & trustee expense claims;
-
Manage the relationship with an external payroll bureau, liaising with them to ensure payroll is processed accurately and paid on time;

Support employee onboarding including obtaining details for payroll and pre employment checks.
Other

Collaborate with senior stakeholders on projects and reporting;

Track income receipts and projections for weekly income generation calls with heads of department;

Qualifications, skills and abilities (E= Essential D = Desirable)

Leeds Survivor Led Crisis Service (LSLCS) exists to provide compassionate, person-centred, trauma-informed crisis support to people across Leeds and West Yorkshire. Founded in 1999 by individuals with lived experience of mental health crisis, the organisation has grown to deliver a range of services for adults, children and young people while remaining rooted in survivor leadership and empowerment. LSLCS has a long history of innovation and excellence; receiving multiple national awards.
The CEO holds overarching responsibility for the current service provisions, with the support of operational directors and service managers. LSLCS challenges and shapes current practices; aligned with the needs of those accessing crisis services, with a strong emphasis on gaining and reviewing service user and team feedback to inform decision-making. The CEO must be able to review feedback openly, regularly and with genuine curiosity in shaping the future of the organisation.
The CEO provides strategic leadership to ensure that LSLCS continues to deliver high-quality, values-led crisis services. This is a full-time Chief Exec role offering an exciting time to join an organisation making

About the Role
We are looking to recruit a permanent Finance Manager to join our busy finance team, working 30-37 hours per week, minimum 30 hours, ideally over a minimum of 4 days, starting salary £31,634 per annum (pro rata).
As Finance Manager, you will:-
· Provide day-to-day operational leadership of the finance team, including supervision, workload coordination, ongoing staff development and continuous improvement of processes and procedures.
· Act as the main link between the Finance Director and the Finance Team, translating strategic direction into clear, effective delivery.
· Lead month-end processes including the preparation of accurate management accounts, maintaining strong balance sheet control and exercising sound judgement on complex financial issues.
· Oversee income, credit control, cashflow, short-term forecasting and the administration of the finance system, ensuring data integrity, high-quality management information and appropriate escalation of risks or pressures.
· Support audit preparation and liaise with external auditors as required.
· Work collaboratively with internal and external stakeholders to support financial understanding, compliance and the effective resolution of issues.
· Act as the first point of escalation for operational finance issues, escalating to the Finance Director as appropriate.
About You
We need you to bring:
·AAT Level 4 Qualification or significant equivalent finance experience, with responsibility for management accounts, reconciliations and income monitoring.
· Experience coordinating month-end processes and working across multiple income streams, contracts or funding arrangements.
· Strong analytical skills and sound professional judgement, with the ability to explain financial information clearly to non-finance colleagues and identify financial and organisational risk and escalate issues appropriately.
· Experience supervising or supporting others within a finance setting, with a collaborative leadership style and a commitment to continuous improvement.
· Confidence using financial systems and Microsoft Excel at an intermediate to advanced level, alongside a methodical, organised approach to prioritising work.
· A clear commitment to equality, diversity and inclusion and to the values of The Advocacy People.
The following attributes are also desirable:-
· Experience working in the voluntary or charitable sector, including knowledge of SORP accounting, year-end accounts and liaison with auditors.

Overall Objectives
To support the design and implementation of new sensory reflection spaces that create a living memory and legacy for communities of those lost during the pandemic. Where multiple potential partners exist, ensure we have effective decision making to select the most appropriate partnerships in line with our strategic criteria, either through procurement or application assessments and establish appropriate tender processes for artistic commissioning.
- Manage contracts or grant arrangements with external partners, including evaluators and delivery organisations, delegating as required; lead or support negotiations as needed and ensure partners meet their obligations.
- Oversee and manage the delivery of the Greener Communities project to completion.
Stakeholder Engagement & Collaboration
- Convene and engage stakeholders, including member charities, NHS trusts and employees, funders and evaluators, to co-produce and steer projects collaboratively.
- Facilitating and supporting engagement to harness lived experience voice to inform the design and delivery of locally delivered projects to ensure relevance and suitability of spaces and also to support national commemoration events such as the National Day of Reflection.
- Manage stakeholder relationships throughout the lifecycle of each project, ensuring effective communication and engagement.
- Provide support and guidance to member charities through the projects we fund, enabling high quality spaces and user experience and outcomes.
- Represent the organisation externally, acting as a champion for NHS Charities Together and NHS charities
- Form professional and beneficial relationships with internal and external stakeholders – including at a senior level, representing the department internally and externally and bringing your experience of greening for health.
- Work collaboratively with teams across the organisation to plan commemorative events around the National Day of Reflection and to support the design of communication plans.
Creative Arts Installation
- Lead the creative arts commissioning aspects of the Reflection Spaces project in collaboration with partners to ensure spaces have interpretation and recognition around their purpose and also any installation artwork featuring across all sites acting as the golden thread for the programme.
- Identify and build effective relationships with new stakeholders and funders who are required for the artistic aspects of the Reflection Spaces project to support ambition, working collaboratively to secure income such Arts Council applications or equivalent for the devolved nations such as Creative Scotland.
- Establish creative steering groups that help to codesign artistic aspects that will establish interpretation of the spaces and create a ‘golden thread’ unifying the spaces
