 The Brent Centre for Young People is looking for an experienced, dynamic person to join its Clinical Administration Team.

The Brent Centre for Young People is a charity based in North West London (Kilburn) that provides psychotherapeutic treatments to young people aged 11-25 years, who suffer with emotional difficulties and have mental health needs. The Centre has an international reputation and delivers world-leading evidence-based practices to young people across North West London. On average, the centre helps over 700 young people per year through its In-house and Outreach Services.

We are looking for an experienced clinical administrator with strong people and communication skills to help run our clinical services.

This post is an exciting opportunity to be part both of supporting the growth of this new service and supporting clinical administration at the Brent Centre within an existing small team.

The suitable candidate will have at least two years’ experience of clinical and/or general administration and reception duties. This post will suit a confident, reliable individual with strong interpersonal, organisational and communication skills.

You will be expected to be confident in IT skills (including the use of Microsoft Excel to an intermediate level) and apply them to recording data accurately on a daily basis on our client database.

We are looking for someone who demonstrates a high level of professionalism, can work to regular deadlines, can problem solve when faced with difficult situations, adheres to confidentiality and can communicate professionally, politely and effectively with young patients, their families, our clinical and non-clinical staff team and our external contacts, such as GPs.

The post requires sensitivity to the needs of young people with emotional difficulties and the nature of therapeutic work and their families. Experience with young people or with mental health is advantageous.

You will be expected to work a range of shifts between 9.30am to 6pm, 10.30am to 7pm and 11.30am to 8pm, to be agreed.

The candidate will have excellent skills, when carrying out duties of the post.

We have also seen large increases in violent crime involving children and young people. This is a tragedy. The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children and young people becoming involved in violence. We do this by funding great initiatives, finding what works and working for change – scaling up and spreading the practices that make a difference.

This role and why it’s important 

It's critical to our mission that we understand how and why young people become involved in violence. The YEF’s work combines conducting rigorous evaluations and research studies with hearing directly from young people. It is also important to us that young people are central to the messages we share externally.

Your role involves ensuring that young people’s perspectives are heard and integrated into our work. This includes supporting our Youth Advisory Board (YAB) and helping young people’s voices play a central part in YEFs external communications.

This role also supports the wider team managing grants, contracts and providing general team support.

Key responsibilities: 

1. Youth Advisory Board support: 

• Plan engaging activities for YAB meetings and events. These activities require working some evenings and occasional weekends. 

• Provide support and pastoral care to YAB members, including personal development planning and safeguarding.

• Help recruit YAB members (young people aged 16 –25) through interviews and managing recruitment. 

• Develop and schedule the YAB induction programme for new members. 

• Monitor attendance and engagement of YAB members. 

• Coordinate YAB attendance at external events. 

2. Facilitating Youth Voice in communications: 

• Act as a bridge between the YAB and our external communications team. 

• Work with the communications team to amplify young people's voices on social media. 

• Assist young people in sharing their views and stories through various communication methods. 

3. Managing grants and contracts: 

• Maintain records of payments and tasks using Salesforce. 

• Assist stakeholders and team members in using Salesforce effectively. 

• Support in procurement processes and grant management by organising documents and scheduling meetings. 

• Proactively identify and address issues. 

4. Collaboration and support: 

• Work closely with other roles (including our Operations and Culture team) within YEF to ensure coordinated efforts and sharing of best practices.

KEY RESPONSIBILITIES

Strategic Planning and Organisational Leadership

• Lead the development and implementation of Girls Not Brides’ people and culture strategies to deliver on the vision, mission and goals set out in the Secretariat and Partnership strategies, 2022-2025.

As project manager, you will oversee the day-to-day operation and delivery of this vital  service, using your experience to develop the team, sharing best practice and seeking creative opportunities to continually improve the support we offer unpaid carers. This role will suit a people person who can quickly develop relationships, lead a team, and work closely in a supportive role with Adult Carers, Young Adult Carers and Young Carers. You’ll have overall responsibility for the Carer’s hub, where carers can drop in for advice and support, manage a small caseload, and support the delivery of the service’s range of activities as required, including respite activities, online groups, face-to-face sessions.

We are looking for a great motivator with excellent communication and organisational skills. Applicants should have relevant team or project management experience in social care, health, education or the voluntary and community sector. You will have experience of working with vulnerable adults and/or children and operational knowledge of multi-agency working. A practical understanding of barriers faced by unpaid carers, and an awareness of cultural differences will be key in this role.

This is a full-time role and the postholder can either be based in the community in Lewisham or our New Ash Green office, with travel to the other area/ office 2 days a week. The postholder must have access to their own ULEZ compliant car.

The Charity Shop Manager (Cover) role, will be guaranteed 8.5 hours a week in our Hornsey charity shop. Harington is an Ofsted regulated specialist college and charity based in north London, working with young people with learning differences aged 16-25. Our students undertake individualised learning programmes that lead to vocational qualifications and other aims, including gardening, retail, English, maths, employability and independent living.  We also deliver a supported internship programme.   

Our charity's learning centres in Highgate and Hornsey alongside our charity's gardening business and two charity shops, provide a unique opportunity for students to practically apply their learning on work experience placements. We also work with other employers toprovide opportunities in other settings to meet the aspirations of our students.

In this varied and rewarding role you will engage, motivate and support young carers and in doing so you will make a real difference to young carers within Surrey.

You will be based at our offices in Burpham, Guildford for approximately one day a fortnight, with access to hotdesking at any time. Your remaining working hours will be spent engaging with young carers within youth settings, schools or other settings or undertaking planning/recording work from home. You will be need to be available during times that children and young people are available, and this includes planned evening and weekend work.

We are a Surrey wide service, our team work collaboratively to cover the county and for efficiency, your work will be focused in a specific geographical area. This is a fixed term role to cover a maternity leave.

Key responsibilities

• To complete an assessment of need with young carers and provide signposting advocacy and support.
• To work in schools/colleges to increase the identification and support of young carers.
• To provide regular and on-going time out and fun club sessions for young carers to meet others in similar situations and have a break from their caring role.
• To update the database and SYC webpages– for example to update young carers records and update details of planned youth clubs.
• To provide signposting and advocacy to Young Carers and their families.
• To facilitate bespoke sessions for 16-17 year olds.
• To facilitate a program of on-line activities (i.e. via zoom) to young carers.

About you

You must:

• Be confident in encouraging children, young people and their parents/carers to engage with our activities.
• Have experience of working with children, young people and families. e.g. in youth services /voluntary sector / social work settings.
• Have awareness of issues surrounding Young Carers.
• Have a flexible approach to working hours, as regular planned weekend and evening work is required.
• Have an ability to form good working relationships with young people and their families.
• Have experience recording case notes and information about children and young people. Have a good professional knowledge of standard Microsoft packages and databases

Our current administrator is progressing to a new role managing relationships with our volunteers and with partner schools, and we are rercuiting to fill her role.

Background - Number Champions

We set up Number Champions in 2018 to transform the lives of children in state primary schools who struggle with numeracy or lack confidence in maths.  We employed our first staff member, our Head of Operations (HoO), in 2022 and our second, an administrator, in 2023.. 

We are the only charity systematically working in-person with young children in our field.  Early support will put children on track to achieve their full life potential in a world where some fluency with maths is an essential building block. Success in this one area can increase their self-esteem and their involvement in education as a whole. 

Now in our sixth year, we are working across 14 London boroughs in 32 partner schools, with over 110 In-School Volunteers supporting more than 300 children. We plan to increase these numbers each year. Our medium-term vision is to expand across London, while maintaining the highly positive impact we have achieved to date. 

We are proud to have received two national awards last year recognising the work of our volunteers, and we are currently shortlisted for a 2024 award.

Everyone at Number Champions is passionate about improving children’s educational and life chances. 

The Administrator role 

Our HoO has taken the lead in developing the charity and in giving us the capacity to expand further while maintaining quality of delivery. The administrator reports to the HoO and manages the bulk of the administration processes of the charity.  

The role is for an equivalent of 2 days a week, during school term-time only. It will be almost all remote, although you will be expected to attend occasional meetings in Central London (or possibly North London if that is more convenient for you). 

We intend the role to be permanent, but we are offering an 11-month contract September to July pending confirmation of funding. 

Impact on the organisation 

You will take on key responsibilities for administration and for contact with different groups of stakeholders. In a small professional team, you will have the opportunity to suggest ideas and to influence the development of the charity.

Core responsibilities 

• Manage the administration processes of onboarding volunteers and schools
• Gather, capture, and maintain the charity’s data in our management system
• Communicate with volunteers and with office and finance staff at partner schools
• Raise invoices
• Manage basic bookkeeping
• Assist in purchasing
• Provide occasional cover for other staff, as required
• Other activities as required from time to time to support the HoO, SRM, and charity.

Required skills and experience 

• Administrative or professional background
• Attentiveness to accuracy
• Proficiency in Microsoft Office (and knowledge of Google Suite would be advantageous)
•  Excellent interpersonal skills and the ability to build productive working relationships remotely with staff, volunteers, and schools
• Good time management skills and the ability to prioritise
• Commitment to the mission of the charity to help young children with maths.

Basic bookkeeping experience is desirable but not essential.

Benefits 

25 days holiday plus 8 bank holidays, prorated for a 2-day-a-week role. 

(Although the role is for only 39 weeks a year we will pay you for  33 days annual holiday reduced only by 2/5 for working 2 days a week.  This increases your take home pay by about 4% compared to also reducing holidays by 39/52 for weeks worked.)

Employer’s contribution to pension of 3%.
