Length: Two-year fixed-term-contract
Salary: £30,500 per annum
Working pattern: Full-time, 35hrs Mon – Fri | Staff can opt to work 32hrs over 4 days each week (with either Monday or Friday as a non-working day). The BES is a 4-day work week organisation with no reduction in pay.
Location: Hybrid. We ask that staff spend at least 60% of their time at our London office.

Key Responsibility: To provide administrative support across the Communities and Inclusion team.
We are seeking a Communities and Inclusion Assistant to support the Communities and Inclusion team at BES. The team works across a range of areas, including grants, membership, volunteering and education to engage with ecology in meaningful ways.
This is a new role within BES and a fantastic opportunity to engage with the world’s oldest ecological society. You will gain experience across multiple areas of the organisation’s work while playing a key administrative support role.
Responsibilities:
Community Groups
We support over 25 active community groups. The role will include:
- Administering the Community Groups inbox and acting as the first point of contact for general enquiries from current and prospective community groups.
- Supporting the BES Community Groups team in their work, including attending monthly meetings and providing meeting notes.
- Assisting community groups with recruitment to their committees.
Grants
We award over £500,000 in grant funding every year. The role will include
- Administering the Grants inbox.
- Supporting the administration of our grant portfolio, including collating of reviewer scores and EDI data monitoring via the grants database.
- Managing the in-house training and travel grant awarding process.
- Attend Grants committee meetings, taking minutes as required.
Membership
We have over 8000 members. The role will include
- Administering the Membership inbox and responding to members enquiries
- Updating and maintaining daily CRM tasks related to joining, renewals, cancellation requests and payment processes to ensure accurate membership data.
- Updating and maintaining accurate Membership KPI tracking.
- Attending Membership committee, taking minutes as required.

The Executive Assistant will play a key role in supporting and enabling the Chief of Staff to lead strategically by managing their diary, information flow, communications, and oversight of all aspects of Bishopthorpe Palace. They will be expected to take a hands- on approach in supporting the Chief of Staff in their operational responsibilities and wider engagement, monitoring workflow, preparing briefings and other writing, and assisting in monitoring and preparing budgets and budget reports. Financial administration
Administration of the donations inbox, liaising with current donors and prospective donors for simple queries. Ensuring good organisation of the inbox with a clear labelling system.
Draft donation acknowledgement letters for donors to acknowledge donations received.
Management of donations management system (Raisers Edge), including:
review of potential duplicate donor records
ensuring accurate documentation and declarations for Gift Aid donors
making edits and updates to donor records as and when required.Maintenance of the tracker for Raisers Edge issues to ensure these are managed and dealt with appropriately.
Follow up with donors who have expressed an interest in Gift Aid.
Liaising with the Comms team to ensure maintenance of supporters contact list.
Digital archiving of paper-based records held within the Finance Department.
Support Finance Managers with the organisation of the shared drive and the Sharepoint site.
Management of Finance policy and procedure documents library on the shared drive, ensuring these are up-to-date and accessible to staff.

Download bank statements on a daily basis and save on the shared drive.
Financial controls
Reconciliation of simple balance sheet accounts (e.g. petty cash, debit notes, deposit accounts) on a monthly basis.
Rconciliation of properties bank accounts and deposit accounts on a monthly basis.
Support the Finance Officer (Income) with donations collections and trips to the bank to deposit cash and cheque donations, ensuring all cheques and cash received are banked promptly and securely.
Provide assistance with the annual audit and the preparation of the statutory accounts, particularly with regard the provision of supporting documentation.
Host finance inductions for all new staff members.
Financial processing
Manage the corporate credit card process and user register, including onboarding of new users.
Issue monthly credit card statements to staff members for their expenses submissions.
Conduct first finance review of monthly credit card submissions and collate the supporting documentation submitted, ready for posting.
Collate Out of Pocket expenditure claims and conduct a first review of these before processing by the Finance Officer (Expenditure).
Support the Finance Officer (Income) with quarterly donor pledge statements process.
Post property and Victoria Hall interest, bank sweeps, and charges into Business Central.

We have an opportunity for an Assistant Data Protection Officer to join our team here at RBL on a permanent basis.
Supporting the Data Protection Officer and based in an existing team, this role will see you working to ensuring RBLs compliance with all GDPR/data protection requirements. You will work across the RBL Group to promote awareness of data protection policies and procedures and will take action to ensure compliance with legislation, manage requests, triage and respond to breaches, manage reporting and communication internally and more.

Reporting to our Data Protection Officer, key responsibilities will include:
- Accurately log details of new requests for support received into the Data Protection inbox
- Receive, acknowledge, and respond professionally to individual rights requests, working with stakeholders and database managers across the RBL group
- Provide professional risk-based and timely advice and relevant information to internal stakeholders and external parties in relation to all aspects of data protection
- Work with stakeholders to prepare formal lawful basis assessments, including legitimate interest and consent assessments, ensuring our lawful bases for processing personal data is suitable and appropriately documented
- Work with the wider legal team and the procurement team to support contracting arrangements across the RBL group, ensuring all data processing, retention and sharing is compliant with data protection legislation
- Support the preparation and delivery of bespoke training and drop-in sessions to colleagues across the Legion group, either in collaboration with the Learning & Development team or as requested by the DPO
You will be experienced in providing advice and guidance on data protection and working in a compliance environment within a large and complex organisation, ideally in the not for profit sector. You will have solid knowledge and understanding of GDPR and Data Protection Act 2018 and the Privacy and Electronic Communications regulations 2003 and their application. You will have effective communication skills and be a confident communicator, able to confidently engage with a range of audiences.
You will be contracted to our Haig House hub with a minimum expectation of two days per week working in person at the hub and flexibility for working remotely/at home when not on site.

About the Role
As Digital Marketing Assistant, you will support the Digital Marketing and wider Digital teams in their day-to-day delivery of the digital marketing strategy across owned, paid and earned channels. You will work closely with the Social Media, Content and Fundraising Coordinators on content generation for digital marketing channels, focusing on appealing to target audiences and current supporters in a positive and engaging way.
Your main duties include:

- Able to multi-task and maintain a high level of accuracy and attention to detail whilst working with a number of conflicting demands and deadlines.
