The Infection Prevention Society (IPS) is seeking an experienced Financial Controller on a part-time basis to manage the transition of the financial systems and processes. With 2,400 members, the IPS is dedicated to advancing infection prevention and control (IPC), playing a pivotal role in supporting IPC professionals, promoting best practices, and influencing policy to prevent infections.

The organisation is transitioning away from being a association-management / volunteer-led model to a small secretariat, hiring its first CEO and five other positions, including this most senior finance role. You will lead on the transition process covering all aspects of financial management, to ensure the Society’s financial integrity and sustainability.

Key Responsibilities:

• Manage the financial transition to an in-house model.
• Creating and testing all internal processes.
• Oversee Statutory accounts, budgeting, credit control, financial reporting and compliance.
• Manage payroll and pension scheme implementation.
• Forecasting, budgeting, variance analysis and support with audit.
• Investigate potential new income generation schemes with CEO.

Requirements:

• Accountancy qualification (CIMA, ICAEW, AAT, ACCA, etc.)
• Proven experience in a financial management role, ideally within a membership body, learned society, nfp/charity or public sector.

Caseworker

Forces Employment Charity is seeking an experienced and highly motivated Caseworker to join our team working on the CFO (Co-financing Organisation) programme in partnership with the probation service. In this role, you will provide specialist support to veterans within the criminal justice system, focused on early intervention, support and diversion to prevent re-offending. You will work closely with probation staff, partner organisations and lead providers to identify, engage and deliver emotional and practical support to veteran clients.

This is a Full-time 35 hours per week, home based role with regular attendance at Lewisham and Croydon Activity Hubs and frequent travel throughout the UK. This role has a salary £29,000 pa.

For the CFO programme, Forces Employment Charity is working in partnership with probation service staff and other partner organisations to provide specialist support for veterans in the justice system.This support is focused on early intervention, support and diversion at point of contact with justice system in order to prevent re-offending.

Our current administrator is progressing to a new role managing relationships with our volunteers and with partner schools, and we are rercuiting to fill her role.

Background - Number Champions

We set up Number Champions in 2018 to transform the lives of children in state primary schools who struggle with numeracy or lack confidence in maths.  We employed our first staff member, our Head of Operations (HoO), in 2022 and our second, an administrator, in 2023.. 

We are the only charity systematically working in-person with young children in our field.  Early support will put children on track to achieve their full life potential in a world where some fluency with maths is an essential building block. Success in this one area can increase their self-esteem and their involvement in education as a whole. 

Now in our sixth year, we are working across 14 London boroughs in 32 partner schools, with over 110 In-School Volunteers supporting more than 300 children. We plan to increase these numbers each year. Our medium-term vision is to expand across London, while maintaining the highly positive impact we have achieved to date. 

We are proud to have received two national awards last year recognising the work of our volunteers, and we are currently shortlisted for a 2024 award.

Everyone at Number Champions is passionate about improving children’s educational and life chances. 

The Administrator role 

Our HoO has taken the lead in developing the charity and in giving us the capacity to expand further while maintaining quality of delivery. The administrator reports to the HoO and manages the bulk of the administration processes of the charity.  

The role is for an equivalent of 2 days a week, during school term-time only. It will be almost all remote, although you will be expected to attend occasional meetings in Central London (or possibly North London if that is more convenient for you). 

We intend the role to be permanent, but we are offering an 11-month contract September to July pending confirmation of funding. 

Impact on the organisation 

You will take on key responsibilities for administration and for contact with different groups of stakeholders. In a small professional team, you will have the opportunity to suggest ideas and to influence the development of the charity.

Core responsibilities 

• Manage the administration processes of onboarding volunteers and schools
• Gather, capture, and maintain the charity’s data in our management system
• Communicate with volunteers and with office and finance staff at partner schools
• Raise invoices
• Manage basic bookkeeping
• Assist in purchasing
• Provide occasional cover for other staff, as required
• Other activities as required from time to time to support the HoO, SRM, and charity.

Benefits 

25 days holiday plus 8 bank holidays, prorated for a 2-day-a-week role. 

(Although the role is for only 39 weeks a year we will pay you for  33 days annual holiday reduced only by 2/5 for working 2 days a week.  This increases your take home pay by about 4% compared to also reducing holidays by 39/52 for weeks worked.)

The Forms will need to be able to populate relevant budget code data from RIs finance management system (Oracle Netsuite), use RIs single sign on (SSO) and MS Identity Service (EntraID) and preferably be able to work offline (sync’ing when the user has internet connectivity). Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3).

Developers should bid for both Lot 1 and Lot 2 separately. The fees for Lot 3 (PowerBI) will be agreed with the successful bidder on completion of the initial scope of work related to Lots 1 and 2 and as such no quote is required for Lot 3 in this submission..

RI is open to revising its requirements based on recommendations from a developer where this can improve the functioning of the forms.

RIs IT department will be part of the developer selection process, and will review and sign off on all deliverables prior to any payment.

Lot 1: Travel Request Automation Requirements

A Travel Request (TR) form is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. 

Any RI staff can access and create a TR and submit it for approval in the RI MS environment. The fields for the TR are defined in Annex 1. Note that Annex 1 is broadly based on the RI pdf Travel Request form (with some differences), which is available in Annex 5.

Once a TR is submitted for approval it obtains a system generated unique serial number and follows the approval process and subsequent actions as outlined in Annex 2.

Once a TR is approved a traveller receives an approved TR via email, with a link to a form they can save and/or print, which they use to book relevant travel.

Traveller draft and approved TRs will be available for a traveller to access at any time on a dashboard within the RI Microsoft environment that only shows those relevant to the Travellers RI email address.

Lot 2: Expenses Claim Form Automation Requirements

A form is to be created to support Expense Claims and Cash Advance Settlements, called the Expense Report Form (ERF). 

The ERF is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. Any RI user with access to RI SharePoint can complete and submit this form. Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3)

Any RI staff can access and create an ERF and submit it for approval in the RI MS environment. The fields for the ERF are defined in Annex 3. Note that Annex 3 is broadly based on the RI Expenses Claim Form (with some differences), which is available in Annex 6.

The ERF must be able to link with an approved TR (lot 1) in such a way that once a user has opened a new ERF they can point the ERF to a particular TR which then auto-populates relevant fields into the ERF (see Annex 3)

Once an ERF is submitted for approval it obtains a system generated unique serial number and follows the approval process and resulting actions as outlined in Annex 4.

Once a TR is approved a traveller receives an approved TR via email, with a link to a form they can save and/or print, which they use to book relevant travel.

Consultant Profile and Submission Requirements

RI is seeking a developer who

• Has significant experience with developing such automations within customer Microsoft systems
• Is registered as a consultant and can provide formal invoices against which payment will be made within 30 days of satisfactory sign off of work by RI

Proposals must include

• The developers CV, showing relevant experience with MS Apps, MS Automate, MS Identity Services, MS Identity Service (EntraID), MS Lists and MS PowerBI, as well as experience with integrating data from other systems (e.g. Oracle Netsuite)
• A supporting letter with
  • a fixed price cost for Lot 1 and Lot 2 separately, including any VAT
  • your hourly or daily rate for any additional work related to Lot 3
  • examples of similar work completed in the past 2 years
  • a proposed timeline for the work, which must include
    • at least 1 detailed scoping session with relevant RI staff to finalise the requirements
    • at least 2 review cycles by RI staff to ensure the final product meets RIs needs.
