What you will be doing:

The Training Administrator provides overall administrative support to Bild’s Workforce Development & Qualifications as well as being the first point of contact for Respond training, from enquiry through to the end of the training taking place and managing any issues that arise.

About the role:

We have recently launched our new CRM based on Microsoft Dynamics 365, and are looking for a CRM Manager to join an end user Charity in Central London. The Charity has a direct front end CRM user base of around 30 staff. It also has a power platforms bespoke portal for between 64-120 regional staff to login to, who contribute to the membership programme, creating new memberships and managing the renewals process which happens each year. It also has a power portals Donation portal which directly integrates to Dynamics 365 and Business central. This role is to support our internal staff (30) and external Staff (120) with the day to day activities ensuring business processes are fit for purpose and seek out possible improvements in the long term roadmap.

Key Functional Areas

• Data architecture– Lead on the review and structure of data on CRM.
• Systems Governance - Ensuring system best practices are followed, producing dashboards to identify common errors to follow up with users offering tailored training for common issues.
• Training and Support - training of new members, ongoing training and refreshing areas where common issues are found in regular training sessions all staff and portal users can attend.

Work Location/Hybrid Working Pattern

We are looking for a part-time administrator to join our team. This is an ideal opportunity for a first job or for someone looking to return to work. You would be working within our membership services team and need to be computer literate using Microsoft Office (Word & Excel on a Windows PC) and ideally although not a deal breaker), experience in using an online database such as Civi-CRM. This role benefits from working at our purpose-built training centre in the rural countryside of Osgathorpe, Leicestershire. We can offer you working one day a week from home.

Our team comprises of an Estate Manager, Office Admin, the post we are looking to recruit to and 2 amazing cleaning staff.

We ensure the smooth & efficient running of the Co-Operative, comprising of 269 flats (42 Social Housing). From a governance perspective,  we are supported by the management committee . 10 members, of which there are 3 Officers, Chair, Secretary and Treasurer.

This opportunity is ideal for someone who enjoys a challenge, the buzz of a busy office, engaging with residents and our suppliers. There is regular exposure to engaging with our accountancy firm who look after our company finances & Wandsworth Borough Council, our landlord also.

JOB PURPOSE

The Office Administrator will undertake all administrative support duties, typing, creating letters/templates, maintaining all databases of contact and contractors, filing and responding and maintaining records to standard enquiries. The role also requires answering the phone and logging calls, checking voicemails, opening mail, creating Notices and populating the Notice Boards at regular intervals, ensuring the confidentiality of sensitive information and abiding by Goulden House Co-Operative Ltd GDPR regulations. 

MAIN DUTIES

• Resident engagement, taking and responding to residents’ calls, ensuring that all such engagement is documented on the Goulden House Resident Engagement Database
• Updating the Goulden House Registers (Risk Register, Complaints Register, Anti-Social Behaviour Register, Intercom Databases etc)
• Raise Works Orders and Purchase Orders and services on SAGE as per Estate Manager instruction
• Taking responsibility for the Approved Contractor List, ensuring that the contractor’s documentation is correct and current, i.e. Public Liability, relevant Health & Safety certification
• Liaise with contractors and organising repairs whilst ensuring compliance with the Goulden House Co-Operative Ltd Procurement Policy
• Issuing resident/visitor parking permits
• Monitor CCTV daily putting particular emphasis on fly-tippers
• Updating of Notice Boards across the site
• Inspecting the cleanliness of the Communal Areas twice weekly and signing off of the Cleaning Schedules which are placed in all of the Communal Areas, in the absence of the Estate Manager.  
• Estate walk around as required or in the Estate Manager’s absence
• To undertake such duties as are reasonably assigned to you from time to time by Estate Manager

 SERVICE DELIVERY

• To take a pro-active role in Health & Safety issues on the estate.
• To assist in ensuring the Co-operatives’ aims in relation to customer awareness are achieved.
• To promote a positive image through the development of good working relationships with tenants, lessees, committee members, contractors, Wandsworth Council staff and other agencies.
• To ensure equal opportunities policies and procedures are complied with in relation to staff, members, residents and the general public.
• The Office Administrator may be required to take on any other duties that may be reasonably expected of the position as advised by the Estate Manager

Goulden House is a Residential site based in Battersea, where the successful candidate will become part of a small but very dynamic team. 

Retina UK is a national charity based in Buckingham that funds cutting edge research into inherited sight loss conditions and offers dedicated support and information to the thousands of people living with these conditions.

We are looking for the right person to support, develop and coordinate a variety of areas of activity within the Income Generation team.

Key responsibilities:

* Assist with the administration and stewardship of supporters across the various income areas and maintain and improve supporter retention and engagement. Areas to support with will include: Community Fundraising, Trading, Challenge Events, Lottery, Legacies and Major Donors.

* Provide an exemplary stewardship programme for existing supporters whilst also developing new ideas to engage new supporters.

* Utilise the charity database, carry out regular analysis, generate reports as requested, ensure records and folders are accurate and up to date and provide regular feedback to the Head of Income Generation.

* Conduct regular supporter research, as requested, to ensure Retina UK remains innovative with its fundraising activities. 

* Support with updating the database and printing letters for the Trusts, Foundations and Corporates proposals, reports and thank you letters.

* Ensure that our webpages are regularly updated with new events, ways of getting involved, photographs, case studies and impact quotes.

* Liaise with venues, supporters, exhibitors and attendees ahead of fundraising events and activities, including our Conferences, Sight Village and key challenge events, including London Marathon.

* Thank supporters in the appropriate manner and update and refresh supporter letter templates quarterly to effectively communicate the value of donor contributions. Mix up our thanking methods – calls, letters, emails – as appropriate.

* Take a proactive approach in guiding supporters and potential fundraisers on how they can be involved with Retina UK.  Offer clear advice on fundraising opportunities and ensure incoming enquiries are directed to relevant activities that align with their interests and needs, by staying up to date on our products and ways they get can involved.

* Work collaboratively to maintain an efficient and practical administrative process and arrange, attend and take minutes at Income Generation team meetings as and when required.

* Any other duties as reasonably requested by the Head of Income Generation, Senior Management Team and Chief Executive.
