Job Purpose
The Membership Administrator will support work relating to membership customer service, recruitment, retention, subscriptions, data management and communications.
The post requires strong attention to detail, experience in using CRM systems and excellent customer service and communication skills as the first point of contact in our membership team.
Main responsibilities
Membership
- Respond to enquiries about membership by email and phone, and being the first point of contact for membership issues
- Process applications for membership ensuring applicants meet the criteria and provide correct documentation e.g. sponsors
- Suggest improvements to the membership application process
- Ensure member information is up to date within the CRM
- Ensure membership pages of the website are up to date
- Facilitate access to membership benefits

Duties and key responsibilities
Database Administration (Raiser’s Edge NXT)
- Maintain and update supporter records, including constituent and gift data, ensuring accuracy and compliance.
- Process donation streams including MuchLoved, Enthuse and others, ensuring accurate integration and reconciliation.
- Work with the Database Manager to develop and manage Omatic Cloud processes for importing and automating gift data from external fundraising platforms.

What the job involves
We’re looking for a Data Operations Executive to join our Data Import Team in our wider Customer Engagement and Experience Team. This role is an integral part of the team who support the important work of the organisation as well as representing and delivering value to all our audiences, both internal and external.
In this role, you’ll get involved in a variety of important database activities — from handling large data imports and automated routines, working with personal and financial data, to making sure customer relationships are maintained by managing queries and interactions from different sources. You’ll be responsible for coding, resolving and importing bulk data exceptions into our Raiser’s Edge database using tools such as Message Broker ETL and ImportOmatic, as well as managing ad hoc manual data imports from platforms like Just Giving, Benevity and Everyclick.
You’ll use our CRM and other platforms to work with live data from our donors and supporters. This includes monitoring data feeds, downloading and uploading regular data files, and reporting any issues to the Data Import Manager. You’ll also play an active part in maintaining and improving data quality through regular housekeeping, data cleansing and updates, helping to ensure everything’s accurate, consistent and compliant with GDPR, Gift Aid regulations and internal policies.
As a key link between the Customer Experience Team and the database team, you’ll support positive customer experiences and help keep information flowing smoothly across the organisation. You’ll also assist with internal data requests, contribute to wider organisational projects and provide training and guidance on database processes to team members and other staff.
This role is fixed term for 12 months covering maternity leave.
What we want from you
We’re looking for a Data Operations Executive with good customer communications and a positive, proactive approach to team activities, problem-solving and time management.
Ideally, you’ll have experience working with a CRM database — Raiser’s Edge would be a bonus — and be confident inputting, processing and managing data accurately. The team
Our dynamic fundraising department are preparing for an ambitious multimillion-pound campaign in support of a ground-breaking cancer centre on the site of the Royal Free Hospital. We pride ourselves on being a supporter focused and agile function, working at the heart of the charity to deliver impact for patients and staff across our hospitals.
Responsible for attracting and retaining donors, and delivering an outstanding supporter experience, the fundraising department comprises two teams which work closely together to achieve our shared objectives:
- Our Public Fundraising team harnesses the support and energy of individuals and groups, helping them to give back in the way that works for them. This includes committed giving, in memory support, gifts in wills, and fundraising events and challenges. Our Philanthropy and Campaign teams builds relationships with individual philanthropists, trusts, foundations, and corporate organisations which give, or have potential to give, £10,000 to the charity each year. They lead major appeal activity for the charity, currently focused on our exciting cancer campaign which is due to launch in 2025.

The new Finance Administrator will join our small and friendly UK team for 15 hours a week, starting from June. They will be responsible for effective financial and legal activities of the UK team.

Key Responsibilities
1.Regular Reporting
- Forecast and create monthly cash flow as requested.
- Report on cash reserve levels with reference to the reserves policy.
- Produce timely and accurate management and financial accounts information, as requested by the Director or Trustees each month, with full explanation on significant areas and variances from budgets, using accrual accounting methods.
- Prepare and send quarterly & yearly reports to the financial team of the International Board.
- Produce other reports and recommendations as appropriate or requested.
2.Budgets
- Help to generate annual budgets.
- Work with staff and Treasurer to identify risks & opportunities to help deliver within the budgets.
- Facilitate financial support and guidance to budget holders.
3.Audit and Year End
- Prepare the information for statutory annual accounts for the auditors.
- Liaise with external auditors or equivalent, as needed.
- Submit annual returns to the Charity Commission on time.
4.Controls, Procedures, Systems
- Ensure accounting process remains compliant with the appropriate Charities SORP (Statement of Recommended Practice).
- Manage the annual report process to ensure a quality annual report is produced with an accurate and dynamic reflection on the year that the report refers to.
- Provide support in reviewing, monitoring and developing an appropriate and effective financial framework (policies, regulations, procedures and controls) that are in line with MEM’s strategy and values.
- Ensure financial processes and policies are up to date, communicated to and understood by the staff team and the Trustees. Ensure they are also in line with any regulatory requirements.
- Ensure appropriate risk management techniques and financial controls are embedded throughout the charity at strategic and operational levels.
5.Donor Support
- Deal with any donor queries that come by email.
- Maintain up-to-date records of donors, field staff and other contacts in the MEM’s database.
- Support the team with gift acknowledgements.
- Set up standing orders and keep records.
- Process and record completed Gift Aid declarations, and regularly submit Gift Aid reclaims to HMRC.
6.Financial Administration
- Input all financial data (income and expenditure) into organisation’s CRM, accounting and other relevant software.
- Prepare and follow up suppliers’ invoices for payment.
- Make payments for all authorised invoices.
- Process expense claims and make payments.
- Manage the banking of income (cheques and cash).
- Schedule transfer of funds to the field on a regular basis, making sure the transfer statements have the right codes.
- Act as one of the signatories for the bank accounts making amendments, payments and being a first point of communication with bank as required.
- Liaise directly with the outsourced payroll provider. Prepare, submit and issue P11Ds and ensure appropriate payment.
- Manage pension details and ensure contributions for all staff are made on time.
7.Other Duties
- Provide support during the recruitment process.
- Collate staff timesheets, keep track of holiday and staff sickness in line with MEM policies.
- Prepare and check monthly payroll details before sending to the payroll provider, including sickness reporting etc.

The Role
We have recently launched our new CRM based on Microsoft Dynamics 365, and are looking for a CRM Manager to join an end user Charity in Central London. The Charity has a direct front end CRM user base of around 30 staff. It also has a power platforms bespoke portal for between 64-120 regional staff to login to, who contribute to the membership programme, creating new memberships and managing the renewals process which happens each year. It also has a power portals Donation portal which directly integrates to Dynamics 365 and Business central. This role is to support our internal staff (30) and external Staff (120) with the day to day activities ensuring business processes are fit for purpose and seek out possible improvements in the long term roadmap.
Key Functional Areas
- Data architecture– Lead on the review and structure of data on CRM.
- Systems Governance - Ensuring system best practices are followed, producing dashboards to identify common errors to follow up with users offering tailored training for common issues.
- Training and Support - training of new members, ongoing training and refreshing areas where common issues are found in regular training sessions all staff and portal users can attend.
- Information Governance and Data Protection - Ensuring data is kept up to date and added in the correct formats and standards. Leading on data compliance and legalisation for the charity

Work Location/Hybrid Working Pattern

- Support fundraising and storytelling by producing e-newsletters, reports, and working with a designer on our annual newsletter to showcase impact.
- Inform and empower families by keeping ECHO’s website and private Facebook group updated with reliable, relatable content, and collaborating with partners to produce patient information resources.
Administration (40% of time)
- Deliver memorable experiences for families and young people by managing event logistics, handling enquiries, coordinating entertainment, and ensuring smooth registration and follow-up.
- Strengthen supporter relationships by coordinating the timely sending of T-shirts, certificates, thank-you letters, and other engagement materials.
- Enhance team efficiency by drafting meeting agendas, circulating papers, taking accurate minutes, and keeping the office environment well-organised and well-stocked.
- Provide high-level administrative support to the CEO by managing day-to-day tasks with sensitivity, discretion, and attention to detail.
This list does not cover every aspect of the role but will give you a flavour of the combination of taking a lead and hands-on work the job requires. Your days will be busy but controlled! There’ll be a lot to pack in, but, as the only comms and admin person, you’ll have scope to prioritise where your time and focus will get the best results. You’ll work across all our teams gathering, packaging, and sharing their news and information and supporting them to deliver with efficiency and high impact. If you like a ‘no-two-days-are-the-same’ environment and the ‘mucking in together’ dimension of a smaller charity, ECHO could suit you well.
