Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

Role Responsibilities:

Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

• Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
• Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.

Other finance duties:

• Support Assistant Finance Manager in preparation of the pay runs;
• Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
• Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
• Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
• Support the Finance Team with any other queries that may arise.

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
• To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.

Inbox Management & Staff queries

• To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
• To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.

Systems & Compliance

• To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
• To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
• To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)
• To create and maintain electronic copies of  personnel files
• To support with the updating of the Single Central Record for all staff, volunteers, consultants, agency workers and governors
• Under the direction of the Head of People, issue relevant letters to staff in relation to Employee Relations (ER) matters ensuring that timelines are strictly followed, meetings arranged, notes/minutes taken and all paperwork, including checklists, is fully completed.
• To support the People team with all HR policies, processes and projects as required.

General Administration

• To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
• Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
• Acquire data from primary and secondary sources and update database system REMS,
• Keeping up to date with the latest ESFA funding rules and regulations.

Additional duties:

• Undertake confidential shredding and filling,
• Coordination Support for the Finance or People/HR elements of staff on-site events

IKWRO –Women’s Rights Organisation (IKWRO) is an award-winning charity founded (as the Iranian and Kurdish Women’s Rights Organisation) in 2002. Thames Reach’s Outreach teams operate across London and helps those who are rough sleeping to find routes away from the street. The teams respond to referrals and work flexibly to reach London’s most vulnerable. We are looking for a Lead Worker  to join the Hillingdon Streat Outreach Team.

• Lead outreach shifts, providing a rapid response to referrals for people who are rough sleeping in the borough 
• Take a lead role within the team, working closely with support workers and assistant support workers to identify the quickest and most appropriate route off the street for people found rough sleeping, and devise plans to achieve this 
• Provide direct support to people who are found rough sleeping to enable them to move away from the streets and into accommodation

This is an exciting time to join the Housing First team, an innovative and supportive team offering open-ended, flexible, and intensive support to people who face multiple disadvantages. Housing First is an evidenced based model of support that alleviates homeless for people who other models of support may not be able to reach.

About the role

As a Housing First Coach you will deliver high quality person-centred support, using psychologically and trauma informed approaches, in line with Housing First principles. You will establish open and trusting relationships with people who have had long histories of homelessness or in temporary/insecure accommodation, enabling them to access and sustain accommodation and enable them to exercise choice and control over their lives. The team is multi-disciplinary in our approach – coaches, peer support worker, clinical psychologist – which allows us to formulate innovative approaches. The team operates across London, providing numerous opportunities to build effective partnerships and contribute towards systems change.

Location:  Office-base in Tower Hamlets, outreaching London-wide

About you

To be successful in this role you will be a self-starter, flexible and have experience of working collaboratively as part of a team and with internal and external partners. You may have a background in adult safeguarding, drug or alcohol recovery services, mental health or housing support and have significant experience of working within a multidiscipline setting with the ability to create strong professional relationships and creative solutions. You will have experience of working with people who have faced severe and multiple exclusion and who may have complex needs; with an understanding of the needs of people who have been homeless for long periods of time. You will be willing and able to provide practical assistance with moving into and maintaining a home – including direct help where necessary with tasks such as shopping, budgeting, cooking, and cleaning. 

You will also have a knowledge of Housing First and Housing Led approaches and the ability to work within a psychologically informed approach.

We have an exciting new opportunity for a Social Prescriber to join our team in Merton.

The Merton Social Prescribing service is one of the most established and mature services in the UK and is celebrating its 7th anniversary this year. We are seeking an individual to join our successful service in Southwest London. This role will help to strengthen the links between Primary Care, voluntary and public services to improve patients’ health and wellbeing. 

You will support patients within Primary Care GP practices in Merton, and you will support each patient to access appropriate services provided by voluntary and community organisations and other agencies. We expand the options available in Primary Care by creating a ‘managed’ way for referrals of patients with social, emotional and/or practical needs to a variety of local non-clinical services in the community. These include leisure, social activities, education, welfare, housing and employment advice and support.

Hillside Clubhouse is recruiting for a mental health employment specialist to join our dynamic Camden team supporting people with mental health conditions to gain and retain employment.  The role is working within the nationally recognised IPS (Individual Placement and Support) model within an NHS secondary care mental health team based in the heart of Camden.

Who we are: 

Hillside Clubhouse is a co-produced mental health employment support charity working across Camden and Islington. We support people with mental health conditions into training, volunteering, and employment opportunities. People can access our services via our Clubhouse, where they can share their skills and expertise with others and support the running of the charity.  Alternatively, they can receive support out in the community from one of our employment specialists based within primary and secondary care.

The Role: 

The role is within our IPS Service and will be based within a Camden NHS secondary care team. As an IPS Employment Specialist, you’ll play an important role in supporting people with lived mental health experience on their recovery journey by supporting them back into paid employment. This is an opportunity to offer ongoing support, to motivate and provide people with hope, while developing the tools and skills required to recover, ultimately transforming their lives.

A variety of skills are needed in this post including but not limited to -  a strong ability to develop empathy and rapport with clients; a determined approach to seeking out job opportunities; a person centric-approach to working with people; strong communications skills to motivate clients; strong administrative capabilities and an attention to detail engage with prospective employers via business development and face-to-face meetings, and to be able to challenge some perceptions around mental health. 

The postholder will be directly employed by Hillside Clubhouse but work under an Honorary Contract from Camden and Islington Foundation Trust.  They will be managed directly by the IPS Operations Manager but work as team member within the clinical team. The role is dynamic and involves being integrated in a clinical team, working within the community, and we operate a flexible working policy where working from home is also permitted up to two days per week.

Overall aim: 

To enable people with mental health issues to gain and sustain competitive employment by working within the evidence based Individual Placement and Support (IPS) model.

Primary Duties: 

• Manage a caseload of up to twenty clients and work within and apply the 8 principles of IPS in all aspects of role. 
• To work with and enable clients to find work using a mix of conventional approaches and employer engagement. 
• To generate ongoing referrals from the clinical team and to manage those effectively. 
• To engage directly and collaboratively with the clinical team while maintaining the existing multi-disciplinary approach to assisting clients seeking work. 
• To report and meet regularly with clinical team service managers and the IPS Operations manager, and to participate in both casework and clinical supervision from IPS Operations and clinical team services managers. 
• To be an active member of both the clinical and Hillside teams 
• To be responsible for own management of administrative duties tied to both Hillside Clubhouse and clinical team and adhering to existing Hillside and NHS protocols. 
• Source job opportunities specific to client needs from a range of sources including those advertised via current and conventional means, as well as through contact with local and Pan London employers. 
• To build up a network of employers to secure available and future vacancies. 
• To maintain existing and seek out new relationships with a range of external agencies of use to the post. 
• To provide ongoing support to both client and employers (where appropriate) when starting work and until such time as the client makes the decision to end the support provided. 
• To work with clients to collaboratively manage job searching activities and engagement with the service. 
• To manage and meet all KPIs, statistics and documentation as required, including but not limited to: referrals, first meetings, job outcomes, job sustainments of 6, 13 and 26 weeks, and work retention. 
• To provide guidance on the impact and/or the potential change to benefits when clients start work. 
• To work and manage time effectively in both community/external settings, and at clinical team.

• To work out of hours as and when required, working in line with Hillside Clubhouse risk management procedures.

• To maintain professional boundaries with all internal and external stake holders including clients, and staff members of both Hillside and the clinical team. 
• To engage and participate in external IPS support services, training, and events. 
• To undertake additional tasks and duties as and when required, and to work outside of normal office hours when necessary. 

Urban Saints are looking for a Resources Coordinator to join the team as maternity cover. This is a key role that will oversee Urban Saints' online digital resources platform (Energize). The platform has a growing customer base, and with increasing opportunities to equip youth workers in reaching young people who are not stuck into church, this role is an essential one to ensure our subscribers are well-resourced to reach the young people they encounter.

A successful candidate will be able to use their writing & editing skills to curate and improve digital content on our Energize platform, as well as being able to use their excellent customer-service skills to ensure that our subscribers' needs are met.

SENIOR YOUTH AND COMMUNITY WORKER

The Senior Youth worker will also support the enact team to develop and be involved in community cohesion projects involving children, families and youth.
