Job Purpose: 

The International HR Operations Administrator provides pro-active, generalist HR operations support to all staff. This role involves supporting all aspects of the employee lifecycle, including recruitment, on-boarding and orientation, performance management, learning and development, monthly payroll, benefits administration, as well as assisting with HR administration and the HR system. 

Key to this role is the ability to be efficient and well-organised, as well as to build strong working relationships, and manage HR-related issues in a professional and timely manner. 

Scope and Limits of Authority: 

The post holder is expected to organise their own day-to-day activities according to the overall priorities and timescales set. 

● This role does not have line management responsibility 

● Assisting with contracting and managing consultants and interpreters 

● Processing personal and confidential staff data 

Key Responsibilities: 

HR Strategy, Planning & Budgets 

● Processing HR activity invoices, ensuring accurate reporting in line with agreed budget criteria 

HR Policies & Processes 

● Supporting staff to understand and comply with HR policies and procedures as needed and raising any concerns to line managers. 

Global Resourcing & Payroll 

● Assisting with all recruitment activity, including finalising job descriptions, planning recruitment activity, placing adverts, support with selection and appointment processes, and scheduling interviews 

● Assisting with the monthly payroll for all staff globally, including providing relevant information to outsourced employment (EOR) and payroll only providers, processing invoices and maintaining relevant records; tracking payroll changes for all staff 

● Assisting with administration related to cost of living reviews (e.g. writing letters, updating the HR system) 

● Assisting with the management of all benefit administration including pension, Employee Assistance Programme, Life Assurance etc. 

● Assisting with the effective on-boarding of new starters and managing the orientation process 

● Assisting with termination / end of employment processes 

● Assisting with consultant due diligence processes as needed 

Staff Engagement & Employee Relations 

● Assisting with employee engagement activities such as staff surveys and employee wellbeing activities. 

● Assisting with staff communication activities as needed andensuring the HR section of the Secretariat Space is accurate 

Talent Management 

● Assisting with the performance management process to ensure reviews are completed on time and documented effectively 

● Assisting with L&D activities by identifying and monitoring training opportunities for staff 

HR Administration & Reporting 

● Draft offer letters, contracts, employee correspondence and paperwork covering the whole employee life cycle e.g: Maternity / new starts / Leavers etc 

● Provide administrative support in various tasks including meeting notes, booking meetings 

● Effectively monitoring the HR team’s shared email accounts 

● Keeping the HR system up to date, supporting staff to use it effectively 

● Maintaining HR records, in line with data protection regulations 

● Contribute to the life and work of the wider Resources team, helping out administratively where necessary 

Cross Team & Cross Secretariat Responsibilities 

● Building, maintaining and developing relationships with colleagues across all teams in the Secretariat, contributing to the delivery of the Alliance mission and Family for Every Child’s strategy 

● Contributing to cross-team work as needed and cross Secretariat project teams 

● Establishing and maintaining efficient administration systems, including digital filing 

● Undertaking any other reasonable duties or projects as required to support the work of the Secretariat

Person Specification: 

Education, qualifications, knowledge and experience

● Educated to UK A Level (International level 3) or equivalent qualification or experience

Key Responsibilities and Tasks

The Supporter Care Coordinator will provide exceptional supporter care and key administrative support to the fundraising team, particularly membership, to maximise engagement and income from supporters of Somerset Wildlife Trust by:

Supporter care:

• Being the first point of contact for the majority of our supporters and offering first-class stewardship to ensure our members and donors feel well-supported.
• Maintaining the highest standards of supporter care, including when responding to enquiries, judging when to involve colleagues to maximise potential support and income.
• Providing efficient data entry and administration, including for membership, fundraising appeals, community fundraising and events, processing all donations, including credit card payments and cheques, accurately.
• Supporting the Fundraising Data Specialist with the efficient processing of monthly Direct Debit and Gift Aid claims. Assist in financial reconciliations.
• Managing the day-to-day operations of the online shop, which includes the management of the website presence, fulfilment of all shop purchases and payments, and developing new products/adoptions as agreed with the Fundraising Development Manager.
• Being able to manage multiple tasks and requirements whilst demonstrating excellent time management
• Demonstrating good problem-solving skills and being able to work independently to deal with most enquiries and issues arising during the day.
• Providing administrative support for the Fundraising team.
• Identifying and proposing improvements that can be made to internal processes to help make the team more efficient.

CRM (Raiser’s Edge) & Systems:

• Maintaining accurate and up-to-date records on the Trust’s supporter database (Raiser’s Edge), including by uploading new memberships, donations and event attendees and updating records.
• Work with other team members to manage the recording of fundraising activity and income to help them become confident users.
• Producing electronic member retention letters and working with the Fundraising Data Specialist to make other improvements to processes to maximise effective use of Raiser’s Edge.
• Assisting in the ongoing development and improvement of Raiser’s Edge and in the support of other teams using the system.
• Supporting Fundraising colleagues with other systems used in the day-to-day work of the team.

Stakeholder relationships:

• Managing the day-to-day relationship with our membership recruiters at SWWFL, including the member upload processes, maintaining data quality, providing additional equipment and resources, and organising SWWFL team days and inductions.
• Managing stock levels and organising the printing and updating of membership materials. Liaising with suppliers to gather quotes and order new materials.

The Health, Safety and Facilities Officer will support the delivery of a safe, compliant and well-maintained working environment across the organisation. About the role

The Lead Cloud Systems Administrator is responsible for leading the management, optimisation and security of CARE International UK’s cloud infrastructure and enterprise systems. The role focuses on maintaining highly available and secure platforms, supporting infrastructure transformation and cloud migration activity, and ensuring effective administration of core services including Azure, Microsoft 365, Windows and Linux servers, identity services, networking, backup and disaster recovery. The postholder will work closely with the IT Manager, wider IT team and key stakeholders across the organisation, while also supporting projects, change management and technical planning.

The role requires strong technical knowledge across cloud platforms, systems administration, security and infrastructure support, alongside excellent analytical and problem-solving ability. As a Sports coach & youth mentor, you'll play a vital role in that journey. Alongside your coaching partner, you'll deliver engaging sports sessions, mentoring and workshops that inspire young people, build trust and help them realise their potential. Whether you're supporting a young person one-to-one, leading a group activity or helping deliver enrichment events, you'll be creating opportunities for young people to succeed.

This is more than a coaching role. It's an opportunity to be a positive role model, build meaningful relationships and make a lasting difference in the lives of young people across Hastings & Bexhill.

You do not need to know rugby to apply. The rugby side can be taught, and plenty of people in the team started with youth work or mentoring experience rather than a sports coaching background.

Day to day, you’ll work with schools, alternative provision teams and community partners to keep sessions safe, productive and well-organised. You’ll also support holiday activities, career taster days and enrichment trips, giving young people positive things to be part of outside school.

 At Dallaglio RugbyWorks, we support young people 12-18 who have been excluded from education or at risk of exclusion. Using sport as the starting point and mentoring as the foundation, we help them build confidence, resilience and the skills they need to create brighter futures.  Rugby helps start the relationship, but the work goes far beyond sport. The charity uses mentoring, life skills, wellbeing support and career-focused activities to help young people build confidence and prepare for life after school.

Our work focuses on four areas: life skills, raising aspirations, physical wellbeing and mental wellbeing and the aim is to make sure exclusion from school does not become exclusion from society. You’ll be part of a team giving young people consistent support, trusted adults and practical chances to move towards education, employment or training.
