Job Description

The main responsibilities of the CEO are:

Strategic leadership

·Work with the Board of Trustees and the Head of Operations, and consult with staff, survivors, and others, to develop and define a clear, strong vision and direction for the future of the organisation.

·Lead on and be responsible for the creation, ongoing development and implementation of the organisation’s strategic, business and annual plans.

·Foster, model and promote an inclusive, feminist, anti-racist organisational culture that reflects CARA’s ethos and values.

·Be accountable to the Board of Trustees for the overall financial health of the organisation.

Good governance

·Report and present to the Board of Trustees on the organisation’s progress against its budgets, plans, any risks, challenges and changes, and all information relevant and necessary to the effective discharge of the Board’s duties, including strategic decision-making.

·Develop and share proposals with the Board for the implementation of its objectives and the ongoing development of the organisation.

·Support the Board of Trustees in its ongoing process of self-assessment, development and improving its diversity and representation.

·Ensure the charity meets its constitutional, regulatory and legal obligations.

Business development

·Develop and implement an income generation strategy that ensures the organisation’s sustainability and enables its sustainable growth.

·Work in partnership with the Head of Operations to develop and implement the organisational structures needed for effective delivery of CARA’s objectives and sustainable growth.

·Generate new and various funding and income opportunities through networking, developing partnerships.

• To research and identify new funding and commissioning opportunities and complete bids and applications on an ongoing basis.

·Increase the unrestricted income of the charity, including developing, proposing and implementing new and innovative approaches to its income generation activities, including working closely with the CEO of Icena.

·Be responsible for maintaining and developing strong, long-term relationships with a diverse range funders and donors, both existing and new.

Representation

• To act as lead representative for CARA in the Synergy Essex Rape Crisis Partnership, developing strong working relationships with the other partners and negotiating CARA’s role, responsibilities and the financial allocations it receives from the partnership. 
• To keep up-to-date with current developments affecting victims and survivors of sexual violence and ensure that CARA responds appropriately to these developments.
• To be the chief spokeswoman for CARA, responding to media and other enquiries as appropriate and playing a pro-active role in bringing relevant issues to the attention of the public, issuing press releases and initiating debate, as appropriate.
• Build, support and oversee strong relationships with individuals and organisations across the voluntary, public and private sectors, and in local and national government.
• To contribute to Rape Crisis England and Wales campaigns and other campaigns, as appropriate.
• To remain informed of national and regional Rape Crisis perspectives, drawing on Rape Crisis England and Wales expertise and resources as appropriate.

Organisational management

·Ensure policies and processes that support good communication, staff health and well-being, and safe and effective delivery of work are in place and adhered to throughout the organisation.

·Take overall responsibility for the staff team, its management and performance.

·Capture the organisation’s work through robust monitoring and evaluation, and ensure CARA’s impact and any learning is shared throughout the team and with the Board, survivors, funders and other partners as appropriate.

·Oversee and ensure robust financial management processes for the charity.

Other

·To oversee safeguarding at CARA, working with the Designated Safeguarding Leads to ensure effective policies and procedures are in place and communicated to staff, trustees, sessional counsellors and volunteers, and that CARA follows best safeguarding practice.

·To adhere to all CARA’s organisational policies and procedures.

·To be administratively self-servicing, and to share responsibility for a range of day-to-day tasks with the Head of Operations and other team members.

·To undertake other related activities as required by Board of Trustees.

About Synergy Essex

CARA is part of Synergy Essex – the Essex Rape and Sexual Abuse Partnership. We work with SERICC Rape and Sexual Abuse Specialist Service and Southend-on-Sea Rape Crisis (SOS Rape Crisis) to deliver the contract for the Office for the Police, Fire and Crime Commissioner (PFCC) for Essex for services for victims and survivors of sexual violence and child sexual abuse across Essex, Southend and Thurrock. Synergy Essex also shares a number of other projects, funded by the Ministry of Justice, Essex County Council and the National Lottery Community Fund.

Our current PFCC contract ends in March 2025.  Synergy Essex intends to submit a bid for the new contract, which is expected to be put out to tender in the summer of 2024.

Overview

The Programme Manager role will be crucial to the success and development of the charity. You will be responsible for the management and delivery of 3+ Worldwide Radiology projects, operating across Malawi, Ghana and The Gambia.

The Head of Property is a crucial and pivotal role at the Diocese, as you will lead the strategic management of the Diocese’s assets, taking responsibility for maximising income and capital returns from assets, including property development on investment land and buildings.

Reporting to the Diocesan Secretary, you will oversee the management of the Diocese’s housing and the Glebe estate. You will ensure good quality clergy accommodation through strategic maintenance and planned enhancements, along with the sale, purchase and development of housing stock and glebe land as required.

Managing the Property Services Team, which oversees the management of all clergy and other housing within the Diocese, you will ensure maintenance and improvements are performed within agreed timeframes and budgets and provide an excellent and friendly service to clergy and their household. In addition, you will ensure maximised rental income from vacant housing and glebe land which is a key income stream for the Diocese.

As Head of Property, you will offer support to parishes and protect their interests by advising on decision making regarding their buildings, with a particular focus on enhancing utilisation and value, especially for church halls. You will also represent, protect and advance the interests of PCCs, Incumbents and Churchwardens, by partnering with them to provide high-level advice to parishes on the effective management of property matters, particularly in cases where the Diocese acts as custodian trustee on their behalf.

As a key member of the Diocesan Office and Senior Management Team (SMT), Diocesan Finance & Assets Committee, Diocesan Advisory Committee and Property Advisory Group, you will manage the property budget, taking part in budget reviews and budget setting in partnership with the Director of Finance and Finance & Assets Committee.

Professionally qualified with a relevant qualification and with significant demonstrable post qualification experience in a similar role, perhaps as a surveyor, you should have proven leadership experience with a focus on strategic property development and resource planning.

With experience of working in the property sector, ideally in asset management, residential property management and landlord and tenant relations, you should have a track record of driving maximum return from property and/or land assets, including experience of property disposals and purchases. Able to maximise  income, you should also be adept at planning, managing and reviewing substantial budgets and exercising strict financial controls in a property environment.

Sympathetic to the overall Christian mission of the Church of England, including the Diocese’s schools, church communities and buildings, you should be prepared and able to travel regularly throughout the Diocese.

Previous experience with Charities or Not-for-Profit organisations is desirable but not essential.

The Housing and Land assets of the Diocese of Canterbury comprises operational and investment properties, almost all of which consist of ministry housing stock and a small amount of Glebe Land. Assets include circa 170 parsonage houses, the majority of which are occupied by clergy, establishing a unique relationship between the Diocese and church leaders. A minority of the stock (around 50 properties) which are intended for ministry but not currently used, generate substantial rental income. Notably, recent years have seen the move to ensure that we have the right properties in the right places for ministry as well as exploring development opportunities on existing properties that are due to be reviewed, sold or replaced.

This will enable financial institutions to identify risks and opportunities to help them to deliver deforestation free portfolios by 2025.

Although the role is primarily focused on the HQ finances, the role operates within the context of Street Child as a global charity and so also has interaction with the global finance team. The role offers the chance to work across a number of finance functions, and some of the subsidiary charities. It is essential that the applicant can juggle the complexities of a busy role with has varied work priorities. Key stakeholders are the HQ Finance Manager, Finance Director and the HQ based fundraising team. The role works alongside the Finance Assistant and plays a role in oversight and coaching of this role.

Part 2:  Key Responsibilities:

1) (40%) Deliver all functions related to Accounts Receivable

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system and CRM (which is under development) on a weekly basis.
• Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
• Working with colleagues in Fundraising to analyse and code income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly.  Following up on how to code any income which is not allocated to a source.
• Working closely with colleagues in Fundraising to ensure prompt collection of outstanding balances from customers, and sending out monthly debtor balance statements. 
• Raising donor invoices and requests for payments, and issuing donor receipts.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

2) (20%) Lead the Accounts Payable process

• Whilst the Finance Assistant is responsible for all payments, the Finance Officer has a lead role in ensuring that all invoices are paid on time, in an efficient manner and that the finance system reflects the transactions within the correct accounting period and correctly coded in the system – including account code, cost centre, project code and donor code.
• Determine most efficient payment platform to process international payments, and ensure that recorded in the finance system at the correct conversion rate.
• Be a point of contact with the Foreign exchange agents to quickly resolve any questions.
• Work with the Finance Assistant to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Managing at least two payment runs a week and additional runs as required; ensuring that all invoices for payment are correctly approved by the budget holder, setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved in the banking platforms by the deadline set.
• Once the payment is made, allocating the payment against the invoices in the Finance system.
• Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
• Managing monthly staff credit card reconciliations and ensure that these are returned on time with all receipts and invoices and checking and reviewing classifications, with follow up as required.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Fully deliver the set up all payroll payments in time for the monthly pay day.  This involves ensuring correct amount and currency of payment (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.
• Any other responsibilities relating to Accounts Payable.

3) (40%) Month end reporting and reconciliation and subsidiary accounts

• Complete all balance sheet reconciliations, including bank and petty cash reconciliations and submit for approval by HQ Finance Manager.
• Once CRM system is in place, undertake reconciliation processes between finance data and CRM data.
• Carry out monthly revaluations of bank accounts.
• Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist in preparation of internal reports, including working with Operations Department and Finance department to review their monthly reports.
• Take responsibility to deliver the management accounts of two subsidiary companies: Children in Crisis and HQ transactions of Africa Educational Trust.
• Compile information for Gift Aid returns.
• General support and assistance to the team including administrative duties and managing the office post.
• Other ad hoc support to the wider operations team as may be required.
• Audit: support with the year end audit and provision of supporting information to auditors.

The Charity

The Youth Adventure Trust is a youth development charity working with vulnerable young people aged 11 to 16 years old from Wiltshire and Swindon. Our outdoor activity based YAT Adventure Programme enables young people to challenge themselves, experience success, learn to go beyond their own expectations and grow in confidence. Through a series of residential camps and day activities they are able to build resilience, self esteem and develop social and life skills. The YAT Resilience Programme works to the same outcomes through a year long programme of monthly activities, home-based challenges and reflective practice. Our Mentoring Programme works with those young people in need of some additional individualised support at the end of our other programmes. The Trust’s Bursary Programme is open to all those young people who have completed an initial programme, in order to assist their next steps into further activities. Our aim is to make a lasting improvement to the lives of vulnerable young people. All our services are provided completely free of charge to the young people who are nominated by schools and other youth organisations to take part. 

The Role

We are looking for an experienced, dynamic and motivated Adventure Programme Support Manager to support both young people and volunteers on our Adventure Programme. Working alongside the Programme Managers you will act in a support function across the activity days and camps, and be involved in direct one to one support for young people. You will also work alongside the Volunteering Lead to recruit, manage and support the volunteers who are front and centre of ensuring our young people’s positive experiences and outcomes. This is a diverse role with the opportunity to make a real difference to the lives of vulnerable young people both through direct work and supporting the wider team.

Programme Support

This aspect of the role includes;

• Attending residential camps and activity days throughout the year, assisting with organising and delivering the Adventure Programme.

• Ensuring the highest standards of support, safety and safeguarding across the programme and all aspects of the Youth Adventure Trust’s work.

• Carrying out direct work with young people to help support their needs and fulfil the Youth Adventure Trust’s aims.

• Supporting work with the young people’s families to promote full attendance, effective participation and ensure they have all the information they require.

• Supporting work with our referral partners to ensure they have an excellent understanding, relationship and experience with the Youth Adventure Trust.

• Contributing to ongoing feedback to young people, parents, carers and schools.

• Supporting the effective monitoring of the programme and measurement of young people’s developmental outcomes.

• Working with the Programme Managers to support young people moving on to the Mentoring Programme, and promoting take up of the Bursary Programme. 

• Supporting the development of further opportunities for young people both during and after their YAT journey. 

• Assisting the day-to-day administration and management of the programme. This may include maintaining a database, producing written communications and reports, information leaflets, website updates, budget monitoring, booking and negotiating with providers, and an array of detailed record keeping.

• Creating website and social media content to highlight and  promote YAT’s work. 

Volunteer Management 

Volunteers are critical to the success of our programme for vulnerable young people; recruiting, supporting and developing capable, skilled, empathetic, engaging and committed volunteers is essential to the impact of our work.

This aspect of the role includes;

• Promoting volunteering opportunities and recruiting new volunteers to the organisation to ensure needs are met.

• Acting as a key point of contact for volunteers, maintaining communication and engagement with the charity.

• Administering all aspects of a volunteer’s involvement with the Trust, including completing the relevant checks and references, record keeping and database maintenance. 

• Organising, preparing and information sharing with volunteers to ensure they are ready to fulfil their role. 

• Supporting volunteers in their role on our Adventure Programme, facilitating opportunities for informal supervision and debriefing. Our volunteers work tirelessly to ensure the young people get as much as possible from their time with the Youth Adventure Trust, and often deal with challenging and impactful situations.

• Developing and coaching volunteers in their role through working alongside them as they support young people on our Adventure Programme residential camps and day activities. 

• Creating and delivering training opportunities for new and existing volunteers.

• Creating website, newsletter and social media content to promote volunteering and engagement with the charity. 

• Supporting our Volunteer Committee in their functions which include organising awareness raising and social events.

• Developing opportunities for a diverse portfolio of  volunteering roles within the organisation. 

• Supporting the fundraising team through providing feedback, reports or event support.

Across the role you will;

• Be involved in sector networking and awareness raising on behalf of the Trust.

The Candidate

To be up to the challenge you’ll need an excellent understanding and a proven track record of relevant experience working with vulnerable and challenging young people. You’ll need demonstrable skills at building effective relationships with young people, parents/carers, and professional organisations. In addition, you’ll need an excellent understanding of volunteering and relevant experience working with and managing volunteers. You’ll need strong influencing and motivational skills; the capacity to get the best out of people and confidently deal with issues. You’ll be an excellent communicator, planner and problem solver, a strong team player and an exemplary role model.

We need someone with:- 

• Commitment to safeguarding and promoting the welfare of young people.

• Relevant experience of working with young people aged 11 - 14 years old, preferably in a residential environment as well as outside of this.

• Relevant experience of working with volunteers in the Third Sector, including recruiting, supporting and managing volunteers.
