Westway Trust is seeking a dedicated Head of Operations with a minimum of 5 years’ senior leadership or operational management experience in a multi-disciplinary organisation, ideally within a community, charitable, social enterprise or values-led setting.

In this newly created role, you will act as a key advisor, reporting directly into the CEO, and will have responsibility of key areas of the Trust’s operational functions, ensuring the smooth and effective running and delivery of services. • Attend People Committee Meetings and the Board as requested, and contribute to the preparation of meeting papers as necessary in line with agenda requirements. 
• Provide upward reporting and insight to the CEO including written briefings, performance dashboards, and recommendations.
• Attend internal and external meetings, including those that require representing the Trust publicly, in line with agreed strategies and perspectives.
• Monitor, update and ensure compliance with organisational policies and legal requirements (e.g. safeguarding, employment, health & safety, data protection) to build a positive work culture.
• Champion collaboration and integration across departments, ensuring consistent implementation of work priorities that align with community needs and objectives.
• Support a values-based culture that centres equity, sustainability, openness, courage, and integrity.
• Contribute to organisational development and support the process of communicating and managing change effectively at the Trust in line with agreed policies and frameworks.

Essential Experience, Skills and Attributes:

• Minimum 5 years’ senior leadership or operational management experience in a multi-disciplinary organisation, ideally within a community, charitable, social enterprise or values-led setting.
• Proven ability to lead, guide and motivate diverse teams and to support the professional growth of those who report to you as a line manager.
• Demonstrable experience of good practice approaches to conflict resolution, working in collaboration with others and encouraging honesty, transparency and open ways of working across teams that benefit the organisation’s effectiveness and efficiency.
• Excellent planning, organisation and performance management skills.
• Excellent writing and reporting skills, including the ability to summarise complex data and issues for decision-makers.
• Experience in researching, developing and managing departmental budgets.
• Ability to analyse information, and formulate practical and reasoned operational plans that can be easily understood and monitored.
• Strong interpersonal and emotional intelligence skills – able to offer both moral and professional support to teams.
• Experience of supporting organisational change, transition, or transformation programmes.

Desirable Experience, Skills and Attributes:

• Previous experience overseeing HR or education/community programmes is highly desirable.
• Familiarity with communications/marketing functions is a plus but not essential.
• Degree-level education together with a recognised professional qualification in any of the fields this role covers - or equivalent lived/professional experience – is highly desirable.

The Role

About the Service

We are seeking a Volunteer & Service User Involvement Administrator to play a vital role in supporting the implementation of our 5-year strategy, which places service user involvement and volunteering at its core. This role is key to ensuring that the voices of service users, volunteers, and women with lived experience of VAWG are actively captured, organised, and integrated into the development of our services, operational activities, and strategic direction.

About the Role

The key responsibilities of the Service User Involvement Administrator are:

• Provide high-quality administrative support to the Volunteer & Service User Involevment Coordinator across all areas of service user and volunteer engagement.
• Support the recruitment, onboarding, and exit processes for volunteers and service user involvement activities, including processing DBS checks, references, and welcome packs.
• Maintain accurate and up-to-date records on volunteer and service user engagement databases and spreadsheets.
• Prepare agenda’s, correspondence, newsletters, and recruitment materials as required.
• Assist in planning and coordinating events, focus groups, training sessions, consultations, and board meetings.
• Manage invitations, bookings, and logistics for internal and external meetings or workshops involving volunteers and service users.
• Take and circulate clear and concise minutes and action points.
• Draft and disseminate regular communications, including newsletters, reminders, surveys and feedback forms.
• Ensure information is accessible and aligned with Solace’s inclusive and psychologically informed frameworks.
• Manage the inbox of service user involvement and volunteer queries and escalate as necessary.
• Ensure all volunteer and service user information is managed confidentially and in line with Data Protection regulations.
• Keep volunteer and service user training, DBS, and participation records up to date.
• Support in monitoring engagement levels and preparing basic reports or summaries on SUI and volunteering.

About You

To be successful in the role of Volunteer & Service User Involvement Administrator you will be motivated, pro-active and supportive, with a strong commitment to person-centred work, volunteering and service user involvement, you will also need to bring with you the following skills and experience:

• Actively engage service users to contribute to the enhancement of service delivery
• Collaborate closely with the Service User Involvement and Volunteering Coordinator to support services in strengthening their approaches to service user involvement and co-production
• Assist the Coordinator in facilitating inclusive and effective volunteering recruitment processes
• Demonstrate strong communication skills and the ability to connect with diverse individuals across a range of settings

The purpose of this role is to provide leadership, oversight and curation to the FYT Leadership Team, and to lead the smooth running of the FYT Organisation which supports the wider FYT Movement. This will include coordinating the delivery of the strategic plan, leading fundraising, and working closely with the FYT Board to oversee the smooth running of the organisation.

Hours: 22.5 hrs per week
Salary: £24,116 per annum (£40,194 pro rata) + 9% pension
Holidays: 5 weeks plus bank holidays and 3 additional days at Christmas
Location: Working from home, with nationwide travel expected

Key Responsibilities:

1. Lead the FYT Movement – Engage with movement members

2. Lead the FYT staff team – supporting, supervising, enabling and encouraging and ensuring appropriate HR functions are carried out. 
3. Lead the fundraising strategy for the organisation, giving attention to securing grants, as well as donor fundraising . Report as necessary to funders.
4. Work with the Finance Officer to manage the budget and finances within the parameters agreed by the Board.
5. Facilitate the effective function of the Leadership Team, enabling the smooth and efficient carrying out of the strategic priorities.
6. Provide Line Management support and supervision to the other members of the Leadership Team.
7. Develop, implement and monitor FYT’s strategic plan in partnership with the FYT team and board
8. Engage in practical theological reflection on FYT’s mission and how it is expressed.
9. Attend and contribute as required to Board meetings, working closely with the Chair and Board to ensure that appropriate issues are raised, and that any agreed action is put into effect.
10. Be an advocate for marginalised young people, the issues they face, and youth workers and projects working with them (pursuing prophetic mischief, provocation, and taking up our unique space in the youth ministry community).
11. Make links with appropriate Christian, voluntary and statutory bodies and to represent FYT in appropriate forums and pursue opportunities for collaborative working.
12. Support the active promotion of the FYT training and resource offer.
13. Lead the monitoring and evaluation (impact assessment) of FYT’s work

Other functions:

1. Meet regularly with Line Manager for supervision.
2. Undertake administration and keep necessary work records.
3. Comply with all FYT policies and procedures.
4. Work collaboratively with the FYT leadership team and Board to ensure that organisational policies are regularly reviewed.
5. Engage in CPD/lifelong learning.
6. Undertake any other tasks that may be requested, commensurate with the nature and level of the post and as may be required by the Board of Trustees.

Additional Information

• The Leadership Team is supported by a contract with Giraffe HR that assists in the day to day running of the organisation, primarily managing the finances of the organisation.
• Engagement in ongoing, regular youth work with marginalised young people is not a requirement of this post, but encouraged. FYT will be flexible where possible in order to facilitate this.

Ascension Community Trust (ACT) is a much-loved community-based charity in Custom House, Newham.  We deliver a range of projects including Newham District Foodbank (a Trussell Trust foodbank run by ACT and two community partners), welfare benefits advice, immigration advice, ESOL classes, work with adults with learning difficulties, as well as work with children, young people and their families.

This an exciting time for the programme with a SEND school being built next door to our centre, and with established relationships with several care homes – we expect that this programme will go from strength to strength.

The programme currently consists of:

• Gardening Project with children from a local SEND school.

You will have the leadership skills to support a small team of sessional staff. You will be at ease in relating to adults and children with learning difficulties as well as their parents and carers. You will be passionate about the well being and integration of people with learning difficulties with an understanding of their needs.
