The Role
The Administrative Officer will play a key role in helping to ensure the smooth running of HEP’s operations, events, and communications, and in delivering the high-quality service that underpins our success. This role reports jointly to the Operations Manager and the Head of Communications & Engagement.
Key Responsibilities
Administrative Support
- First point of contact for schools, clients, suppliers, and visitors triaging issues and responding efficiently and helpfully to queries in person, via phone, and by email
- Monitoring of shared email inboxes across various teams, addressing enquiries in a timely manner
- Work closely with the Operations, Comms and CPD teams to support projects and workstreams
Event / Visitor Coordination
- Prepare and manage meeting rooms and training venues liaising with trainers and delegates
- Assist with the planning and delivery of in-person and online events, including training sessions and conferences
- Create event collateral in a professional and timely manner
CPD Support
- Support with organising, hosting and managing the technical side of virtual and in-person meetings, training and webinars

Communications and Digital Support
- Website administration support, resolving member queries

The Urban Partnership Group (UPG) is a community and regeneration organization situated in West London offering a wide range of activities at its bases at the Masbro Centre, Edward Woods Community Centre, Masbro Brook Green, and Flora Gardens Family Centre projects managed include those for older people, youth, children center services, volunteering and community champions. Role
To be responsible for the day-to-day provision of an efficient, welcoming and professional reception and administrative/business support service to the Masbro Community Centre.
The applicant will be the first person a visitor, client or customer meets or speaks to face to face or on the phone. The applicant will need to have a good rapport with people and make them feel welcome and at ease. UPG deliver a range different activities a week with a footfall of over 500 people a week.

Duties and Responsibilities

As the receptionist and administrator, ensuring all users and visitors are dealt with promptly, professionally and courteously.
- Provide a warm, supportive and nurturing front-of-house presence, building positive relationships with service users, tenants, volunteers and partners.
- Develop and maintain effective clerical and administrative systems in line with UPG policies and procedures, reviewing and improving systems where necessary.

The MCF has an exciting opportunity for a Grants Officer to join our fantastic Charity Grants team on a 12-month contract to cover for one of our Grants Officers going on maternity leave.
This is an opportunity for the right candidate to gain strong experience working with charities, develop knowledge of the key themes and challenges facing the sector, develop their assessment skills including reading charity accounts, expand their network in the grant making sector, and contribute strategically to the Charity Grants team’s programmes looking into the future.
The role is responsible for delivering all aspects of MCF’s core and Provincial charity grant programmes. The ideal applicant will already have experience within the third sector and have some knowledge and experience of grant-making either through a grant-making organisation or as a fundraiser applying for grants. They will have the ability to build and maintain positive relationships with a diverse range of stakeholders.
To be successful in this role it is essential to have strong report writing skills, excellent verbal and written communication skills, and the ability to complete analytical assessment. It is also desirable to have research skills, presentation skills and an understanding of charity finances and accounts.
