This is a key role at Southwark Cathedral supporting the Dean and the Sub-Dean. This secretarial role will primarily feature management of a busy personal diary, correspondence and broader administrative support for the Dean in his capacity as Dean of Southwark, Chair of Chapter and CEO of the Cathedral. The role holder will also support the Cathedral team as the Office Administrator – responsible for a range of office duties relating to staff wellbeing & socials, office equipment & spaces and the Cathedral’s general enquiries email address.

Start date: Immediate

Salary: £32,250

Hours of work: 35 hours per week (excluding lunch breaks). Some flexibility will be required to allow attendance at early morning or evening meetings and events.

Main Duties and Responsibilities

For the Dean

• Manage the Dean’s diary: including making appointments, arranging meetings, scheduling preaching and other liturgical arrangements, programming annual schedules (such as Bishops Staff Meetings, chaplaincy and wider public commitments) - keeping Outlook diaries up to date with any changes and making travel arrangements;
• Prepare the Dean’s weekly diary file, including the preparation of any meeting papers or briefs for the week ahead;
• Provide administrative support for the Dean in relation to their attendance at meetings associated with the governance of the Cathedral, including Chapter, Finance Committee, Fabric Advisory Committee and Board of Enterprises. This will include liaising with colleagues on the Dean’s availability for upcoming meetings, any research the Dean requires and preparation of paper packs for such meetings. Minute taking will not usually be required, but may be requested from time to time in liaison with members of staff usually responsible for the minutes;
• Draft, file and send outgoing correspondence on the Dean’s behalf and process incoming correspondence;
• Support the Dean in all their working relationships including building and maintaining excellent relationships with Chapter Members and Committee Members, the Bishop’s staff and with the wider Diocese, as well as with congregation members, neighbours, commercial partners, professional advisers and other third-party organisations relating to the Dean’s work;
• Set up meetings including room set up and refreshment provision as required;
• Assist the Dean with the processing of their expenses;
• Work with the Governance & Committees Manager on Gifts Registry declarations for the Dean;
• Provide administrative support to bodies the Dean chairs, e.g. Southwark Cathedral Development Trust, the Deans Fund and other Cathedral-associated bodies;
• Update the Cathedral database in support of the Dean’s work.
• Provide administrative and practical support for Dean’s events e.g. lectures, receptions and breakfasts with local stakeholders

For the Sub-Dean

• Supporting the Sub-Dean with diary management: making appointments, arranging meetings, and scheduling preaching and other liturgical arrangements;
• Assist with inducting new parishioners: management of database, organising Welcome Evenings etc.;
• Assist with administration relating to the Cathedral’s schools: preparing the liturgical rota, filing and distribution of school clergy admissions forms;
• Other administrative support on an as needed basis

Office Administration 

• Receiving, distributing and responding to emails sent to the Cathedral’s general information email address;
• Ordering stationery, office equipment and consumables in line with the Cathedral’s approach to sustainability and ethical buying;
• Ensuring the Cathedral’s printing and franking equipment is kept fully functional, and liaising with our contractors when issues arise;
• Ensuring that the staff keep offices, reception area, print room, stationery area, staff kitchen and facilities clean, tidy and supplied;
• Co-ordinating Staff Meetings, including booking suitable space and organising refreshments for the meeting;
• Organising staff social events, outings and meals;
• Providing administrative support on Cathedral projects as and when they arise.
• Ensuring the Cathedral’s First-Aid kits are kept supplied and in date.

General Duties and Expectations

• Provide general administrative assistance in the context of a busy office;
• Support other teams on an ad hoc basis when required;
• Promote the mission, purpose and values of the Cathedral;
• Ensure that the highest standards of professional performance are maintained & ensure professional skills are regularly updated through participation in training and development activities.

Some key responsibilities include:

• People – Lead the people team to identify new and creative ways to further strengthen our culture of freedom and responsibility
• Finance – Manage the head of finance and compliance, supporting them and the finance team to deliver sound financial controls/clear reporting and manage an annual budget of £25m – ensuring financial capability and clear cross-team communication
• Governance – Work with the chair of FARC (and other subcommittees as relevant) to ensure they are taking a strategic view on key issues, providing appropriate challenge and timely decisions (e.g. in budget process).
• Management of external contracts and relationships – Manage the contract governance manager with responsibility for DfE/university contracts and regulatory approval, ensuring effective governance and compliance

The Head of the CEO Office will provide leadership to the CEO Office team and serve as a key advisor to the CEO and Senior Leadership Team (SLT). This role will be responsible for the three specialist areas which form the CEO Office: People Services, Governance and Executive Support.

Specific Tasks:
 
Delivering the People Services function
 
Responsible for delivering a high-performing People Services function ensuring all interactions adhere to BC’s inclusion and organisational values. To lead, manage and be accountable for the function, including:

• Aligning workload with BC’s Strategy and annual business plans.
• Advising, coaching, and enabling the People Services team to deliver effectively and create an engaging, supportive, and empowering environment.
• Ensure monthly workforce reporting systems are in place and actions followed up where required.
• Lead on Employee Health and Wellbeing initiatives, promoting a culture of engagement and self-responsibility.
• Implement, monitor and evaluate performance management systems and processes.
• In conjunction with the CEO and SLT, procuring external specialist support and/or legal advice as needed to minimise risk to the organisation.
• Act as the escalation point for complex employee casework, including dispute resolutions, disciplinaries, grievances, absence, retirement and redundancy, ensuring that the SLT members’ roles remain objective and that safe formal processes can occur if required.
• Account management for providers of BC’s People Services Workforce Systems, ensuring Service Level Agreements are met and partnership opportunities are maximised including Occupational Health, EAP services, Hireful and BreatheHR.
• Oversee and manage ‘Charity Learn’ BC’s online learning management system, to include setting up annual statutory training for all staff and creating bookable in-house training sessions as required.
• In conjunction with the CEO and SLT, develop and implement a People Strategy to include areas of succession planning, talent management, change management, and staff engagement.

 
Governance, Risk and Management Information & Reporting
 
Accountable for the smooth running of BC’s core governance activities and trustee meetings, including:

• Overseeing the risk and audit process for the CEO Office, bridging as needed between the Finance Directorate and the CEO Office Directorate.
• Ensuring all core legal requirements are met and that the trustees comply with their duties in accordance with the Articles of Association.
• Ensuring relevant statutory returns are submitted to Charity Commission and Companies House.

 
Executive Support

• Ensure the support function to the CEO and SLT is delivered efficiently and effectively, including direct line management of the Executive Assistant to the CEO and SLT PA’s.

 
Management and Development of Team members
 
Responsible for managing a team of five direct reports and undertaking all People Manager duties, including:

• Setting objectives, workload planning, holding 121 meetings and regular reviews.
• Conducting Performance Development Reviews and giving timely direction and feedback.
• Building engagement within the team and creating an environment of trust and wellbeing.
• Coaching and developing team members to ensure professional and personal growth and career development and supporting any training needs.
• Role modelling people management in line with BC’s values and competency framework, setting a good example from the CEO Office.

 
Strategy, Planning and Budgeting
 
Working with the CEO and SLT on the annual and long-term business cycles, including:

• Supporting with the creation of BC’s Strategy as required.
• Creating annual Directorate work plans to deliver actions and outcomes in line with BC’s strategic priorities ensuring teams within your responsibility have clarity and direction.
• Working with Finance to ensure that the function has adequate budget to match the work plans and supporting with budget refresh and reforecasting.
• Supporting the Directorate with workforce planning and resource management as required.
• Responsible for the CEO Office budget.

 
Relationship building, partnering and culture development,
 
Operating as a strong ambassador for BC and the CEO by:

• Cultivating and nurturing excellent working relationships both internally with all colleagues and trustees, and externally with branches, volunteers, partners, suppliers, funders, and sector networks.

 
General:

• Promoting and exemplifying BC’s values (Excellence, Passionate, Inspiring, Collaborative) ensuring they are adopted in all aspects of the role.

Key Responsibilities 

 1.1 Provide proactive and effective support to the Chief Executive (CE) by 

• Managing the flow of information to and from the CE, filtering communications and acting to resolve issues; referring internal and external enquirers to the correct person whilst recognising urgency/importance of the enquiry. 

• Being the friendly and approachable gatekeeper for the CE internally, ensuring they are accessible to staff and trustees whilst setting appropriate boundaries around their time and availability. 

• Proactively managing correspondence, including email, Teams, telephone messages, meeting requests, responding where appropriate and/or briefing the CE. 

• Manage the CE’s diary proactively and in line with their priorities; ensuring they are fully briefed for all internal and external meetings and events. 

• Exercise judgement, flexibility, tact and sensitivity in time management and in managing potential diary conflicts, having due regard for AdviceUK priorities. 

• Ensure confidentiality is maintained at all times, managing electronic and paper-based information systems in line with GDPR.Collate, input and circulate important information to defined stakeholders. 

• Be responsible for the CE’s travel arrangements and meetings, including coordinating travel, accommodation, and itineraries. 

• Represent the views of the CE to colleagues and others accurately through clear communication. 

1.2 Assist with budget and expenditure management for the CE, including submission of monthly expenses 

1.3  Assist the CE in their line management of staff by co-ordinating performance  reviews within defined timelines; ensuring agreed training and development  actions are delivered in liaison with the HR team. 

1.4 Draft correspondence, reports, presentations, and meeting agendas as  requested by the CE 

1.5  Maintain accurate and organised digital and physical files that are  appropriately accessible to relevant staff. 

1.6  Log CE interactions with members and stakeholders on Salesforce, ensuring that any further action is taken by CE or relevant staff 

2. Senior Leadership Team (SLT) support 

2.1  Organise meetings, agendas and – where in-person  – book rooms and catering for SLT Meetings and Monthly Managers meeting. Where relevant, ensure papers, reports etc are circulated on time. 

2.2  Support SLT to ensure required reporting is produced effectively and on time e.g. quarterly review of annual plan, key performance indicators 

2.3  Ensure decisions made and actions agreed at these meetings are documented so SLT can ensure they are implemented. 

2.4 Take ownership for specific cross team projects where requested. 

3. Governance support for AdviceUK Board and its subsidiaries  

3.1 Schedule and organise Board and committee meetings 

3.2 Prepare and circulate agendas, papers, and minutes 

3.3 Maintain effective relationships with the Chair and trustees and ensure they are supported to deliver their voluntary role effectively 

3.4 Support trustee recruitment and onboarding as required 

3.5 Ensure effective governance record keeping 

3.6 Support the CE as Company Secretary to ensure statutory records and annual reporting is up to date 

3.7 Maintain effective relationships with funders and other supporters who can provide free meeting space for in-person Board and other meetings

3.9 Support the CE in attending all AdviceUK subsidiaries’ meeting and ensuring  AdviceUK’sBoard is kept informed of their progress and performance.
