Back Up’s Regional Outreach and Engagement team are the very face of the organisation and are based across the UK, working directly with spinal cord injury centres, hospitals – or indeed anywhere that people affected by spinal cord injury may be.

As a Regional Coordinator, you will build relationships and take ownership for what happens in your geographical area. Whether it be providing peer support to newly injured people in a clinical setting, facilitating wheelchair skills sessions, making referrals for ongoing support or supporting volunteers and fundraisers – you will be passionate about being able to demonstrate the impact of what we do, and will see for yourself how Back Up quite literally transforms lives.

Key Responsibilities

1) Overseeing Financial Management, Reporting, and Monitoring (60%):

• Manage the financial aspects of funded scholarship programmes, including budgeting, reporting, and monitoring spending.
• Prepare narrative and financial reports for donors, coordinating with UWC schools.
• Lead the process of collecting and analysing data on scholarship recipient students and refugee students across all UWC schools for donor reporting, brochures and publications.
• Collate invoices from UWC schools, create invoices for donors and process invoices for payment.
• Ensure accurate record-keeping and efficient use of the accounting system.
• Support the improvement of impact tracking for funded programmes.
• Support the philanthropy and finance teams with the annual audit by coordinating information gathering and documentation on funded programmes’ financials.

2) Supporting Student Stewardship for All Funded Programmes (10%):

• Plan and organise annual onboarding and offboarding sessions for IO-managed scholars.
• Develop appropriate information materials for scholars and UWC schools to support timely and quality donor reporting.
• Implement a yearly offboarding survey with scholars, working closely with the Engagement Team.
• Support coordination between UWC schools and national committees during the selection process and pre-departure preparation.

3) Coordinating University Partnerships (10%):

• Coordinate partnerships with universities on behalf of UWC International, working closely with the Senior Adviser, UWC counsellors and EducationTeam.

4) Assisting the Philanthropy Team with Administration incl. Donation Services (20%):

• Manage donation management processes and support donor stewardship processes, including processing online donations through donation platforms and preparing donation acknowledgement letters for donors.
• Maintain data on Raisers’ Edge database and philanthropy dashboard, preparing management updates.
• Coordinate introductions for new philanthropy staff members at UWC schools.
• Oversee subscriptions to databases and respond to inquiries via email.

About the role

This role is part of the trusts and statutory team of eight. In this role you will coordinate trust fundraising activity within a large portfolio of funders, identifying trusts and foundation prospects and writing high quality proposals and reports in collaboration with supportive colleagues in the team and across the charity. It is a permanent, full time position with an established portfolio of four and five figure trust donors, and the opportunity to grow this significantly in the coming years. Together with our other Trusts Officer, you’ll oversee the small trusts programme of regular supporters, create tailored approaches to bigger funders in your portfolio, and support other team projects and cultivation events.

What you’ll do

• Cultivate strong working relationships with a portfolio of trust and foundation supporters increasing their engagement with and support of the charity.

• Maintain an active portfolio of small and mid-sized trust funders, and research new trusts increasing your own portfolio. 

• Create clear and concise proposals and reports for trusts in England, Wales and Northern Ireland, including for project and region-specific funding requests.

• Identify the most appropriate approaches for specific trusts and opportunities to increase giving and secure multi-year gifts, thanking promptly and appropriately.

What you’ll bring

• Ability to manage a large portfolio of contacts, working autonomously and managing a diverse workload with appropriate time management, planning and prioritisation

• Excellent research and writing skills to write persuasive copy capable of securing four or five-figure gifts from charitable trusts and foundations.

• Ability to work effectively with a range of internal and external people, including trust administrators and trustees, influencing them to support new projects through written proposals, meetings, site visits and calls.

• Knowledge of the requirements of trust funders, the principles of bid-writing and effective project reporting.

• Knowledge of the trust fundraising environment in the UK, especially those supporting health causes, welfare, disability and scientific research.

Over the last few years, New Horizon has been steadily growing in response to increased demand for our services.  Our ambitious plans for 2024/25 include expanding our service offer and securing an additional site locally that will add much needed space for young people’s activities and office space. To enable us to achieve our plans in line with the organisation’s mission, we are committed to growing and improving our frontline and back-office functions. The Finance and Resources Manager role will add capacity to our Administration Team, creating a new deputy manager role to support the delivery of our expansion plans support and relieve increased demand. You will work closely with the Head of Finance and Resources by overseeing and further developing the administrative function of the organisation, and directly line manage a number of administrators. You should be exceptionally well organised, confident in communicating with trustees and senior managers, and passionate about delivering high quality services to young people who are  unsafe or facing homelessness.

We are seeking a highly organised and motivated Operations Support Officer to join our team at MRS Independent Living. 

About the role

In this varied and rewarding role, you will provide vital administrative, financial, and operational support across a range of our services that enable older people and those living with disabilities and mental health challenges to stay independent, active and connected to their communities. 

Your day-to-day tasks will include:

• Administration: You'll be integral to delivery of our handyperson service, exercise programmes for older people and decluttering service, managing enquiries, referrals, bookings, invoices and payments.

• Project Support: You'll help support our community projects, supervising activities where needed, assisting with admin and data collection, and being a point of contact for new and existing volunteers. 

• General Operations: You'll wear many hats, supporting senior staff with HR, training, communications, IT, health & safety, and providing a friendly face. 

We are looking for someone who:

• Has empathy and can communicate effectively with a diverse range of service users, including older adults, those with disabilities, and those facing mental health challenges.

• Is a whiz with administration, has a keen eye for detail, and can work comfortably and effectively across multiple projects.

• Is confident using (or comfortable learning to use) a range of software and collaborative platforms (e.g. Google Workspace, Trello, Airtable) and accounts management software (ideally QuickBooks). 

• Has a warm, friendly personality and a proactive attitude, eager to contribute ideas and support colleagues.

• Is a team player who can adapt to changing priorities and a fast-paced environment.

It will be a bonus if you have:

• Experience working with third sector (community and voluntary) organisations.

• Experience as a volunteer or supporting volunteers.

• Familiarity with social media platforms like Twitter and WhatsApp.

• An interest in learning more about charity functions like fundraising and community development, and charity/social enterprise management in general.

You will:

Manage all finance systems and processes including payroll, pensions, and insurance.

Work with and provide support to the Board of Trustees, CEO and the Senior Management Team as well as support the needs of the office across the organisation.

Duties:

• Financial Records Maintenance:

- Responsible for the update of the chart of accounts and reporting tools to maximise reporting functionality.

- Ensure accurate maintenance of financial records on SAGE for the charity.

•  Support the Senior Management Team and wider managers in the production of budgets.

•  Provide timely financial information to managers for effective budget management.

• Ensure monthly management accounts accurately track restricted and unrestricted income, expenditure, and reserves.

• Monthly Reporting and Budgeting:

- Produce monthly management accounts and reconciliations - (including the Balance Sheet and Cash Statement).

- Prepare quarterly forecasts and annual budgets (including cash flow).

- Assist in the formulation and implementation of financial policies, procedures and controls.

• Financial administration, banking and payments:

- Manage payroll administration, pension postings, and HMRC payments.

- Process monthly payment runs.

- Monitor and review aged debtors and creditors with the relevant colleagues.

- Work with the fundraising team to oversee Gift Aid claims.

- Manage VAT input and reporting if required.

- Maintain and manage schedules for depreciation, prepayments, accruals & deferred income – posting monthly and quarterly journals as required.

- Administer the Fixed Assets register.

• Year-End Reporting:

- Responsible for year-end reporting and processes.

- Manage the internal examination/audit process.

- Ensure timely preparation and submission of statutory accounts to the Independent Auditor, Companies House, and Charity Commission.

• Governance and strategic finance:

- Produce quarterly reports for the Board and other financial statements in liaison with the Chair, Treasurer and CEO.

- Support the team to create accurate budgets for new funding applications.

- Support the team to accurately cost our services and products for sale ensuring we build in appropriate margins to support growth.

- Work with the Board and Senior Management Team to build financial resilience, diverse income streams and savvy approaches to grow our income and impact.

Position Objectives: 

• To assist the International Membership Services Manager in providing PETA’s supporters with a high level of care
• To coordinate responses to supporter phone calls, e-mails, and letter correspondence
• To offer general administrative support for PETA

Primary Responsibilities and Duties:

• Ensure that all supporter e-mails are handled in a timely, professional, and efficient manner and that responses reflect the organisation’s positions and values and contain up-to-date information
• Assist with handling incoming supporter phone calls by covering for other Membership and Supporter Services staff
• Verify and input donor data, including demographic, membership, and personal information, into the membership database
• Maintain stock of PETA supporter materials and fulfil requests for literature, stickers, and other materials, working with external agencies when necessary
• Process invoices, prepare cheque requests, and liaise with the PETA Foundation US Finance Department
• Liaise with external agencies when necessary and as directed by the International Membership Services Manager in order to resolve supporter issues
• Sort and distribute incoming post and faxes in a prompt manner, responding to or forwarding items as appropriate, including sending signed and returned petitions to campaign targets
• Receive and sort items sent to PETA’s fur amnesty programme and transfer them to PETA’s off-site storage area 
• Perform general administrative tasks to support PETA
• Perform any other duties assigned by the supervisor

Requirements:

• Experience with Microsoft Windows and Microsoft Outlook
• Knowledge of animal rights issues and current PETA campaigns
• Must be willing to work from the PETA office 3 days a week
• Excellent verbal and written communication skills
• Proficiency with computers
• Good proofreading skills
• Excellent organisational skills and attention to detail
• Ability to maintain strict confidentiality at all times
• Commitment to the objectives of the organisation
• Adherence to a vegan lifestyle strongly preferred
