We are currently recruiting for a Distribution & Logistics Manager to join our retail team and assist in the smooth operation of Donation Centre in Breaston.

Role Purpose:

  • To support the Shop Managers in order to meet and understand their stock requirements and increase retail income by managing stock movement in and out of the Donation Centre. 

  • The job holder will ensure the logistics function of the distribution unit meets the needs of the business at all times and will be based on site at the Donation Centre.

  • The post holder will ensure the unit operates as a regular donation station and supervise a team of volunteers in the timely sorting and distribution of donated and trading stock and other items whilst ensuring excellent customer service and maximising profit 

  • The Distribution & Logistics Manager will work closely with the Online Trading Manager to ensure effective stock management is in place to service online demand 

  • It is the responsibility of the Distribution & Logistics Manager to maintain a clean, tidy, safe and efficient warehouse with a high level of organisation and logical storage solutions

What are the responsibilities? 

Leadership and Management: 

  1. Recruit, train and manage an effective team of volunteers to support the day to day distribution operation. Keep all administration up to date in line with GDPR compliance.

  2. Ensure efficient rota management of sorters and van drivers to support the running of the Donation Centre

  3. Maintain good working relationships with all Life shops, colleagues and volunteers at all levels 

  4. Take an active role as part of the retail team at team meetings

  5. Manage staff working within the Breaston Life Charity Shop to ensure compliance and best practice in line with Life’s policies and procedures.

  6. Create the conditions for the shop teams to be motivated, committed and high performing

  7. Provide clear leadership on the need for and delivery of change

  8. To ensure that all Life services are promoted properly within the Donation Centre  and that all activities within the Centre are harmonious with Life’s mission and values and in the spirit of its equal opportunities policy

  9. Undertake any reasonable task as directed by the  line manager

Operations: 

  1. Implement and maintain efficient storage and distribution systems and procedures

  2. Ensure donated items are stored safely, tidily and logically for easy access and efficiency.

  3. To ensure that the stock requirements of the Shop Managers are met and be responsible for the efficient turnaround of stock requests, identifying the most profitable stock for selling, communicating with shops managers and researching products where appropriate to ensure optimal sales value. 

  4. Receive donations regularly from the general public at the Donation Centre. Ensure that gift aid is maximised. 

  5. Liaise with Online Trading Manager regarding the most suitable items for online platforms and ensure effective stock management is in place to service online demand.

  6. Ensure excellent processing of deliveries and collections liaising with customers and stores eg: organising collections and deliveries.

  7. Co-ordinate the collection of large items from individuals

  8. Co-ordinate collections of items from corporate supporters or major donors as agreed with support from the Retail Field Manager as required.

  9. Comply with and stay up-to-date on all trading standards regulations 

  10. Implement and maintain efficient storage for out-of-season stock.

  11. Ensure compliance with retail recycling and waste management and keep up to date with changes and source the best possible price for waste non-saleable donations. 

  12. Ensure the Life vans are adequately maintained and cleaned and only used for business purposes.

  13. To ensure that the shop layout is attractive within Furniture and clothing store 

  14. To ensure all Clothing Banks are maintained and emptied regularly to business guidelines

  15. To be a main keyholder for the shop and take responsibility to delegate key holding to volunteers in line with Life’s Key Holder Policy

  16. Responsible for carrying out regular risk assessments according to Life’s policy and for ensuring health and safety procedures issued by the charity are understood and implemented by all staff and volunteers.

  17. Agree, implement and monitor progress against agreed Key Performing Indicators and ensure appropriate action is taken where required

Health & Safety: 

  1. To be responsible for overall Health and Safety at the Breaston site with willingness to undertake relevant training to help achieve this.

  2. Be responsible for carrying out necessary fire safety precautions and for promoting a positive attitude towards health and safety, security and fire, in line with policy and procedure

  3. To be responsible for security of the site premises and contents, to include the organisation of staff to open and close the premises.

  4. To undertake regular health and safety audits in liaison with the Head of Central Services. 

  5. To ensure that planned maintenance is carried out efficiently and that all sub-contractors are supervised and comply with site safety rules.

Public Interaction: 

  1. To provide a courteous and helpful service to member of the public visiting the Breaston site to make donations, purchases etc…

  2. To ensure all volunteers are trained in giving excellent service to the public at all times

  3. Ensure any queries and complaints are dealt with courteously and effectively and to keep the Line Manager informed.

  4. Represent the Donation Centre externally, taking responsibility for protecting the public image as well as company interest

Budgeting & Financials: 

  1. Prepare, report and analyse Donation Centre statistical and financial information as required with a view to increasing sales and controlling expenditure.

  2. Responsible for the correct recording, storage and filing of paperwork associated with the operation of the Donation Centre. 

  3. To follow the appropriate Life policies when maintaining the company van and ensure that it is only used for business purposes. 

  4. To be responsible for the security of the shop takings, including the safe storage of the shop takings. Will also be responsible for the recording of all daily, weekly and monthly takings and for safe banking in line with the organisation’s procedure.

  5. To ensure charity donations by cash/cheque/card are processed according to Life’s policy and procedures
