About the role

We seek a Head of Operations who will play a pivotal role in overseeing various aspects of our London Higher’s operations, including human resources, governance and compliance, IT, finance, and administrative functions. Who are we looking for?

Equally, you don’t have to be a qualified finance professional, but we do need someone with strong financial acumen. We need someone who can demonstrate the ability to oversee IT needs in conjunction with IT support consultants, and someone who can do board meetings and other administrative tasks, such as preparing agendas and minutes.

The Head of Global Operations is a key member of the Global Resources Team, responsible for professional business support at both a strategic and an operational level across the organisation. Key responsibilities include providing essential operational infrastructure to the global support and country teams, encompassing office facilities, travel security, and IT and HR services.

Overview / purpose of the role

We’re looking for a Finance & Operations Assistant who is interested in developing a career in bookkeeping and/or accountancy within the nonprofit sector. No previous experience is required, just lots of passion and a motivation to pursue a long-term career in charity finance. The successful candidate will undertake training with the AAT (funded by us) towards a bookkeeping qualification alongside working as our Finance & Operations Assistant, you will be given some time to study during your working hours for this qualification.

The Finance & Operations Assistant is a central resource within CGP, working with colleagues in the Operations Team, and across the organisation to provide financial and operational support to all areas of our work. They will work closely with the Head of Operations & Evaluation to process invoices, expenses and conduct weekly payment runs, ensuring that all financial policies and procedures are carefully adhered to. They will also support colleagues to follow our financial policies and processes and act as the first point of contact for any questions on these procedures. Additionally, they will provide general administrative and operational support to colleagues as outlined in the below job description.

Responsibilities

Finance

● Managing our accounts payable inbox, monitoring all incoming invoices and following up with team members on any missing information if required

● Processing and coding invoices  in Xero accounting software ahead of weekly payment runs

● Checking that correct coding and approval procedures are followed for staff expenses in Soldo

● Conducting weekly payment runs via our online banking system

● Coordinating our monthly payroll processes (working with external providers)

● Working with the Head of Operations & Evaluation and Director of Finance to support the development of funding proposals

● Working with the Head of Operations & Evaluation and Director of Finance to support financial reporting on grants for external donors

 Role Particulars

Working Pattern: Full time working hours, including weekly in-person team meetings in London: monthly all-staff meetings on Tuesdays twice a month, and weekly on Wednesdays twice a month.  The nature of this role means that some travel and working away from home will be required, as agreed in advance.  Specifically, the Head of Fundraising and Partnerships must be available for the annual leadership conference and some or all of the New Wine annual summer festival (on-site or remote support). 

Places of work: This role is eligible for hybrid and flexible working, with a minimum of 1 day in the London office a week.

Supervision: The post holder will receive regular supervision from their line manager. 

Role review: There is a three-month probationary period for this role.  The post holder will then receive a quarterly rolling review of performance, the role, job description, terms and package.

We’re looking for a Head of Wellbeing and Grants to provide collaborative leadership to the Wellbeing and Grants Team and its operations, which are the centre of the Charity’s core charitable activities. As well as running a personal caseload, you’ll work with the team to develop a systematic approach/methodology to case management practice and review, rooted in case management best practice.

Salary c£56,500 to c£63,500 rising to c£57,500 to £64,500 after a 6-month probationary period. The point on these salary ranges at which you will be paid is dependent on your location.

Flexible working arrangements are possible, including homeworking with occasional attendance in person at meetings, largely in central London. Most staff work from home, though we also have an office in southwest London (SW12).

The Head of Wellbeing and Grants role

We have recently agreed our strategy for 2024-2026 and one of the focus areas will be, with the CEO and others, to ensure the successful implementation of the 3-year Strategy, focussing on the Wellbeing and Grants aspects of the strategic aims.

As holder of this senior role, you will lead in collaboratively designing and implementing a consistent methodology for, and systematic approach to, new and existing clients contacting the Charity. You’ll also ensure that the tools and technology used to do this are in place, used consistently and reviewed regularly. As well as management oversight of the Wellbeing and Grants Team, you will also hold a personal caseload and be expected to support Case Managers with particularly challenging cases.

We’re looking for someone with at least 10 years’ experience in casework practice in a client support or advice setting dealing with conversations with people with complex needs and sometimes in distress.  And with at least 3-5 years’ experience in leading/managing a client support function like casework or grants/awards team.

Other key demonstrable skills and experience include having completed other relevant qualifications/training and courses in the sphere of advice and support work e.g. counselling, case management practice, therapeutic approaches et al.

About this role

• The Head of Finance is a newly created post, following a period of review within Finance and operations.
• You will manage Finance whilst delivering effective IT systems and HR, with the support of external specialists.

Main responsibilities:

• To oversee all areas of financial planning, budgeting and forecasting to ensure optimal use of resources and achievement of key strategic and financial objectives.
• To provide financial analysis to support strategic decision-making and mitigate risks.

Our current administrator is progressing to a new role managing relationships with our volunteers and with partner schools, and we are rercuiting to fill her role.

Background - Number Champions

We set up Number Champions in 2018 to transform the lives of children in state primary schools who struggle with numeracy or lack confidence in maths.  We employed our first staff member, our Head of Operations (HoO), in 2022 and our second, an administrator, in 2023.. 

We are the only charity systematically working in-person with young children in our field.  Early support will put children on track to achieve their full life potential in a world where some fluency with maths is an essential building block. Success in this one area can increase their self-esteem and their involvement in education as a whole. 

Now in our sixth year, we are working across 14 London boroughs in 32 partner schools, with over 110 In-School Volunteers supporting more than 300 children. We plan to increase these numbers each year. Our medium-term vision is to expand across London, while maintaining the highly positive impact we have achieved to date. 

We are proud to have received two national awards last year recognising the work of our volunteers, and we are currently shortlisted for a 2024 award.

The Administrator role 

Our HoO has taken the lead in developing the charity and in giving us the capacity to expand further while maintaining quality of delivery. The administrator reports to the HoO and manages the bulk of the administration processes of the charity.  

The role is for an equivalent of 2 days a week, during school term-time only. It will be almost all remote, although you will be expected to attend occasional meetings in Central London (or possibly North London if that is more convenient for you). 

We intend the role to be permanent, but we are offering an 11-month contract September to July pending confirmation of funding. 

Impact on the organisation 

You will take on key responsibilities for administration and for contact with different groups of stakeholders. In a small professional team, you will have the opportunity to suggest ideas and to influence the development of the charity.

Core responsibilities 

• Manage the administration processes of onboarding volunteers and schools
• Gather, capture, and maintain the charity’s data in our management system
• Communicate with volunteers and with office and finance staff at partner schools
• Raise invoices
• Manage basic bookkeeping
• Assist in purchasing
• Provide occasional cover for other staff, as required
• Other activities as required from time to time to support the HoO, SRM, and charity.

Required skills and experience 

• Administrative or professional background
• Attentiveness to accuracy
• Proficiency in Microsoft Office (and knowledge of Google Suite would be advantageous)
•  Excellent interpersonal skills and the ability to build productive working relationships remotely with staff, volunteers, and schools
• Good time management skills and the ability to prioritise
• Commitment to the mission of the charity to help young children with maths.

Basic bookkeeping experience is desirable but not essential.

Benefits 

25 days holiday plus 8 bank holidays, prorated for a 2-day-a-week role. 

(Although the role is for only 39 weeks a year we will pay you for  33 days annual holiday reduced only by 2/5 for working 2 days a week.  This increases your take home pay by about 4% compared to also reducing holidays by 39/52 for weeks worked.)

Employer’s contribution to pension of 3%.
