2. Purpose of the Role

The HR and Admin Officer provide human resources and administrative support to ensure that project staffing, records, contractual documentation, scheduling, and general office administration are managed accurately, efficiently, and in compliance with company policy and project requirements.

4. Scope of Work and Key Responsibilities

     Human Resources administration

• Support recruitment processes, including vacancy logistics, interview scheduling, reference collection, and contract preparation for approved roles.
• Maintain complete and up-to-date personnel files for project staff and consultants, including contracts, IDs, onboarding forms, performance records, and leave documentation.
• Support staff induction processes and ensure that policies, reporting lines, code of conduct requirements, and key administrative procedures are clearly communicated.
• Track attendance, leave, contract dates, renewal points, and other HR actions and raise reminders in advance.

   Administrative Support

• Provide administrative support for meetings, travel arrangements, calendars, document circulation, filing systems, and internal correspondence.
• Maintain project contact lists, mailing groups, organisational charts, and administrative trackers.
• Ensure that project documents requiring signatures, approvals, or controlled circulation are processed efficiently and stored appropriately.

  Policy Compliance & Staff Support

• Support consistent application of HR policies, confidentiality standards, and personnel administration procedures.
• Act as a point of contact for routine HR and administrative queries and route sensitive issues to management appropriately.
• Support the preparation of HR and administration summaries for management review.

5. Qualifications and Experience

• Bachelor’s degree or Diploma in Human Resources, Business Administration, management, Social Sciences, Humanities, or related field 
• At least 5 years of relevant HR & administrative experience, preferable In NGOs sector.
• Good understanding of HR documentation, personal administration, and ability to handle sensitive information responsibly.
• Strong organizational, attention to details and communication skills.
• Full professional proficiency in English.
• Good knowledge in labor law.
• Strong organizational and coordination skills; attention to detail and ability to manage multiple priorities.
• Excellent communication and interpersonal skills; ability to liaise with diverse stakeholders.

Head of Human Resources

About the Role

This role involves preparing and maintaining an effective people strategy that exemplifies good HR practice in line with corporate business strategy and mission. The Opportunity

As our first dedicated HR Manager, you will establish and shape our HR function, creating the processes, systems, and culture that will support our growth. You will be the go-to person for everything people-related: day-to-day ER casework, leading our digital HR transformation, onboarding new colleagues, and supporting the leadership team through change.

What You Will Do

Build and lead our HR function

• Establish and maintain HR policies, procedures, and processes that reflect our values and meet our legal obligations
• Be the first point of contact for all people matters across the organisation

Own the employee lifecycle

• Manage end-to-end HR processes: attraction, recruitment, onboarding, development, and offboarding

Drive our digital HR transformation

Support managers on performance and employee relations

Lead on organisational change

What We Are Looking For

Essential

• CIPD Level 5, qualified or actively working towards it
• Proven experience as an HR generalist covering the full employee lifecycle

What You’ll Be Doing

Recruitment & Onboarding

• Support managers with scheduling interviews and communicating with candidates

• Prepare offer letters, contracts and new starter packs

We are looking to recruit an experienced HR Advisor to provide comprehensive HR support. You’ll play a key role in supporting the employee experience, providing top-notch support to all teams in the organisation and be comfortable working in a unionised environment and with all levels of seniority.

In this role, experience of employee relations will be pivotal in supporting the organisation. As a trusted advisor, you will have sound employment law knowledge and be comfortable with challenging conversations, supporting managers with any issues such as sickness absence, holiday queries, capability or a disciplinary procedure. 

You’ll ensure that recruitment costs are kept to a minimum, work with recruitment managers to ensure vacancies are advertised following internal processes and ensure employment contracts are finalised before onboarding starts.  You'll also be confident using IT systems to assign training to new joiners and to existing staff, keeping records of courses and ensuring that safeguarding training is completed.

Bringing your experience of HR and a willingness and enthusiasm to the role, you will proactively seek to continually improve yourself and the role, championing a culture of service excellence, as well as taking ownership and accountability of your workload.

Brief role description:
