About the Role
This is a varied and rewarding opportunity for someone with strong finance and administrative skills. Working closely with the Finance Manager and Office Manager, you will support the organisation by:
· Processing donations, direct debits, Gift Aid claims, invoices and payment runs
· Maintaining accurate records using QuickBooks and Raiser’s Edge

You’ll play a key role in the smooth running of USPG’s finance and administrative functions, with opportunities to learn and contribute to an organisation with global impact.
About You
You will have at least three years’ experience in finance or administrative role, with strong organisational skills and a high level of attention to detail. You will be confident working with numbers and have good written English and communication skills. Proficiency in Microsoft Office, particularly Excel, Word, and Outlook, is essential, and experience with finance systems such as QuickBooks, Sage, or Xero would be highly beneficial.
Ideally, you will have experience working in the charity or not-for-profit sector, and familiarity with customer relationship management (CRM) systems like Raiser’s Edge would be an advantage. You should be comfortable working with people from diverse cultural and national backgrounds, and able to manage your workload effectively as part of a supportive team. A genuine interest in the work of USPG and alignment with our Christian ethos is essential for this role.

Job Purpose
The Business Support Officer will be responsible for providing comprehensive administrative support to the day to day running of the business. They will support the delivery of projects whilst working with Project Managers. Reporting to the Senior Finance Manager, the successful post holder will have effective organisational skills and be able to plan/prioritise the delivery of work. They will have strong communications skills, both orally and in writing, and have the ability to establish working relations with a range of stakeholders.
The role also requires some degree of client and stakeholder facing, requiring a high level of inter-personal skills and personal confidence. Having a respectful and empathetic attitude will be essential, with the capacity to manage highly sensitive, complex and confidential information.
Key Result Areas/Duties
1. To be the first point of contact for the business daily.
2. Use and populate / edit data on CRM (Customer Relationship Management).
3. Produce meeting minutes and notes that summarise meeting content, including key topics, group decisions and ideas utilising a range of tools and resources including AI.
4. Utilise project management software to record and monitor project planning and project tasks and to keep project deliverables on task and escalate when required.
5. Preparation or finalisation, monitoring, and maintenance of the following documents/reports: project brief, project plan, communication briefings, risk register.
6. Liaise with the team to ensure that work is neither overlooked nor duplicated by related projects.
7. Support the procurement team in the management of tenders from social media marketing and logging/updating application to compiling supplier performance monitoring and reporting.
8. To be able to manage telephone and personal contact from other staff members and external persons with intelligence, foresight, and sensitivity, strongly respecting the need for confidentiality.
9. Provide administrative support, including diary management and arranging meetings for staff and team.
10. Be responsible for prioritising own workload efficiently, including maintenance of diary and management of overall team, responsiveness to emails, ensuring strict deadlines are met.
11. To assist in organising, facilitating, and participating in events, workshops and focus groups.
12. To ensure the business is open within the operating hours and at times will be required to open and close.

Essential
The successful candidate will hold an NVQ Level 3 or equivalent qualification and have GCSEs in Maths and English at grades A–C (or equivalent). They will be computer literate with a solid working knowledge of Microsoft Office applications, including Excel, PowerPoint, and Word, and will demonstrate accurate keyboard skills with strong attention to detail.
They will have experience working as part of a team as well as independently, and be confident in managing diaries and taking accurate minutes. They will be familiar with office systems and procedures, and possess a good standard of numeracy and literacy.
Candidates must have extensive experience using the internet and email systems, and have proven ability in organising meetings and disseminating information to stakeholders effectively. Strong written and verbal communication skills are essential, along with a professional and courteous telephone manner.
Applicants should demonstrate excellent interpersonal and organisational skills, with the ability to communicate clearly and fluently. They must be capable of working under pressure, solving problems, and responding to challenging situations with resilience and flexibility. A commitment to confidentiality and sensitivity is also essential.
The ability to prioritise tasks and meet deadlines in a busy, deadline-driven environment is required. Candidates must be able to work from Compass Wellbeing’s office, with some flexibility for occasional remote working.
Desirable
It would be advantageous for candidates to have training or experience in project management methodologies and documentation. Practical experience of working in a busy office environment and familiarity with project management skills are also desirable.

Key Responsibilities
1.Regular Reporting
- Forecast and create monthly cash flow as requested.
- Report on cash reserve levels with reference to the reserves policy.
- Produce timely and accurate management and financial accounts information, as requested by the Director or Trustees each month, with full explanation on significant areas and variances from budgets, using accrual accounting methods.
- Prepare and send quarterly & yearly reports to the financial team of the International Board.

2.Budgets
- Help to generate annual budgets.
- Work with staff and Treasurer to identify risks & opportunities to help deliver within the budgets.
- Facilitate financial support and guidance to budget holders.
3.Audit and Year End
- Prepare the information for statutory annual accounts for the auditors.
- Liaise with external auditors or equivalent, as needed.
- Submit annual returns to the Charity Commission on time.
4.Controls, Procedures, Systems
- Ensure accounting process remains compliant with the appropriate Charities SORP (Statement of Recommended Practice).
- Manage the annual report process to ensure a quality annual report is produced with an accurate and dynamic reflection on the year that the report refers to.
- Provide support in reviewing, monitoring and developing an appropriate and effective financial framework (policies, regulations, procedures and controls) that are in line with MEM’s strategy and values.
- Ensure financial processes and policies are up to date, communicated to and understood by the staff team and the Trustees. Ensure they are also in line with any regulatory requirements.
- Ensure appropriate risk management techniques and financial controls are embedded throughout the charity at strategic and operational levels.
5.Donor Support
- Deal with any donor queries that come by email.
- Maintain up-to-date records of donors, field staff and other contacts in the MEM’s database.
- Support the team with gift acknowledgements.
- Set up standing orders and keep records.
- Process and record completed Gift Aid declarations, and regularly submit Gift Aid reclaims to HMRC.
6.Financial Administration
- Input all financial data (income and expenditure) into organisation’s CRM, accounting and other relevant software.
- Prepare and follow up suppliers’ invoices for payment.
- Make payments for all authorised invoices.
- Process expense claims and make payments.
- Manage the banking of income (cheques and cash).
- Schedule transfer of funds to the field on a regular basis, making sure the transfer statements have the right codes.
- Act as one of the signatories for the bank accounts making amendments, payments and being a first point of communication with bank as required.
- Liaise directly with the outsourced payroll provider. Prepare, submit and issue P11Ds and ensure appropriate payment.
- Manage pension details and ensure contributions for all staff are made on time.
7.Other Duties
- Provide support during the recruitment process.
- Collate staff timesheets, keep track of holiday and staff sickness in line with MEM policies.
- Prepare and check monthly payroll details before sending to the payroll provider, including sickness reporting etc.
- Manage incoming post and liaise with Mailbox administration (mail will be forwarded to your address).
- Be the primary contact with the Charity Commission.
- Determine the insurance needs and negotiate suitable policies on a timely basis.
- Contribute to the general operation and activities of MEM’s UK team, attending meetings as required, sharing knowledge and expertise.

About the role
As the GIS Manager, you will lead the strategic use of GIS at Sustrans, embedding spatial tools and data across the organisation. You’ll manage a small team of talented GIS Officers, support projects, and drive the development of our ArcGIS and FME architecture. By delivering training and promoting best practice, you’ll build internal capability and expand the effective use of GIS.
You’ll oversee the administration of our GIS systems, ensuring strong data governance and continual improvement. Acting as a champion for spatial data, you’ll enable effective analysis to support business needs and help shape evidence-based decision making across Sustrans.

Our operations team is led by the Chief Operations Officer (COO) and includes the finance and bookings & venue teams. This is a newly created role that will report directly to the COO and work closely with the wider operations team.
Scope of role
The Senior IT & Operations Officer is responsible for leading the central coordination of IT operations, managing key relationships with two main contractors (IT and estate management), and ensuring seamless integration of IT infrastructure and estate management services. This role involves overseeing the effective and efficient functioning of both IT systems and estate operations for Toynbee Hall and Toynbee Trading, while prioritising the safety of staff and stakeholders on-site. The officer will proactively identify opportunities for improvement, resolve issues, and maintain a collaborative working environment to support business continuity, operational efficiency, and safety standards across all operational areas. Additionally, they will support the procurement of IT and estate-related items, such as IT kit, ensuring timely and cost-effective sourcing of required resources.
Responsibilities and Accountabilities
Information Technology & Systems
- Support the COO and wider SMT with all IT related strategy including procurement and streamline of new IT service provider/s. Including setting up KPIs’ and using these to assess performance.
- Manage the setup of new staff – including the procurement of equipment required for the role – this includes all communication tools.
- Managing the relationship and being the key point of contact with the technology suppliers and technology support providers.
- Identifying cost savings/efficiencies in the tech stack.
- Supporting IT KIT refresh plans and purchase, this includes audit of needs and vendor negotiations and lifecycle planning with the COO.
- Leading on regular assessment of IT and systems needs for all services and administrative staff.
Facilities, Health and Safety & General Administration
- Act as the main point of contact with our property management company. Work with the COO to escalate issues.
- Book in contractors and maintain all required documentation in conjunction with other key stake holders (property manager/agent).
- Be the escalation point for maintenance issues, liaising with the property management company to make sure that issues are dealt with in a satisfactory manner.
- Work with H&S consultants and property managers to ensure all relevant training is planned for and carried out and Risk assessments are being completed and used.

- Maintain records for all mandatory tests in conjunction with our property agents.
- Liaise with the Events and Venue Manager to ensure building management is always in place, keyholding, security etc.

JOB PURPOSE
The Office Administrator will undertake all administrative support duties, typing, creating letters/templates, maintaining all databases of contact and contractors, filing, and responding and maintaining records to standard enquiries. The role also requires answering the phone and logging calls, checking voicemails, opening mail, creating Notices, and populating the Notice Boards at regular intervals, ensuring the confidentiality of sensitive information, and abiding by Goulden House Co-Operative Ltd GDPR regulations.

MAIN DUTIES
- Resident engagement, taking and responding to residents’ calls, ensuring that all such engagement is documented on the Goulden House Resident Engagement Database
- Updating the Goulden House Registers (Risk Register, Complaints Register, Anti-Social Behaviour Register, Intercom Databases etc)
- Raise Works Orders and Purchase Orders and services on SAGE as per Estate Manager instruction

About the role
You will provide key day-to-day support to ensure the effective, high-quality delivery of programmes and training initiatives. This involves coordinating communications, managing event logistics, contributing to reporting, supporting grant administration, and maintaining digital systems. You will work closely with the Programmes team and the Training team to ensure smooth planning, implementation, and evaluation of programme activities and training.

Programmes Delivery Support (50% time)

Provide day-to-day support to Programme Managers in delivering activities on time and within budget, including coordinating internal communication, logistics, and scheduling.

Organise and manage training sessions, webinars, and events; support the full re-granting process from due diligence to tracking and correspondence.

Assist with data collection and analysis, support evaluation efforts, contribute to reporting and storytelling, and help maintain accurate internal and external programme materials.
Training Delivery Support (50% time)

Oversee the full lifecycle of training programmes, from recruitment and enrolment to delivery and follow-up, ensuring a meaningful participant experience.

Manage and improve digital infrastructure, tools (e.g. learning management software, scheduling, forms, email platforms), session logistics, and team coordination to support efficient training delivery.

Collect and organise participant feedback and engagement data, contribute to reporting, and troubleshoot issues while identifying opportunities to enhance systems and user experience.

Location: London (Southwark) – The post holder will be expected to spend a minimum of one day per week in the London office. We actively support flexible and home working.
