Key Responsibilities and Accountabilities

Executive Support to CEO:

• Assemble and prepare papers, being the main point of conduct for CEO key meetings.
• Coordinate, attend, take minutes, and track actions for the Organisational Leadership Team.
• Manage diary, project manage and carry out administration for the CEO.
• Coordinate, attend, take minutes, and track actions for the CEO.
• Follow up on actions from meetings on behalf of the CEO and Chair of EFH, ensuring timely completion.
• Draft correspondence, manage communications, and liaise with key stakeholders including government departments, Patrons’ offices, and external partners, ensuring appropriate professionalism.

Governance Liaison:

• Act as the primary liaison between the CEO and the Group Head of Governance, ensuring all governance-related matters are effectively managed by having weekly check ins with both the Chief Executive and Group Head of Governance, and keeping the Director of People, Culture & Governance informed about pertinent matters.
• Coordinate the preparation and distribution of governance papers and briefing documents for the CEO.
• Ensure timely submission of board and committee papers, ensuring accuracy and completeness.
• Support the CEO in governance-related activities, including regulatory compliance and strategic planning discussions.
• Work closely with the CEO, Director of Finance and Operations, and Property Consultant on property-related matters.
• Act as secretariat for relevant property committees including meeting scheduling, minute taking and tracking actions.

Business Support:

• Lead the induction of new Business Support team members, ensuring consistency in approach.
• Hold regular meetings with the Business Support team, inviting feedback and implementing improvements.
• Lead meetings with Business Support staff to share best practices and resolve operational challenges.
• Foster a positive and collaborative team environment.
• Lead and support the Business Support team, providing a backup service to teams across the organisation, ensuring tasks are carried out in a timely manner. Where there is insufficient capacity within the Business Support Team, this may mean sourcing a temp or outside agency.

Person Specification:

Essential Criteria:

• Significant experience in a high-level Executive Assistant or Business Support Management role.
• Strong knowledge of governance processes, including board and committee administration.
• Excellent organisational and project management skills, with the ability to manage multiple priorities.
• High-level written and verbal communication skills, with experience drafting formal correspondence and briefing papers.

Job Purpose

We’re looking for a talented and motivated Communications and Engagement Officer who can effectively convey the life-changing impact of our work, motivate our community to volunteer, donate and fundraise to support our work, and ensure that the information and educational resources we provide reach those who need them most.

Key Responsibilities 

Communications:

· Act as the first point of contact for IPWSO’s public email address and social media channels and ensure timely and appropriate replies.

· Manage IPWSO’s social media channels, creating original and engaging content and posts, and actively engaging with our audiences.

· Manage Google Ad Grant campaigns with an emphasis on growing our supporter base and increasing individual giving.

· Uphold and showcase the IPWSO mission and brand.

· Help oversee the production and design of a range of educational resources for families and professionals.

· Support IPWSO’s members and liaise with its stakeholders internationally in support of our shared goals.

Engagement:

 · Provide support for online events programmes, in cooperation with IPWSO’s Project Manager and the Online Events Committee.  The type of support to be provided includes hosting Zoom sessions, supporting speakers, follow up administration including evaluations.

· Support IPWSO’s Famcare Board by facilitating their online meetings and assisting with their online events.

· Work with the Project and Operations Manager to provide membership support, liaising with IPWSO’s member organisations as needed.

· Proactively engage with member associations to promote IPWSO and also to understand their needs and how IPWSO can be of help.

· Work with the Project and Operations Manager on our Educational Outreach programmes.  Work will include liaising with event organisers with regards to IPWSO’s booths at different conferences, ensuring follow up as needed (including help with preparation of PowerPoint slides), engagement follow up including data entry to update our database (Donorfy).

Sounds great, what will I be doing?

Our family women refuge's offer holistic support in order to empower women and their children who have experienced trauma to lead their recovery and gain the skills and confidence to move on safely. The Team Manager is responsible for the operational running and strategic direction of the refuge. Providing line management and leadership to the staff team, leading on contract and compliance and the safety, security and maintenance of the refuge, ensuring that the building aligns with our PIPE (Psychologically Informed Physical Environment) building standards and rental income is secured. 

The Team Manager plays a central role in ensuring the refuge is a safe, trauma-informed, and welcoming space for women and children fleeing domestic abuse. They promote an inclusive, anti-racist, and feminist approach while upholding Hestia's values of respect, dedication, and collaboration. Core responsibilities include overseeing day-to-day service delivery, ensuring compliance with safeguarding protocols, and facilitating the safe transition of service users. The manager ensures the team delivers high-quality, person-centred support, particularly for individuals with complex or intersectional needs.

In terms of operational and building management, the Team Manager is responsible for maintaining the safety, cleanliness, and functionality of the refuge in line with health and safety and PIPE (Psychologically Informed Physical Environment) standards. This includes managing relationships with landlords and housing teams, authorising repairs, handling rent collection and arrears, and addressing any security concerns. They also oversee the accurate and timely turnaround of vacant units and uphold positive community relations to ensure the refuge remains a secure and respected environment.

The role also involves leading and developing a high-performing team, ensuring all staff are well-supported through supervision, reflective practice, and training opportunities. The manager upholds staffing levels, supports volunteers and students, and manages performance and conduct issues where necessary. Quality assurance and compliance duties include monitoring performance against KPIs, using systems like INFORM and Power BI, handling feedback and complaints, and ensuring financial accountability. They also represent Hestia in strategic planning, external networks, and multi-agency partnerships to strengthen service delivery and community integration.

Here's what the team will be looking for

The ideal candidate should possess a solid general education, ideally with Level 2 qualifications in Maths and English, along with strong written and verbal communication skills. They should either hold a SafeLives Service Manager qualification or be willing to work towards it. Experience in supervising staff and delivering high-quality support to individuals with diverse needs and risks is essential, as is a strong understanding of risk assessment and management in domestic abuse contexts. A good grasp of performance monitoring, welfare benefits, housing legislation—particularly the rights of domestic abuse survivors under the Domestic Abuse Act 2021—is also required.

Applicants should demonstrate a strong background in working within domestic abuse services, whether in the community or in a refuge setting. They must understand and value co-production, ensuring services are developed in partnership with those who use them. Effective communication skills are key, along with confidence in using IT systems such as Microsoft Office, Teams, and Power BI. A clear understanding of safeguarding practices and health and safety legislation is crucial, with the ability to implement relevant policies effectively.

The role demands emotional resilience and the ability to work under pressure, especially in crisis situations involving traumatised or vulnerable women and children. A strong commitment to equality, diversity, and inclusive practices is essential, as is the ability to work independently within established policies and procedures. Flexibility and the ability to travel within the borough and beyond when required are also necessary for this position.

This is a culturally specific service, and as such, it is a genuine occupational requirement that applicants speak one or more South Asian languages in addition to English.

Working Well Trust is a mental health and employment charity in London.  All of our projects share the aim of improving the lives of people with mental health support needs, learning disabilities and/or complex issues through training and employment. This role will be working across two teams who work with clients who have mental health support needs, wanting to gain paid employment.

We are recruiting an Administrator for a new primary care Individual Placement and Support (IPS) employment service in the London Borough of Enfield. 

The Administrator will play a key role in the teams, supporting the team of employment workers as well as working alongside the Team Leads to ensure that records are kept up to date and data is easily accessible for reporting.

Experience of working in an employment team is not essential but you must be highly organised, have a problem-solving attitude and be willing to work with the other teams’ Administrators to develop joint systems and processes.

Good organisation skills are essential for this role, in addition to at least intermediate level knowledge and skills of office software including Outlook, Excel, Word and Power Bi. The successful candidate will need be able to communicate with a wide range of people.

The Role

The objectives of the Communications and Campaigns team are to increase the public profiles of Rethink Mental Illness and Mental Health UK, mobilise public support to bring about change and ensure that all colleagues are aware of, bought into and engaged in contributing to the values and direction of the charities. 

A natural storyteller, you will have a talent for creating shortform video content that engages key audiences across our social media platforms. By generating ideas and making them happen, sourcing contributors, shooting and editing footage, you will monitor the performance of posts and proactively incorporate best practice to ensure that content is well received by audiences, and that the charities’ presence on its social media channels grows.

You will regularly collaborate with colleagues across both charities, the other founding charities and key partners to create compelling and inspiring content.

Main duties include:

• Creating shortform video content
• Project manage the production of video content for social media campaigns
• Ensure that the charity showcases its advice, information, programmes and services through shortform content.
• Champion and promote the brands, including their tone of voice, in our creative content.

About You

A content creator and social media expert you will have experience of planning, shooting and editing footage to engage audiences across different social media platforms and of using creative design software (Adobe Creative Suite: Photoshop, InDesign, Illustrator and Premiere Pro - essential). With an eye for detail, you will use your project management skills to analyse the performance of social media content, refining and improving content through iteration.

You will also have experience of:

• Writing and editing copy to suit different audiences and providing updates and briefings at meetings.
• Being a brand guardian and supporting others to use brand and tone of voice guidelines.
• Planning, creating and scheduling engaging content across multiple social media channels, while optimising content by channel and audience.

Job description 

Overall purpose of role 

The Director of Operations and Finance is a pivotal senior leadership role responsible for ensuring WeProtect Global Alliance has robust and highly effective financial management, operational, governance, and risk infrastructure. The Director will provide strategic financial leadership, act as the primary resource for the Board on governance matters and oversee corporate compliance to enable the impactful delivery of the organisation's strategy to protect children from sexual exploitation and abuse online. 

We are seeking a highly experienced operational leader who is a proactive and confident decision-maker. You will be an influential SMT member and a trusted advisor to the Executive Director and the Board. You must be able to think strategically and solve problems, translating complex technical requirements (finance, legal, risk) into clear, pragmatic, and achievable goals. You will operate with high ethical standards and integrity, modelling the Alliance's values of Accountability, Respect, and Empowerment across all internal and external relationships. 

Key Responsibilities 

Corporate Governance, Risk & Compliance  

• Corporate Governance: Ensure Alliance governance is efficient, effective and provides the necessary support and oversight to the team to enable delivery of our mission, leading on review and optimisation of our governance structures and management. Act as a key advisor to the Executive Director and Board on all aspects of governance, legal compliance, and statutory obligations (including Dutch Chamber of Commerce and UK Companies House requirements).

• Risk Management: Senior responsible owner of the strategic risk register and proactively monitor and escalate strategic risks, reporting on high-level mitigation strategies to the Board and Finance, Risk and Audit Committee. Liaising with the Deputy Head who will oversee the day-to-day monitoring and reporting of operational risks. 

• Internal Control & Audit: Set the strategic standard for the internal control environment. Commission, approve the scope for, and receive final reports on all internal or external governance reviews or audits. Approve all final audit recommendations and plans before presentation to the Board. 

• Legal Compliance: Ensure the Alliance is compliant with all relevant UK, Dutch and international laws, managing external legal counsel relationships as needed, including maximising pro-bono support. 

Operations and People Management  

• Operational Oversight: Provide strategic direction for core operational functions, ensuring the Deputy Head of Operations and Finance delivers effective day-to-day operations including procurement, IT infrastructure, and general administration. 

• Human Resources: Lead internal responsibility and the strategic development of the people management function, in liaison with the Executive Director. This includes owning the overarching policy framework, approving major changes to employee benefits, and managing any external HR consultants or support services to ensure all HR policies, recruitment practices, and performance management are compliant. Overseeing the Deputy Head on supporting the implementation of capacity building across the Secretariat.

• Line Management: Directly line manage and mentor the Deputy Head of Operations and Finance, setting clear objectives, managing performance, and supporting professional development. As a member of the SMT, you may also play a key role in matrix managing team members across the organisation.

• Cross-Organisational Leadership: Work collaboratively with the Executive Director and all members of the SMT to foster a culture of high performance, innovation, accountability, and continuous improvement across all functions, including implementation of our organisational Diversity, Equity and Inclusion policy and our overall organisational strategy. 

Strategic Financial Management & Leadership  

• Financial Strategy & Planning: Lead the development and own the ultimate approval of the organisation's financial strategy, ensuring long-term sustainability and resource allocation aligns with strategic objectives. Working closely with the Deputy Head of Operations and Finance on setting  the parameters for the annual budgeting cycle and it’s execution.

• Budgeting & Reporting: Produce accurate, timely, and insightful financial reports and analysis for the Executive Director, Senior Management Team (SMT), and the Board/Finance, Risk and Audit Committee, drawing on the preparations of the Deputy Head e.g. forecasting, overseeing annual budgeting cycle and fincnial planning 

• Audit & Statutory Compliance: Take ultimate accountability for the annual statutory audit process, ensuring all financial statements are prepared in compliance with relevant legislation and best practice for the Alliance’s Dutch and UK registered entities. 

• Systems and Controls: Own and strategically evolve the financial control framework, ensuring robust policies, procedures, and systems are in place. Champion organisation-wide adherence to these standards, working closely with the Deputy Head who will oversee daily compliance and financial reporting accuracy. 

• Grant Financial Management: Work with our Head of Development to oversee the financial management and reporting for all restricted and unrestricted grants, ensuring full compliance with donor requirements. Contribute to the organisation’s investment strategy and diversification by assessing financial viability of new funding sources or income models. 

Person Specification 

Essential Knowledge, Experience, and Skills 

• Sector Experience: Proven senior leadership experience (Head of or equivalent) within a non-profit, charity, or international NGO setting. 

• Governance & Risk: Extensive experience in developing, implementing and managing corporate governance frameworks, statutory compliance, and organisation-wide risk management in the non-profit sector. 

• Legal Expertise: Demonstrable deep experience and knowledge of relevant legal frameworks and regulation relating to the non-profit sector in the UK and Netherlands.

• Financial Expertise: Deep technical knowledge of relevant financial regulations, statutory accounts and audit processes, with proven experience setting the financial strategy and controls framework for an organisation. 

• Leadership & Management: Demonstrable track record of successfully leading, managing, and developing a multi-disciplinary team, including the management of senior direct reports. 

• Strategic & Communication Skills: Excellent strategic thinking, with the ability to translate complex financial and governance information into clear, accessible reports and advice for senior stakeholders (Executive Director, Policy Board, Finance, Risk and Audit Committee).
