Inter Mediate

Inter Mediate (IM) is a unique and discreet London-based peacemaking organisation established in 2011 to support behind-the-scenes peace negotiations in some of the world’s most challenging conflicts. This role offers an exciting opportunity to join the senior management team of a small high-impact organisation working at the leading edge of international peacemaking.

Reporting to the Deputy CEO and working closely with the CEO and the Financial Director, the Operations Director will lead Inter Mediate’s institutional, Human Resources and project-support systems to keep the organisation running smoothly and ensure we are equipped to deliver the best results.

A successful candidate will be a motivated self-starter with senior management experience in operations, preferably for a non-profit organisation. You will be familiar with the fast and sometimes unpredictable pace of an international operating environment, and confident in handling challenges as they arise. You will be comfortable working collaboratively within a small team and engaging credibly with a wide range of people from senior government officials to project interlocutors in the field.

Key Responsibilities

A) Governance and Institutional Compliance (with the Deputy CEO and senior management)

• Lead the development and implementation of IM’s operational planning, in coordination with the CEO, Deputy CEO, Finance Director, staff, Trustees and supporters.
• Ensure that Inter Mediate complies with its charitable and legal obligations.
• Prepare, attend and minute Trustee and Committee meetings.
• Develop and implement quality improvement process for institutional policies and project delivery to keep Inter Mediate ethical, efficient and delivering value for money.
• Source, manage and review all professional services and suppliers engaged by Inter Mediate including banking, legal advice, accounting and auditing.

B) Human Resources and Office Operations

• Oversee Inter Mediate’s recruitment process and work with the Deputy CEO to ensure that we have fair procedures for benefits, training, probation, diversity and inclusion, gender pay gap, safeguarding, grievance and disciplinary matters.
• Oversee the contracting and on-boarding for new staff, consultants and trustees.
• Manage day-to-day HR functions and queries, including leave recording systems.
• Conduct staff remuneration and salary benchmarking exercises with the Deputy CEO.
• Update and maintain the employment handbook policies and procedures.
• Oversee office operations, equipment and facilities management.

C) IT, Security and Risk Management

• Ensure that the IT and communications systems are optimally configured for effectiveness and security, and that staff can operate them as necessary.
• Ensure Inter Mediate has robust risk mitigation systems and training for staff.
• Ensure Risk Assessments and security plans are completed by staff prior to staff travel.
• Ensure Inter Mediate has a viable business continuity plan.
• Maintain and review the Risk Register for the organisation with the Deputy CEO.

D) Financial Management (with the Finance Director)

• Work closely with the Finance Director to ensure that operational and financial planning processes and decisions are mutually informed and fully aligned.
• Strategise with the Finance Director and Deputy CEO to ensure all wings of the organisation work together to advance the best interest of the institution, its staff, projects and donors.

Experience, qualifications and skills:

• At least 8 years experience leading charity operations at a senior level spanning institutional compliance, Human Resources, IT, security and project support services, ideally in the non-profit sector.
• Track record of excellent business decisions for institutions under UK charity law operating in an international, multi-donor environment.
• Extensive experience of supporting Boards and Board committees at a senior level in a non-profit context.
• Some knowledge of project support mechanisms required for smooth delivery of peacebuilding, humanitarian, human rights or political projects in high-risk environments.

• Evidence of ability to both lead and service a complex network of external relationships.

• Graduate with a relevant degree and, preferably with relevant post graduate qualifications or relevant experience.

• Excellent business planning and decision skills, and a sound understanding of operational and financial management in charities.
• Proven commitment to designing effective and enabling systems for organisation management in support of effective delivery

Working at Inter Mediate

A normal working week consists of 35 hours (or pro rata for part-time). Our office operates between 8am and 6.30pm with core hours from 9.00am to 5.00pm. Inter Mediate operates a hybrid working model, with at least 2 set days per week in the office in London.

Consultancy Title: Microsoft Apps Developer for Travel Request Automation

Role Classification: Depending on the nature of services this contract will require the consultant delivering these services to have undertaken Standard or Advanced pre contracting checks

Scope and Nature of Services

Relief International (RI) is a leading nonprofit organization working in 14 countries to relieve poverty, ensure well-being and advance dignity. We specialize in fragile settings, responding to natural disasters, humanitarian crises and chronic poverty. 

RI is seeking proposals from Microsoft App developers to develop an automated Travel Request Form (Lot 1) and Expenses Claim Form (Lot 2) within RIs Microsoft environment. The Forms will need to be able to populate relevant budget code data from RIs finance management system (Oracle Netsuite), use RIs single sign on (SSO) and MS Identity Service (EntraID) and preferably be able to work offline (sync’ing when the user has internet connectivity). Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3).

Developers should bid for both Lot 1 and Lot 2 separately. The fees for Lot 3 (PowerBI) will be agreed with the successful bidder on completion of the initial scope of work related to Lots 1 and 2 and as such no quote is required for Lot 3 in this submission..

RI is open to revising its requirements based on recommendations from a developer where this can improve the functioning of the forms.

RIs IT department will be part of the developer selection process, and will review and sign off on all deliverables prior to any payment.

Lot 1: Travel Request Automation Requirements

A Travel Request (TR) form is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. 

Any RI staff can access and create a TR and submit it for approval in the RI MS environment. The fields for the TR are defined in Annex 1. Note that Annex 1 is broadly based on the RI pdf Travel Request form (with some differences), which is available in Annex 5.

Once a TR is submitted for approval it obtains a system generated unique serial number and follows the approval process and subsequent actions as outlined in Annex 2.

Once a TR is approved a traveller receives an approved TR via email, with a link to a form they can save and/or print, which they use to book relevant travel.

Traveller draft and approved TRs will be available for a traveller to access at any time on a dashboard within the RI Microsoft environment that only shows those relevant to the Travellers RI email address.

Lot 2: Expenses Claim Form Automation Requirements

A form is to be created to support Expense Claims and Cash Advance Settlements, called the Expense Report Form (ERF). 

The ERF is to be created in Microsoft (MS) Apps, with an approval workflow automated using MS Automate, and using MS Lists if needed. It will be run on RIs SharePoint, and accessed the RI Sharepoint MyApps page. It can also preferably be used offline, with the data synchronising when a user has internet access. Any RI user with access to RI SharePoint can complete and submit this form. Based on the data collected in the forms RI also requires a dashboard of relevant data to be generated using PowerBI (Lot 3)

Any RI staff can access and create an ERF and submit it for approval in the RI MS environment. The fields for the ERF are defined in Annex 3. Note that Annex 3 is broadly based on the RI Expenses Claim Form (with some differences), which is available in Annex 6.

The ERF must be able to link with an approved TR (lot 1) in such a way that once a user has opened a new ERF they can point the ERF to a particular TR which then auto-populates relevant fields into the ERF (see Annex 3)

Once an ERF is submitted for approval it obtains a system generated unique serial number and follows the approval process and resulting actions as outlined in Annex 4.

Once a TR is approved a traveller receives an approved TR via email, with a link to a form they can save and/or print, which they use to book relevant travel.

Consultant Profile and Submission Requirements

RI is seeking a developer who

• Has significant experience with developing such automations within customer Microsoft systems
• Is registered as a consultant and can provide formal invoices against which payment will be made within 30 days of satisfactory sign off of work by RI

Proposals must include

• The developers CV, showing relevant experience with MS Apps, MS Automate, MS Identity Services, MS Identity Service (EntraID), MS Lists and MS PowerBI, as well as experience with integrating data from other systems (e.g. Oracle Netsuite)
• A supporting letter with
  • a fixed price cost for Lot 1 and Lot 2 separately, including any VAT
  • your hourly or daily rate for any additional work related to Lot 3
  • examples of similar work completed in the past 2 years
  • a proposed timeline for the work, which must include
    • at least 1 detailed scoping session with relevant RI staff to finalise the requirements
    • at least 2 review cycles by RI staff to ensure the final product meets RIs needs.

Schoolreaders was launched ten years ago in Bedfordshire with the aim of recruiting volunteers to provide one-to-one reading support for children in primary schools across the country. Safe Evolve, Early Intervention service is a new service commissioned by the London Borough of Ealing and represent an exciting partnership with the Anna Freud. The service offers brief evidence-based individual and group interventions to address mild to moderate wellbeing needs largely using cognitive behavioural therapy (CBT), trauma-informed and mentalization approaches. It consists of two teams: one a specialist schools outreach service and the second a community well-being team for children and families.

The Deputy Head of Service post will support the expansion and delivery of SAFE Evolve including direct interventions, consultation and training to professionals, as well as making sure that the clinicians operate at all times from an inclusive values base, which recognises and respects the diversity of Ealing and ensures all work is sensitive to the needs of a range of ethnic, cultural and religious groups, is gender sensitive, anti-discriminatory and values diversity.

This is an exciting opportunity to join one of our thriving Clinical Help offers in the Schools Division. Successful candidates will demonstrate extensive experience of clinical supervision, implementing interventions with children and young people in schools and confident communication skills to effectively liaise with external agencies and represent the Ealing Early Intervention Service at a high standard.

About the role

The St Pancras Community Association (SPCA) is a charity delivering high quality services for Camden residents, especially the lively and diverse community of the St Pancras and Somers Town ward. As the Director of SPCA you will lead and guide a highly skilled and motivated team to make the SPCA a community hub and a centre of excellence which has a positive impact on the lives of local residents.

The governance of SPCA is overseen by a Board of Trustees. The Director will report directly to this Board and work closely with Board members.

Key responsibilities

• To build strong relationships with members of the local community, community groups, representatives and service providers to ensure that strategies and services are based on an understanding of the community’s needs and the contribution that SPCA is best placed to make as part of the of the range of local support services.

• To develop and deliver a business plan based on a financially sustainable strategic vision and which maximises the use of existing and emerging funding and income generation sources and opportunities.

• To provide a caring and highly supportive working environment which enables all staff and partners to fully contribute their skills, knowledge and perspectives.

• To manage, plan and monitor budgets to ensure the continuing financial sustainability of the Centre and to work with the Treasurer to ensure that the Centre is operating effective, and compliant accounting practices, policies and procedures.

• To ensure that SPCA fulfils its legal and procedural obligations under relevant legislation.

• To maintain an effective and transparent working relationship with the Board of Trustees to

  ensure that Trustees are kept informed of opportunities, threats and challenges and are fully involved in decision making.

  Main tasks

• Overseeing all fundraising activities from trusts, the local authority, local businesses and the community.

• Overseeing the development and implementation of an income generation strategy that includes maintaining and securing funding from statutory bodies, charitable trusts and any other relevant agencies/organisations and delivering charged services.

• Forming collaborative partnerships with organisations and agencies from all sectors that can be developed into services and business ventures

• Line managing key staff and ensuring that effective line managing processes are in place for other staff and volunteers. The postholder will directly line manage approximately xxx staff.

• Holding monthly staff meetings where everyone is heard and respected

• Ensuring all employees receive appropriate line management, where issues and problems

  that arise are handled with sensitivity and a high priority is given to staff development.
