Barnabas International is a large family of Christian ministries and charities focused on giving practical support to suffering, abandoned and persecuted Christians around the world. The ministry was founded in 1993, and since then, it has funded projects in more than 100 countries, providing hope and help to millions of our brothers and sisters in Christ. Overview

The role will provide high-quality administrative, systems, and research support to the Quality Team, enabling consistent quality assurance across the grant-making cycle. The postholder will administer and improve the team’s Salesforce processes and data standards, coordinate key workflows and information management, support the Director of Quality, Quality Assurance Specialist and Impact (MEAL) Coordinator with scheduling and documentation, and deliver defined research tasks and short projects (e.g., into quality assurance approaches, MEAL frameworks, tools and best practice) to strengthen the team’s work.

Key internal relationships: Director of Quality; Quality Assurance Specialist; Impact (MEAL) Specialist; Regional Directors, Programme Managers and Project Officers; ICPO; Finance; Data/Systems owners.
 

Key Responsibilities

Salesforce administration and systems support

• Administer the Quality/Projects components of Salesforce (and associated tools), including user support, data standards, fields/picklists, basic configuration tasks within delegated permissions, and documentation of processes.
• Maintain data quality rules and routines (validation, required fields, definitions, and guidance) and run regular data quality checks, working with colleagues to resolve issues.
• Produce and maintain reports/dashboards for the Quality Team (e.g., pipeline status, stage-gate progress, approvals, conditions, timeliness, data completeness, and quality metrics).
• Log, triage, and coordinate Salesforce improvement requests, liaising with system owners/IT and supporting user testing and roll-out of updates.
• Create and maintain user guidance (how-to notes, short training materials) to support consistent use of Salesforce and associated quality workflows

Administrative support to the Quality Director and team coordination

• Support the Quality Assurance and Impact (MEAL) Specialists with planning timetables, collating papers, maintaining decision/action logs, and following up actions with stakeholders.
• Prepare and format documents to agreed standards (templates, document control, version control) and maintain an audit-ready filing system in SharePoint (or equivalent).

·Coordinate team processes, including shared calendars, team meetings, process documentation, and communications that help the Quality Team operate consistently.

Research and special projects (Quality assurance, MEAL and learning)

• Undertake defined research tasks to support the Quality Team’s priorities (e.g., QA approaches in grant-making, MEAL frameworks and tools, file review methodologies, sampling approaches, learning loops, and good practice in documentation and audit trails).
• Produce short research summaries/briefings with practical recommendations for the Director of Quality and Specialists, including options, pros/cons, and implications for Barnabas processes.
• Support discreet improvement projects (e.g., updating templates/checklists, improving guidance, piloting a new dashboard or QA tool) and track actions to implementation.

·Maintain a small library of standards, templates, guidance, and reference materials (including MEAL and QA resources) for the team.

Pre-Committee Proposal Scrutiny

·Formal review of all project proposals before submission to the projects subcommittee to improve quality by ensuring:

oProposals are internally consistent;

oProposed solutions credibly meet the identified needs;

oThe response is proportionate and broadly consistent with other Barnabas Aid projects of a similar nature;

oBeneficiary selection is conducted appropriately and can be justified;

oThe proposal is strategically aligned, represents good value-for-money and meets all of Barnabas Aid’s project policies;

oRelevant harms have been considered and mitigated;

oA proportionate M&E approach is in place;

oPrudent but pragmatic financial arrangements (e.g. split into tranches, use of intermediaries) are adopted and justified.

·In conjunction with regional teams, undertake light editing of proposals to improve clarity and correct inconsistencies and typographical errors.

·Document checks to ensure all due diligence activities have been conducted before proposal is put to the subcommittee.

Post-Committee Follow-up

·Track actions provided by committee to ensure projects fully implement committee decisions (e.g. splitting into tranches, reporting requirements, risk management, etc)

·Draft, for regional team’s approval, project approval/project rejection letters to partners, including all relevant provisions for management of the grants.

Compliance, confidentiality, and continuous improvement

• Handle sensitive information responsibly, ensuring appropriate confidentiality, data protection, and information security practices are applied.

·Support the Quality Team to evidence required checks and maintain consistent records across systems and files, raising risks or gaps as appropriate.

Person Requirement

Essential

·Educated to degree-level or equivalent, with strong administrative and systems experience.

·Evidence of continuous professional development relevant to administration, data/systems, quality, research, MEAL, or project/grants work

·Experience in a busy administrative role, supporting multiple stakeholders, scheduling meetings, and coordinating actions to deadlines.

·Experience administering or providing ‘super-user’ support for a CRM/database (preferably Salesforce), including maintaining data standards and producing reports/dashboards.

·Experience with document control and shared filing systems (e.g SharePoint), including version control and maintaining audit-ready records.

·Experience undertaking structured research tasks and producing clear summaries/recommendations for non-specialist audiences.

·Highly organised with strong attention to detail; able to manage multiple deadlines and stakeholders.

·Strong systems aptitude: able to document processes, apply data standards, run checks, and support colleagues to use systems consistently.

·Ability to produce clear reports/briefings and summarise research into practical recommendations.

·Confident with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint) and comfortable learning new systems.

·Discretion and good judgement when handling confidential/sensitive information.

Desirable

·Experience working in the charity, international development, or faith-based sector.

·Salesforce administration training/qualification (or equivalent CRM certification).

·Training in research methods, MEAL, data analysis, or quality/process improvement

Location: Based in the Redbridge area. The service is approximately a 15 minute walk from Gants Hill Underground Station (Central Line). Local bus routes reduce the walk to around 5 minutes, and the service is also accessible via National Rail services from Ilford Station. Step Free access is not available at this service.

Salary: £28,800

Shift Pattern: 37.5 hours per week, Monday to Sunday on Rota between 08:00 - 21:30 depending on different shift patterns, including bank holiday working. You will be expected to work flexibly to meet the needs of the service and residents, including evenings and occasional weekends as required. 

About the Role

We're hiring a Senior Support Coach to join our team based within a Men's Project in Redbridge. In this role, you will support residents who may be facing challenges with complex mental health needs, ideally within criminal justice, forensic or secure services

As a Senior Support Coach, you will play a pivotal role within the service, as a point of contact, providing advice and guidance to the wider team in support of the management team, and to residents. You will be based within our Offender Personality Disorder Housing Accommodation and Support Service (OPD HASS). The service provides specialist, structured support to high risk and high need men who have recently left the criminal justice system.

The service provides specialist support to help overcome personal barriers to resettlement, reducing the risk of re-offending and supports residents towards independent living. You will deliver flexible, responsive, and person centred support to residents. This is a highly rewarding opportunity to lead by example and positively influence the recovery journeys of individuals with complex needs, including personality disorders and offending backgrounds. Purpose of the role

Due to the rapid expansion of Day One Trauma Support and the launch of our three-year strategy, the charity’s infrastructure has needed to respond quickly to meet its changing demands. There is now a requirement to ensure that the HR Department has the right skill set and capacity to provide the support needed by the charity in an efficient and proactive way. 

The HR Administrator role is a newly created position to reflect the growing HR needs of the charity as the workforce expands. This is a key role which is instrumental in supporting the HR administration function at an operational level, along with providing general administrative support to the HR Manager and wider team as required to help ensure the smooth day-to-day running of the charity. 

Reporting to the HR Manager and assisted by an external HR and Employment Law support service (WorkNest), this role will provide efficient and confidential administrative support across all areas of human resources. This includes recruitment, onboarding, record management, payroll support, and ensuring HR processes are compliant with employment legislation and charity policies. 

This role is ideal for someone with strong administrative skills who enjoys working in a collaborative, values-driven environment. 

As part of an expanding and ambitious organisation, there are considerable development opportunities for the successful candidate and the ability to help shape the infrastructure of the charity. 

Key responsibilites

HR Administration  

• Take ownership of the HR software to ensure all HR documentation and records are accurate, up to date at all times and in line with Day One policies, procedures and GDPR, including retention periods for ex-employees. 

• Oversee the recruitment, selection and induction process for all new appointments. Including posting vacancies, scheduling virtual and in-person interviews, and communicating with candidates. 

• Process and coordinate all pre-employment checks for new hires, including DBS checks, right to work verification, reference checks, and any other safeguarding or compliance requirements, ensuring all documentation is completed accurately, securely stored, and compliant with employment legislation and organisational policies. 

• Administer honorary contracts and associated documentation with NHS Trusts where required, liaising with relevant departments to ensure agreements, compliance checks, and onboarding requirements are completed accurately and in a timely manner, in line with NHS and organisational policies and procedures. 

• Manage and maintain HR SharePoint folders and electronic HR records, ensuring documentation is accurately uploaded, securely stored, regularly updated, and easily accessible in line with GDPR, data protection requirements, and organisational record management procedures. 

• Maintain accurate and up-to-date employee records, ensuring all changes relating to contracts, job titles, salaries, working hours, absence, and personal details are promptly recorded within the HR system in line with organisational procedures and data protection requirements. 

• Prepare and issue employment contracts, offer letters, and onboarding documentation, ensuring all paperwork is accurate, compliant with organisational policies and employment legislation, and completed in a timely manner to support a smooth onboarding experience for new starters. 

• Handle employment and character reference requests in a timely, professional, and confidential manner, ensuring all information provided is accurate, compliant with data protection requirements, and in line with organisational policy and safer recruitment practices. 

• Prepare and issue contractual amendment letters, ensuring all changes to terms and conditions of employment are accurately documented, clearly communicated, and processed in line with organisational policies and employment legislation, and that employee records are updated accordingly. 

• Oversee the employee offboarding process, ensuring all leaving procedures are completed efficiently and professionally, coordinating final documentation, recovering organisational property and system access, and maintaining accurate records to support organisational learning and continuous improvement. 

• Process a range of HR documentation relating to employee absence, annual leave, performance reviews, and changes to employment status, ensuring all records are accurately maintained, promptly updated on the HR system.

• Support monthly payroll administration by ensuring accurate and timely provision of employee data to the Finance department, including updates on new starters, leavers, contractual changes, absences, and other relevant payroll information, in line with agreed deadlines. 

• Monitor the HR inbox on a daily basis, responding promptly and professionally to queries relating to HR administration, and escalating more complex or sensitive matters to the HR Manager or appropriate lead as necessary, ensuring all communications are handled in line with confidentiality. 

• Coordinate the scheduling and delivery of training sessions, including liaising with external trainers, booking venues or virtual platforms, and communicating with attendees. Maintain accurate training records and track employee certifications, ensuring compliance requirements are met and records are kept up to date in line with organisational policies. 

• Provide administrative support for disciplinary, grievance, and performance management processes, including arranging meetings, preparing documentation, and accurately taking and distributing meeting minutes where required, ensuring all records are handled confidentially. 

• Support the HR Manager prepare HR reports, metrics, and correspondence as requested in a clear and accurate format. 

• Assist in the organisation and coordination of whole-organisation in-person team days, including booking suitable venues, arranging catering and refreshments, coordinating activities, and supporting logistics to ensure smooth delivery and a positive staff experience. 

• Support the HR Manager with the planning and delivery of employee engagement initiatives and wellbeing activities, helping to foster a positive organisational culture by assisting with events, communications, and activities that promote staff wellbeing, inclusion, and morale. 

• Prepare and send a monthly staff newsletter, working closely with colleagues across departments to gather content, ensuring information is accurate, engaging, and timely, and supporting effective internal communication across the organisation. 

• Responsible for supporting the data input into the HRIS and any further developments of the system. 

General Office Administration and Operational Support

• Provide general administrative support to the HR Manager and wider team as required. 

• Help coordinate office supplies, equipment, and routine operational requirements. 

• Assist with arranging meetings, preparing documentation, and taking notes where required. 

• Respond to telephone, email, and visitor enquiries, directing queries appropriately when required. 

• Assist with practical operational matters to help ensure the smooth day-to-day running of the charity. 

• Undertake other reasonable administrative and operational duties commensurate with the role. 

General

• Build awareness of the charity’s purpose through building strong and effective relationships with external stakeholders. 

• Be prepared to travel across the region and, on occasion, to other sites and national meetings as required. 

• Willingness to undertake continuous development and training for the role, including mandatory Day One and role specific training.

Job description 

Casework provision

• Provide high-quality casework support to service users on the outreach caseload (including children and families in some cases). 

• Support survivor empowerment to speak out and self-advocate

• Carry out regular risk assessment with survivors and respond to any safeguarding concerns as per Ella’s safeguarding procedures

• Create tailored support plans in collaboration with service users

• Provide day-to-day support and build trusting relationships with the service users

• Be sensitive to the rapidly changing emotional and physical needs of the service users and respond accordingly

• Manage all paperwork, processing any personal data in accordance with Ella’s policies and procedures

• Ensure casenote records are recorded within 24 hours of each service user contact using Ella’s case management system

• Assist service users with administrative tasks as required: reaching out to supporting agencies, booking appointments, form-filling, and attending appointments

• Assume an advocacy role during external appointments, if required

• Assist in writing covering letters and support letters to compliment service users’ application forms, advocate for the service user in specific needs, or to keep other organisations updated as required

• Research the requirements for benefit applications and assisting service users to complete (as required). E.g. S95 asylum subsistence claims, HC2 certificate applications, and state benefits claims

• Assist with maintaining frequent communication with the Home Office, law enforcement and solicitors to progress survivor legal cases

• Liaise effectively with other agencies involved in the care or support of service users to ensure their needs are sufficiently met

Safeguarding & health and safety 

• Ensure all major incidents, accidents, safeguarding concerns or potential hazards are managed, reported and recorded following Ella’s policies and procedures

• Maintain a safe and secure working environment, ensuring all safety and security procedures are followed to keep self and others safe

• Participate in the identification and assessment of risks and implement agreed working procedures to minimise their impact; writing risk assessments as required

• Promote awareness of health and safety amongst service users, including those who use emergency/on call systems, fire prevention and control systems as necessary

• Ensure the location confidentiality of Ella’s premises to protect survivors and safeguard staff and volunteers

• Participate in any relevant safeguarding training and keep up to date with any changes to Ella’s safeguarding policies and procedures 

Other/general duties

• Develop strategic partnerships with local agencies working within the VAWG sector and other local organisations or businesses that could enrich the work of Ella’s

• Take part in the out of hours on-call service

• Attend any training required for the role, keeping up to date with any developments and changes within the sector

Freshwater Habitats Trust (FHT) is the UK’s leading conservation charity concerned with the protection of freshwater habitats. We are a friendly, evidence-based organisation that works to protect UK and European freshwater wildlife through practical and innovative nature conservation projects. Our organisation is well respected nationally and internationally, and we work with a network of statutory, NGO and private partners both in the UK and the rest of Europe. Freshwater Habitats Trust was originally founded in 1988 (as Pond Conservation) and has a substantial track-record of originating new ideas through research in freshwater biodiversity conservation to inform and drive our practical conservation and policy work.

FHT has a central office in Oxford, and regional hubs in the north of England and the New Forest and out-posted staff in Cornwall and Wales. We run a range of practical projects throughout the Midlands and work with partners on research and policy projects throughout the UK and internationally. Since 2017 we have seconded staff to the Newt Conservation Partnership (NCP), a new community-benefit society established by NatureSpace, Amphibian and Reptile Conservation (ARC) and FHT, to create and manage habitats for the NatureSpace District Licensing scheme for great crested newts.

Oxfordshire and Buckinghamshire are key areas for Freshwater Habitats Trust’s work. Building on the Trust’s historic work in the county and starting in 2021, Oxfordshire was the first region where we began the implementation of the organisation’s new strategic approach to freshwater conservation, the Freshwater Network. The Freshwater Network is the network of high quality freshwater and wetland habitats, and terrestrial habitats generating clean water across the landscape, that together support our most important freshwater wildlife.

Role

This is a strategically important role within the organisation, offering substantial responsibility and an opportunity for the successful candidate to play a leading role in delivering one of the UK's most ambitious freshwater restoration programmes.

The role will primarily focus on the Ock and Thame Farmers: Floodplains and Freshwaters Project, Ock and Thame Farmers: Freshwaters and Floodplain Restoration, one of Defra's pilot Landscape Recovery projects. Having recently completed its two-year development phase, the project is now entering a critical stage of assurance and negotiations with Defra ahead of implementation.

Key areas of work will include ongoing engagement with land managers, supporting informed decision-making and participation, supporting the establishment of governance and legal structures required for delivery, developing agreements and ecosystem service contracts, undertaking land assessments, and refining habitat designs where required. The project currently involves more than 80 land managers across approximately 7,100 hectares of land in Oxfordshire and Buckinghamshire.

In addition to the Landscape Recovery project, the role will involve managing a portfolio of smaller projects across the region. This will include supporting staff delivering catchment monitoring programmes and helping to develop a pipeline of habitat creation and Natural Flood Management opportunities.

You will be responsible for the day-to-day management and coordination of project delivery, working closely with the Programme Manager, Finance Manager, Senior Management Team, project partners, consultants, contractors, and participating land managers.

Key responsibilities

Project management:

· Responsible for work planning, defining tasks and allocating resources.

· Resource, manage and support the project team.

· Responsible for the projects’ budgeting and financial management including: (i) regular reporting to the Project Director and Regional Programme Manager; and (ii) implementation of all financial processes for the projects including regular claiming and reporting funder.

· Responsible for all contract and logistics management

· Responsible for ensuring health and safety procedures are followed, implemented and reported on.

· Track and monitor project progress.

· Present to stakeholders, as required.

· Implement and manage change when necessary to meet project outputs.

Project communications:

· Working with the Freshwater Habitats Trust Communications Team to deliver the communication plans for the projects.

Project development:

· Working with other members of Freshwater Habitats Trust staff and landowner networks to develop future projects to continue our work on the Freshwater Network in the region.

In the longer term there will be opportunities to influence the development of the Freshwater Network concept as it builds and develops in Oxfordshire, Buckinghamshire and adjacent counties.

Purpose of the Role

The Communications & Engagement Officer is a key role within Breaking Barriers’ Income and Engagement Directorate. It helps refugees find meaningful employment through communications and fundraising activities that maintain and grow relationships with partners, funders, supporters and relevant influential organisations and individuals.

The post holder reports to the Senior Communications Manager, and works closely with the Head of Public Engagement, Senior Digital Marketing Manager and Fundraising & Partnerships Officer. They also lead or participate in activities involving colleagues across Breaking Barriers’ teams and our refugee clients.

This role contributes to the implementation of our communications, engagement and fundraising strategies, and is closely involved in team planning – including input into operational plans and communications campaigns to steward and inspire key audiences.

The Communications & Engagement Officer is responsible for the planning and creation of day-to-day communications across our owned channels, with a particular focus on social media. They are also responsible for managing social media interactions and outreach, and for creating selected content for Breaking Barriers’ website.

The post holder helps the Senior Communications Manager to ensure that organisational content complies with brand guidelines. And they play a key role in data management – maintaining our multi-media asset bank and the storytelling data within our Salesforce CRM.

This role will suit a team player who is able to build strong relationships across Breaking Barriers to support content creation, ethical storytelling and impact. The post-holder should be comfortable in a fast-paced environment, solution-focused and creative, whilst having a good eye for detail. And, of course, they should have a passion for stewarding, inspiring and mobilising audiences through high-quality, engaging communications.

The overall purpose of the role is to lead and coordinate meaningful participation and engagement opportunities for children, young people and adults to shape services, influence decision-making and ensure the voices of lived experience are central to organisational development. The postholder will support in designing, delivering and evaluating initiatives that build trust, inclusion and empowerment.

Main Responsibilities

• To co-ordinate and provide safe spaces for children, young people and adults to participate in user- led activities and projects.
• To be a key link between children, young people and adults within our participation service and staff, making sure their voices and experiences are heard.
• To recruit and engage children, young people, and adults, to enable them to feel comfortable to join our Participation service.
• To support the Head of Voice, Participation & Engagement to develop opportunities for children, young people, and adults to be actively involved throughout the organisation.

• Proven experience in youth participation, community engagement, co-production, or related areas, ideally within charity, education or health and social care sector.

• Demonstrate a good understanding of grief, loss, trauma, child development, and the psychological and social impact of bereavement on children, young people, families and adults.

About the role

This role is pivotal in contributing to the overall mission of RFUK to protect rainforests and support Indigenous Peoples and local communities.

The Programme Support Officer will play a crucial role in ensuring sound management of specific projects in line with strategy, agreed budgets, log frames, work plans and procedures and ensuring compliance with donor requirements. This position involves a wide range of responsibilities, including monitoring project implementation and documentation, as well as ensuring timely and accurate reporting to donors in collaboration with team members and partners.

This is a full-time (35 hours per week) fixed-term role for 12 months, with the possibility of extension. The post can be based fully remotely in France or offered as a hybrid role from our London office, with at least 1 day per week in the office. About the role

Reporting in to the Partnership and Business Development Lead, the Government, Multilateral and Climate Funding Manager is responsible for driving sustained growth in income and impact outcomes by actively engaging and cultivating strong relationships with existing and new institutional and climate funding partners.

The role co-creates and leads bidding with MCCs and Global Programmes teams, securing multi-year, multi-million government, multilateral, and climate funding awards.

The post-holder will co-lead and deliver the government, multilateral and climate funding strategy, positioning Christian Aid and its partners to access and scale climate finance, including adaptation, resilience, loss and damage, and nature-based solutions funding.

The role ensures a strong long-term pipeline of funding opportunities, aligned to organisational priorities and climate justice commitments, maximising both income and programme impact.

Some of the main areas of responsibility for the Government, Multilateral and Climate Funding Manager include:

• Working with the Partnerships and Business Development Lead and Heads of Impact to implement an ambitious long-term strategic framework to enhance engagement and build strong partnerships with Government, Multilateral and Climate Funding Partners (including Global Climate Funds such as the Green Climate Fund and Adaptation Fund, UN agencies, World Bank climate windows, Regional Development Banks, and bilateral donors including UK and devolved Governments, European and other Governments), setting clear objectives and key areas for collaboration, ensuring alignment with organisational goals and climate justice priorities.
• Acquire, develop and retain key Government, Multilateral and Climate Funder relationships and strategic partnerships by building a wide network of contacts across Government Departments, development finance institutions, and climate finance mechanisms, ensuring sustained engagement and strong positioning over time.
• Build and maintain a forward-looking, multi-year pipeline of institutional and climate funding opportunities, identifying emerging climate finance trends and positioning Christian Aid to access strategic funding, collaborating closely with CA Ireland and global teams to maximise funding growth.
• Oversee agreed Supplier Framework Agreements, including those linked to climate and environment programming, working with MCC Business Development Managers in taking forward pipeline opportunities.
• Collaborate across the Partnerships and Business Development Team and MCC BD Team on tenders and grants, leading bid preparation and ensuring alignment with funding requirements, including integration of climate considerations and compliance with donor requirements (e.g. climate rationale, safeguards, and reporting).
• Collaborate with Impact colleagues to onboard new programmes, including those funded through climate finance mechanisms, working with MCC Contracts and Portfolio Managers to ensure readiness for delivery and compliance requirements.
• Develop and proactively pitch new strategic Signature Programmes, including climate-focused and climate-integrated programmes, in agreement with Directors and MCCs.
• Strengthen internal capability by supporting colleagues to integrate climate considerations into programme design and funding approaches, sharing knowledge and best practice on climate funding requirements.
• Represent Christian Aid externally, strengthening organisational visibility and positioning within climate finance spaces.
• This level role may include line management responsibilities of an adviser level role.
