The Operations Assistant will join a small and dynamic team that covers Finance, Human Resources, IT and Business Operations. The Finance & Operations team play a critical role by running the day-to-day operations and providing the infrastructure that enables the continued delivery of the Trust’s mission and objectives.
The Trust is seeking an enthusiastic and detail-orientated Operations Assistant to support the administrative activities that facilitate the smooth running of the Trust, organising people, information and other resources. The role will provide practical and responsive support to colleagues, while helping to maintain effective processes and contribute to ongoing operational improvements. The role will report to the Senior Operations Officer.
Main duties
Health and Safety
Lead on day-to-day Health and Safety, including compliance monitoring, documentation, regular reviews and staff training.
First Aider and Fire Warden (training will be provided).
Supporting wellbeing activities and initiatives as required.
Office management
Acting as the Trust’s first point of contact, by providing a responsive and efficient service for general external and internal telephone, email, and mail enquiries.
Ordering stationary, general office supplies and IT equipment within budget.
Maintaining the general upkeep of the office premises.
Manage day-to-day office operations, including visitors, access, post and general administration.
Managing relationships with outsourced office providers, monitoring and reviewing service levels and performance, and supporting sourcing or renewals.
Managing relationship with Millbank Tower building management.
Supporting general office projects as required.
IT & Systems
Lead on office and IT equipment with line manager support.
Provide admin support for IT projects as required.
Other
Supporting with new starter and leaver operational processes.

The Role
The Philanthropic Partnerships Lead – Trusts & Foundations will contribute to Global Greengrants Fund UK’s fundraising and partnership objectives by stewarding a portfolio of existing and new Trust & Foundation supporters to secure significant restricted and unrestricted grants and donations for the organisation. Working as part of the Philanthropic Partnerships team and reporting to the Director of Philanthropic Partnerships, the postholder will also collaborate closely with colleagues across the global organisation Global Greengrants Fund, particularly within the Programmes, External Relations and Finance functions.
The Candidate Profile
The post holder will be an experienced, senior-level fundraising leader with a track record of securing and developing successful collaborations with trusts, foundations and partner organisations to achieve ambitious income goals; extensive experience in developing pitches, proposals, and fundraising products; and a strong interest in environmental justice, international development or human rights issues. They will have an extensive knowledge of the funding and philanthropy sectors in the UK and Europe; excellent written and verbal communication skills; and be confident in engaging a wide range of internal and external stakeholders, including at senior levels.
The candidate will excel in relationship building and interpersonal skills, capable of managing complex relationships and politics. With excellent written and verbal communication skills in English, they will be adept at developing compelling proposals, presentations, reports, and other fundraising materials. In this role, you will need a strong understanding of recovery-focused practice and the ability to apply a range of recovery approaches that promote independence, resilience, and positive outcomes for service users. You will have experience supporting individuals with mental health needs and dual diagnosis, including providing effective support during periods of crisis while maintaining dignity and respect. The ability to work collaboratively with frontline statutory services, including the NHS, is essential, as is knowledge of relevant mental health legislation and safeguarding procedures. The Opportunity
We are supporting an established UK animal welfare charity with the appointment of a Database & Fundraising Manager on an initial 7-month fixed-term contract, with the potential for the position to become permanent. Ideally able to travel to the Kent office Wednesday's but not essential.
This is a hands-on fundraising operations role with responsibility for the charity's CRM, supporter data, income processing, reconciliations, direct debits, lottery administration and fundraising campaign data.
You will work closely with the fundraising team, senior leadership and external accountants and suppliers, taking ownership of accurate data and efficient processes during a period of transition.
Key Responsibilities
Manage the charity's Raiser’s Edge CRM, including data entry, cleansing, imports, exports and supporter records.
Produce data selections, segmentation, reports and analysis for fundraising and communications.
Manage direct debit and standing order administration, including uploads, cancellations, unpaid payments and reconciliations.
Reconcile fundraising income against bank and accounting records and investigate discrepancies.
Oversee lottery administration, including membership records, monthly draws and winner communications.
Support fundraising appeals through data selections, exports and coordination with external mailing suppliers.
Monitor fundraising income and produce accurate reports.
Maintain database processes, documentation and data quality.
Provide general fundraising and supporter administration as required.
About You
We're looking for an experienced fundraising database, CRM, data or income-processing professional with:
Proven experience using Raiser’s Edge or a comparable fundraising CRM.
Advanced Excel and strong data-management skills.
Experience working with large datasets, imports/exports, segmentation and reporting.
Experience with direct debits, standing orders, income processing or financial reconciliation.
Exceptional attention to detail and accuracy.
Strong organisational and problem-solving skills.
The ability to work independently and manage competing priorities.
A good understanding of CRM data quality and best practice.
Charity or fundraising experience is desirable but not essential.

As Trusts and Foundations Manager, you’ll take the lead on this key income stream, identifying new prospects and developing a pipeline of high-value and multi-year funding opportunities. You’ll be responsible for applications and reports, stewarding funder relationships and working with colleagues across the charity to turn their knowledge and evidence into strong funding propositions.
The successful candidate willhave a successful track record in trusts and foundations fundraising, with experience securing five-figure grants and multi-year funding. You’ll be a confident and persuasive writer, comfortable researching funders, developing compelling cases for support and managing multiple deadlines. Just as importantly, you’ll be organised, collaborative and good at building relationships – someone who can bring together people, information and ideas to turn good opportunities into successful bids.
