About the role

Purpose of Post
This is a position offering someone with the appropriate values and experience, the opportunity to play a pivotal part in our small HR team (Head of HR and Senior HR Coordinator). As an HR Support Assistant we would expect you to have a strong customer service focus with a remit of providing high quality and accurate effective HR administration service relating to the recruitment, onboarding and employee lifecycle processes and procedures. This role is part of first line HR support for a current headcount of 165 employees.
Key Responsibilities
- To work closely with the team and deliver a high quality and confidential administrative process from recruitment throughout the employee journey at Herts Mind Network.
- Undertake general HR tasks as required and appropriate to the role including responding promptly to internal/external e-mails and completing other general administrative duties accurately and efficiently as needed.
- To work in compliance with employment law and best practice for HR processes including, contracts, starters and leavers, employment checks, DBS checks and pre-employment referencing.
- Support with note taking for internal HR meetings, with guidance from the HR team.
- Arrange candidate interviews on request and follow up to ensure documentation and recruitment records are held according to our retention policy and GDPR standards
- To collate data for submission to payroll.
- To respond to Subject Access Requests in relation to employee SARs.
- Promoting communication with EAP and for permanent staff communication about Cash plan and other benefits that may be available from time to time.
- To work with the HR team to maintain the quality standards system for all groups in line with National Mind Policy and ISO9001
- Creating all the necessary documentation with excellent attention to detail and accuracy.
- Monitoring the Breathe HR System, ensuring employee profiles are up to date, including personal data, annual leave entitlement and training.
- Creating profiles for new staff members on Breathe and ensuring the dashboard is up to date for all employees.
- Maintain our online E-learning resource (Ihasco) ensuring new starters are onboarded and reporting on mandatory course completion.
- Ensure leavers are offboarded promptly.

Job Title: People and Culture Apprentice
Reporting to: Strategy Lead and EA to CEO
Location of work: Home based with the expectation to attend the office at least 2/3 days per week dependent on organisational activities, this expectation will be reviewed after the first quarter. Travel expenses will be paid. There may be other ad hoc additional days for team days and organisational away days.
As this is an apprentice role you will have a designated 1 day a week to undertake apprenticeship related activity or focused study, this will be agreed with your line manager and flexibility will be available for how this is managed.
Contract type: Apprentice - fixed term for duration of apprenticeship.
Contract Length: 24 months. There is potential for a permanent contract at the end of 24 months dependent on organisational growth, financial circumstances and business need.
Salary: Starting Salary £20,400 (2024/2025) increasing to £22,950 (2025/2026) after the first year on successful progress in the apprenticeship and in meeting expectations in the role.
BACKGROUND
Magic Breakfast is a registered charity providing healthy breakfasts to children and young people in the UK who arrive at school too hungry to learn, and expert support to their schools. Over 200,000 children and young people are on roll at Primary, Secondary, ASL / Special Educational Needs Schools and Pupil Referral Units that the charity works with, in disadvantaged areas of Scotland and England. Providing breakfast ensures that children start their school day with the energy and nutrition they need to be able to make the most of their morning lessons. Magic Breakfast also undertakes research, and campaigns for long-term solutions to end hunger as a barrier to learning.

JOB PURPOSE
The People and Culture Apprentice will have a varied, critical remit; supporting central administration and the executive office as well as the People and Culture team to deliver an outstanding day to day HR service. The role will support with all areas of the life cycle including, recruitment, induction, onboarding, and administrative support.
KEY RESPONSIBILITIES

Support with recruitment administration, including scheduling interviews and responding to candidate questions.

Support People and culture to maintain accurate and efficient administrative systems ensuring it is compliant with data protection laws.

Be the first point of contact for general queries via email or phone, delegating or managing responses as appropriate in a timely manner and providing excellent customer service to external and internal enquiries.

The Shrine of Our Lady of Walsingham is an Anglican centre of Pilgrimage in North Norfolk which traces its roots back to the vision of the Lady Richeldis in 1061. The original Shrine was destroyed at the Reformation and the current Shrine was restored in the 1920’s and 1930’s as a result of the ministry of Fr Alfred Hope Patten.
The Shrine is owned and governed by Walsingham College Trust Association Ltd, a charitable company which also owns a retreat house in North Yorkshire. The shareholders of the company are the College of Guardians who also exercise a ceremonial role.

Purpose or Role
To ensure that effective financial systems are in place across the site which provide Directors and Department Heads with information necessary for making decisions. To maintain, purchase ledger, sales ledger, cash receipts, deposits, payments, reconciliations, charity funds, payroll and personnel records.
To work as a member of the Senior Leadership Team, overseeing Financial, HR and Admin functions across the organisation and report to the Priest Administrator and Board of Trustees.

Have operational oversight of the Shrine Shop and retail operations, encouraging income generation through the trading wing of the Charity.

Person Specification
A strong background in Finance with good knowledge of Charity Accounts
Relevant professional or vocational qualification for example trained accountant or relevant degree level qualifications.

General
The Shrine employs around 75 members of staff and every year it welcomes a steady stream of volunteers who offer help in return for board and lodging.
There are 137 bedrooms on site and around 10,500 pilgrims come each year for a residential pilgrimage typically lasting two to three nights. Meals are provided in the Pilgrim Refectory which can seat around 200 residents and produces up to 85,000 meals a year. In addition, the Shrine welcomes a good number of day pilgrims per year.
As well as the pilgrimage programme, which is run at weekends and midweek, each year the Shrine runs a series of special events and retreats. There is an important outreach to young pilgrims which is headed up by the Director of Education. This includes educational visits from schools and a range of events for different ages, the most ambitious of which is the annual Youth Pilgrimage.
Within the beautiful gardens there is a Cafe Bar which is open to pilgrims, tourists and visitors. The Shrine Shop is situated in the heart of the village and offers a wide selection of religious items and gifts.

We need a new member of staff to support us processing regular financial transactions of the charity and supporting the Finance Manager to ensure the organisation is able to monitor its financial risk and compliant with financial procedures in close collaboration and supervision by the Finance Manager.
- Produce and send invoices for payments owed and monitoring of payments
- Reconcile income from bank statements with invoices (credit control)
