Eclipse is looking for a competent, organised and experienced Finance and Operations Manager to join the organisation during a period of transition.  The Finance and Operations Manager will be responsible for managing the finance support service for the organisation together with operational support for Governance, Admin & HR.

This is an opportunity to play a vital role in the organisation as it develops and instigates an exciting and ambitious new set of plans over the next six months.  You will be working directly with senior leaders and trustees, and line-manage an Administrator utilising strong financial and administrative skills to manage the charity’s finances and day to day operations.

The ideal candidate will have an understanding of budgets and financial management as well administration, along with a passion for theatre and culture to be made by and resonating with Black voices and the communities in the North of England.

Snapshot of the role:

• Full time, with part time options available.
• Fixed 1-year contract, with a view to extend.
• £35,000 gross salary pa (pro rata if applicable).
• Able to work from or travel to Leeds with reasonable notice – hybrid and remote options possible.

JOB DESCRIPTION

Purpose of the Post

• To Provide financial leadership and to be accountable for financial reporting to the leadership team, Board, and stakeholders.
• To be responsible for effective management of the day-to-day office administration, and HR processes.
• To undertake company secretarial duties to ensure compliance with statutory requirement and relevant legislation.
• To work directly with the leadership team and board supporting business planning, organisational development, and to ensure Eclipse meets its aims and objectives.

The Finance and Operations Manager is a key relationship for internal staff and suppliers as well as fielding enquiries from artists, partners and the general public.

Terms and Conditions

Reports to: Senior Change Director

Other reporting: Board of trustees

Line manages: Other administrative staff once recruited, external accountants, IT supplier

Salary: £35,000 gross per annum (pro rata if applicable)

Location: Working from home with some working from company office in Leeds with reasonable notice

FTE / Hours: Full Time (1.0 FTE) at 35 hours per week, plus a compulsory break for one hour. Part-time options of 0.5 to 0.8 FTE would be accepted.

Holidays: 28 days per year (including statutory Bank Holidays), pro rata if applicable

Term: 1-year fixed term contract, with a view to extend following a contract review

Notice: 6 weeks either side for the period of the contract.

Pension: 3% employer contribution.  

Role responsibilities
The Finance & Operations Manager is responsible for:

Finance

• Preparation, monitoring, and control of the budgeting and forecasting processes.
• Provision of clear and timely management accounts to the senior team and Board of Trustees.
• Administration of the company’s financial systems through day-to-day bookkeeping including data entry, management of petty cash, processing of invoices and bank reconciliation.
• Liaising with the external payroll provider and payment of monthly salaries.
• Overseeing the preparation of the annual statutory accounts and management of the annual independent examination.
• Supporting in the delivery of an annual report or funder reports as needed, including Arts Council England NPO reporting requirements and quarterly payment conditions. 

Governance

• Leading on the arrangements for Board Meetings and Away Days: minute taking, writing and circulating agenda and documentation, post-meeting minutes and communicating with the Trustees pre-meeting on location, time and attendance.
• Regularly reviews the company’s policy making – ensuring the company maintains and abides by its policies e.g. Safeguarding, Health & Safety, Environmental and Staff Handbook.

Administration & HR

• Day to day responsibility for managing the HR function of the company.
• Keeping in contact with and responding in a timely manner to any queries from key stakeholders.
• Support the organisation to maintain key relationships and deliver report writing.
• General administration and office management lead.
• Management of the company calendar.
• Administration of company compliance and reporting to statutory bodies e.g. Companies House and the Charities Commission.
• Working as a central point of contact through phone and email.
• Management of the company administration systems.
• Support the delivery of contracts and letters of agreement.
• Support recruitment and onboarding processes.
• Support accommodation, travel, logistics, and tour-booking processes.

 

 

 

 

Strathclyde would like to appoint an early career fundraiser to the role of Alumni Fund Officer, working within its established and successful Alumni and Development team. This role will deliver fundraising programmes to support the University’s Alumni Fund – a fund which is championed by many thousands of our graduates, and which supports the whole student experience. 

You will deliver a range of fundraising projects including an annual student telethon campaign, direct mail, and digital projects (including Giving Day campaigns). Working across the University, you will develop close and supportive relationships with senior staff and talented students alike.

The University’s Alumni Fund helps students to have an outstanding student experience by funding a range of projects including scholarships for students in need; community programmes; international experiences; learning resources and student-led projects. Responsibilities include:

Leadership, Strategy and Governance

• To be an active member of the Made in Hackney Senior Leadership Team, working together to galvanise the organisation behind our strategic plan.
• To contribute to strategic discussions on the future direction of the organisation.

• To develop and execute an annual fundraising strategy: building a sustainable portfolio consisting of grants and donations from individuals, corporates, trusts and foundations, to ensure long-term sustainable funding of activities.
• To research and prospect future funders.
• To maintain precise and up-to-date records on current and potential supporters and prospects.
• To create engaging fundraising communication tools.
• To establish partnerships for joint programmes and funding bids where beneficial.

Donor stewardship & reporting

• To retain current donors and maximise fundraising opportunities, including delivering a programme of appropriate stewardship opportunities with the core team.
• To work with the team to co-design programmes and their evaluation requirements to ensure the organisation meets the grant funders' requirements. 
• To complete reporting to grant funders, including developing report templates, creating reports, case studies, and other administrative requirements. 

Communications

• To input into MIH’S communications strategy and the planning and implementation of improvements to marketing plans, digital presence and social media strategy to ensure impact and fundraising successes are communicated
• To maintain a stock of impact-focused case studies and success stories and ensure fundraising successes are communicated on social media and online.
• To ensure the robust monitoring and reporting on the effectiveness of fundraising strategies and campaigns; providing key input to the annual report and impact report.
• To coordinate fundraising events with the Community Partnerships Manager. 

Line Management

• To have direct line management responsibility for the Community Partnerships Manager and Social Media & Marketing Manager, creating a supportive environment for growth and development.

About Pancreatic Cancer Action:

Pancreatic Cancer Action (PCA) was founded in 2010 by a rare survivor of the disease. We are a small, creative and passionate team committed to improving early diagnosis and saving lives. In August 2020, Pancreatic Cancer Action merged with Pancreatic Cancer Scotland making our team stronger than ever. 

Pancreatic cancer has only a 7% survival rate and this figure has not improved significantly for over 50 years. Despite it being the 5th biggest cancer killer in the UK, pancreatic cancer receives only 3% of overall research funding. 

With a strong focus on early diagnosis, it is Pancreatic Cancer Action’s aim to improve survival rates through raising awareness, medical education, improved patient information and by funding research specifically into the early diagnosis of pancreatic cancer. Simply put, we want more people diagnosed in time for surgery, currently the only potential for a cure.

Main responsibilities:  

• Develop and grow the annual programme of fundraising events such as the London Marathon and Great North Run.
• Grow and steward a pipeline of new and existing community and events audiences and fundraising opportunities with a particular focus on England. Ensuring to always maintain the highest quality supporter journey.
• Manage the delivery of the virtual challenge events. Add insight and support the annual Pancreatic Awareness Month Campaign and help to further develop Pyjama’s for Pan Can to new audiences.
• As a senior member of the Income Generation Team you will contribute to robust financial planning, management and reporting of income and expenditure in your own areas of expertise.
• Responsible for the delivery and recruitment into PCA’s Challenge Events programme making sure participants receive exceptional supporter care.
• Develop compelling and engaging third party fundraising materials to inspire supporters to reach their maximum fundraising targets.
• Contribute to the development of automated and integrated supporter journey and engagement plans with the support of the Head of Income Generation to ensure a consistent and efficient supporter experience.
• Seek out engagement opportunities to support donor acquisition and retention utilising new and existing channels and platforms.
• You will be an excellent relationship manager who can maintain accurate records on our CRM system (Salesforce) to ensure that we develop, engage and update our supporters.
• Work closely with colleagues in Marketing and Communications, to create engaging products and community and event campaigns. Updating the fundraising section of the PCA website and other third party platforms with compelling content and seamless user journeys.
• Be competent at data inputting, IT literate and very organised. Empathy and excellent communication skills are vital in this role and the candidate must be able to collaborate and work well as part of a team.
• Attending when necessary, external events, conferences and exhibitions across the UK and being the face of Pancreatic Cancer Action, acknowledging that some of these may involve overnight stays and weekends.

Income and targets

• Help to grow Pancreatic Cancer Action’s income from community and challenge event fundraisers.
• Develop ongoing stewardship journey for Community/DIY Fundraisers and increase average gift though exceptional supporter care.
• Achieve Financial and non-financial targets and KPI’s from corporate and community fundraising as agreed with the Head of Income Generation.
• Monitor and control allocated fundraising budgets and regularly update the Head of Income Generation.
• Prepare and monitor reporting for all online fundraising platforms to fit with our accounting systems reporting this to the Head of Income Generation monthly.
• Contribute to Pancreatic Cancer Action’s fundraising strategy.

We are recruiting for a Fundraising Compliance Manager looking to make a difference in how we fundraise and support our fundraising charities: Guy’s & St Thomas’ Charity, Evelina London Children’s Charity and Guy’s Cancer Charity.

The successful candidate will need to be a detail orientated, solution focused, project manager with expert knowledge in fundraising and data protection regulations. We are looking for someone to lead and maintain a culture of compliance across all elements of fundraising and supporter engagement in this stand alone role.

As our Fundraising Compliance Manager, you will be the focal point for compliance, providing guidance and advice to colleagues ensuring that we have sufficient controls and processes in place across all areas of fundraising. In addition, you will provide comprehensive front line and administrative support, to facilitate best practice across Fundraising/Charity regulation and the General Data Protection Regulation and help embed this in our ways of working. You will produce and deliver training and supporting documents to upskill staff and to ensure consistency across the team, as well as identifying areas for improvement and development. You will keep your knowledge up-to-date and will be confident in communicating with staff at all levels and with varying levels of understanding; in an engaging and accessible manner.

Excellent organisation and project management skills will be required to ensure that projects and the day-to-day delivery and reporting of compliance is on track.

• To oversee and be the main port of call for all compliance, data protection and gift administration queries in respect of fundraising.
• To develop and maintain robust operational frameworks, processes, systems and governance structures for compliance and gift administration that instil confidence and assurance in our fundraising operations and our ability to fulfil our contractual obligations as data processors and controllers.
• To provide guidance to fundraising colleagues and other stakeholders on compliance and data protection queries.
• To develop and maintain a culture of compliance across the Foundation through developing and delivering training and producing guidelines and departmental policies.
• To conduct periodic reviews or audits (to include external suppliers) to ensure that compliance procedures are followed and fit for purpose.

Gift Administration and Implementation

• Support our fundraising colleagues to maximise their income and engage with supporters in a compliant way
• Triage and respond to gift administration and compliance queries and requests within defined service level times
• Produce and keep updated, relevant guidance, tools and resources for colleagues across the fundraising function
• Develop new strategies to provide the best support for our fundraisers and work to build new and lasting relationships with key stakeholders
• Advise senior stakeholders on the benefits and risks of our activities and advise on the best course of action
• Working with the legal team, develop and maintain the appropriate gift agreements and similar documents, supporter communications and online pages, and support fundraising colleagues and supporters to complete the appropriate paperwork ·
• Manage the Fundraising Support email address/enquiry channels
• Ensure policies around philanthropy and gift management are up to date and disseminated appropriately across the Foundation.

Fundraising compliance and data protection

• To evaluate and apply the Data Protection principles to variable and challenging scenarios, supporting colleagues to find solutions to their problems within the limits of the law.
• Ensuring we are aware of and reacting to any fundraising and data protection regulations changes. Regulations include GDPR/UK Data Protection Act 2021, Fundraising Regulator's Code of Fundraising Practice, Charity Commission guidelines, BACS, and PCI DSS Compliance. HMRC Gift aid guidelines.
• Recognise that a change in procedure or legislation external to the Foundation has implications and who needs to be notified of the changes.
• Produce and continually monitor our operational policies; modelling best practices against the Fundraising Regulator's Code of Fundraising Practice
• Responsible for reviewing all fundraising contracts and third-party agreements for data capture to ensure they are in line with all compliance regulations, ensuring our supporter data is adequately protected, any new fundraising processes and procedures are compliant, and fulfilling the operational commitments associated. Suggest and negotiate amendments, and if the necessary compliance clauses cannot be met then decline authorisation to work with that third party.
• Assess data risks and complete Data Protection Impact Assessments where required, being prepared to work with colleagues to pull together the relevant information and present to the data protection lead for sign off. ·

Leadership

• Where necessary, be prepared to make pragmatic decisions on where we should be focusing resources.
• To develop a programme of training and guidelines to cover complicated rules and processes in a concise and accessible manner. To identify and address where the knowledge gaps exist.
• Monitor workflows and procedures identifying and implementing new efficiencies to increase work output and reduce service delivery timeframes

We are seeking a Senior Fundraising Operations Executive to join our team and support operations for high value fundraising activity, covering the Corporate, Community and Philanthropy teams.

Key responsibilities:

• Supporting High Value Operations: You’ll work on a variety of regular and project-based high value operation activities with a focus on our Corporate and Community Teams, including:

About the team

The Orchard Project brings orchards into the heart of urban communities, along with the many benefits they provide: environmental, physical, mental, social, and educational. They are the only national charity dedicated to the creation, restoration and celebration of community orchards.

About the role.

As Head of Fundraising and a key member of the Senior Leadership Team, you’ll work closely with the CEO to devise the organisation’s fundraising strategy as they enter a positive and ambitious new five-year plan.

There is a very well-established trust and foundation fundraising programme, which you’ll work to continue and expand, building on existing relationships and spotting opportunities to create new partnerships with relevant funders. Using creativity, you will secure multiyear unrestricted six-figure grants from an array of grantmakers as you continue the diversification of this income stream.

The charity is continuing the expansion of its fundraising strategy to incorporate new income streams, a project you’ll spearhead with the launch of digital fundraising.
